1 Winston Salem State University School of Graduate Studies and Research Graduate Assistantship Distribution Guidelines To be considered for a graduate assistantship beginning in a fall term, applicants should have all materials on file by July 15th. Later applications will be considered subject to availability of funds. Indication of request for financial aid is contained in the assistantship application form. International students are considered at the same time as U.S. applicants for assistantships and fellowships. Each graduate program, with assistance from the School of Graduate Studies and Research, determines the allocation of the distribution for assistance for graduate study. No more than 10% of the distribution may rollover to the spring term for newly enrolled graduate students. Students that are awarded during the spring term may only receive a contract period of 5 months. (Students with full-time awards receive $5,000 and part-time $2,500). Historically MBA has very few full-time students or students that have accepted the assistantship. I. Eligibility In order to be eligible for graduate assistantships, students must be admitted into the School of Graduate Studies and Research in full graduate standing and be enrolled in the fall and spring semesters. A student must not hold non-degree, provisional, or probationary status at the university. Students must also be in good academic standing (with a 3.00 grade point average or higher), unless granted an exception by the Graduate School. The position of the Graduate School is that any graduate student holding a graduate research, teaching, or administrative assistantship requiring 20 hours of work per week or less (i.e. part-time, ¼ time) must, as a condition of such assistantship, maintain his/her status as a full-time or part-time student. Part-time or less assistantships are available to part-time students that are currently employed outside of the University. No University employee may qualify for a graduate assistantship. All assistantships award amounts vary by level and type. International graduate students on F-1 and J-1 visas are limited to 20 hours of service work per week. International students are in no way guaranteed

2 financial assistance. International students are expected to be individually financially responsible for education at Winston Salem State University. II. Levels of Assistantship Appointment Assistantship Appointments will be supported by the School of Graduate Studies and Research for one year only. The academic colleges/school will be responsible for supporting the student during the second/final year of the graduate program. 1. Full-time Appointment A required time commitment for student to spend approximately 20 hours per week fulfilling assigned assistantship responsibilities. The annual stipend (10 month) associated with this level of assistantship appointment is $10,000 unless otherwise specified through the School of Graduate Studies and Research. 2. Part-time Appointment A required time commitment for student to spend approximately 10 hours per week fulfilling assigned assistantship responsibilities. The annual stipend (10 month) associated with this level of assistantship appointment is $5,000 unless otherwise specified through the School of Graduate Studies and Research. 3. Quarter-time Appointment A required time commitment for student to spend approximately 5 hours per week fulfilling assigned assistantship responsibilities. The annual stipend (10 month) associated with this level of assistantship appointment is $2,500 unless otherwise specified through the School of Graduate Studies and Research. III. Types of Assistantships The following definitions have been recommended and approved by the School of Graduate Studies and Research. Graduate departments and programs have the responsibility of determining whether or not the assignments given to their graduate student assistants are in direct or general support of the teaching, research or administrative missions of the university. 1. Graduate Teaching Assistant (GTA) A student who is appointed in an academic department or program and a. directly participates in the teaching mission of the unit as instructor of record, lab instructor, recitation leader, lab or lecture assistant, or who has responsibilities in direct support of classroom instruction in the unit, such as setting up labs or working in an instructional computer lab; b. provides general support to the teaching mission of the department or program such as grading papers and other administrative services for the instructor.

Graduate Research Assistant (GRA) A student who is appointed in an academic department or program and a. directly participates in the research mission of the unit, or an on-campus or off-campus organization that is affiliated with the unit, in the design of experiments, data collection, analysis, or reporting of research results in the student's field of study, where research may, but is not required to, contribute directly to the student's thesis; or b. provides general support to the research mission of the unit or discipline. 3. Graduate Administrative Assistant (GAA) A student who is appointed in an academic school/college, department or administrative office and directly participates in the daily administrative duties of the unit, such as customer service, clerical duties, and others as defined by supervisor and approved by School of Graduate Studies and Research. 4. Feeder Program Graduate Assistants A student who is appointed as a Feeder Program Scholar by the Feeder Program Director and is in direct or general support of the teaching, research or administrative missions of the university. As a condition of such assistantship, a student must maintain his/her status as a full-time student, and therefore, should not be otherwise employed. The reason for this position is to encourage students to work on their degrees rather than part-time jobs and to ensure that additional employment is approved by the student's department. III. Responsibilities 1. Graduate Teaching Assistants A full-time Graduate Teaching Assistant is required to spend approximately 20 hours per week fulfilling assigned teaching responsibilities associated with the stipend. These duties may be independent of teaching activities that contribute to the requirements of the degree program. Time commitment for students whose appointment is less than full-time are required to spend approximately 10 hours or less per week fulfilling assigned teaching responsibilities associated with the stipend. a. Orientation to Teaching for New Graduate Teaching Assistants. All new Graduate Teaching Assistants and other graduate students with newly assigned teaching responsibilities are required to attend a University-wide Teaching Orientation and/ or register for a course that will assist in the student s instructional proficiency. b. International Screening. All International Graduate Teaching Assistants whose responsibilities include significant interaction with undergraduates in a classroom or laboratory must be screened for oral English proficiency before they are permitted to assume these responsibilities. International students applying for GTA must score a minimum of 600 (written) or 215 (computer) on TOEFL or 6.5 on ILETS. 2. Graduate Research Assistants A full- time Graduate Research Assistant is required to spend approximately 20 hours per week fulfilling the assigned research responsibilities associated with the stipend. These duties may be

