6 System requirements The following operating environment is required to use the printer /scanner drivers. Windows Server 2003 Windows XP Professional / Home Edition Windows 2000 Professional Windows Me Windows 98 SE * Operation with Windows 98/Me upgraded from Windows 95/3.1 cannot be guaranteed. * Not compatible with command prompt of MS- DOS and Windows and DOS prompt. * Not compatible with Windows 3.1/95/NT 4.0 Depends on the operating system 10 MB for driver install USB 2.0 (full speed) CD-ROM drive NOTE: A USB cable is required to connect your machine to your PC. (It is not included in this kit.) 1-2

7 Drivers Installation Install the drivers before connecting USB to PC. If installing using Windows Server 2003 /Windows XP /Windows 2000, you need to log on as an administrator or a group of administrators. Do not attach/detach the USB cable in the following conditions: Before Windows gets ready after switching on PC While installing the printer driver While printing Printer driver The supplied CD-ROM has 2 types of printer drivers, PCL5e and PCL6. For maximum performance we recommend installing the PCL6 driver. * If you want to keep compatibility with your old PCL printer, use PCL5e. Scanner driver To use your machine as a scanner, Pitney Bowes 5300 scanner driver should be installed on your PC. 1-3

8 Summary of installation procedure * For applicable environment, refer to System requirements on page 1-2. * If using under a network environment with an optional network interface, refer to Network Printer Setup on page Install the driver See page 1-5. Do not connect USB to PC before installing the driver. 2 After installing the driver, connect your machine to the PC using the USB cable. Follow the instructions that appear on your screen to complete the installation. For Windows Server 2003/ Windows XP For Windows 2000 For Windows 98/Me See page 1-6. See page 1-8. See page NOTE: If installing both PCL6 and PCL5e, refer to page

9 Installing the driver Installing the driver Do NOT connect the USB cable before installing the driver 1 Turn on your PC and insert the supplied CD into your CD-ROM. The driver installation window will appear automatically. If not, run the setup.exe from the root directory of the CD. 2 Click [Next] to start the installation. 3 After reading and accepting the License Agreement click [Yes]. Otherwise, click [No] to cancel the installation. 4 Select your machine and click [Next]. 5 Select Local and click [Next]. 6 Click [Next]. 7 Select the driver you want to install and click [Next]. NOTE: Both PCL6 and PCL5e drivers cannot be installed simultaneously. If you want to install both drivers, install one driver first and then install the second using the Add Printer Wizard. (See page 1-12.) 8 Follow the instructions that appears on your screen until you can click [Finish]. For Windows Server 2003 / Windows XP users, go to page 1-6. For Windows 2000 professional users, go to page 1-8. For Windows 98/Me users, go to page

10 Installing the driver Windows Server 2003 / Windows XP NOTE: Make sure that you followed installation steps 1 to 8 described on page Plug the USB cable to your machine and then connect it to your computer. Connect NOTE: Be sure to use a shielded USB cable. Use of an unshielded cable may result in radio interference. 10 Turn your machine on. 11 The Found New Hardware Wizard will appear. NOTE: When Service Pack 2 (SP2) is installed, the following message appears. Select No not this time and click [Next]. 1-6

11 Installing the driver 12 Select Install from a list or specific location (Advanced) and click [Next]. 13 Select Include this location in the search: and clear any other choices. Click [Browse] to navigate your hard disk: C:\PitneyBowes_5300\PCL. Then click [OK]. 14 Click [Next]. If the Windows Logo testing dialog box appears, click [Continue Anyway] to install the driver. 15 Click [Finish]. 16 The Found New Hardware Wizard appears again. Repeat same procedures from steps 12 to 15. The driver installation is complete. Activating an optional device If an optional device has been installed on your machine, you must open the driver and activate it. To activate the optional device: 1 Click [Start] g [Printer and Faxes]. In Windows XP Home Edition, click [Start] g [Control Panel] g [Printers and Other Hardware] g [Printers and Faxes]. 2 Right click the Pitney Bowes 5300 PCL printer icon, then click [Printing Preferences ]. 3 Click the Device Option tab. 4 Select an optional device installed to your machine. 5 Click [OK] and close the printing preferences. 1-7

