Organizational Change and Environmental Sustainability Dan Fogel, PhD, Wake Forest University Mary House, Woodard & Curran COMMITMENT & INTEGRITY DRIVE RESULTS
Agenda for this Session Organizational Change in Higher Education a challenge of strategy execution Planned Change Model Examples Using the Model BASE and STARS The survey Discussion COMMITMENT & INTEGRITY DRIVE RESULTS
Our Survey on Environmental Sustainability Compared to other activities on your campus, how extensive is environmental sustainability? I believe the focus on environmental sustainability will over the next five years as compared to other programs. My biggest concern about environmental sustainability is. COMMITMENT & INTEGRITY DRIVE RESULTS
Who We Are Network of Companies EcoLens Group Woodard & Curran Trinity Consulting Workplace Strategies JenkinsPeer Architects Education, research and strategic consulting Environmental Sustainability lens on strategy COMMITMENT & INTEGRITY DRIVE RESULTS
Organizational Change as Strategy Execution Portfolio of change programs Special considerations: Culture Communication Authentic leadership Managing stress Pressure on profitability Day-to-day management Change management as a capability COMMITMENT & INTEGRITY DRIVE RESULTS
The Process of Planned Change Target of change Urgency Guiding Team Vision Buy-in Actions & short-term wins Don t let up Make Change Stick COMMITMENT & INTEGRITY DRIVE RESULTS
Special Considerations During Change Culture, Leadership and the Role of Campus Administration Practice What you Preach others are watching! Case Study: Unnamed College As part of an environmental baseline sustainability audit the custodial staff was interviewed and asked about various sustainability efforts. When recycling was mentioned the custodial staff cited the President of the College as the worst offender as noted from the materials discarded in his trash can. COMMITMENT & INTEGRITY DRIVE RESULTS
Creating Urgency - Visual Presentation of Energy Load Peaks represent spikes in energy use that can be controlled COMMITMENT & INTEGRITY DRIVE RESULTS
Creating the Need for Change in Deep Rooted Campus Culture Impacts on Culture Case Study: Liberal arts college committed to sustainability, carbon reductions and energy efficiencies It was suggested a way to save energy would be increasing the number of first year students sharing rooms with one or two roommates. This strategy was not considered as having multiple roommates was against the school s culture. COMMITMENT & INTEGRITY DRIVE RESULTS
Creating Urgency Through a Powerful Visual Poor Polar Bears! Energy Measuring and Monitoring Case Study: Providing Visual Regarding Energy Use in Dorms Private liberal arts & engineering college Uses a visual of a polar bear on a sheet of ice. As energy use in the dorm increases, the ice sheet melts. If too much energy is used the polar bear drowns. COMMITMENT & INTEGRITY DRIVE RESULTS
Creating Urgency Starts with Assessment STARS Assessment STARS Case Study: Small liberal arts university Using STARS as a means to gain support for enhancing existing sustainability programs and adding resources. Also, used as an educational tool for faculty, staff and students. - Program helped to gain support and establish priorities COMMITMENT & INTEGRITY DRIVE RESULTS
BASE Environmental sustainability as a strategic issue Assessment Tool Builds on Other Tools 7 Tasks Strategy, plans, education, research, operations, administration, social Complete plan for action COMMITMENT & INTEGRITY DRIVE RESULTS
Considerations During Change Stress Management Pressure from Faculty/Researchers Case Study: Large university looking for ways reduce energy Decided to explore reorganization of campus teaching buildings so all classrooms and faculty offices were grouped together on difficult floors to allow for teaching floors to be closed where school was not in session. Faculty did not want to be removed from labs or classrooms. Potential Tactics - Create a visual to support the change, compare to other schools, get a guiding team established to get this done. COMMITMENT & INTEGRITY DRIVE RESULTS
Considerations During Change Communication and Coordination Operational Issues Case Study: Large university looking for ways reduce energy Explored eliminating night cleaning so that buildings could be closed in the evenings. Perceived inconvenience to students, faculty, and staff. More coordination involved in scheduling. COMMITMENT & INTEGRITY DRIVE RESULTS
Considerations During Change Leadership and Day to Day Management Meeting Commitments Case Study: American College & University Presidents Climate Commitment - Many schools have not completed some or all parts of the commitment on time - Recently allowed for a second four month extension COMMITMENT & INTEGRITY DRIVE RESULTS
How to Maintain Momentum Show Organizational Commitment The Green Team - Faculty, staff, and students develop ideas and initiatives that are taken to various entities on campus for their consideration and possible implementation. Office of Energy Services and Sustainability - Specifically created by the University to serve as the focal point for continued energy conservation, education, recycling, and other sustainability initiatives. Conservation Council - A tripartite committee whose primary concern is with energy use and conservation on the University campus to reduce energy consumption, with a combination of short-range, intermediate, and long-range goals. Office of Environmental Stewardship - Works with faculty, staff, and students on a wide range of initiatives including recycling, green building, energy strategy, dining and housing services, student priorities, and community and green job development. COMMITMENT & INTEGRITY DRIVE RESULTS
Methodologies to Communicate Sustainability and Maintain Momentum Liquid crystal display (LCD) information screens across campus Dedicated Facebook page Campus-wide mass s Information tables at events Advertisements and articles in student newspaper Sustainability themes on Departmental websites Monthly Sustainability Councils meetings Presentations to schools/departments/outside groups Including sustainability spotlight as part of the top-level navigation on the school s website Community forums on hot topics (e.g., on the possibility of the University heating with biomass) Presentations by the sustainability coordinator and environmental groups on campus Press releases COMMITMENT & INTEGRITY DRIVE RESULTS
Making Change Stick Executing Vision in all Aspects of Campus Planning Commuting Case Study: Large university interested in controlling campus footprint Decided all new construction would take place in parking areas. Lack of parking would force the use of alternative transportation to and from campus. COMMITMENT & INTEGRITY DRIVE RESULTS
Institutionalizing Sustainability Starts from Day One As part of New Students Programs First Year Experience at a College, a new jumpstart program was created called Sustainable Community Challenge (SCC). This includes a bus trip to various stops around a lake including two local farms (one small organic dairy; one large concentrated animal feeding operation dairy), a vineyard, State Park, and wildlife refuge, capped by local foods dinner. At a University, Sustainability 101 is held shortly after the students arrive on campus (and are no longer overwhelmed and can actually absorb information) which focuses on sustainable dorm living and includes dorm room audits. COMMITMENT & INTEGRITY DRIVE RESULTS
Strategies for Funding Sustainability Grants for Student and/or Faculty Research and/or Projects Institution Sanctioned Programs and/or Projects Sanctioned programs and/or projects to help fund sustainability initiatives. Green Fees Many schools across the country have increased the student general fee between $5 and $15 per semester per student to create a sustainability fund that goes toward purchasing renewable energy produced offcampus, funding renewable energy and energy conservation projects oncampus, or a combination of off-campus purchases and on-campus projects. At one school, the Green Energy Student Fee was passed in At $5 per term per student, $35,000 annually has been added to the school s sustainability fund. Private Donations For example, one school has established a sustainability donor fund which directly supports the school s Sustainability program and is overseen by the Special Assistant to the Provost. Student Fundraising Other Sustainability initiatives and/or programs at several schools are funded by other campus offices/individual departments and may include: Central Administration, the University Operating Budget, the deferred maintenance budget, income from sales of collections of recycled office paper and old corrugated cardboard, or Finance & Facilities. COMMITMENT & INTEGRITY DRIVE RESULTS
