Please follow these guidelines when conducting any Tropic business online FACEBOOK Naming Your Facebook Pages Your Tropic Skin Care Pages should follow these guidelines: Facebook page name: Sarah Smith Tropic Skin Care Ambassador Facebook URL: Please ensure your page names do not look like this: By including your name you are stating that you work as an Independent Ambassador for Tropic, direct your customers to your personal pages and increase sales on your personal website. It avoids misdirected sales and creating brand confusion for your customers. Personal Facebook Pages V s Business Pages Many Ambassadors use their personal Facebook pages to promote their businesses when they first join Tropic. When growing your business, it is recommended that you use a Facebook Business page for your social media activity. If you create a Facebook Business page: It gives the public access to your page immediately and allows for instant interaction, rather than waiting for a friendship to be accepted. You have better opportunity to publicise parties through the Events tab There is opportunity to promote posts (paid posts) so they receive more visibility in news feeds You can take advantage of Facebook Insights to measure social media growth and respond to trends
3 Creating Your Business Page To create your own Tropic Page please follow this link and these easy steps: Step 1. Choose a Classification You will be asked to select one of the following six classifications: Local business or place Artist, band, or public figure Company, organization, or institution Entertainment Brand or product Cause of community Keep in mind that your Category and Name cannot be changed once your page is created. So type wisely, otherwise you ll have to delete the entire page and start anew. Please ensure your own name is included in your Business Page as outlined above. Step 2. Complete Basic Information Upload Photo Facebook will now prompt you to upload the main photo for your page. This photo will appear as your icon every time you comment on a post or appear in news feeds. Ideally, it should be your company logo. The actual dimensions of your profile picture is 180x180. This will shrink on your page to appear as 125x125. About Section Next, you need to write your About information. Be sure to include a link to your Personal Ambassador Website. Please include a section of text that follows the below example in your About section: As an Independent Ambassador for Tropic Skin Care Ltd, my Facebook activity including comments, images/videos, posts and updates are my own views. Step 3. Post When posting on your page, be sure to use a variety of content. What images would your audience like to see? What stats would they like to read? What links would they like to click? We have the latest product images, banners, profile pictures and posters for you to download for your social sites available on the Tropic Lounge.
4 Converting Your Personal Page If you have a personal page operating as your Tropic Page and you would like to convert your personal page, Facebook makes it quick and easy by transferring your current profile picture, friends and subscribers. Visit to convert your page today! Please ensure your own name is included in your Business Page as outlined above. Once you have created or converted your Facebook pages use the Recommend this page function to share it with existing friends on your personal account. Creating a Facebook Group If you would like to keep your Personal Page or do not want to create a whole Business Page, you can create a Tropic Facebook Group! The benefits of a Group are: Privacy: In addition to an open setting, more privacy settings are available for groups. In secret and closed groups, posts are only visible to group members. Audience: You can adjust group privacy to require members to be approved or added by admins. When a group reaches a certain size, some features are limited. The most useful groups tend to be the ones you create with small groups of people you know. Communication: In groups, members receive notifications by default when any member posts in the group. Group members can participate in chats, upload photos to shared albums, collaborate on group docs and invite members who are friends to group events. To create a group: 1. From your home page, go to the Groups section on the left side menu. 2. Click Create New Group at the top of the page. 3. A window will appear, where you ll be able to add a Group Name, add Members and select the privacy settings for your group. 4. Click Create when you re done. 5. Once the group is created, you ll be taken to the group. 6. To get started, select Edit Group Settings. From here you can add a group description, tags, set a group address and add a group picture. In the About Section please ensure you include this text: As an Independent Ambassador for Tropic Skin Care Ltd, my Facebook activity including comments, images/videos, posts and updates are my own views. 5 Already Have a Tropic Facebook Page? If you have pages that do not follow current guidelines please amend these as soon as possible. Re-naming Facebook URL If you already have a Tropic Facebook Page that doesn t follow the suggestion in section 1, we ask that you amend your details to comply with these new guidelines. If you can change your Facebook URL without too much damage to your followers then please follow these easy steps to rename it: 1. Select Edit Page settings. 2. Change your URL by amending the Username field (this can only be done once, so double check you have entered the correct username before confirming). If however, you have a great number of followers, you may be disinclined to rename your URL. We understand this as a URL change does mean your existing likes and followers need to re-like your new page. If this is the case we ask you change your Facebook NAME that appears next to your Profile Picture. E.g Facebook page name: Sarah Smith Tropic Skin Care Ambassador N.B You can replace Ambassador with your title e.g Sarah Smith Tropic Skin Care Manager Changing Your Facebook Name If less than 200 people like your Page, and you re an admin or editor, you can change the name of your Page: 1. From the top of your Page, click Edit Page 2. Select Update Page Info 3. Click Name and enter a new name 4. Click Save Changes If 200 or more people like your Page, and you re an admin, you may be able to submit a request to change your Page s name: 1. From the top of your Page, click Edit Page 2. Select Update Page Info 3. Click Name and click Request Change 4. Fill out the form and click Send Whether you have changed your Facebook URL or Page Name please ensure this text is pasted into your About Me section. Failure to do so will result in action being taken by Tropic HQ.