12 Installing the driver Windows 2000 professional NOTE: Make sure that you followed installation steps 1 to 8 described on page Plug the USB cable to your machine and then connect it to your computer. Connect 1-8 NOTE: Be sure to use a shielded USB cable. Use of an unshielded cable may result in radio interference. 10 Turn your machine on. 11 The Found New Hardware Wizard will appear. Click [Next]. 12 Select Search for a suitable driver for my device (recommended) and click [Next]. The Locate Driver Files dialog box appears. 13 Select Specify a location and clear any other choices, then click [Next]. 14 Click [Browse] to navigate your hard disk: C:\PitneyBowes_5300\PCL. Then click [OK]. 15 Click [Next]. If the Digital Signature Not Found dialog box appear, click [Yes] to install the driver. 16 Follow the instructions that appear on your screen until you can click [Finish]. 17 The Found New Hardware Wizard appears again. Repeat same procedures from steps 11 to 16. This will complete the installation. The driver installation is complete.

13 Installing the driver Activating an optional device If an optional device has been installed on your machine, you must open the driver and activate it. To activate the optional device: 1 Click [Start] g [Settings] g [Printer]. 2 Right click the Pitney Bowes 5300 PCL printer icon, then click [Printing Preferences ]. 3 Click the Device Option tab. 4 Select an optional device installed to your machine. 5 Click [OK] and close the printing preferences. 1-9

14 Installing the driver Windows 98/Me NOTE: Make sure that you followed installation steps 1 to 8 described on page Plug the USB cable to your machine and then connect it to your computer. Connect NOTE: Be sure to use a shielded USB cable. Use of an unshielded cable may result in radio interference. 10 Turn your machine on. 11 The Add New Hardware Wizard will appear. Select Specify the location of the driver and click [Next]. 12 Select Specify a location and clear any other choices. Click [Browse] to navigate your hard disk: C:\PitneyBowes_5300\PCL. Then click [OK]. 13 Follow the instructions that appear on the screen until you can click [Finish]. 14 The Add New Hardware Wizard appears again, repeat same procedures from steps 12 to 13. NOTE: Repeat steps 12 through 13 three more times until the installation has completely finished. This will complete the installation. The driver installation is complete. If an optional device has been installed on your machine, you must open the driver and activate it. See Activating the optional second paper cassette on next page for instructions on how do this. 1-10

15 Installing the driver Activating an optional device If an optional device has been installed to your machine, you must enter the driver and activate it. To activate the optional device: 1 Click [Start] g [Settings] g [Printer]. 2 Right click the Pitney Bowes 5300 PCL printer icon, then click [Properties]. 3 Click Device Option tab. 4 Select an optional device installed to your machine. 5 Click [OK] and close the printing preferences. 1-11

16 Installing the driver Installing both PCL6 and PCL5e If you want to install both drivers connecting with USB interface, install one driver first and then install the second using the Add Printer Wizard. Windows Server 2003, Windows XP 1 Click [Start] g [Printers and Faxes]. In Windows XP Home Edition, click [Start] g [Control Panel] g [Printers and Other Hardware] g [Printers and Faxes]. 2 Select Add Printer from File menu to start the Add New Printer Wizard. 3 Select Local printer attached to this computer and clear the check box for Automatically detect and install my plug and play printer, then click [Next]. 4 Select the USB port for printer and click [Next]. 5 Click [Have Disk]. 6 Insert the supplied PCL printer driver CD into your CD-ROM drive, then click [Browse]. 7 Browse to the following location on the CD depending on your choice, and then click [OK]. In case of installing PCL6 driver: Windows XP, Driver\5300\winxp\pcl6 Windows Server 2003, Driver\5300\win2003\pcl6 In case of installing PCL5e driver: Windows XP, Driver\5300\winxp\pcl5e Windfows Server 2003, Driver\5300\win2003\pcl5e 8 Follow the instructions that appear on the screen until you can click [Finish]. NOTE: When the Windows Logo testing window appears, click [Continue Anyway]. 9 After installation finishes, the printer icon can be found on the Printers and Fax screen. 1-12

