1 Policies & s Fees We charge an hourly rate of 3.75 per child. Fees are to be paid monthly in advance on the 1 st of every month. Invoices for this will be issued on or around the 15 th of every month for the payment due. There is no refund for child/parent absence ie: illness/ days off. All contracted hours must be paid in full regardless of attendance. Full fee s will still apply for holidays taken by the parent/carer in order to keep a place open for your child. There is no fee to be paid when our setting is closed due to our illness or holidays. Charges for late collection are 2.50 per half an hour and will be charged after 3 separate occasions of you being more than 15 minutes late to collect your child, unless you have previously telephoned or arranged for late collection, in this case you will be charged our normal hourly rate. If a contracted day falls on a bank holiday you will not be charged as we take bank holidays as our holiday. If you child is collected earlier than the contracted time, the full fee still applies. Late drop off s do not constitute late collection. Failure to pay on the due date stated on your invoice will result in loss of services unless a special arrangement has been agreed. Parents are required to give four weeks notice if they wish to remove their child from our setting. Full payment for fee s will be due for this period. If parents require us to take their children to and from preschool/playschool we will charge the full fee for the time that the child is out of our setting as we cannot fill the space for your child. 1
2 Confidentiality The policy links to the early years foundation stage requirements Safeguarding and promoting children s welfare Statement All information we have about children and their families is kept securely and treated with confidence. Information will only be shared if the parents/carers give their permission or if there appears to be a child protection issue. All paper records are kept secure but are easily accessible to us if required by Ofsted. All parents will receive our policies and procedures when we give them the welcome pack, which clearly states how we run our setting. Our certificates of registration are displayed and available to all parents. We are aware of our duties and responsibilities under the Data Protection Act 1998 and freedom of information act We maintain up to date records of parents/ emergency contact details, The GP s contact details and any consent forms. We expect parents to inform us of any changes as stated in the behaviour policy of any home circumstances ie: new baby separation, bereavement and treat this information as strictly confidential except as required by law as a child protection issue. All information shared will be kept confidential and will not be disclosed without the parents consent, except as required by law if there appears to be a child protection issue. We expect parents to keep confidential and private any information they may accidentally learn about my family or families using my setting, unless of course it s a child protection issue. Ofsted may require to see our records at any time and parents have the right to inspect all records about their child at any time. We Record all accidents in the accident book and share with parents so we can work to resolve any issues. As registered provider s we must notify Ofsted of any serious accidents, illnesses or deaths of any child whilst in our care and any action we have taken within 14 days of the incident occurring. 2
3 If we need support at any time regarding an accident or serious illness of a child in our care we may contact PACEY who will log any information given about the incident with regard to their safeguarding policy. An officer will be assigned to us and all information given to them will be kept strictly confidential unless their appears to be a child protection issue. If an accident involving a child in our care results in an insurance claim we will contact our public liability insurance provider to discuss the case and be allocated a claim number. This may involve us discussing details of the child in our care with a third party. If we keep records of individual children on our computer we will ask for the parents permission. 4 Accidents & Emergencies This policy relates to the Early Years Foundation stage requirements Safeguarding children and promoting children s welfare As registered childminders it is our policy to keep children safe whilst in our care. Your children s safety is our number one priority but accidents do happen. Our premises has been checked by Ofsted and meets the safety requirements. We are both First aid trained and can administer basic first aid treatment. Our first aid box is clearly labelled and easily accessible. We hold written permission from the parents to seek emergency treatment if required. Firstly we will reassure the child that is injured, whilst making sure the other children in our care are safe. If the injury is only minor we will deal with it ourselves using our First aid equipment. If it is not we will dial 121 for advice and help. If one of us has to accompany a child to accident and emergency, one of us will stay with the other children reassuring them and keeping them calm. If however we are both to attend to the medical emergency then we have an emergency contact who is a registered childminder who can help us with the other children. The details are: Claire Mansfield, Eagle Way, Abbeydale Gloucester, telephone: We will contact the parent immediately and ask that they meet us at the hospital. If the injury is only minor we shall inform the parent once the child has settled down. If any accidents happen off site, we always carry the parent s details so that the above procedure can be carried out. We will record all details of accidents minor or serious in our accident book and make it available for parents to sign and provide them with a copy. If the injury is of a serious nature we shall inform Ofsted and the child protection agency. Please let us know how your child is after the incident. 