4 1 Summary This document provides a short summary of the content of the WP4 telco held on 8 September The decisions taken are summarised in the Conclusions section. Addtionally to the minutes a record of the phone conference will be provided on the GIS4EU repository. 2 Document Scope Scope of the document is to give a comprehensive overview of the discussions during the telco. 6 Administrative issues 3.3 Discussion Status of WP 4 The first topic was a short overview of what happened during the last weeks. Due to the fact that it was holiday season, the efforts spent for WP4 were rather small. The collection of material for the state of the art analysis was started. The documents collected so far from INSPIRE, RISE, HarmonISA and others are put on the GIS4EU ftp site (folder WP4 subfolder state of the art). Stefania informed about the fact, that GIS4EU is now registerd as a SDIC for INSPIRE, thus giving the official basis for taking part in the testing of the INSPIRE data specifications Workplan A new workplan was prepared in order to define tasks for the upcoming weeks with a special focus on the Barcelona meeting. It was put on the ftp site (WP4 folder) Distributing the tasks evenly among the WP4 partners is important to recover the delay in the WP4 work. Unfortunately only a limited number of WP4 partners attended the conference. Among these, the tasks were distributed according to their preferences. The rest of the partners will be contacted indivudally by the WP4 leader to assign the rest of the tasks. The workplan sections in detail: A review of the WP2 and WP3 deliverables is essential to discover any potential missing information that is a prerequisite for a successful implementation in the technical workpackages (e.g. WP4 and WP5). Due to the fact that the submission deadline is rather close and the deliverables are considered already as more or less final, potential needs for additional information could be provided by a project internal updated version of the documents. The same applies in case further data providers are joing the Consortium they must also provide data specifications in time. In order to make sure that the necessary information is available, a technical checklist will be prepared by WP4 and WP5 to clarify any open issues with WP2 and WP3 Pag. 6/9 Minutes of Conference Call WP4 status and workplan

7 The state of the art collection shall be continued every partner is asked to make available relevant documents, papers, presentations etc. that deal with data harmonisation issues For the Barcelona meeting, the Draft version of the Table of Content for D4.1 (data harmonisation guidelines) is to be prepared Administration issues In order to ensure the best possible information flow among the WP4 partners, the number of participants of the regular / monthly conferences must be increased. In addition to the mailing list functionalities provided by the project repository, an excel sheet was put onto the ftp site (WP4 folder) that should be consulted by each partner in order to check that all people who should be on the WP4 mailing list are actually registerd in this file. Weekly Progress reports are introduced to monitor the progress of WP4 in the upcoming months. The respective template is also placed on the ftp site (WP4) Conclusions All partners who were not represented in the conf call will be called by AB and the homework for the Barcelona meeting will be discussed AB will provide a draft version of the TOC of D4.1 until Barcelona Among the technology partners (mainly INGR) a technical checklist will be prepared for Barcelona meeting that shall cover all information needs towards WP2 and WP3 All WP4 partners will be requested by to use the Weekly progress report to document the progress of WP4. The report shall be submitted to the WP Leader every Monday. The WP4 partner can also use it as input for the yearly management report (justification towards the Commission of the requested contribution). All WP4 partners should check the contact information excel sheet (to be found on the ftp server) to control, whether everybody form their respective institution is on the mailing list who should get the information The next conference call for WP4 will take place on October, 10 th (regular date shifted for one week due to the Barcelona conference) The meeting ends at 12:00 Minutes of Conference Call WP4 status and workplan Pag. 7 of 9
