1 INSTRUCTIONS FOR APPLYING FOR FUNDED DOCTORAL CANDIDATE POSITIONS AND THE RIGHT TO PURSUE A DOCTORAL DEGREE IN DOCTORAL PROGRAMME FOR BIOLOGY, GEOGRAPHY, AND GEOLOGY (BGG) Dear BGG applicant, This guide will help you to successfully fill in and submit your BGG electronic application in Turku University s Saimanet-system. The electronic form has to be submitted by Sep (23:59:59). The link to the form is at the top of the advertisement (blue box labeled Fill in the form ). Fill in the form - link opens the Welcome to University of Turku Graduate School call for applications and follow-up system. The page has more information and instructions about the Saimi system and how to fill in the form. After clicking I approve, choose I fill in an Application or a Follow-up form for the first time The Form includes the following tabs: Basic information Information of the Planned Degree Action plan Studies and follow-up Attachments The data fields marked with a star* are mandatory. Please fill in the English version of the application (ID 1428). This guide follows the terminology of the English version. Basic information: Fill in your personal details. Double check your address, as all communications from the recruitment system and the University are sent to the address you provide here. If you already have the UTU student number, fill that in too. Otherwise leave that field blank. Information of the Planned Degree: Planned degree: choose Doctor of Philosophy Faculty: choose Faculty of Mathematics and Natural Sciences Major subject: write one of these: Biology or Geography or Geology Topic of the planned doctoral thesis: Write here the provisional title of the planned thesis. The thesis format is compilation dissertation: choose Yes, as most BGG dissertations are compilations. The thesis format is monograph: choose No, as almost none of the theses in BGG are monographs. Supervisors: Give first the name and other details of the main supervisor of the planned doctoral thesis. The main supervisor should be on a docent level and affiliated with the University of Turku. If you have other supervisors, tick in More, and fill in their details.

2 Research director/mentor/professor in charge of major subject: Give the name and other details of the research director of the planned thesis. Research director has to be one of the professors in the department in question. Advisory committee: If you have only one supervisor, you must have an advisory committee. Advisory committee members do not need to be affiliated with University of Turku. An advisory committee should have at least two members. Action plan: Abstract of the research plan: Write here max 1000 character abstract Summary of the doctoral dissertation research and its current phase: With less than 1000 characters, explain the current status of your work. If you have not yet started, say so. Time plan: give the estimated time of completing the doctoral degree. Mode of attendance full-time?: choose Yes if you will work on the doctoral project full-time and No if you will work on it part-time (e.g., on the side of another job). Financing plan: with less than 1000 words, explain how you are planning to finance the doctoral studies. In the four slots below, break down the above-mentioned financing plan to year-by-year slots. Have you already been granted research funding?: choose Yes if you have confirmed funding for the planned doctoral studies. Break down the confirmed funding into personal salary (or personal grant) and funding for research expenses. Use the following four slots to specify the granted funding on year-by-year basis. For salaries/personal grants, indicate the time period (months) they cover. I am applying for funded doctoral training position for the following time period (mm.yyyy mm.yyyy): All funded doctoral training positions in BGG begin on January 1 st If you are applying only for a right to study, write not applying for a funded position In case I will not be selected for the funding position, I will cancel my application for the doctoral studies in this doctoral program (This question is only relevant when applying for the right to study. If you already have the right to study, please answer (No) to this question): in other words, choose Yes if you don t want to apply for the right pursue a doctoral degree in University of Turku if your application for the funded positon is not successful. Choose No if you do want to apply for the right to pursue a doctoral degree, no matter what the outcome of the application for the funded position will be. With this application I am applying for (choose one option): a) UTUGS funded doctoral candidate position, b) UTUGS funded doctoral candidate position AND the right to study, or c) just the right to study: Choose one of the three options and write it into the box below. Have you already received personal funding (salary) from a graduate school? If yes, please specify when: Give the time period the salary covered and also for which doctoral degree it was for (the same you re applying funding for with this application or something different). This information is only needed if you re now applying for a funded position.

3 Studies and follow up: Highest completed degree: write here the title of your highest degree. For example: MSc. This may or may not be the same as the degree qualifying you for doctoral studies in BGG. Name of the degree in English: write the name of the previous degree in English. In this application, previous degree refers to the one that gives qualification to pursue doctoral studies in BGG. Previous degree (the one that gives qualification to pursue doctoral studies): write here the name of the degree in the original language. School, where you have completed this degree or where you are currently studying at: write here the name and country of the institution awarding the previous degree. Date of the degree or estimated date of graduation: Give the date of the completion of the previous degree. Major subject: write the major subject of the previous degree. Grade of the final thesis: give the grade of the thesis of your previous degree as it is stated in your diploma. Grade of major studies: give the grade of the major studies of your previous degree as it is stated in your transcript of study records or diploma. This question is not marked as mandatory, but all BGG applicants should answer it. Other information of your studies / courses: here you may mention additional relevant information about your previous degree studies. According to the faculty s requirements I need to verify my language skills with language tests: Language skills are verified by your supervisor and research director, so you can Choose No. I have verified my language skills as follows: Even though formal verification is not required, it is helpful to include the information if you have it. If I will be proposed to the funded position or selected to the waiting list, I agree that my name can be published at the University of Turku web pages: In general, the names of the successful applicants are published, but you have the right to say no. If your post graduate studies for BGG have already started, give the starting date (semester/year): If the studies have not yet started, say so. In addition to your application to BGG, are you also submitting an application to another doctoral programme in the University of Turku in this call? (speficy): Answer yes or no. If yes, specify which doctoral programme and what you apply for (right to study / funded doctoral candidate position). I already have a right to pursue a doctoral degree (University, faculty, and doctoral programme): Answer yes or no. If yes, specify the university, faculty, and the doctoral programme.

