1 Being prepared for a natural disaster Tips on how to prepare for a natural disaster and where you can find emergency equipment at Pastoral House Who are your floor warden and first aider? Find out by visiting Kotahi or reading the posters on each floor. Do you have an up-to-date emergency contact list for work and home? Use the space in this booklet to record your contacts. Do you have a household emergency plan for how you and your family will respond? Use the template in this booklet. Is your grab bag ready under your desk? Make sure under your desk is clear, so you can easily get under it. Do you know how to Drop, Cover, Hold in an earthquake? 2 How we will respond in a natural disaster at Pastoral House The Pastoral House Emergency Response Plan What is an Emergency Response Plan? An Emergency Response Plan is a plan for how all staff will work together to get through a natural disaster like an earthquake. It s agreed on by the Pastoral House Incident Management Team (IMT). Key people in Pastoral House who will help us get through a natural disaster Floor Wardens (based on each floor): are trained in what to do when a natural disaster occurs. Their role is to make sure people are okay, to check for any damage on your floor and tell you when it s safe to leave the building. Floor wardens report to the Pastoral House IMT in the event of an emergency. First Aiders (based on each floor): are trained in providing basic first aid, so they ll assess and treat people with injuries. Managers: follow directions from the floor wardens. Your manager will check that you and your team mates are okay, confirm your contact information, communicate updates and tell people to remain in the building until otherwise advised. Your manager may also delegate tasks to you. Incident Management Team (IMT): assess and evaluate the level of the emergency and activate the appropriate response to manage peoples safety, based on internal and external information. They ll share regular updates and instructions with you via floor wardens and managers. 2
3 What we ll do in the event of an emergency or natural disaster Natural disaster occurs, for example, an earthquake. Staff to remain in the building unless otherwise instructed by the floor wardens. Floors wardens and managers check on all staff and floor wardens to assess any damage to the floor. The Incident Management Team (IMT) assembles. Floor wardens report to the IMT members on the health and safety of staff, and damage to the building as soon as possible. The IMT and Incident Controller agree an Action Plan and inform floor wardens and managers. This Plan is based on assessments of information from the floor wardens, Wellington Emergency Management Office, and Civil Defence. Floor wardens and managers communicate the Action Plan to staff as soon as possible. Shortly after a natural disaster: The IMT will assess the likelihood of further incidents and will advise staff on when they can safely leave. Use this space to write in the names of your floor wardens and first aiders. Ask your team mates to look for the Get Prepared messages on your floor: My Floor wardens are: My First aiders are: 3

5 Have a plan! Included in this booklet is a template of the Civil Defence Household Emergency Plan. A household emergency plan will help you work out: What to do in the event of disasters such as an earthquake, tsunami, volcanic eruption, flood or storm. How and where you will meet up during and after a disaster. Where to store emergency survival items and who will be responsible for maintaining supplies. What you need to have in your grab bag, and where to keep them. What you need to do for members of the household, family or community with a disability or special requirement. What you need to do for your pets or livestock. How and when to turn off the water, electricity and gas at the main switches in your home or business. Note: gas should only be turned off if you suspect a leak, or if you are instructed to do so by authorities. If it is turned off, you will need a professional to turn it back on and it may take them weeks to respond after an event. What local radio stations to tune in to for civil defence information during an event. How to contact your local council s civil defence emergency management office for assistance during an emergency. Source: 5
6 Have a grab bag! In some emergencies you may need to evacuate in a hurry. Everyone should have a grab bag in an easily accessible place at home and at work. The checklist below covers the items you will need at home and work. Torch and radio with spare batteries. Any special needs such as hearing aids and spare batteries, glasses or mobility aids. Emergency water and easy-to-carry food rations such as energy bars and dried foods in case there are delays in reaching a welfare centre or a place where you might find support. If you have any special dietary requirements, ensure you have extra supplies. First aid kit and essential medicines. Essential items for infants or young children such as formula and food, nappies and a favourite toy. Change of clothes (wind/waterproof clothing and strong outdoor shoes). Toiletries towel, soap, toothbrush, sanitary items, toilet paper. Blankets or sleeping bags. Face or dust masks. Pet supplies. Include copies of important documents in your grab bag: identification (birth and marriage certificates, driver s licences, passports), financial documents (insurance policies, bank accounts), and precious family photos.
