2 (a) The first order of business is public and staff safety. The area of damage must be contained and secured. Public access must be eliminated and staff access will be contingent on safety approvals from emergency services personnel. Building administrative staff must contact RU Facilities (helpdesk ( for New Brunswick campus) or on-duty manager) to stop the leak and begin repairs and clean-up of the leak. Facilities and maintenance have access to wet-vacs that can efficiently remove water from the floor. Be sure that the area is safe / secure and that there is no hazard of electricity in play. IF THERE IS ELECTRICITY: Secure the space with caution tape AND take all appropriate actions possible to restrict access until Facilities personnel can eliminate the problem. Access Services Staff will: (c) (d) Books and stacks should be covered/isolated with plastic sheeting to protect them from further damage until the leak can be stopped. Supplies can be found in the Water Emergency Kits located in each library. A safe recovery workspace should set up a safe recovery workspace (with plastic covered tables and fans) and then initiate the PROCEDURES TO AIR-DRY BOOKS described below. 2. MAJOR WATER DAMAGE: (a) Administrative staff should notify Risk Management ( ) when the problem is too extensive or complicated for local resources. Risk Management staff may authorize assistance from outside vendors. (e.g.: If there are more effected books damaged than can be air dried, then arrangements must be made for freezing and freeze drying, or for cases where water effects building structures such as saturated sheetrock walls, moldings and carpeting.) The Collection Management Group may solicit the assistance of the Special

3 Collections and University Archives Conservator if needed. Do not permit anyone to open books, separate single sheets, or remove covers of water-damaged materials before the Collection Management Group has assessed the situation. 3. LARGE SCALE DISASTERS OR EMERGENCIES: In cases of large scale disasters or emergencies, the safety of the staff and the building must be the primary consideration. Recovery of the collections cannot occur until building integrity and safety has been assured by Rutgers Emergency Services, Risk Management and Facilities. Problems outside business hours: (Weekdays after 4:30pm and during weekend operation) (a) (c) (d) Notify the most senior / experienced staff/faculty member on site. Contact RUPD to notify on-call facilities personnel. Coordinate plans so that available administrative and reference staff are advised of actions underway. Use relevant building emergency contact lists to request assistance as necessary.

5 PROCEDURES TO AIR-DRY BOOKS {Adopted from the procedures used at the Cornell Preservation & Conservation Department. When a large quantity of books are involved, those that are thoroughly wet should be boxed for freezing to avoid mold growth until they can be thawed and dried in the following manner.} 1. If books are thoroughly wet, place them in a closed position (with boards slightly open) on their head edges on sheets of absorbent paper or blotters. 2. Place small pieces of binders board at each fore edge. 3. Books that are partially wet should be carefully opened and interleaved with absorbent paper. Begin at the back of each book and interleave every 20 or so pages. Change paper every hour. 4. When books are damp they can be stood on their tail edges, lightly fanned, and allowed to dry in a current of air from a fan. 5. When books are almost dry, lay them flat, push the backs and boards gently into position and place them under a light weight until dry. Rev: 6/15 tcorlis