17 Installing the driver Windows Click [Start] g [Settings] g [Printers]. 2 Double-click [Add Printer]. 3 Click [Next]. 4 Select Local printer and clear the check box for Automatically detect and install my Plug and Play printer, then click [Next]. 5 Select the USB port for printer and click [Next]. 6 Click [Have Disk]. 7 Insert the supplied PCL printer driver CD into your CD-ROM drive, then click [Browse]. 8 Browse to the following location on the CD depending on your choice, and then click [OK]. In case of installing PCL6 driver: Driver\5300\win2000\pcl6 In case of installing PCL5e driver: Driver\5300\win2000\pcl5e 9 Follow the instructions that appear on the screen until you can click [Finish]. NOTE: When the Digital Signature Not Found window appears, click [Yes]. 10 After installation finishes, the printer icon can be found on the Printers screen. 1-13

18 Installing the driver Windows 98/Me 1 Click [Start] g [Settings] g [Printers]. 2 Double-click [Add Printer]. 3 Click [Next]. 4 Select Local Printer and click [Next]. 5 Click [Have Disk]. 6 Insert the supplied PCL printer driver CD into your CD-ROM drive, then click [Browse]. 7 Browse to the following location on the CD depending on your choice, and then click [OK]. In case of installing PCL6 driver: Driver\5300\win9x_me\pcl6 In case of installing PCL5e driver: Driver\5300\win9x_me\pcl5e 8 Click [Next]. 9 Select the USB port for printer and click [Next]. 10 Follow the instructions that appear on the screen until you can click [Finish]. 1-14

19 Installing the driver When Found New Hardware Wizard does not appear on Windows Server 2003 and Windows XP 1 Confirm that your machine is connected to the computer with the USB cable. 2 Click [Start], then right-click [My computer]. 3 Click [Properties] to open the System Properties window. 4 Select the Hardware tab, then click [Device Manager]. 5 Right-click the Pitney Bowes 5300 device displayed under the Other devices. Then click [Uninstall]. 1-15

20 Installing the driver If the Other devices is not displayed, click Shown hidden devices from the View menu. The Pitney Bowes 5300 device will be shown under Imaging devices and Printers. Right-click them and click [Uninstall]. 6 In the confirmation dialog box, click [OK] to uninstall the Pitney Bowes device. 7 Repeat steps 5 to 6 to uninstall the Pitney Bowes 5300 scanner and Pitney Bowes 5300 printer. 8 Click [OK] to close the System Properties window. 9 Unplug the USB cable and restart your computer. 10 Refer to the Summary of the installation procedure on page 1-4 for proper installation. 1-16

21 Installing the driver When Found New Hardware Wizard does not appear on Windows Confirm that your machine is connected to the computer with the USB cable. 2 Click [Start] g [Settings] g [Control Panel]. 3 Double-click [System] to open the System Properties window. 4 Select the Hardware tab, then click [Device Manager]. 5 Right-click the Pitney Bowes 5300 device displayed under the Other devices. Then click [Uninstall]. 1-17

22 Installing the driver If the Other devices is not displayed, click Shown hidden devices from the View menu. The Pitney Bowes 5300 device will be shown under Imaging devices and Printers. Right-click them and click [Uninstall]. 6 In the Confirm Device Removal dialog box, click [OK] to uninstall the Pitney Bowes Repeat steps 5 to 6 to uninstall the Pitney Bowes 5300 scanner and Pitney Bowes 5300 printer. Pitney Bowes 5300 printer may be displayed as Unknown device. 8 Click [OK] to close the System Properties window. 9 Unplug the USB cable and restart your computer. 10 Refer to the Summary of the installation procedure on page 1-4 for proper installation. 1-18

