4 2 Statement of Need A Child s Hope Foundation is a non-profit organization that wants to help homeless and orphaned children around the world. They have helped children in Haiti, Mexico, Peru, China, South Korea, Bulgaria, and Ukraine. The organization used to help these children by helping Americans adopt children from these countries; however, since international adoption laws have changed, they now focus on building and improving orphanages in Mexico and Haiti. The website needs to be updated with the new mission and goals of their organization. Furthermore, it needs to be redesigned to match current web design trends. 3 Goals Our client has the following goals: Reduce paper usage of organization. Incorporate social media into the site. Have a professional-looking website. Inform people about the new mission statement. Increase volunteer help. 4

5 4 Proposed Solution To meet the needs of the organization, we will be designing a new, visually compelling, responsive website which incorporates some type of login and profile system for volunteers that will allow them to enter their information, skills, and availability. This is so the organization can have this information online and not have to worry about someone having to come in and fill out a lot of paperwork. 6 6 Success Metrics With the redesign of the website and the introduction of online volunteer registraiton and profiles, the client hopes to see the following benefits: An increase in awareness of the organization and their new mission. An increase of volunteers. Decrease in time and resources needed to organize volunteers. An increase in donations for orphanages. 6

7 7 Target Audiences Individual Donor: People who are wanting to help children find a better home by donating their money to a good cause. Company Donor: A company, with an interest in helping children, that wants to donate money to a credible organization that can help children find a place to live. Local Volunteer: People willing to help the organization locally by, for example, making education games for children to play. Travel Volunteer: People who are looking for a way to see the world while helping others. They love serving others by doing things such as building houses, raking leaves, etc. 7

8 7 Key Stakeholders Management Team: In charge of running the organization and will be referring people to use the website if they want to be a volunteer. Rex Hale: In charge of maintaining and updating the website. He makes all of the decisions about what the website is about and what goes on with the website. 10 8 Functional Req. Login Allow volunteers to register for the website to fill out the volunteer profile and upload photos. Volunteer Form Lets volunteers fill out an online form giving all of the necessary information. When submitted, the information will be stored. Edit Profile Pages Allow site users to have their own login and personal profile for the site where they can give information about themselves and anyone else in their travel party visiting an orphanage. Donation Pages Let users make donations directly to the organization, or directly to a specific orphanage of their choice. Newsletter Sign-up Let users sign up for updates from the organization. 10

11 8Product Qualities This section describes product qualities and user experience targets for the site. Appeal: The website design must be visually appealing to keep a low bounce rate for first time visitors. Furthermore, the site must be responsive for mobile devices and be cross browser compatable. The site must also conform to a standard style guide describing logo and color and type elements. To evoke an emotional response, many of the pages will have photos of children from some of the orphanages who have been helped by the organization. Efficiency: The site navigation and layout must be simple so that users can get all the information they need quickly without accidentally going to unintended pages. To measure efficiency, we will set up a list of tasks for the user to complete. We will expect them to complete these tasks in 5 seconds or less. Satisfaction: After using the website, users will rate their experience and overall satisfaction on a 1 to 5 scale with 5 being the highest. We will assume users are satisfied with the site if they have an average rating of 4 our higher on the survey. 11

12 8 Constraints Meet all deadlines for assignments outlined by instructor. Follow the style guide for consistency. Learn and create Drupal template within the time allotted. Make sure the final product runs on all browsers including mobile devices. 12

13 9 Phases Project Initiation Development Team: Analyze target audience, document constraints and design requirements, and meet with client to sign-off on proposal. Client: Communicate design constraints, attend kick-off meeting, work on project attributes (goals, success metrics, and scenarios), and review and sign-off proposal. Design & Planning Development Team: Design site attributes (strategy, scope, structure, skeleton, and surface treatments), create website prototype, conduct usability tests on prototype, prepare design document, and meet with client to sign-off on design document. Client: Review design document and sign-off on design document. Development Development Team: Convert prototype to Drupal theme, make design changes as necessary, implement phase two features, and meet with client to sign-off on beta version. Client: Provide content as needed and sign-off on beta release and provide feedback as necessary. Testing & Delivery Development Team: Conduct quality assurance tests, conduct additional usability testsand make revisions, deliver final product on server and optical media backup, provide deliverables to class room instructors, and meet with client to sign-off on final version. 15 9 Quality Control In order to make sure the client is getting the best product, the developmen tteam will incorporate user testing and bug analysis throughout the development process. At the end, the team will have have a a group of users of users (5 to 8) look at the product and complete a user satisfaction survey. The team will also have the following client reviews and checkpoints to help guarentee the client s satisfaciton with the product. Upon the receipt of deliverables, the client will sign-off on the project and complete a user satisfaction questionaire for the Digital Media Department. The questionaire asks the client to rate their thoughts of the final product as well as the quality of service/performance of the project team. The team will also incorporate the following client reviews and checkpoints to help guarantee the client s satisfaction with the final product. 16 10 Timeframe This is the general timeframe for completion of each phase of this project. A detailed schedule and project plan will follow in the Design Document. 17 11 Scope This section describes the scope of the project in terms of factors that influence cost. The Development Team s estimates of costs and time frame are based on these assumptions. If the scope changes significantly, time and cost estimates will also need to be adjusted. Website Redesign The development team will create a new look and feel for the website. This will include wire-frame sketches and design concepts. The client will provide the media (pictures and content). The development team will be developing the website in Drupal, based on the client s request. Time will be needed for the team to get familiar with the CMS. The development team will be testing the new website to make sure it can run on all browsers and is responsive to tablets and phones. The development team will be implementing a login for volunteers to enter in their information and skills. This will allow ACHF to be able to access this information elater. 12 Cost Estimate All of the labor for this project will be donated to the organization. However, we are providing an estimated cost for this project to make you aware of the value your organization will receive from our efforts. Assuming our team were paid student rates of $15/hour for the duration of the project, we estimate a project of this scope would cost between $10,000 to $12, 000. A more detailed final budget and cost estimate will be included with the Design Document. 17
