Simply enter the contact s name, company or department and call them directly at a click of the mouse. Various phone number formats are automatically recognised, so no data conversion is required.

5 INTEGRATION IN , CALENDAR ETC. Microsoft Office XPhone integrates seamlessly in the Microsoft Office user interface and uses the existing Outlook contacts. At a click of the mouse, users can make phone calls, write text messages or send faxes from Outlook. Incoming faxes and voic s are supplied by . Furthermore, the Outlook calendar is linked with XPhone with the result that appointments automatically manage presence status and availability. In Microsoft Office 2010/2013, your colleagues presence and telephony status is shown directly in the client. IBM Lotus Notes XPhone can also be seamlessly integrated in the Lotus Notes user interface. Here too, efficient communication functions such as CTI, transmission of faxes and text messages are available. Incoming faxes and voic s are supplied by . 6 MOBILE EMPLOYEES Equally communicative on the road or in the office XPhone offers two efficient solutions making communication on the road just as convenient as in the office. Each mobile employee benefits from the XPhone UC Web and XPhone Mobile Control solutions. For all mobile end devices XPhone UC Web is the platform-independent solution for integrating mobile employees. Via a Web-based user interface specially optimised for mobile end devices, practically any smartphone can be safely integrated in the company s communication environment. All that is required is a mobile phone with Internet access and a Web browser. No additional software is installed on the mobile phone. All contact data available on the road You have access to company-wide or personal addresses and customer information when on the road, even though the data is not saved on the mobile end device. Communication is via a secure direct connection to the XPhone server. Perfectly integrated The One Number Service enables you to make phone calls on your smartphone using the company s PBX system where only your office number is displayed. Microsoft CRM 2010 with telephony and presence integration Actions and applications can be launched and caller data transferred. Integration in your applications XPhone Unified Communications can extend your individual applications or sector-specific solutions. Applications can be started automatically, caller data transferred and documents (letters, faxes, s), notes or appointments easily generated. Designing processes A wizard for connecting applications helps you to design individual work processes. Many local and hosted applications can be integrated. Applications can be connected individually by employees or centrally by the administrator which means that individual users do not necessarily need to make any adjustments. 9 SENDING AND RECEIVING FAXES DIRECTLY AT THE COMPUTER The efficient and easy-to-operate fax solution enables faxes to be sent and received directly at the computer as well as integrating in groupware systems such as Outlook, Lotus Notes and even in many other business applications. Receiving faxes Faxes can be sent to a central inbox or via a personal fax extension as TIFF or PDF files to an inbox or the UC Commander. Incoming faxes can also be automatically directed to a fax device or printer and printed out immediately. Sending faxes Faxes are just as easy to send as s and can be extended to include other documents using the Drag & Drop function. This can be done via the client, the UC Commander or from any print-enabled Windows application. Fax merges from Microsoft Word are also possible. Transmission can be scheduled and cost-optimised. Cover page editor and live preview An Editor enables the creation of individual fax cover pages which can be made available centrally to all users via the XPhone server. Thanks to the live preview feature it is possible to check the exact layout prior fax transmission. Recipients can be added manually or from all linked address books. Interaction with third-party applications Faxes can be sent via any or fax gateway. Transmission via document management systems or file API is also possible. A File API allows incoming messages to be passed to third-party systems, e.g. a document management system. XPhone fax editor with live preview Paperless working methods Paperless working methods are efficient as well as conserving resources. XPhone supports long-term archiving in PDF/A format. Accordingly, faxes no longer need to be filed in paper form. An editor allows users to include stamps, comments and highlighted passages in fax documents. These are imprinted on the document on saving after which it can not be altered (e.g. a stamp indicating the appropriate date of entry). The original incoming document is also archived on the XPhone server.

10 COLLABORATION Collaboration made easy XPhone Unified Communications offers you remote access to your colleagues computers and the possibility to share screen content. This facilitates collaboration and enables you to provide swift support. Travel costs can be significantly reduced and efficiency increased thanks to faster decisions. Screen sharing and remote access This function allows you to transfer your screen to colleagues in a fast and uncomplicated manner. You can also request access to another screen. You can transfer mouse and keyboard control, change the direction of the monitor and interrupt transfer at any time. XPhone supports work processes involving several monitors. Encrypted transfer of screen content ensures safe collaboration. The XPhone UC Commander is all that is required for using the screen sharing function. Define individual presence status The presence status to be used and shown can be specified for entire companies or departments or even for individuals.