23 Installing the driver When Add New Hardware Wizard does not appear on Windows 98/Me 1 Confirm that your machine is connected to the computer with the USB cable. 2 Click [Start] g [Settings] g [Control Panel]. 3 Double-click [System] to open the System Properties window. 4 Select the Device Manager tab. 5 Right-click the Pitney Bowes 5300 device which will be displayed under the Other devices, and then click [Remove]. NOTE: It may be displayed as Unknown device. 6 In the confirm dialog box, click [OK] to uninstall the Pitney Bowes 5300 device. 7 Repeat steps 5 to 6 to uninstall the Pitney Bowes 5300 scanner and Pitney Bowes 5300 printer. 8 Click [OK] to close the System Properties window. 9 Unplug the USB cable and restart your computer. 10 Refer to the Summary of the installation procedure on page 1-4 for proper installation. 1-19

24 Deleting a driver NOTE: If deleting a driver from Windows Server 2003, Windows XP or 2000, you need to log on with user account authorized as PC administrator. For Windows Server 2003 and Windows XP 1 Select [Start], [Control Panel], [Add or Remove Programs] and the [Change or Remove Programs] icon. 2 Select Pitney Bowes PCL Printer Driver for 4300/5300 and click the [Change/Remove] button. 3 Follow the instructions appears on your screen. For Windows 2000 Professional 1 Select [Start], [Settings], [Control Panel] and [Add/Remove Programs] and [Change or Remove Programs] icon. 2 Select Pitney Bowes PCL Printer Driver for 4300/5300 and click the [Change/Remove] button. 3 Follow the instructions appears on your screen. For Windows 98 and Windows Me 1 Select [Start], [Settings], [Control Panel], [Add/Remove Programs] and the [Install/Uninstall] tab. 2 Select Pitney Bowes PCL Printer Driver for 4300/5300 and click the [Add/Remove] button. 3 Follow the instructions appears on your screen. 1-20

For Windows 95/98 and Windows Me: Network port can be automatically created with the Setup.exe to enable printing. For Windows Server 2003, Windows XP, Windows 2000, and Windows NT 4.0: You can print by directly accessing the machine using the standard lpr port of the OS. 2-3

28 PHONE1 PHONE2 LINE Cable connection NOTE: To connect the machine to an Ethernet network, a LAN cable (twist pair cable with RJ-45 type modular connector) is required. (A LAN cable is not included with this kit.) 1 Turn the main unit off. 2 Plug one end of the 10Base-T/100Base-TX LAN cable (category 5) into the LAN connector on the left side of the machine. LINK lamp: Illuminates when connected to the LAN. LAN Connector ACTIVITY lamp: Blinks when there is data trafic on the LAN. Connect to the Ethernet hub. LAN cable: 10Base-T/100Base-TX cable RJ-45 connector 3 Plug the other end of the LAN cable into the 10Base-T/100Base-TX Ethernet hub. 4 Turn the machine on. 2-4

29 Setting the IP address An IP address is required to install the network driver and use your machine as a network printer. You need to obtain the IP address from your network administrator and register it. Refer to the Network Guide supplied with your machine. 2-5

30 Installing the driver Installing the driver 1 Turn on your PC and insert the supplied CD into your CD-ROM. The driver installation window will appear automatically. If not, run the setup.exe from the root directory of the CD. 2 Click [Next] to start the installation. 3 After reading and accepting the License Agreement click [Yes]. Otherwise, click [No] to cancel the installation. 4 Select your machine and click [Next]. 5 Select Network and click [Next]. 6 Select the components you wan to install and click [Next]. 7 If you are installing on Windows 95/98 or Windows Me: Enter the machine s IP address and click [Next]. If you are installing on Windows XP, 2000, NT 4.0 or Windows server 2003: Skip to the step 8. 8 Confirm the displayed contents and click [Next]. 9 Restart the PC to finish installation. 10 For Windows Server 2003, Windows XP, Windows 2000, or Windows NT 4.0, the print port is set for FILE just after the Pitney Bowes 5300 PCL printer driver has been installed. Therefore, you should change the port by following the procedures described on Configuring the network printer port, on the next page.) This procedure is not necessary for Windows 95/98 and Me. 2-6