4 Attachments: Most attachments are attached electronically, but some of them have to be delivered to the Faculty office. See further instructions on the last page of this document. CV: see for a template. Attach as a pdf titled Surname_CV List of publications: see for guidelines. Attach as a pdf titled Surname_list of publications. If you do not have publications, you do not need to attach anything. Research plan: the research plan should describe the research objectives, methods and required infrastructure or other resources, as well as the current status and planned timetable of the research. Research plan must not exceed four A4 pages. Attach as a pdf titled Surname_research plan Copies of degree certificates/diplomas: merge into a single pdf (titled Surname_certificates) the following documents: 1) Copy of the certificate of the previous degree, 2) copy of a transcript of studies of your previous degree. If either document is in a language other than Finnish, Swedish or English, attach also a copy of an English translation. The translation must be official, i.e. one of the following: issued by the awarding institution made by an official translator, such as a notary public officially certified copy of a translation issued by the awarding institution officially certified copy of a translation made by an official translator, such as a notary public If you already have the right to pursue a doctoral degree at the University of Turku, then attach also a transcript of study records showing the studies to be included in the doctoral degree. Merge this into the same pdf. Motivation letter: a free-form letter to the evaluators. Attach as a pdf titled Surname_motivation letter Authorization form (Other attachment): the University of Turku checks the authenticity of the documents you provide. In order to do this smoothly, we need an authorization from you. The form is available on BGG webpage How to apply ( during the application period. Print the form, then fill and sign it. Then scan it, merge the document with a copy of your passport, and attach to the electronic application as a single pdf, titled Surname_authorization form. Applicants who received their previous diploma from the University of Turku do not need to attach the authorization form. Study Plan (other attachment 2): If you are not applying for the right to study at BGG, you DO NOT need to attach the Study Plan (i.e. if you already have the study right and you are only applying for the funded position). For further details about the credit requirements, please see BGG webpage Structure of the Degree ( Display your study plan on a year-by-year table. Attach as a single pdf titled Surname_study plan.

5 IMPORTANT: The following documents are not attached to your electronic application, but have to be delivered separately. A) supervisor s statement- This should include at least 1) assessment of the applicant, 2) assessment of the feasibility (both scientific and financial) of the research project, 3) declaration of the commitment of the supervisor towards the completion of the thesis, 4) statement on whether the supervisor is foreseen to be employed at the University of Turku until the thesis is completed, and 5) estimate of when the doctoral defense will take place (autumn/spring of year 20xx). DO NOT attach this statement to this electronic application. Instead, ask your supervisor to the statement to the doctoral programme coordinator (ville.aukee@utu.fi) before the end of the application period on September *. The should be titled Surname_supervisor statement. B) If you do not yet have the right to pursue a doctoral degree at the University of Turku, ask for an evaluation letter from a person who knows you (e.g., MSc thesis supervisor). This letter should assess the capability of the applicant to carry out high-quality research and to successfully pursue doctoral studies. If this person is the same as your main supervisor, then a single letter is enough. DO NOT attach this evaluation to this electronic application, but instead ask the person to the evaluation to the doctoral programme coordinator (ville.aukee@utu.fi) before the end of the application period on September *. The should be titled Surname_evaluation When the application is completed, check the information by clicking Preview. C) If you do not yet have the right to study at BGG, click PRINT. Use this print as a Supervision Agreement between you, your supervisors, and your research director. All of you will need to sign it. Signatures should be written next to the names and details of each person involved. Deliver the original signed form to the Faculty (addresses below) before the end of the application period on September *. Responsibilities of both supervisor and research director are listed on the BGG web pages. After printing, check the information and click Submit. A username and a password will be sent to the address you provided. With the username and the password you can access the system if you need to edit the form before the period expires (Sep 18 In case of applicants whose previous degree was obtained at an institution other than the University of Turku, the applicant has to, in addition to the scanned copies, deliver the original degree certificate documents or official copies thereof (diploma of the previous degree and the transcript of study records of the previous degree) to the faculty office before the end of the application period on September It is recommended to check the country-specific requirements, please see Acceptance will be conditional until the faculty has verified the authenticity of the documents.
