1 Quick Guide to Teaching with the EHR I. Teaching with the EHR A. Overview 1. Best practices for integrating an EHR into your lesson plans and curriculum: The Buy-In Model a) Start Low and Go Slow b) Small successes are better than high stakes crash and burn tactics when implementing something new like the EHR: Set simple, reachable goals for you, your colleagues and your students. B. Encourage colleagues to engage with the EHR, the Neehr Perfect Faculty Collaboration Network, and the Neehr Perfect Curricular Integration Support Staff in their own way and at their own pace. C. Get to know your Neehr Perfect Curricular Integration Support Specialists. The Curricular Integration Support Specialists are experienced faculty and EHR experts. They are experienced in implementing Neehr Perfect at their schools, and now on the other side of it, in helping faculty across the country implement and integrate Neehr Perfect. They are your faculty-by-proxy and their consultation and services are an included part of your Neehr Perfect support. D. Recommended Schedule: 1. First, schedule a one-hour orientation webinar online. a) Actively participating in a Neehr Perfect orientation is vital to the success of implementing the EHR into your curriculum. Beginning use of the EHR without an orientation webinar often leads to unnecessary frustration for the faculty and negative feedback from students. b) The orientation can be scheduled with a group of faculty from your school or can be hosted just for you. c) Your Curricular Integration Support Specialist can tailor your orientation to meet your needs. 2. Second, practice using your EHR. a) Recommend minutes per day or one to two hours per week of activity in the Faculty Collaboration Network and the EHR. 1 Neehr Perfect Guide to Teaching with the EHR v3

2 (1) Watch videos (3-15 minutes each), read user guides, or search the Index tutorials found under the Help Tab in the EHR (2) Complete the Level I Scavenger Hunt (30-45 minutes). II. (3) Play in a Practice Patient in the EHR touching buttons, opening screens, writing notes 3. Third, schedule a 2 nd one-hour webinar online for help building your first activity and to discuss your specific questions and needs. a) ing course calendars, syllabus, or course objectives is an easy way to get feedback on how to implement the EHR into your curriculum. 4. Finally, or phone your questions, or schedule another webinar to continue your training and support as needed, with the curricular specialists. Best practices for teaching with the EHR A. How to plan for curricular integration of Neehr Perfect 1. Based on the intent of your initiative what are your objectives and goals? 2. Identify your program goals, course objectives and key student experiences. 3. Sometimes it helps to identify supportive early adoptor faculty and target their courses. a) Faculty with EHR/EMR experience or have a desire to learn the EHR and its technology. b) Faculty that are interested in Informatics c) Simulation or lab faculty are often used to working with new technologies d) Clinical faculty who are looking for better ways to have students document and record clinical experiences e) Faculty that are working on their Master s or Doctoral degrees can focus on implementing an educational EHR as their thesis or capstone project and be the lead faculty for your implementation. B. Look for ways to tie Neehr Perfect into meeting an objective for a course or a program goal C. Again, start small, go slow. 3 III. Student user orientation: Recommended procedure A. Allow students three class periods, three meetings or at least ten days to orient themselves to the EHR 1. Assign basic orientation videos to all first time users at least two class periods before first assignment in the EHR 2. List two or three User Guides or Tutorials for students to read before first assignment B. Scavenger Hunt (Located in the Faculty Collaboration Network > in Help or thecommunity) 1. Faculty ~ Read the Scavenger Hunt Faculty Instructions before assigning the activity to the students. a) It is recommended faculty complete the Scavenger Hunt as well to become familiar with the EHR. b) The Scavenger Hunt document is designed for faculty to proof read and perhaps modify prior to assigning to students 2. Complete the Level I - EHR Navigation Scavenger Hunt Activity. a) Provide the students with the Scavenger Hunt User Guide. b) This activity is a dry run of the first assignment to work out any kinks. c) Students learn the very basics to be able to work in the EHR. C. Make sure students know how to get help. 1. Watch video tutorials, read user guides ~ see if they answer your question(s). 2. Click Need Help on or request to support@neehrperfect.com a) The more information students provide when seeking help, the easier it will be to provide timely assistance. 3. For technical assistance call the Help Desk at Make certain students know where to get help. D. Recommend in-class discussion before doing the Scavenger Hunt or an assignment in the EHR. 1. 4 IV. First student assignment using the Neehr Perfect EHR A. Examples for first semester, or first year, students 1. Frequency: Initially, assign, or do as a class, an activity in the EHR every other week, or every 3 rd week. 2. Using a case-based patient chart: a) Document a set of vital signs b) Complete a skill and document it in a note c) Review an order, verify it, and document that it has been completed. d) Review a chart and document in a note what is missing, what you would do next, or what other information is needed to care for this patient. 3. Using a secured eportfolio: a) Complete a skill and document it in a note. b) Complete an assessment in lab, with a simulation or on their clinical patient and document the assessment in a note. Can also document a care plan or teaching in a note. c) Keep a clinical log or journal. B. What students need to know before successfully completing an activity in the EHR 1. Objectives 2. Patient or record name and last 4 digits of medical record number 3. Documentation type and note title, if applicable 4. Due date of the documentation assignment or activity 5. Expected co-signer - this is the name of the faculty who will review the documentation assignment and is required for the student to complete their work in the EHR. **May assign a fake co-signer, such as Doctor,One, if the faculty will NOT be reviewing the students work. This will keep the instructor s Notification box from filling up with notes they do not intend to sign. A note must be signed to be removed from the faculty Notification box. C. As students progress, set higher goals and objectives each semester the student uses the EHR. 1. 5 c) Confidence d) Proficiency and Speed e) Problem-solving abilities f) Course Objectives 2. Frequency: As students progress, EHR activities can become more frequent, with assignments every week. Then as student s continue through the courses the assignments become more complex. V. Evaluation A. Student s First Evaluations: low stakes, formative 1. Debrief rather than graded 2. New users need time and space to explore a) Allow more time for first assignment than you think they ll need - at least 48 hours is recommended 3. New users need a chance to make mistakes a) View early mistakes as priceless learning opportunities b) Ask the student what would happen in a live practice environment; i.e. hospital, if they made the same mistake c) Common mistakes: (1) Wrong patient did not verify with 2 forms of id (2) Wrong note or template chosen did not follow directions (3) User technical glitches did not call the Help Desk for assistance (4) Forgot to sign work in a hurry 4. Suggested: Flexible due dates, work in pairs, time to ask questions, debrief B. Faculty or Course Evaluation 1. Recognize that any evaluation of the faculty, assignment or EHR will also need to be low stakes and formative. 2. Those who have the most to gain are those most intimidated by the EHR; their fear is often expressed negatively until confidence improves. 3. Keep a sense of humor ;-) 4. Be careful not to punish those faculty brave enough to take chances and try new things in the EHR.