31 Installing the driver Configuring the network printer port For Windows 2000, Windows XP, Windows Server 2003 users 1 Open the printer screen. In case of Windows Server 2003 and Windows XP Professional, click [Start] g [Printers and Faxes]. In case of Windows XP Home Edition, click [Start] g [Control Panel] g [Printers and Other Hardware] g [Printers and Faxes]. In case of Windows 2000, click [Start] g [Settings] g [Printer]. 2 Right-click on the Pitney Bowes 5300 PCL printer icon (ex. Pitney Bowes 5300 PCL6 icon) and click [Properties] from the pop-up menu. 3 Click the Ports tab and then click [Add Port]. The Printer port screen will be displayed. 4 Select Standard TCP/IP Port and click [New Port]. 5 When Add Standard TCP/IP Printer Port Wizard is shown, click [Next]. 6 Enter the IP address assigned to your machine in the Printer Name or IP Address box and click [Next]. 7 If Additional Port Information Required dialog box appears, click [Standard] in Device Type and select Generic Network Card before clicking [Next]. 8 Click [Finish]. 9 Click [Close] to finish adding the port. 10 Confirm that the added port is selected for your machine, then click [OK] or [Close]. 2-7

32 Installing the driver For Windows NT 4.0 users 1 Click [Start] g [Settings] g [Printer]. 2 Right-click on the Pitney Bowes 5300 PCL printer icon (ex. Pitney Bowes 5300 PCL6 icon) and click [Properties] from pop-up menu. 3 Click the Ports tab and then click [Add Port]. The Printer port screen will be displayed. 4 Select LPR Port and click [New Port]. NOTE: If LPR Port is not shown in the Available Printer Port, Microsoft TCP/IP Printing service has not been installed on your PC. Install it referring to Installing Microsoft TCP/IP Printing service in Windows NT 4.0, below. 5 Enter the IP address assigned to your machine in Name or address of server providing lpd, and enter the printer name in Name of printer or printer queue on that server. Then click [OK]. 6 Confirm that the added port is selected for your machine, then click [OK] or [Close]. Installing Microsoft TCP/IP Printing service in Windows NT 4.0 If Microsoft TCP/IP Printing service is not installed on your PC, you can install it by: 1 Click [Start] g [Settings] g [Control Panel]. 2 Double-click [Network] icon. 3 Click Service tab and then click [Add]. 4 Select Microsoft TCP/IP Printing and click [OK]. 5 Follow the steps listed on the screen to complete installation. 2-8

To activate the optional device: 1 Click [Start] g [Settings] g [Printer]. 2 Right-click the Pitney Bowes 5300 PCL printer icon (ex. Pitney Bowes 5300 PCL6 icon), then click [Properties] (for Windows 95/98/Me), or [Printing Preference ] (for Windows 2000/XP, Windows Server 2003). 3 Click the Device Option tab. 4 Select the optional device installed to your machine. 5 Click [OK], then close the printer. 2-9

For Windows 2000 Professional 1 Select [Start], [Settings], [Control Panel] and [Add/Remove Programs] and [Change or Remove Programs] icon. 2 Select Pitney Bowes PCL Printer Driver for 4300/5300 and click the [Change/Remove] button. 3 Follow the instructions appears on your screen. For Windows 95/98 and Windows Me 1 Select [Start], [Settings], [Control Panel], [Add/Remove Programs] and the [Install/Uninstall] tab. 2 Select Pitney Bowes PCL Printer Driver for 4300/5300 and click the [Add/Remove] button. 3 Follow the instructions appears on your screen. 2-10

