Introducing Clickfree Backup Software Introducing Clickfree Backup Software HOW IT WORKS The Clickfree Backup Software is the easiest way to protect your data. After downloading and installing the Clickfree backup software, just connect a USB storage device ( external hard drive or flash key ) and a Clickfree message will appear asking if you would like to use that drive to backup. Just click "Yes" and your backup will begin automatically. The first time you back up, Clickfree searches for and backs up all of your important content, including photos, videos, music, documents, spreadsheets and over 500 other file types. It also installs the Clickfree Backup icon in your system tray (in the bottom right corner of your screen, beside the clock). When Clickfree has finished backing up your computer, you can remove the USB drive or leave it connected to the computer. If you remove it, the next time you connect it to the same computer, Clickfree will back up any new or changed content. If you leave the USB drive connected to your computer, regular scheduled backups will be completed automatically (see Scheduling automatic backups on page 21). You can view, restore, or transfer backed up content onto a different computer as long as the Clickfree Backup Software on the original computer is activated with a full license (not a trial version). The USB drive used for Clickfree backups can still be used on any other computer for other purposes not related to Clickfree. For example, you can copy files onto it manually from any computer. If you connect a different USB drive, Clickfree ignores it and does not interfere with its normal operation. If you want to back up to the different drive, click the icon in the system tray and choose Select Drive. DEFINITIONS Backup and Restore A backup is a copy of data on your computer. Backups can be used to restore data after loss of or damage to your computer s hard disk, to restore files that have been accidentally deleted or corrupted, or to move or copy data from one computer to another. Making a backup of your content only copies it from your computer to your USB drive, and does not delete it from the computer s hard disk. Similarly, when you restore content, it only copies it from your USB drive to your computer, and does not delete it from the USB drive. A backup is meant to be a second copy of your computer data, not the only copy of your data. Last Revised: Nov 2,

Introducing Clickfree Backup Software Content The Clickfree Backup Software has been developed to backup only the data that you have created or copied to your computer - photos, videos, music, s, documents, tax information, etc. In this guide, we refer to this data as content. The Clickfree Backup Software does not back up your operating system or software. WHAT GETS BACKED UP? When it runs automatically, Clickfree searches your computer for over 500 types of files: Photos including common graphic formats such as JPEG and RAW Music including CD audio, MP3, MIDI s including Thunderbird, Eudora, and those from Microsoft Office Text Documents e.g. from Microsoft Word, Open Office, and WordPerfect Spreadsheets e.g. Microsoft Excel, Open Office, and Lotus 123 Presentations e.g. Microsoft Powerpoint and Corel Show Artwork and Drawings such as Corel Draw, Visio and Paintshop images Video e.g. AVI, MPEG, Shockwave Flash Favorite Websites internet shortcuts and address books Other including zip and RAR files, XML, and CSV files Financial such as those from QuickBooks and tax programs The first time you back up your computer, Clickfree backs up all of the content it finds, which might take several hours, depending on how much content you need to back up. Each time you use Clickfree after that, it only backs up the new or changed content, so it will be much quicker. Any files that were deleted from your computer since the last backup are not deleted from the USB drive. FEATURES EASY Backup - Clickfree backup begins automatically once you selected a USB drive to use for backup Customizable backup options for custom file types and full folder backup Back up multiple computers onto the same USB drive, limited only by the available space on the USB drive (each computer must have Clickfree Backup Software installed) EASY Restore - Your complete personal file backup can be restored to the same computer with just two easy clicks. EASY Viewer - View all backed up photos and personal files easily just like on the original computer EASY Organizer - Automatically finds and organizes all your photos and other personal files for backup ( 500+ file types ) Can undo a restore, in case you accidentally overwrote a file you need to keep Last Revised: Nov 2,

