1 Marching Mizzou Alumni Band January 25, 2014 University Hall TelePresence Room Board Members Present o Dave Champlin, Sharon Schiller, April Sansing, Andy Kendig, Johanna Reed Adams, Bobby Geerlings, Gene Hartley, Heather Henderson, Eric Kegley, Allison Miller, Hadley Haux, Gary Taylor Meeting Called to Order at 11:05 Acceptance of the Agenda o Andy moved o Gene 2 nd Acceptance of the minutes o Heather moved o Sharon 2 nd Treasurer s Report o 95% done at this time o Loss of $1600 partially due to tickets o Finances in turmoil Finances had assistance with sponsorship and Pickard s 50. o Andy had to buy a couple of books of stamps o Misc-includes the senior lunch during band camp o Window clings-$5 o Sharon moved to accept o Heather 2 nd Homecoming 2013 o Scholarships Went well, 12 recipients that are possible new members, recipients stated that they are slow in receiving funds Dave is stepping down and want to give it to someone in Columbia Want to do interviews on a home game weekend to make it easier for everyone Sharon is happy to help $880 for Pickard Scholarship o Golf Dead, can be reactivated if necessary o Shakespeares Keep, going after the meeting to book both rooms for HC 2014 Johanna moved Sharon 2 nd Passed o Pre-registration, Website Information, Game Tickets Didn t have the normal push at the end Had lots more tickets than needed
2 Need understanding with Athletics about when to return unsold tickets Possible cut off 2 weeks before because tickets no longer needed to participate If not tickets bought by this time, then they get no ticket 2 return windows from Athletics this year, keep for next year? Keep pushing the need to register early Need to verify with MAA about which list they are using to reach M2AB members o Flags, Instrument Rental, Music Distribution Been working well No one asked for music at the field M2AB flags are in uniform room o On-site Registration, Rehearsal, Box Lunches Working without instruments helped Time frames are getting shorter all around Need to remember we are M2 s guest and we are being worked into their schedule Need extra 30 minutes for rehearsal unless 11:00 kickoff Need to spell out to M2AB upfront that M2 will be playing with us Gary has offered to clean up the music for Eye of the Tiger Ultimately: Dr. Show is trying to save us while Mike Alden is scrutinizing us Lots of leftover box lunches and couldn t sell them o Pregame Performance, Rented Equipment Truck and were lots of help this year and it was great Need more bodies to help unload/load after pregame Reiterate when the truck is gone, it s gone Homecoming 2014 o Sponsorship Have not heard from the bank yet Steve Gurwell has been our link with the bank and his time is limited Promotion Formalized request to come to HC/business meeting Courtesy gift More on the website Dave is going to reach out to marketing director Need to start shopping for new sponsorship and slowly transition them into position MO X? Next meeting starting working to find potential new sponsor o Business Meeting Old Alumni Center Keep the menu o Social Website M2AB Official business and Homecoming registration Kegley is going to make a listserv based upon last year s information Work with Music Department to do one time postcard from Strike Up the Band
3 Ad in MAA magazine, College of Arts and Sciences magazine, and School of Music magazine New Business o Hall of Fame Founders of M2AB because of age limitations Terry Fetterly, Bill Moyes, Lesley Mueller, Becky Shepard Latko Do an exception and let them know they are receiving it so that they make sure to come back Vote tabled until next meeting o MAA Awards Jeff Zumsteg Andy, Allison, Sharon, and Heather will work on nomination Due April 30 o Committees Public Relations Allison, Sharon, Heather Andy move to promote presence at Black and Gold game April 19 Financials Andy and April Operations Gene Scholarships Sharon, Allison? o Kansas City Picnic Friday, August 15, Independence Event Center o Concert on the Quad August 24 Adjourn o Sharon moved o Eric 2 nd o 1:05 Communication about Black and Gold Game From Allison Hello, all, Sharon, Heather, and I met a couple of weeks ago to iron out some ideas and details for the Black & Gold Game on April 19. It was a GREAT meeting, and I think we were really productive. A) Here is what we would like to do: What: Tailgate for M2 Alumni Band will take place on the day. Who: Open to M2AB and families Where: Parking lot directly south of Mizzou Arena (parking is FREE, and we may park AT the tailgate) When: 9am - setup/cordon off our spot; Tailgate to with food to Cost: $3 or 3 canned goods (still need to determine if that's for every person or if kids are free/reduced)
4 What is provided: Hot dogs and buns -- Lew Keathley Grills -- several people will/can bring theirs Easy-ups -- several people will/can bring theirs Vinyl Banner for us -- Lew Keathley will make one for us Available for sale: M2AB items (window clings, buttons, shirts, whatever other items we have to sell could be available) B) What we request from the Board: $50-$100 for plates, silverware, napkins, condiments, glasses; request also chips, cookies, water, soda; if not, we'll find donors or buy it ourselves If the Board approves the event/details and any cost approval, I plan to: 1 - post a 'Save the Date' announcement on the M2AB Facebook page 2 - I/Heather will send out the invitation via , once we get an list 3 - in the invite, we'll request an RSVP just to help with numbers/amount of food and 'accessories' What we'll need from the Board on the day (most of this can be decided at our April 12 meeting): 1 - if anyone has a grill or an easy-up to let us use, let us know 2 - if anyone can come at 9 am on the day to help mark our spot, set-up, prep, etc. 3 - Other things that may arise in the prep/during the event C) Please let me know what questions you have or ideas you'd like to contribute. I know it's difficult to plan all of this by , but if we wait until our next meeting, we won't have enough time to get it done. If I can get either an approval or different plan for purchasing or providing things by next Friday (Mar. 14), then I can make any changes I need to and get out the 'official' invite so people have enough time to plan for it. If I need to go about this a different way, please let me know; this is new to me and I'm not clear on how to get some things done yet. Thanks! We're very excited about getting this event going. And we've already talked to a bunch of people who are game to come to it. It's early, I know, but I think it's a good sign that there is definitely interest out there. From Dave Thank you ladies for coming up with this proposal. So usually I would be opposed to do this decision making by alone. But due to constraints of time this will have to do. April please be sure add this string as auxiliary minutes along with the meeting minutes from January. I will entertain motions and discussion for funds to be allocated for the Black & Gold scrimmage. From Sharon Thanks Dave. I found a contact at the the Athletic Department that was very helpful. It was at their suggestion on where to set up at. I do have a parking contact that she gave me who I am going to contact to see if anything can be done at homecoming on our parking issues. My vote is yes on the funds. From Bobby Just to get it according to Hoyle (or Roberts): I move that the Black & Gold subcommittee 2014 be allowed to spend up to $100 for supplies for the M2AB

Dave So I have heard no objections for funds to be allocated to get BBQ supplies for the Black And Gold scrimmage. It PASSES. Sharon, Heather, and Allison, Andy for M2AB¹s tax exempt letter before getting the supplies you need. Sharon Thanks everyone. Hopefully this turns out good like Shakepheres. We get 50 I think we have a good start.