36 Configuring printer driver settings Open the printer properties There are two ways to open the printer properties: From your application software From the printer icon NOTE: Changing the printer properties from the printer icon will change them for all documents you print on this printer. To change the printer properties for one document, change them from the application software. From the application software Opening the printer properties screen varies by application software. See your application software user s manual for assistance. The following example utilizes Microsoft Notepad on Windows XP. 1 Select Print from the File menu. 2 The Print dialog box will appear. In the Select Printer field, select the Pitney Bowes 5300 PCL printer (ex. Pitney Bowes 5300 PCL6 ), then click [Properties]. 3 The printer properties window will appear. For descriptions of the printer driver settings, see pages 3-3 to From the printer icon 1 Click [Start] g [Settings] g [Printers]. Windows XP Professional and Windows Server 2003, click [Start] g [Printers and Faxes]. Windows XP Home edition, click [Start] g [Control Panel] g [Printers and Other Hardware] g [Printers and Faxes]. 2 Right-click the Pitney Bowes 5300 PCL printer icon (ex. 37 Configuring printer driver settings Paper tab The Paper tab is used for setting paper destination and printing. q Zoom You can zoom (Enlarging and scaling-down) data two ways. NOTE: Zoom settings are not available whenever the Combine setting on the Page Layout tab is active. Fit to Paper: Choose this option to scale your print job to any selected paper size regardless of the logical document size. If you want your document to be fitted to the selected paper size, check on the Scale to fit. NOTE: When Scaling is set for other than 100% or the same paper size as Paper size is selected, Scale to fit is not available. Scaling(%) You can reduce the document in 1% increments, from 25% to 400%. q Copies NOTE: Scaling (%) is not available when Fit to paper is selected. Specifies the number of copies for printing, ranging from 1 to

38 Configuring printer driver settings q Paper Size Select the paper size from the drop down list, which shows the paper supported in the printer driver s current setting. Paper sizes shown on the drop down list are constrained by the Paper Source and Combine settings. If you cannot find the desired size in the list, change the paper source. Orientation Portrait orients the print vertically. Landscape orients the print horizontally. Edit Custom Click this button when you want to add, change or delete your custom paper size. You can add up to 50 custom paper sizes. NOTE: The Edit Custom is not available when either of the following conditions exists. The Paper Source setting is anything other than Bypass Tray or Auto The Combine setting on the Paper Layout tab is active. To add a custom paper size: 1. Click [Edit Custom]. 2. Click [Add]. 3. Enter a name to identify the custom paper. You can enter up to 20 characters. 4. Specifies the width and length of your custom paper size. 5. Click [OK]. To delete a custom paper size: 1. Select the size that you want to delete. 2. Click [Delete]. q Paper Source Specifies paper cassette or bypass tray for printing. q Paper Type Select the paper type to be used for printing. If Paper cassette is selected in the Paper Source setting, the paper type setting cannot be changed. q Sort When you select On to enable Sort, multi-page jobs will be printed in collated sets. When Off is selected, documents will be printed on a page-by-page basis. 3-4

39 Configuring printer driver settings Page Layout tab The Paper Layout tab contains settings for Combine and Watermark. q Combine Multiple pages can be printed on one page, thus reducing paper consumption. Select the number of document pages that should be printed on each sheet of paper. Selecting Off will print one documents normally. NOTE: The Combine settings are not available when either of the following conditions exists. The Fit to Paper on the Paper tab is selected. The Scaling setting on the Paper tab is anything other than 100%. Once the Combine is set, the scaling will be determined automatically and it cannot be changed manually. Print Separator Line Select this option to print a separator line between each combined image, thus improving the readability of combined documents. Detail of Combine Click this button to open the Detail of Combine dialog in which you can specify the printing order of combined pages on the paper. 3-5

40 Configuring printer driver settings q Watermark You can print Watermark text (such as Confidential and Sample ) over the document. Choose the desirable watermark from the drop down list. First Page Only Select this check box when you want the watermark to be printed on the first page only. Remove the checkmark to print the watermark on all pages. Edit Watermark Click [Edit Watermark] to display the Watermark dialog box. To edit a watermark: Select the applicable watermark name in the list. Make any necessary adjustments. To create a new watermark: You can register up to 20 different watermarks in this dialog. (The 11 types of watermark have already been registered.) 1 Click [Add]. 2 Name the watermark. You can enter up to 30 characters. 3 Type the watermark text you want to use (Ex. Private). You can enter up to 30 characters. 4 Adjust the watermark settings. If you need help, click [Help]. 5 Click [OK] to save it. 3-6