Introducing Clickfree Backup Software GETTING STARTED WHAT DO I NEED BEFORE I START? Any USB storage device (e.g. an external hard drive, or a flash drive) with sufficient space for backup One free USB port on your computer Your computer must be running one of these operating systems: Microsoft Windows 7 (any edition) Microsoft Windows Vista (any edition) Microsoft Windows XP (any edition) The Clickfree Backup Software will not recognize a Clickfree branded Backup Drive (because those products already include the Clickfree software) please connect a non-clickfree drive to start the backup. ABOUT THE LICENSE TYPES There are several ways to obtain the Clickfree Backup Software: Trial Version -- Free trial software may have been preloaded on your new computer, or you may have downloaded or obtained it elsewhere (e.g. as a promotion). The free trial software is fully functional for a limited time only on the computer that it was installed on (you cannot access the backed up content when connected to a different computer). You must activate with a license key to continue using it beyond the trial period or to be able to view, restore, or transfer the backed up files on other computers. Activated Version (1, 3, or 10 computers) The fully activated software may have been preloaded on your new computer, or you may have downloaded a version, received a license key and activated the software. An activated license allows you to view, restore and transfer your backed up content on other computers, but you can only back up from the original computer where Clickfree is installed and activated. Last Revised: Nov 2,

Introducing Clickfree Backup Software INSTALLING 1. If the Clickfree Backup Software is already pre-installed on your new computer, you can skip this section. Simply plug in an external USB drive and you will be prompted whether to use that drive for backup. To install the Clickfree Backup Software, simply launch Setup_Clickfree.exe and follow the wizard instructions to install the software. You will need to accept the End User License Agreement before you can click "Next" to install the software. 2. If you are prompted to enter a license key and an address, please enter the information to continue installation. 3. Once the Clickfree Automatic Backup software is installed, you are advised what to do next. If there s a USB drive (an external drive) attached, when you click Close you will be asked whether to use the drive for backup. o If you click No, the program closes. The next time you connect any USB Drive you will be prompted again. o If you click Yes, Start Backup, the Clickfree Welcome screen opens see page 11. If there s no USB drive attached, click Close. You will be prompted the next time you connect a USB drive. An icon is added to the system tray with the following options: Backup Now -- Use this option to start the backup. This option will only appear if the backup drive is attached. Select Drive - Use this option to select or change the USB drive to use for backup. You must have the drive attached in order to select or change the USB drive. Scheduler - Use this option to setup the automatic backup schedule (see page 21) Uninstall -- Use this option to uninstall the Clickfree Backup Software. If you are trying to uninstall an activated version of Clickfree Backup Software (i.e. you have a license key associated with it ), you must be connected to the Internet so that Clickfree can communicate with the Clickfree Activation Server to free up the license key so that you can use it on another computer. Last Revised: Nov 2,

Introducing Clickfree Backup Software SELECT DRIVE To automatically start the backup process, the Clickfree Backup Software needs to have a backup drive associated. If you have already selected a USB drive to use for backup during installation, backup will start automatically whenever you attach that same drive to your computer. If you have not selected a USB drive during installation, you will be prompted the next time you connect a USB drive. Clickfree Backup will only start automatically after a USB drive is selected and designated as the backup drive. You can change the designated backup drive by following these simple instructions: Connect a different USB drive Click on the Clickfree Backup Software icon in the icon tray Choose the "Select Drive" option. Highlight the drive to use and click "OK". Last Revised: Nov 2,

Introducing Clickfree Backup Software ENTERING A LICENSE KEY Depending on the version of Clickfree Backup Software purchased, you may have been prompted to enter the license key in order to complete the installation process. If you are upgrading from a trial version, you can enter the license key as follows: 1. On the Welcome screen, click Options. 2. On the Software Activation tab, click Activate. 3. Enter the license key and click Activate. Last Revised: Nov 2,

Backing Up Backing Up 1. Make sure that your computer is switched on and has finished starting up. 2. If the designated USB drive is still connected to your computer, click the icon in the system tray and choose Backup Now. If the designated USB drive is not connected, connect it now. 3. The Clickfree Welcome window appears and shows the number of seconds left before the backup starts automatically: After you have backed up content on your USB drive, Options, Viewer and Restore/Transfer buttons appear at the bottom of the window. Unless you stop the countdown by clicking a button, Clickfree starts the backup at the end of the countdown period. If you want to let Clickfree decide what needs to be backed up from where, you don t need to do anything further. For details, see What gets backed up? on page 6. If you want to make changes to how backup is done, click Options and see How do I change how Clickfree does backups? on page 19. Last Revised: Nov 2,

