1 SECTION 5 PARISH RETURN PROCEDURES
2 Catholic Charities of Buffalo PARISH RETURN PROCEDURE INSTRUCTIONS Examine the donor cards. If the card does not have a valid scanline, separate and go to step 1. (Red Envelope) If the card DOES have valid scanline with no payment, go to step 2. (Blue Envelope) If the card DOES have valid scanline with cash as payment, go to step 3. (Green Envelope) If the card DOES have valid scanline with a check or charge as payment go to step 4. (Black Envelope) Step 1. Use the Red Envelope for Gift/Pledge donations with NO SCANLINE. Regardless of donation type: Pledge Only, Cash, Check or Charge. Fill in the Parish Name and Parish Code # at the top of the envelope. List the Donor Name List the Total Gift/Pledge, Enclosed Today and Balance Due amounts. Organize and match all payments with their donation card. Rubber band and place in Red Envelope. Note: Card may be a blank donor card that you have added parish name and city or parish number and donor name and address. Step 2. Use the Blue Envelope for all Gift/Pledge donations that contain NO Payment, Pledge Only. Fill in the Parish Name and Parish Code # at the top of the envelope. List the Donor Name List the Total Gift/Pledge for each pledge card enclosed. Organize the cards, clip together and place in Blue Envelope. Step 3. Use the Green Envelope for CASH only Gift/Pledge donations. Fill in the Parish Name and Parish Code # at the top of the envelope. List the Donor Name List the Total Gift/Pledge, Enclosed Today and Balance Due amounts. Organize the cards and Cash into 2 groups. o Assemble all the cash in one group, secure with rubber band. o Assemble all the donor cards, secure with rubber band. Place both groups into the Green envelope. 34
3 2015 Appeal Step 4. Use the Black Envelope for CHECK and CHARGE Gift/Pledge donations. Fill in the Parish Name and Parish Code # at the top of the envelope. List the Donor Name. List the Total Gift/Pledge, Enclosed Today and Balance Due amounts. Organize the cards into 2 groups. o All credit card payments are placed on the top. o All Check payments are to be matched with their donor card. **Note Place the donor card first with matching check underneath each donor card. o Rubber band the group and place in Black Envelope. Note: Charge donations should be signed by the Donor. Audit best practices require that two people be available to process gift returns. Both should sign and date parish return envelopes after they are sealed. 10 Catholic Charities of Buffalo OTHER GIFT FORMS AND PROGRAMS GIFTS OF APPRECIATED STOCK/MUTUAL FUNDS Giving appreciated stock or mutual funds can be an especially advantageous way of supporting Catholic Charities of Buffalo. The benefits can be: The full value of your gift goes to helping those in need. You are entitled to an income tax deduction equal to the full market value of the securities. (Please check with your tax advisor first.) You may avoid capital gains tax. Donating securities is easy. Methods for donating stock or mutual funds to Catholic Charities: 1. Paperless transfer to Catholic Charities brokerage account (preferred method). 2. Mail stock certificates to Catholic Charities of Buffalo. 3. Hand deliver stock certificates. Hand Delivery of Stock Certificates If you hand deliver certificates to Catholic Charities, please do not sign the reverse side of the certificate. A separate Stock Power should be signed instead. It is important that your signature be authenticated by an organization such as your bank or brokerage house that has the ability to guarantee your signature. Caution should be taken as to personal delivery. The date of delivery becomes the effective date of the gift. Please deliver stock gifts by hand to Cindy Scibetta. (Please see below) Mail Stock Certificates to Catholic Charities When using this method of delivery please do not sign the reverse side of the certificate. A separate Stock Power must be signed instead. The Stock Power must be signature guaranteed. Your signature should be authenticated by an organization such as your bank or brokerage house that has the ability to guarantee the signature. You should also send the signature guarantee under separate cover to Catholic Charities. Sending stock and the signature guarantee in the same envelope could pose a serious risk if lost. Please mail paperwork to Cindy Scibetta at the address below. Paperless Transfer to Catholic Charities Brokerage Account This is the simplest way to make a gift of securities. Simply instruct your broker to transfer specified shares from your account to a Catholic Charities account. It is important that your broker not sell the stock while it is still in your account. This would cause a capital gains tax liability. It should not be sold until it is transferred to the Catholic Charities account. Please contact Cindy Scibetta by phone or (see below). 