41 Configuring printer driver settings q Duplex For set up, the duplex unit is required. Printing on both sides You can print on both sides of the paper. Bind position must be specified for duplex printing. To unify top sides of front and back side images, select Left Binding or Right Binding. To reverse the top sides, select Upper Binding. Setting of Duplex By clicking this button, the dialog box opens to set margin. Set the binding margin. * Refer to Duplex printing as well. (See page 3-16.) q Booklet For set up, the duplex unit is required. You can print several pages to form a booklet, when the paper is half center folded and overlapped. To set up the Booklet function, check the box for Print On Both Side and select 2- up for Combine. Booklet Printing The bind position can be set for booklet. The bind position you specify varies depending on the print orientation specified in Orientation under the Paper tab. When Portrait is selected, Left or Right can be specified for the bind position, and when Landscape is selected, Upper or Lower can be specified. * Refer to Booklet printing as well. (See page 3-18.) 3-7

42 Configuring printer driver settings Quality tab Use the settings on this tab to control the quality of the printed output. q Toner Saving Selecting toner save to ON will reduce toner consumption but will effect the output quality. q Resolution Select either dpi or dpi as the printing resolution. NOTE: provides better quality, but it also takes longer to print at this setting than at q True Type Mode Automatic When the font in the document is a printer-resident font, the printer uses it to printout. When the printer does not have the font, the font data will be transferred to the printer as outline data. Download as Outline All the font data in the document will be transferred to the printer as outline data. Download as Bitmap All the font data in the document will be transferred to the printer as bitmap data. Select this mode if letters do not match those on the computer screen. Note that the printing speed may decrease in this mode than in Automatic or Download as Outline mode. When you set zoom in or out, always select Automatic or Download as Outline as True Type Mode. 3-8

43 Configuring printer driver settings Download as Graphics (Windows 95/98/Me only) All the font data and graphic data in the document will be transferred to the printer as a Raster image. Select this mode if graphics do not match those on the computer screen. Note that the printing speed may decrease in this mode. When you set zoom in or out, always select Automatic or Download as Outline as True Type Mode q Print Density Specify the density level between -50 and +50. When setting +50 outputs are the darkest, and conversely when setting -50 they are the lightest. 3-9

44 Configuring printer driver settings Device Option tab Click the options installed on your machine. q Installed Options When an optional device has been installed, check the corresponding box in the printer driver so that the driver knows the option is available. 3-10

45 Using the bypass tray Use the bypass tray if you want to use a paper that cannot be loaded in the paper cassettes, such as a envelope, transparency film or custom sized paper. NOTE: Only use print media specified under Acceptable paper size on page A-2 to avoid paper jams and print quality problems. Loading paper into the bypass tray 1 Open the bypass tray on the right side of your machine. Unfold the paper support extension. 2 To set the paper, 1) raise the flapper release lever 2) load paper until it comes to a stop. NOTE: Set the printing side face down. 3-11

46 Using the bypass tray 3 1) Adjust the paper guides to fit the paper, 2) then lower the flapper release lever. 4 On your computer, display the Paper tab of the printer driver, and then specify Bypass for the Paper source setting (see page 3-4). 5 Specify the Paper Size and Paper Type setting depending on the paper you want to use (see page 3-4). 6 Execute the print operation from your computer. q Setting of the default paper size for the bypass tray Default setting: Letter 1 Press [Setting]. 2 Press [Paper Settings]. 3-12

Optional scaling cannot be set up. * Before setting up the combine function, be sure that scaling is set to 100%. With a custom size registered, you can choose any of the registered custom sizes from Paper Size in Paper tab. Up to 50 custom sizes can be registered. q How to register custom sizes Here, Windows XP Professional is used as the example. * In most cases the following procedure can be used in other Windows operating systems. * The Edit Custom is not available when either of the following conditions exists. The Paper Source setting is anything other than Bypass Tray or Auto The Combine setting on the Paper Layout tab is active. 1 Click [Start] g [Printer and Faxes]. 2 Right click the Pitney Bowes 5300 PCL printer icon (ex. Pitney Bowes 5300 PCL6 ) and click [Printing Preference] from the menu. 3 Select the Page tab and click [Edit Custom]. 3-20