Backing Up 4. During the backup, Clickfree displays a progress window. When you see the Backup Summary window after the backup is complete, simply click Close. You re done! 5. When Clickfree has finished backing up your computer, you can remove the USB drive or leave it connected to the computer. If you remove it, Clickfree will automatically back up any new or changed content the next time you connect it to the same computer. If you leave the USB drive connected to your computer, backups will be completed automatically (see Scheduling automatic backups on page 21). After a backup is done, a folder called clickfree will be created on the USB drive. These folders are integral to the Clickfree backup and should not be tampered with. Last Revised: Nov 2,

Restoring Content Restoring Content You can restore your content to any computer that meets the system requirements (see What gets backed up? on page 7), not just to the computer the content was backed up from. You must have an activated version of Clickfree Backup software and the backup must have been performed with an activated version of Clickfree. If you have backed up multiple computers onto the same USB drive, simply repeat the restore process choosing a different computer each time. WHAT GETS RESTORED, AND TO WHERE? You can choose whether to restore all or just selected content, and where the content is restored to or you can allow Clickfree to make the choices for you. If you don t change any options, Clickfree restores all of the content that was backed up, and puts it in the same folders on your computer that it was backed up from. If you are restoring over files of the same name, Clickfree will warn you and ask permission to overwrite these files on the computer with the ones on the USB drive. Alternatively, you can restore your files to a different location on your computer so they don t overwrite any existing files. RESTORE -- LET CLICKFREE DECIDE WHAT TO RESTORE AND TO WHERE 1. If you are restoring content to the same computer it was backed up from, click the icon in the system tray and choose Backup Now. When the Welcome window appears, click Restore/Transfer. If you are restoring content to a different computer, locate and launch the StartClickfreeBackup.exe in the clickfree directory on the USB drive. When the Welcome window appears, click Restore/Transfer. Last Revised: Nov 2,

Restoring Content 2. The Restore window appears. Note that all of the categories that have backed-up content are checked in the Select Category column. 3. Look at the computer name in the Restore From box: If your USB drive contains backups created on the computer that you are using, the Restore From box contains the name of this computer, and, unless you change it, the content to be restored will come from this computer s backup. The drop-down list contains the names of all of the computers that have been backed up on your USB drive. Click the arrow at the right of the Restore From box and select the name of the computer whose content you want to restore to this computer: 4. Click Start Restore. Your content has not been deleted from your USB drive. After a restore, Clickfree gives you the chance to undo the restore. See How do I undo a restore? on page 16. RESTORE -- CHANGE HOW CLICKFREE RESTORES CONTENT By making choices at several steps in the restore process you can control which content is restored and where it is restored to. 1. Follow steps 1-3 from Restore -- let Clickfree decide what to restore and to where on page Choose Advanced Restore. 3. All categories that contain files on the selected backup are shown. Select the categories that you want to restore. If a category s check box is grey, that means that there are no files for that category on the selected backup. When a category is selected or deselected, all of the file types that make up that category are also selected or deselected. To restore individual files within a category, click the category name and then select the files to be restored. To locate particular files to be restored, click the Browse Files tab or the Search Files tab (see Browsing or searching for files, or viewing photos on page 17 or How do I search for a file on my backup? on page 17). Select the files to be restored. 4. When you are finished selecting files, click Next. Last Revised: Nov 2,

Optionally, choose a different folder. Click Choose Location and select the folder you want. To create a new subfolder, click New Folder, type the folder name, and click OK. 6. Click Start Restore. 7. If you are restoring files to somewhere other than the original locations, before it overwrites an existing file on your computer with one of the same name from the backed-up files, Clickfree asks if you want to replace the existing file with the samename file from the backup. You can choose to: Keep both copies of this one file click Keep Both. Clickfree renames the backed-up file by adding (2) to the end of the file name, then restores the renamed file. Keep both copies of all same-name files check Do this for all duplicate files and click Keep Both. Clickfree renames the remaining backed-up files by adding (2) to the ends of the file names, then restores the renamed files. Not replace this one file click Skip Not replace any same-name files check Do this for all duplicate files and click Skip. Clickfree skips all remaining same-name files without asking you. Replace just this file click Replace Replace all same-name files check Do this for all duplicate files and click Replace. Clickfree replaces all remaining same-name files without asking you. If two files have the same size (KB) and same date modified, it is likely to be safe to skip. If you skipped any files during a restore, the Restore Complete window has an Exceptions link at the bottom left. Click the link to see a list of the files that were not restored. After a restore, Clickfree gives you the chance to undo the restore. If you want to undo, see How do I undo a restore? on page 16. Your content has not been deleted from your USB drive. Last Revised: Nov 2,

