Registering For Classes Check the University Calendar ( or SFSU Bulletin for all deadlines To register online, go to MyGateway to access your Student Service Center, For assistance, please see the Registrar s website on instructions for registering ( You can contact the Registrar s Office at (415) You can also stop by the OneStop Student Services Center (SSB101).
Can t Get The Classes You Want? Class Registration is not managed by Graduate Studies Contact the Registrar s Office for general registration questions. Contact your department for further advising if you cannot register for courses related to your graduate program.
Registration Check the Registrar s Office website for deadline dates for adding/dropping courses. Monday, September 8, is the last day to add and drop a course. To add after classes start on Monday, August 25, you will need to attend the first class and receive a permit number from the instructor. Full Time Graduate Student Status is 6.1 units or above, 8 units for students receiving Financial Aid and for International Students
GradStop (Administration 250) Most graduate questions are answered in GradStop with the exception of Registration questions.
Important Actions with Department Check if your department has an orientation Identify, within the first month, how your department assigns advisors Make an appointment with your advisor in the first month Set up a plan of action and a tentative course plan for your graduate program
Use the Graduate Checklist
Planned Course of Study
Grades Grades are A to F or CR (Credit) or NC (No Credit). No grade lower than a C is acceptable in your graduate work. To earn a CR grade, you must earn a B- or better; a NC is seen as a C or below. I (Incomplete): At least 75% of the work is completed. A written contract between you and instructor needs to be established stipulating what needs to be done in order for you to earn a grade. After 12 calendar months, the I will turn into a IC (Incomplete Charged) which is charged as an F. Not all instructors allow Incompletes. Lecturers who give incompletes may not be available to review work or generate a grade change in another semester.
Grades W (Withdrawal) You withdrew after the deadline. This carries no credit. Doctoral programs look for patterns of performance showing multiple withdrawals. WU (Withdrawal Unauthorized) If you did not withdraw by the deadline and did not complete the work, you will be given a WU. This is charged as an F RP (Report in Progress) You have begun your Culminating Experience and it is not complete. You must remind the instructor to have your grade posted when you complete your work.
GPA Issues To Avoid Probation: You must maintain a 3.0 GPA in all SFSU work and on your ATC (Advancement to Candidacy) form. You will be placed on probation if your overall GPA or specific semester GPA falls below a 3.0. Disqualification: You will be disqualified from the university if you earn less than a 3.0 during your semester of probation (i.e., if you are on probation in Fall with a GPA of 2.5 and you earn a 2.8 in Spring). Declassified: You may be declassified from your program if you do not make progress towards your degree or if you continue to earn less than a 3.0 GPA. Typical progression is completing 2 courses per semester within 2-5 years, full- or part-time. Grade change requests, petitions, and disputes over grades must be made through your graduate department and your college.
Steps To Success 1. Review the section of the Bulletin that is titled Graduate Studies: Requirements and Procedures or your GradGuide 2. Check your admission letter to determine any conditions you must meet. If you were admitted with conditions, check with your department to ensure they are met (prerequisites, Level I writing). Check your Residency Status. 3. Submit an Advancement to Candidacy (ATC) Form. 4. File a Culminating Experience Proposal form with Human or Animal Subject Proposal, if required. 5. Register for the Culminating Experience course as required by the department. 6. File an application for award of master s or doctoral degree.
Level I and Level II Written English Proficiency Level I is met prior to admission. Departments determine how you meet the Level I Written English Proficiency Requirement. If admitted conditionally and you need to complete your Level I criteria, check with the department. Level I must be completed in the first semester. Level II requirements are determined by the department.
Advancement to Candidacy o You will be advanced to candidacy to begin your Culminating Experience leading to your degree when you have: o Submitted the ATC form listing courses required for degree o Competed Level I and indicate how you will complete Level II Written English Language Proficiency Requirement o Complete your ATC online. All programs have pre-printed ATCs available at the Grad Studies website under the Forms section o Submit the ATC after 18 units, but before you complete the last 6 units o Any changes on your ATC must be reported on the Petition for ATC Substitution form, if you make more than 2 changes you must submit a new ATC form.
Continuous Enrollment Policy Prior to Enrolling in the Culminating Experience: Students who leave the University for two or more consecutive semesters or who have attended another college or university during their absence, must reapply for admission to the University and to the program in which they were enrolled. Any student who does not maintain continuous enrollment status in the University must meet curriculum requirements in effect at the time of re-entering the graduate program Readmission to the degree program is not guaranteed
Culminating Experience Graduate students must complete a Culminating Experience which may include a thesis, special project, comprehensive examination, and/or an oral defense of the work prior to graduation You must have an overall and ATC 3.0 GPA to begin your Culminating Experience Note: Plan Ahead! You must review deadlines for submitting the culminating experience which is listed online at: You cannot begin your research until it has been approved by IRB Check Graduate Studies website for information on workshops to help with this process
Culminating Experience Continuous Enrollment Policy Students enroll in Culminating Experience course only through regular university registration. To complete their Culminating Experience requirements, students have the semester they are enrolled in and the following grace semester. If not finished after the initial semester and grace semester, then students MUST enroll in a zero-unit College of Extended Learning (CEL) 0499 course every subsequent semester until completion or may enroll in a regular university (stateside) course.
Time To Degree Many programs require completion within five years. No more than seven years may elapse between the semester you are first admitted to your degree program and the completion of your degree requirements. Be sure to check your program s handbook or materials. Programs may require that students complete all coursework within a shorter time provided the curriculum, requirements, and timelines are clearly stated in the program materials Professional programs may require that students maintain continuous enrollment throughout their programs and complete courses in sequence as required for licensure or certification Financial Aid will only be available until students earn their degree or reach 125% of the units required for their degree.