Up to 20 characters can be registered. 6 Enter Width and Height. * Both width and height can be entered every 0.1 mm (or 0.01 inch) within a range between and mm (or 3.94 and inches) for width and between and mm (or 5.51 and 17 inches) for height. * If printing on both sides, set width within a range between and mm (5.5 and 11.7 inches) for width and and mm (7.2 and 17.0 inches) for height. * The width value should not be larger than height value, and the height value should not be smaller than width value, even though each setting value is within a fixed range. 7 Click [Add] to register. 8 To register another size, repeat steps 5 to 7. 9 Click [OK]. 3-21

NOTE: When the same size paper that is registered in Paper Size is selected in Fit to Paper, the Scale to fit is not available. 6 Click [OK]. 7 Click [Print ]. 3-28

63 Cancelling a print job Job cancel using Windows The following is an example using Microsoft Windows XP Professional. Operation could vary depending on your Windows version. 1 Click [Start] g [Printers and Faxes]. 2 Double click the Pitney Bowes 5300 PCL printer icon (ex. Pitney Bowes 5300 PCL6 ). The print queue is displayed. 3 Right-click the name of the document you wish to cancel. Then select Cancel from the pop-up menu. Document printing can be canceled by pressing the [Delete] key on the computer s keyboard after clicking the document name. Job cancel from the machine When your machine is printing a job from the PC, the Online light will blink. If you want to cancel the current print job, follow the instructions below: 1 Press [Online]. The machine will show the following message: 2 To cancel the current print job, press [Enter]. If you do not wish to cancel the current print job, press [No]. 3-29

66 Scanning a document Scanning a document 1 Place the document face up in the ADF, or face down on the document glass. 2 On your computer, start an application software that supports TWAIN scanning. 3 Select Pitney Bowes 5300 Scanner as the scanner device. NOTE: The process of selecting a scan device varies by application software, please refer to your application software user s guide for assistance. 4 Select the Realtime Scan tab. 5 Adjust the scan settings. Resolution You can choose to scan at 200 dpi, 300 dpi or 600 dpi resolution. Scanning at 600 dpi provides greater detail in scanned images, but creates large files and uses more memory in your computer and your machine. The color 600 dpi data may not display correctly in your application software. Document type You can choose either B/W (Black&White), Grayscale or Color. Color scans up to colors (24 bit). 4-2

67 Scanning a document Mode You can select from: Photo: Select this mode when scanning photographs or drawings. Photo/Text: Select this mode when scanning documents containing photographs or drawings and text. Text: Select this mode when scanning text. Contrast Sets how light or dark you want the documents to be. Document size Set the document size to one of the following: Letter (8.5" 11"), Legal (8.5" 14"), Half-letter (5.5" 8.5") Fixed image size: When using ADF, the machine will scan the actual length of the document. If you want to scan the document within a specified range, click this check-box. Scaling Select one of the preset rates, or enter the desired ratio in 1 % increments. Manual: If you want to Reduce/Enlarge by 1 % increments, click this check-box and enter the desired ratio. Enlargement scanning is not available. The minimum reduction ratio is 75 % at 200 dpi. NOTE: The Mode, Scaling and Contrast settings are adjustable only when B/W (Black&White) is selected as the Document type. 6 Click [Scan] to begin scanning. 7 When scanning is complete, Pitney Bowes 5300 scanner window will close. If you want to scan another document, repeat the procedures from step

Have you logged on as a user belonging to an Administrator group or as the Administrator? Has Microsoft TCP/IP Printing been built in Windows NT 4.0? Confirm the correct steps with this manual. Log on with a user account authorized for Administrator. Check whether the TCP/IP protocol has been installed on the PC. If not, install it referring to the attached Windows manual. Check whether both the TCP/IP protocol and Microsoft TCP/IP print have been installed. If not, install it referring to the attached Windows manual. Restart Windows. If you are not an authorized Administrator, you cannot add any ports. Log on with a user account authorized for Administrator group or as the Administrator and repeat the steps. Open the Control Panel window, by clicking [Settings] from the Start menu. Check whether Microsoft TCP/IP Printing is shown in Network service by the Services tab.