Restoring Content HOW DO I FIND FILES THAT WERE RESTORED? If Clickfree restored your files to a folder that was not their original location, Clickfree puts an icon on your desktop so that you can quickly and easily get to the restored content: Double-click the icon to open Windows Explorer to the folder where your content was restored. You can now use Explorer to move the files to a more convenient folder. MY PROGRAM CANNOT FIND THE RESTORED FILES WHAT SHOULD I DO? Some programs expect to find their files in a particular folder. If you restore files to a folder other than the original location, your program may not be able to find them. If your program displays an error message telling you that it cannot find its files, or if the program starts up but your data is missing, you will need to move the files to the proper folder. Unfortunately, this is different for every application and you may need to consult the program s online help or user guide to find out where the files need to be moved to. HOW DO I UNDO A RESTORE? If you realize, after restoring your files, that the restore accidentally overwrote a file you need to keep, Clickfree allows you to undo the latest restore. 1. If you are undoing a restore on the same computer it was backed up from, click the icon in the system tray and choose Backup Now. When the Welcome window appears, click Options. (If you are undoing a restore on a different computer locate and launch the StartClickfreeBackup.exe on the USB drive. When the Welcome window appears, click Options. Undo restore shall only work when user selects Restore to an original location in Advanced Restore. For example, if you do a restore on computer A, you only can undo restore to computer A, not a different computer. ) 2. Click the Restore/Transfer tab in Options 3. Click Undo Restore. 4. Click Start. The latest restore is undone. To see what files were replaced by undoing the restore, click Click here to view undo log. Last Revised: Nov 2,

CAN I EXCLUDE AN INDIVIDUAL FILE FROM BACKUP? After you have completed a backup, you can review the backed-up files and not only delete individual files from the backup, but ensure that these files are never backed up again. For details, see What can I do with the files on my backup? on page 18. SCHEDULING AUTOMATIC BACKUPS The Clickfree scheduler can run a backup automatically (if the USB drive is connected). 1. Click the icon in the system tray and choose Scheduler. Alternatively, in the Welcome window, click Options, then click the Scheduler tab. The backup schedule for this computer is shown. 2. 22 Frequently Asked Questions WHAT IF THERE IS NOT ENOUGH SPACE ON MY USB DRIVE? While Clickfree is searching for content to back up, it adds up the amount of disk space needed and compares that with the free space on the USB drive. If there is not enough free space for your content, Clickfree prompts you to change the files selected for backup. Either: unselect one or more content categories by clearing their Include check boxes, until the Start Backup button is enabled (turns orange), or use the Browse or Search tabs to choose files not to be included in the backup. When the Start Backup button is enabled (turns orange), click Start Backup. Backup proceeds as usual. Alternatively, if you have backups from an old computer on the USB drive that you don t need to keep any more, you could cancel the backup, remove the old computer (see Removing a computer on page 24), and restart the backup. WHAT IF THERE IS MORE THAN ONE USER ON MY COMPUTER? This matters only if each user has a separate user login name for the computer. If every user logs in with the same user name, all of their content is backed up and restored at the same time regardless of who is logged in. When Clickfree runs, it can only back up the content that you can access from your login, and restore content to locations you have access to. Because Windows 2000, Windows XP and Windows Vista maintain a separate Documents or My Documents folder for each user name, Clickfree can back up only the corresponding content that belong to the person who is logged in, unless that person logs in as the Administrator. Last Revised: Nov 2,