6 TWITTER Naming Your Twitter Account Your Tropic Skin Care Account should follow these guidelines: Twitter Twitter Profile Name: Sarah Smith TSC Ambassador Please ensure your page names do not look like By including your name you are stating that you work as an Independent Ambassador for Tropic, direct your customers to your personal pages and increase sales on your personal website. It avoids misdirected sales and creating brand confusion for your customers. Already Have a Tropic Twitter Account? If you have pages that do not follow current guidelines please amend these as soon as possible. Changing Your Twitter Username If you have recently created Tropic Twitter account we ask you ensure your username and Profile name match the suggestions above. E.g Twitter To amend your handle (username), please follow these simple steps: 1. To change your Username, go to Settings 2. Select Account 3. Update the Username field N.B Changing your username will not affect your existing followers, direct messages, Your followers will simply see a new username next to your profile photo when you update. We suggest you alert your followers before you change your username so they can or direct messages to your new username. If however, you have a vast following please ensure your Profile name also matches the suggestions in section 1. E.g Twitter Profile Name: Sarah Smith TSC Ambassador To amend your Twitter Profile Name, please follow these simple steps: 1. To change your profile name, go to Settings 2. Select Profile 3. Update the Name field
7 Other Social Media Platforms Pinterest Linked-In Bloglovin Tumblr You Tube Vimeo Instagram Online Forums The above sites are but a few of the many social media sites out there for you to connect to your customers through. Pinterest is a very popular site where you can pin your favourite items onto a pin board for your customers to engage with. Linked In is a more business based social media site for you to engage with other entrepreneurs and customers alike You Tube and Vimeo are great for videos and sharing official videos from Tropic HQ. As with all these things we hope for you to conduct yourself in accordance with the Tropic ethos. Please state that you are an Independent Ambassador for Tropic at all times. You must put your name in your Profile Name title or as your username to ensure people know it s you. Your Social Media Content Tips When creating posts, tweets or communicating with your customers and fans, being fun, clear and concise makes for successful interactions! Steer clear of constant sales pitches and product placement. You are the face and voice of your business. Think of how you like to be considered in other social situations like a relaxing Sunday BBQ or sassy cocktail party; your online self is this person! Be Likeable Be Friendly Be informative Be jokey Be considerate Be fun Be responsive
8 We Love Tropic! When a customer writes a review or posts positive feedback on Twitter or Facebook, reply with thanks as soon as you can. Recommend other products they may enjoy where appropriate. Share the feedback and Like it to ensure all your followers see the amazing job you are doing and want to know more! What is in your Cleanser? When a customer posts on your Facebook wall or tweets you with a question, it is best practice to respond to as quickly as possible. Refer to your product information sheets and other help pages on your Tropic Lounge for most answers. Be honest and open about ingredients and their effects. If the query is about difficult product related information, brand statements or queries which you feel you cannot answer, get in touch with HQ to help you create a response! I have a problem If someone leaves a negative comment or complaint, try not to delete the comment unless it contains defamatory or inappropriate language. Keep your responses appropriate and polite. Ask if they have and more issues, comments or concerns you can help with. If the person posting comments is being unreasonable try and aim your responses at the other people reading your page: educate them and reassure them by being honest and truthful about the negative comment. Again you have HQ as backup! Interaction On Official Tropic Skin Care Social Media Platforms Tropic Skin Care Social Media platforms are resources for everyone s customers, so you are not permitted to publicise your personal business or personal website on the company page, or attempt to solicit business from any of the main businesses fans. If you do publicise your own business, your comment will be deleted and you will be issued with a written warning. When interacting on Tropic Skin Care s official platforms, you are encouraged to republish or re-tweet content, updates and articles to your own accounts as well as engage in conversation with Tropic Skin Care. Find us at: Facebook: At all times we ask that you identify yourself as an Independent Ambassador for Tropic Skin Care.
