1 ADVANCED MICROSOFT POWERPOINT Class Handout Headers and Footers To setup a Footer on the Slides, click on the INSERT tab. 1. HEADER & FOOTER. 2. Header and Footer window appears. 3. Enter your Footer text and check off the other options. 4. APPLY (to apply these choices only to this slide) or APPLY ALL (to apply these choices to all slides). 5. To setup a Header/Footer on for your Powerpoint NOTES and HANDOUTS, click on the NOTES AND HANDOUTS tab. You can use a Footer to display your name, your company contact information or the title of the project, for example. Objects To insert a PDF, Word, Excel file into Powerpoint, click on the INSERT tab: 1. OBJECT. 2. The Insert Object window appears. 3. BROWSE and select the file you d like to insert. 5. The inserted object then appears in Powerpoint. Double-click to open it.

2 Advanced Microsoft Powerpoint page 2 Charts To insert a Chart into Powerpoint: 1. INSERT tab. 2. CHART. 3. Select a chart type. 5. An Excel spreadsheet appears. Change the words and numbers to suit your needs. SmartArt SmartArt graphics help you better present your information. To use them: 1. INSERT. 2. SMARTART. 3. Choose one.

3 Advanced Microsoft Powerpoint page 3 Tables To insert a Table grid: 1. INSERT tab. 2. TABLE. 3. Highlight the number of cells you want in your table. 4. The Table appears. 5. Apply your choice of Table Styles. Audio - Insert To add Audio, click on the INSERT tab: 1. AUDIO 2. AUDIO FROM FILE: a. Insert Audio window appears. b. Select an Audio track. c. INSERT. 3. OR, you can RECORD AUDIO: i. Type in a name for your audio track. ii. Click the Red Dot to begin recording and the Square to stop. iii. OK.

4 Advanced Microsoft Powerpoint page 4 Audio Playback After the audio track has been inserted, control its playback by clicking on: 1. Speaker symbol. 2. PLAYBACK ribbon. 3. Select if you want Fade in and out. 4. Select if you want the audio track to play automatically across all slides. 5. Select if you want the audio track to loop. Video To add Video, click on the INSERT tab: 1. VIDEO. 2. AUDIO FROM FILE: a. Insert Video window appears. b. Select a Video file. c. INSERT. 3. OR, you can insert VIDEO FROM WEB SITE: i. Find a video on the web and click EMBED. ii. See the Embed coding. iii. Paste the Embed code into the

5 Advanced Microsoft Powerpoint page 5 iv. Powerpoint window. INSERT. Zoom Zooming makes your Powerpoint slides larger or smaller for viewing purposes only. It does not affect the size of the Powerpoint slides when printed. To Zoom. Click the VIEW tab: 1. ZOOM. 2. The Zoom window appears. 3. Choose a Zoom level or enter your own % in the Custom field. Find and Replace To Replace a word or number in a spreadsheet, click on the HOME tab: 1. REPLACE. (Select REPLACE in the dropdown). 2. The Replace window appears (click FIND (a) if you just need help locating a word or a number). 3. Type in the word/number you are looking for and what you want to replace it with. 4. REPLACE or REPLACE ALL. 5. CLOSE. Design Themes Powerpoint offers many Design Themes to help you get started: 1. DESIGN tab. 2. Choose a Design Theme. 3. Fine tune it with your choice of Colors, Fonts Effects and Background Styles.

6 Advanced Microsoft Powerpoint page 6 Presentation and Master Views Click on the VIEW tab: 1. Choose a Presentation View. 2. Slide Sorter view lets you easily rearrange the order of the slides. a. OR, choose a Master View to set up the look of a standard slide, handout or note. b. Edit the Slide Master from here.

7 Advanced Microsoft Powerpoint page 7 Automate Slide Show On the right-end of the Transitions ribbon, automate your slide show by checking off the box to the left of the word AFTER and then setting the amount of time that each slide will be displayed. In this example, each slide will display for 5 seconds before advancing to the next one. Tech Connect Challenge Using the Powerpoint presentation you created in this class: 1. Insert a Table onto a new slide that lists out all the Tech Connect classes you ve already taken. 2. Insert a Video from a web site onto a new slide. 3. Apply a Design Theme to your presentation. 4. Add a PDF object onto a new slide.