Frequently Asked Questions WHAT IF I HAVE MORE THAN ONE COMPUTER? Clickfree offers a license for 1, 3, or 10 computers. You can back up content from multiple computers that have Clickfree installed and activated onto the same USB drive: you are limited only by the amount of space on your USB drive and the license you purchased. Clickfree creates a unique identifier for each computer that it is used with, regardless of the computer s name. This allows Clickfree to back up content for more than one computer without the files getting mixed up with each other, even if all of the computers have the same name. You can change the name of a computer after backup to make it easier to remember which computer is which. IS BACKUP DIFFERENT WHEN I HAVE MORE THAN ONE COMPUTER? It makes no difference at all - just plug the USB drive in to each computer that has Clickfree installed and activated to do the first backup. After that, each time you connect the USB drive to one of the computers, Clickfree incrementally updates the backed up content. Each time you back up a computer for the first time, its name is added to the drop down list of computers that you see on the Backup Summary, Restore Summary, and Options windows. FINDING THE NAME OF A COMPUTER In the Welcome window, click Options. All of the computers that Clickfree has backed up on your USB drive are shown at the left side of the window, with the computer names underneath. When you click one of the computers, Clickfree shows: the computer name the amount of space taken up by backed-up content for that computer the date and time of last backup RENAMING A COMPUTER 1. On the Manage Settings and PCs window, click the computer whose name you want to change. 2. Click Rename PC. 3. Type the new name for the computer and click Save. Use only letters, numbers and hyphens for the computer name. Last Revised: Nov 2,

Frequently Asked Questions REMOVING A COMPUTER If you no longer want to keep content backed up from a computer (for example, you may no longer have that computer, and have already restored its content to another computer), you can free up space on your USB drive by removing the old computer from Clickfree. Once you have removed a computer from Clickfree there is no way to recover that computer s content from the USB drive. 1. On the Manage Settings and PCs window, click the computer you want to remove. 2. Click Remove PC. You are prompted to confirm that you want to remove it. Clickfree may take several minutes to erase the data, depending on the amount of content backed up on the USB drive. To see how to remove all backed up content for all computers, see Resetting the on page 25. WHAT IF I USE MORE THAN ONE USB DRIVE? If you are backing up multiple computers and run out of space, you can use multiple USB drives. However, each computer must be backed up onto the same USB drive each time. A unique device ID is created on the USB drive each time it is first used to back up a computer. Clickfree looks for the unique device ID of the USB drive that was used to first run the backup on a computer. In this way you can connect different USB drives to the computer, but Clickfree will only launch when the one with the correct device ID is connected. Put a label on each USB drive listing which computers are backed up onto it (you can find these on the Manage PCs and Settings tab. HOW DO I MAKE MULTIPLE BACKUPS? If you want to keep multiple backups of a computer, use multiple USB drives for that computer. The first time you back up a computer onto a USB drive, Clickfree makes a full backup. The next time you use the same USB drive it backs up only new and changed content. So if you use a second USB drive with the same computer, Clickfree starts off with a full backup again. You must tell Clickfree to use the new drive for backup though: click the icon in the system tray and choose Select Drive. This drive will now be the default backup drive; if you want to back up onto the original drive again, you must choose Select Drive to change back. Last Revised: Nov 2,

If any are found, you are asked if you want to perform the update. Please be reassured that this is to enhance your backup experience, so simply follow the on-screen prompts to perform the update. Your computer must be connected to the Internet for updated software to be found and installed. You can also manually check for updates as follows: 1. On the Tools window click Update. Clickfree checks for available updates. 2. If the software is up to date, click OK on the dialog that pops up. If an update is available, it is downloaded and your software is updated. While a software update is taking place, do not turn off or restart the computer until the update is complete. RESETTING THE USB DRIVE Master Reset is used to remove all content on your USB drive that was backed up with the Clickfree Backup Software. Other content is not removed from the USB drive. After you perform a Master Reset you can no longer restore any previously backed-up content, but your USB drive can still be used for new backups. If you want to remove only the content that was backed up from one computer, see Removing a computer on page On the Tools window click Master Reset. 2. You are prompted to confirm that you want to remove all backed-up content from Clickfree select the check box and click Reset. Once you have removed content from Clickfree using Master Reset there is no way to recover any backed-up content from the USB drive. Clickfree may take several minutes to erase all of the content, depending on the amount of content backed up on the USB drive. Last Revised: Nov 2,