9 Personal Websites To boost your online presence and monthly sales you also have a Personal Ambassador Website! This is the address you can give to your customers to place repeat orders. It s easy, quick and you earn commission from all sales made through your personal site! Your Personal Ambassador URL will look like this: If you would like to amend the name that appears at the end of your URL please go to My Account on your Ambassador site and change your URL under Personal Details. Selling Tropic Online As a Tropic Ambassador, you have agreed not sell outside of the agreed Territory; this includes Ebay, Amazon and any other online outlet aside from your assigned Tropic Shop. Please see relevant clause copied from Tropic Skin Care s Terms and Conditions of Agreement: 22. The Ambassador shall order the Products only from TSC, and shall sell the Products only to Customers. The primary means by which TSC expects the Ambassador to distribute the Products is by convening or arranging Pamper Experiences. The Ambassador shall not advertise, sell or offer products for sale other than at Approved Venues or in response to orders received from her existing Customers and shall refrain from actively marketing, advertising or establishing any distribution methods for the Products outside the Territory. As stated is clause 63 of your agreement Tropic Skin Care will terminate your contract as an Ambassador if terms are breached. 63. This Agreement can be terminated by TSC without notice for any one or more of the following reasons: (a) the Ambassador directly or indirectly undertakes any activities that are or engages in any conduct; (i) deemed to be unlawful or unethical or (ii) which may, in our reasonable opinion, pose a risk of damage to the TSC brand image or could be prejudicial to TSC s business or reputation or the Products;(b) a material or persistent breach by the Ambassador of this Agreement; (c) the Ambassador is bankrupt or if any court judgment is entered against her, or if she makes any voluntary arrangement or agreement or settlement with her creditors; (d) the Ambassador supplies false information at the time of registration or renewal; (e) in the circumstances set out in condition 55. If found selling Tropic goods on the above mentioned websites you will be issued with a seven day warning to allow any unprocessed deliveries to be made. Please cease all Ebay sales of Tropic Skin Care goods within this time and remove all account associated with market place sales. Failure to do so will result in a possible termination of your contract with Tropic Skin Care.
10 Other Domain Names Some Ambassadors already own a website that is associated with their Tropic businesses. If you have such a site and your web address includes your name you may continue to use this domain name under the new guidelines. If, however, you currently own a domain name which does not include your name, you will be asked to either amend that or we will purchase the domain from you at the initial price you paid to secure your site. Tropic Ambassadors Lounge Your Tropic Lounge is a hub of information, training, downloads, images and updates from Tropic HQ. It is there for you to be on top of the latest from Tropic and to gain access to online training and help when your manager is unavailable. This is a separately hosted site to your Ambassador Ordering site so you must sign up. Please see your Tropic Online Booklet for instructions on how to become a member of the Tropic Lounge. It s free and available 24 hours a day. All Tropic Ambassadors Lounge content is for Ambassador use only. You are not permitted to post stock updates or in house information on any personal social media platforms or websites. Anyone found misusing Lounge content will have their Tropic Ambassadors Lounge account deactivated and as stated is clause 63 of your agreement, Tropic Skin Care will terminate your contract as an Ambassador if terms are breached. Brand Image We want your businesses to look up to date, professional and smart to ensure customer satisfaction and brand consistency. It is very important that you use the latest logo design and packaging images at all times. Sources: Product Images: Banners/Profile Images/Marketing Images and More: Please use provided cover images and profile pictures, post photographs from parties (ensuring you have permission of all people in the photographs), share posts from the Tropic Skin Care official Facebook pages to your own business page and remain transparent at all times about your position within Tropic Skin Care.
11 Non-compliance with the social media and online content guidelines If you are found to be violating the Social Media and Online Guidelines, you will be issued with a warning from Tropic HQ. Up to three warnings will be issued, and on the third, Tropic Skin Care will take further action to ensure its brand image is secure. In extreme cases this can lead to a termination n of your Ambassador Contract.