5 Illness & Sickness This policy links to the Early Years Foundation stage requirements Safeguarding and promoting children s welfare. As registered childminders it is our policy to keep all children in our care safe and take necessary steps to prevent the spread of infection on and off site. If there is a child in our setting that becomes ill or who we believe has an infectious disease (i.e. cold or stomach upset) we will: 1. Contact the parent/carer for immediate collection of the child 2. Until the parent/carer arrives we will keep the child comforted, making them feel safe. 3. We will ensure that the child is excluded from the setting until they have been well for 48 hours or in accordance to the health authority guidelines. If we believe a child is suffering from a noticeable disease, identified as such in the public health (infectious diseases) regulations 1988, we will act on advice given by health protection agency ( this is where the details can be found. We will inform Ofsted of any action taken. In accordance with the signed contract we expect to be paid for the child s place, even if they are excluded from the setting through illness or infectious disease. If we or a member of our family have a confirmed infectious disease, we will inform parents as soon as we are able. As we cannot offer our service we do not charge parents for the time we are unavailable as agreed in the contract. Date was written: 07/01/2014 due for review: 07/01/2015 5
6 Emergency Evacuations This policy relates to the Early Years Foundation Stage requirements Safeguarding children and promoting children s welfare It is our duty to make sure all children in our care are safe at all times and in the event of an emergency we have a well planned and practiced procedure to follow. We practice our fire drills every month with the children so that they are familiar with the procedure if an emergency was to happen. In the event of an emergency i.e. a gas leak, fire or flood we will get the children out as soon as possible using the nearest and safest exit. This could be the front door, back door or French doors into the garden. We will ensure that any windows and doors that are accessible to us at the time of the evacuation are closed. Once we are all safely at our practised meeting point which is away from the house, we shall call the emergency services. Then we shall contact the parents of the minded children or their emergency contact if they are unavailable to come and collect them immediately. We shall report the emergency to Ofsted when it is safe to do so. We always carry our mobile phones fully charged so in the event of an emergency we have the children s parents or emergency contacts details. All parents are given our contact details. We will then inform parents after this emergency when it is safe for all children to return to our setting. 7 Safeguarding Children This policy links to the Early Years Foundation Stage requirements Safeguarding and Promoting children s welfare As registered childminders it s our first responsibility and priority to care for the children. If we have any cause for concern we will take appropriate action and report it to the relevant body following the local safeguarding children s board procedures. We understand the signs and symptoms of child abuse and the nature of the abuse its self. We must notify ofsted of any allegations of abuse that are alleged to have taken place whilst the child is in our care. This includes allegations against us or any members of our family. We have copies of the Local Safeguarding children s board procedures for parents to see and we check regularly that this is up to date. When children are being collected we ensure that we will only let them out of our care to the parent/carer or someone else who is authorised by them. In this case we would need to create a password if the person is not previously known to us. Parents must notify us of any concerns or changes in their children s behaviour. Or any accidents or injuries which we shall record and ask the parents to sign. Unless we believe that it would put the child at more risk, we will discuss concerns with the parents if we notice: 1. Changes in Behaviour 2. Bruising or marks not relating to any recorded accident 3. Signs of neglect 4. Any comments made by the child that gives us cause for concern. If a child does however tell us that they are being abused, we will: 1. Show we have heard and listened to the child and that we take allegations seriously 2. Encourage the child to talk, but not ask any leading questions nor interrupt them or make them repeat the account 3. Explain what actions we will take that is appropriate to that particular child 4. Take an accurate recording of the child s account 5. Make a note of the time, Date, place and people who were present 7
8 Next we will Call the children s helpdesk to seek advice or make a referral. If we need to make a referral we will complete a form which is passed onto the social works team. We should then be contacted within 24hrs to discuss whether it is appropriate and what action shall be taken. We shall then follow up referral in writing within 48hrs to the children and families helpdesk. If an allegation is made against us or anyone in our home based setting we shall report it immediately to Ofsted and follow the local safeguarding children s board procedures. We shall contact PACEY for support on We shall record in all incidences The child s full name and address Date and time of the allegation Factual details of the concern for the child Details of previous concerns Details of any explanations from parents Any action taken It is not our responsibility to attempt to investigate the situation ourselves. We will not take any photographs of the children without parental permission first and will never upload any photo s of the minded children onto social networking sites. 9 Complaints This policy links to section three of the Early Years Foundation stage requirements safeguarding and welfare requirements information and complaints. As registered childminders our aim is to work closely with parents to ensure the best possible home from home care for the children. Maintaining good communication from both parties will aid this. If at any time they are not happy with the care we provide for their children I expect them to feel they can bring it to our attention so that matters can be resolved promptly and preferably through open discussion. If after open discussion they still feel that the matter has not been resolved, the complaint must be put into writing. If we receive a letter of complaint it is a condition of our registration to investigate all written complaints relating to the EYFS requirements and notify the parent of the outcome within 28 days of receipt of the letter. We will inform Ofsted within 14 days that a complaint has been made. We display an Ofsted poster for all parents to see, where if needed they can find Ofsted s details. We will keep a written record of all complaints and their outcomes for at least three years. We will maintain confidentiality but provide Ofsted on request with a written record of complaints and outcomes. We will record the following: Name of complainant The EYFS requirement of which the complaint relates to Nature of complaint Date and Time of complaint Action taken in response of the complaint The outcome of the complaint Details of the complaint and any action taken. 