4 independent of research activities that contribute to the requirements of the degree program. Time commitment for students whose appointment is less than full-time are required to spend approximately 10 hours or less per week fulfilling assigned research responsibilities associated with the stipend. 3. Graduate Administrative Assistants A full- time Graduate Administrative Assistant is required to spend approximately 20 hours per week fulfilling the assigned administrative responsibilities associated with the stipend. These duties may be independent of administrative activities that contribute to the requirements of the degree program. Time commitment for students whose appointment is less than full-time are required to spend approximately 10 hours or less per week fulfilling assigned administrative responsibilities associated with the stipend. 4. Feeder Program Graduate Assistants A full time Feeder Program Graduate Assistant is required to spend approximately 20 hours per week fulfilling the assigned responsibilities associated with a teaching, research, or administrative assistantship and the stipend. Time commitment for students may not be less than full-time. For a description of responsibilities for teaching, research, or administrative assistants please refer to the Section on Responsibilities for each assistant type. IV. Procedures When appointing students to graduate research/teaching/administrative assistantships, the terms and conditions for the appointment must be presented in writing to the student. The Terms and Conditions for Appointment statement may be used as a stand-alone document. 1. Initial Graduate Assistantship Appointment Each student who is offered a Graduate Research/Teaching/Administrative Assistantship will be notified in writing of the terms and conditions of their appointment. The following documentation is required for all new or initial Graduate Research/Teaching/ Administrative Assistantship appointments: a. Certification of Eligibility for A Graduate Assistantship b. Completed Free Application for Federal Student Aid (FAFSA) c. Completed and signed Terms and Conditions for Appointment document d. Original, completed I-9 Form e. W-4 and NC-4 f. Drivers License and Social Security Card g. Transcript The following documentation is required for all new or initial International students for Graduate Research/Teaching/Administrative Assistantship appointments: a. Certification of Eligibility for A Graduate Assistantship b. Completed and signed Terms and Conditions for Appointment document c. Copy of completed I-20 Form or copy of current Visa issued d. Copy of Financial Certification e. Original, completed I-9 Form

5 f. W-4 and NC-4 g. Transcript When appointing students to graduate research/teaching/administrative assistantships, the terms and conditions for the appointment must be presented in writing to the student. The Terms and Conditions for Appointment statement may be used as a stand-alone document Also, a checklist, Items to be Included in Letters of Offer Along With Generic Form of Conditions for Appointment, is provided to ensure that all necessary information is included in the assistantship offer letters. The "Terms and Conditions" document must be used to make clear the expectations the University has for Teaching, Research and Administrative Assistantships and for the individuals accepting these appointments to know the conditions upon which they are appointed and the benefits they are entitled to in exchange for their performance. 2. Extension of Graduate Assistantship appointment or additional Graduate appointment A change to the appointment such as an extension of the current appointment that is not reflected in the initial "Terms and Conditions" document and letter of offer requires the student to sign a new document reflecting the change or a change in fulltime/part-time/quarter-time status. The student, supervisor and the School of Graduate Studies and Research must be in agreement to change the terms and conditions of appointment. 3. Termination of Graduate Assistantship prior to the end of the contract If a graduate assistant resigns prior to the end of the contract stated in his/her "Terms and Conditions" document, the letter of resignation or a memorandum documenting the resignation must be forwarded to the Graduate School. A copy of the required back-up documentation in #4 and #5 of the "Terms and Conditions" document must be forwarded to the Graduate School. If a supervisor terminates a graduate assistant prior to the end of the contract stated in the "Terms and Conditions" document, a copy of the required back-up documentation in #5 of the "Terms and Conditions" document must be forwarded to the Graduate School. 4. Reinstatement of Assistantship Students who have their assistantship terminated due to academic difficulty must have their Graduate Program Coordinator submit a separate request for reinstatement to the Dean of the School of Graduate Studies and Research. Any assistantship reinstatement is based upon availability of funds. 5. Reappointment of Assistantship Reappointment (confirmation) of an assistantship will be automatic for students that meet all conditions of the assistantship award, remain in good academic standing, and are approved by Dean of the School of Graduate Studies and Research. 6. Verification of Employment (Time Sheet) All graduate assistants are required to complete a time sheet to verify hours worked weekly. Time sheets are mandated by the University Payroll office to ensure timely disbursement of student stipends and compliance issues.

6 7. Evaluation of Assistantship Each graduate assistant must be evaluated by the supervisor at the end of each contacted period. The evaluation should be completed and returned with the appropriate signatures to the School of Graduate Studies and Research. If no evaluation is completed for the graduate assistant, non-satisfactory performance will be assumed and the assistantship will be terminated at the end of the contract period. A copy of this time sheet should be sent to the School of Graduate Studies and Research.
