1 The Recruitment Planning and Tracking System is an extensive and comprehensive system that helps an organization in automating the recruitment process completely. Recruitment is an extremely challenging function of HR department. This system has provisions for drawing up exhaustive requirement plans at various levels. These requirement plans drive the recruitment process. The system allows the user to draw up detailed recruitment plans and schedules. The system has provision for capturing information pertaining to multiple sources of recruitment such as advertisements, campus recruitment, placement agencies, etc. The system also has provision for capturing detailed information pertaining to applicants along with the source through which application has been procured. The system completely automates the evaluation and shortlisting process. The system imparts high degree of flexibility in terms of defining the evaluation process by specifying the types and order of evaluation procedures. The system generates the entire range of related documentation automatically. The system is fully integrated with the Employee Details System. Extensive and effective reporting functions provide you a snapshot of your recruitment activities. Weightages, thresholds and scales can also be associated with skills. Qualification Construction The system allows the user to define qualification types and categories; for instance qualifications could be technical or non-technical in nature. The Generic Selector is a utility, which allows the user to generate the requirement or selection criteria in a generic and user-friendly manner. The system allows the user to generate the selector criteria using a simple userfriendly interface. The generic selector utility facilitates the user in constructing the selector criteria, which can comprise of any number of skills, qualifications or designations. The system also has provision for drawing up a wide range of permutations and combinations by utilizing and and or clauses. Wide-range of Plan Types
2 system further allows the user to define qualification degrees and specialization via qualification degree master and specialization masters. A qualification can be constructed by drawing up various permutations and combinations of qualification type, degree and specialization. Customizable Evaluation scales The system allows the user to define evaluation scales as per his needs and requirements. These scales could be utilized at various points in the system and could be utilized for various types of evaluations. The system also has provision for defining evaluation parameters and associating scales, weightages and thresholds to these parameters. The system could define and customize the type and levels of plans the user would like the system to maintain. The system has provision for maintaining annual, quarterly, monthly and ad-hoc plans. Define your Evaluation Types and Procedures The system has provision for defining multiple evaluation types such as written tests, interviews, etc. The system also provides flexibility in terms of defining multiple evaluation procedures for each evaluation type or category. The user could also associate scales, weightages and thresholds with each evaluation procedure, which would subsequently be the foundation of evaluation process. Multi-level skills hierarchy can be constructed using a simple user- friendly interface
3 Sources of Recruitment The system provides high degree of flexibility by allowing the user to setup various categories of sources of recruitment. Sources of recruitment could be primarily categorized into advertisements, agencies, and campus recruitment. This feature is useful for carrying out source-category-wise analysis. The system further maintains an exhaustive source master. The source master captures recruitment source related information such as general details, addresses, rating, recruitment season, cost, etc. Manpower Planning and Budgets The system facilitates drawing up of plans at various levels. The system has provision for capturing manpower requirement plans for the calendar year for various departments in the organization. The system provides the feature of versioning of plans. Any alteration in the plans, leads to a archiving of the earlier versions of plans and creation of new versions. The system captures the budget at the specified level. The system also has provision for capturing and tracking the Manpower Requisition Form (MRF). The system also tracks the position indented and approved. Advertisements, Campus Interviews and Agency Interactions The system records the actual execution of the recruitment schedules in terms of recording information pertaining to advertisements released, campus interviews conducted and other modes of recruitment performed. The information captured pertaining to advertisements includes the newspaper/magazine it is released in, contents, number of releases, dates of releases, etc. Similar information is captured about various other modes of recruitments executed. Recruitment Plans and Schedules The system facilitates drawing up of recruitment schedules in accordance with the requirement plans drawn up earlier. The system allows the user to work out the details of recruitment schedule and allows the user to choose the sources of recruitment defined earlier and plan out the likely dates of execution of these schedules. The recruitment plan allows the user to pick and choose appropriate sources of recruitment optimally.
4 The source master captures information such as address, fax, phone, contact person, placement season, source rating, various costs associated, etc., pertaining to the recruitment source. Applicant Information The system captures and maintains detailed applicant information such as name, address, general details, skills, qualifications, prior experience, reference name, expected salary, etc. The source through which application has been received is also captured for backtracking and analysis. Duplicate detection utility provided by the system detects duplicate applicant entries based on applicant's name, father s name, date of birth and address. The system also has provision for phonetics-based search. Evaluation and Shortlisting The system facilitates shortlisting of applicants based on required shortlisting criteria. The user can specify skills, qualifications or job profile in the selection criteria to construct the right combination. The system also allows the user to define the evaluation process for shortlisted applicants. The user could define an evaluation process comprising of various evaluation stages/phases. The information regarding panel members can also be Evaluation Procedure The system allows the user to capture the results of applicant s evaluation. The results are captured and the system automatically arrives at the final rating based on the weightages attached and thresholds defined. The system provides for a self-driven evaluation cycle. Once the evaluation process is defined along with all the evaluation stages in the required order moment one evaluation stage is completed, the next stage is scheduled. This cycle continues till the last stage has been completed. Offer Letter and Acceptance Finally, the applicants who clear the final test/interview are sent offer letters. Offer letters are automatically generated by the system. The system also records the acceptance or rejection of offer. In case of rejection of offer, the reasons for rejection are also recorded for future analysis. Wide Range of Reports The system provides a wide range of reports for
5 captured. The system also captures information regarding dates on which the evaluation stages/phases are scheduled. The system generates call letters for shortlisted applicants automatically. exhaustive analysis and tracking. The system also has applicant query, which allows the user to select applicants based on various selection criteria and other useful reports. Joining Procedure The system records actual joining of the candidate and allows conversion of an applicant to an employee. Applicant master captures detailed information pertaining to an applicant such as name, application date, father s name, date of birth, post applied for, expected salary, the source from which this application has been obtained. The qualification tab folder captures multiple qualification details, skills tab folder captures applicant s skills and further Information tab folder captures other information such as address, mail, fax, phone, previous organization, previous designation, etc.
6 Manpower Requisition Form captures the Job Profile details Applicant Query provides the flexibility to construct the required query based on qualification, city, skill, source, etc.
