6 II. EXPENSES The Wake Forest Marketing Summit will only cover your lodging arrangements. For more information on these arrangements, please see the Hotel section of this packet. Teams will be responsible for all other expenses incurred over the course of the weekend. III. HOTEL The Marketing Summit will pay for two rooms (double occupancy) for each MBA and undergraduate team. These rooms have been reserved for Thursday, February 27 th through Saturday, March 1 st (check out on Sunday, March 2 nd ). COACHES Coaches and faculty are allowed to help prepare their teams before your arrival to the competition. They may also travel to the competition with their teams. However, once the case is distributed, there is to be no contact between the coach and their team regarding the case. We will host several events throughout the weekend that coaches may choose to attend. As a reminder, coaches will not be reimbursed for any travel or lodging expenses. Please contact us if your coach plans to attend so that we can make the necessary hotel reservations. V. LAPTOP COMPUTERS AND INTERNET ACCESS Your teams will be required to bring any laptop computer that you may need during the competition. We will provide free access to our wireless network. While our Internet network is compatible with Apple computers, we encourage teams to bring at least one Windows-compatible laptop. The Winston-Salem Embassy Suites also provides a wireless network connection. Please contact the hotel directly regarding questions about their Internet connection. Contact information found in the Hotel section of this packet. VI. PRINTER AND PHOTOCOPIER ACCESS Your team will have free access to our black & white laser printers/photocopiers through our wireless network. While our printers are compatible with Apple computer, we encourage teams to bring at least once Windowscompatible laptop. We will not provide access to color printers. 7 VII. ATTIRE: WHAT TO WEAR FOR THE FUN! VIII. MEALS Kickoff: Casual. Show your school spirit with school sweatshirts, colors, etc. This will be the only event during the weekend that school representation will be allowed. After the kickoff, to ensure anonymity of the teams to the judges, you are not allowed to reference your school in your attire. Examples, not limited to, include, use of school color, logos, pins, etc. Case Q&A Session: Business Casual Presentation: Business attire Awards Gala: Cocktail attire Everything In Between: Up to you, but keeping in mind that you are not allowed to reference your school in your attire. We will provide light meals throughout the weekend and there will always be a vegetarian choice. Snacks and beverages will be available 24 hours a day while your team is working on the case. The Awards Gala event will include a respective sit-down dinner. IX. NONDISCLOSURE AGREEMENT AND CONSENT FORM Over the course of this case competition, you may be provided with sensitive and/or confidential information from our sponsor. As a result, each team member will be required to sign a nondisclosure agreement before the case is distributed. There will be no exceptions. Additionally, each team member will be required to sign a consent form, agreeing to the rules and policies set forth by Wake Forest University. This form will also be provided to each team member before distribution of the case. There will be no exceptions. Lastly, each team member will be required to sign two photo release forms. These forms give consent to Wake Forest University and the case sponsors to use your image and likeness on the website and publications regarding The Marketing Summit.