10 Lost Child This policy links to the Early Years Foundation Stage Requirements Safeguarding and promoting children s welfare As registered childminders it is our duty to safely supervise children when we go on outings or trips and undertake a risk assessment. We will teach the children about safety and dangers whilst we are out and about and tell them what to do if they become lost, depending on their age and stage of development. I.E. Have an arranged meeting place if anyone gets lost or stay where they are until we find them. If a child goes missing we will call the police and the parents immediately. We will provide the police with a description of the child and search the area in which the child was last seen. If a child goes missing in a public place i.e. a park or shop we will alert security and staff. We will inform Ofsted and record the incident in our incident book. 11 Failure to Collect a Child This policy links to the Early years foundation Stage requirements safeguarding children and promoting children s welfare As registered childminders it is our responsibility to keep the children safe at all times and to reassure the children if their parents fail to collect them. If a child is not collected within twenty minutes of the arranged collection time then we will try and contact the parents using the contact numbers provided. If we fail to reach the parents we will then contact the emergency contact numbers given by them. During this time we will continue our care for their child, reassuring them. We will continue to try and contact the parents/emergency contacts using the numbers provided, but if after thirty minutes we have not heard anything then we will inform the Gloucester Safeguarding Children s board and follow their instructions. 12 Behaviour This policy links to the Early years Foundation Stage requirements safeguarding children and promoting children s welfare As registered childminders we recognise the need to set out reasonable and appropriate limits for the children to manage their behaviour when in our care. By providing a happy and safe environment we will encourage the children to develop social skills to help them become excepted and welcome into society as they grow up. We do not and will not administer physical punishment, including pain or any kind of discomfort or humiliation to children in our care. We deliver positive discipline as an effective way of setting boundaries for the children in our care. We will keep up to date with behaviour management issues and legislation by attending regular training and reading relevant publications. All parents will receive a copy of our behaviour policy. We will agree and work together with parents if they have a particular way of managing their children s behaviour. This will be discussed in the initial meeting with parents before the contracts are signed to ensure appropriate care is provided. We will try where possible to meet the parents requests for the care of their children and records of this are agreed and kept attached to the child record forms. If there are any changes in the children s home circumstances i.e. new baby, divorce, bereavement or new partner we expect to be informed of this as this may effect the child s behaviour. All information that is shared with us will be kept strictly confidential unless there appears to be a child protection issue. We work together with parents to ensure consistency in the way that their children are cared for to prevent confusion for the child. We will record any behavioural incidents in the incident book and discuss with parents so that together we can work to resolve the issues. Sometimes children will have difficulty learning to deal with their emotions and feelings, we will acknowledge this and try to help the child find constructive solutions for managing them and involve the parents in this. 12
13 We will encourage responsibility by talking to children about their choices and their possible consequences. If a child constantly seeks attention or is disruptive we will respond positively. Redirecting or directing children s attention will aid this. We will aim to be consistent and firm to help children feel safe and secure within our boundaries set. We will help maintain the children s self esteem by showing them that we disapprove of bad behaviour and not the children themselves i.e. not calling the child a naughty child but saying that what they are doing is naughty. If we have any concerns about a child s behaviour which we cannot resolve in partnership with the parents/carer we will ask for written permission from them to talk it through with another childcare professional. 14 Anti Discriminatory & Inclusion This policy links to the Early Years foundation Stage requirements Safeguarding and promoting children s welfare Equality of opportunities As registered childminders it is our policy to ensure that all children have the best start in life and have as much opportunity to develop his/her full potential as another child. We will make sure we actively include all children and families in our setting. We will provide a range of books, Toys and resources, which show children examples and images of the diversity s in life. All of our resources take into account the age, stage of development, gender, ethnicity, religion, language and ability. We will work closely with parents to ensure the individual children s needs are met. We will always promote self-esteem and appreciation of others by celebrating the differences that make us all unique. We will always challenge racist and any other discriminatory remarks and behaviours from anyone that enters our setting. We are aware of all legislation and codes of practice produced by the Equality and Human Rights Commission and under the Equalities act We will regularly review and evaluate our practice and keep up to date by attending regular training courses.