11 2015 Appeal MATCHING GIFTS Many local and national firms have a matching gift program in which they will match the employee s gift up to a certain amount. This is a great way to maximize a donor s gift. Parishioners can be reminded in your publicity for the Appeal to check with their Human Resources Department as to whether they provide matching gifts and for the appropriate form. Donors should be aware that employers remit their portion when the employee s portion is paid in full. 12 Catholic Charities of Buffalo PLANNED GIFTS BEQUESTS BY WILL Making a bequest is as easy as inserting a simple sentence in your will: I [name], of [city,state, zip], give, devise and bequeath to Catholic Charities of Buffalo, NY [written amount or percentage of the estate or description of the property] for its unrestricted use and purpose. Please let us know of your intent and if you are comfortable with having your name published so others may be more inclined to do the same. BENEFICIARY DESIGNATIONS Continue supporting our work even after your lifetime by naming us as a beneficiary of your retirement plan, life insurance or insurance annuity assets. CHARITABLE GIFT ANNUITIES Through a simple contract, you agree to make a donation of cash, stocks or other assets to Catholic Charities of Buffalo. The Leadership Society is comprised of donors who give $1,000 or more to the Appeal. Donors of $1,000 or more represent 1% of the donors who give 38% of the Appeal total. 15 2015 Appeal A CASE FOR SUPPORT Catholic Charities is the most comprehensive human service provider serving all of Western New York. We offer hope and a fresh start to people in need. Catholic Charities provides assistance through 70 programs at 61 professionally staffed locations to more than 142,000 people of all ages. APPEAL GOAL - $10.9 MILLION SERVICES OF CATHOLIC CHARITIES GOAL - $6,431,000 CHILDREN AND FAMILIES Support in times of need and vulnerability in family, school and community environments. Assist with counseling, mental health services, foster care and adoption, kinship caregiver assistance, visitation, preventive programs, and immigration and refugee assistance programs. YOUTH Counseling programs, mental health services, foster care, GED education and job readiness skills, family focused therapy for at-risk teens, and a year-long community service opportunity for college graduates. ADULTS Counseling, including marriage counseling, and mental health services, as well as treatment for alcohol and drug addiction, and mental health services for those who are homebound. Program for domestic violence offenders, and counseling and therapeutic programs for domestic violence victims. Parent education programs for young parents, those with young children, and an awareness program about the impact on children for separated and divorced parents. SENIORS Offers a social day program in Buffalo to adult and seniors who are chronically ill alleviating caregiver burden; Foster Grandparent program providing stipend and multi-generational interaction for low-income seniors; care coordination program for older adults with a mental illness diagnosis, and in some counties outreach or home visitation and telephone calls to those who are homebound. BASIC ASSISTANCE Assessment, evaluation and assistance on an emergency basis, including help with food, prescriptions, housing or heat and dignity packages of hygiene items; food and nutrition assistance through the Women Infants and Children (WIC) program; food pantries serving three areas of Buffalo, Lackawanna and Wellsville in Allegany County, and thrift shop and other basic assistance programs for those re-establishing a household, needing newborn items and a Christmas toy program for families in need. PARISH OUTREACH AND ADVOCACY Supports parishes with parish outreach development and advocacy information, offers the Catholic Guild for the Blind, and operates Catholic Charities five food pantries. BISHOP S FUND FOR THE FAITH GOAL - $4,469,000 Supports many ministries of the Diocese of Buffalo including: assisting families with a compassionate pastoral presence responding to the needs of the engaged, married, family and those in need of healing through diocesan programs and parish-based specific support and peer ministry 47
