1 Program Guide STEP-BY-STEP INSTRUCTIONS INSTRUCTIONS STEP-BY-STEP FOR AA SUCCESSFUL SUCCESSFUL FUNDRAISER FUNDRAISER FOR Your days are busy so we re always working to make Art to Remember fundraisers as easy as possible.

2 YOUR STARTER KIT... contains everything you need to run a successful fundraiser including: Art paper 2 UPS labels one marked ARTWORK one marked ORDERS Promotional kit: Sample products Posters Parent announcement flyer If you ever have questions, experienced help is just a phone call or away. We ll also send you friendly reminders to help you keep your fundraiser on track. Keys to a Successful Program Create colorful, fun artwork that parents want to preserve. Promote your program. More promotion = More school profit! Generate excitement with your students. Get off to the best start: us your class lists for student labels. The class list is essential. It makes your fundraiser easier to manage. The list should include each student s preferred first (e.g., Beth for Elizabeth) and last name, homeroom teacher and grade. Excel format is strongly encouraged to ensure accuracy of names. If there are privacy concerns, please contact us. We will create student labels, including blank labels for additional students, and send them to you. Art to Remember takes you from start to finish in five simple steps.

3 STEP ONE: CREATE ARTWORK Using our recommended art materials will result in more vibrant keepsake products. Follow these Art Guidelines and your students will create art their parents will treasure. Our best recommendations: Use art paper provided in starter kit Use bright, bold colors Fill the entire page with color Create horizontal OR vertical artwork Place each student s label on the back of his/her artwork in the upper left corner to indicate orientation Mediums: markers, tempera paint, water color, oil paint, crayons (don t use Construction Gray ) Dates, names and other important details must be at least 1 from the edge of the paper or they may not appear on products Things to avoid for this project: Don t use construction paper Don t create scratch art Don t use photographs, magazine cut-outs or copyrighted images Don t write on back of art paper; it may show through unless done lightly in pencil Don t put label on the front of completed artwork Don t use: oil pastels, colored pencil or sketching pencils, fluorescent colors, highlighters, metallics, chalk, 3D materials (e.g., sand, salt, glitter), or Construction Gray crayon Don t write names or dates on the edge of the art paper Don t add borders LESSON PLANS AVAILABLE AT ArtToRemember.com/ lesson-plans

4 TIPS FOR SUCCESS: things to do while your students are creating their masterpieces. Promote your program. Display the posters from your starter kit around the school where students will see them. Include information about the fundraiser and deadlines in daily school announcements. Generate excitement with your students: Create a display in your school using the sample products in your starter kit. Hold a competition for the grade/class with the most orders. Reward ideas: pizza party, no school uniform day, lunch with the art teacher. Set a school-wide participation goal and reward the entire school with popsicles or popcorn or another incentive you know will excite your students. Copy the parent announcement letter from your starter kit and send it home with your students. Provide information about the fundraiser on/in your school website, Facebook page, newsletters, voic s and other school communications. If you run a contest, post regular updates and include photos of students working on their art to really draw attention to your posts. 5 STEP TWO: SHIP ARTWORK TO US Place each student s label on the back of his/her completed artwork in the upper left corner to indicate orientation. Blank labels are included in your starter kit for additional participants. Each barcoded label is assigned to a specific student. Do not cross out names and use an assigned label for a different student. Sort your artwork by class, put it in a plastic bag to avoid water damage, package it and use the UPS shipping label included in your starter kit marked ARTWORK. Give the package to any UPS driver OR take it to a UPS Store, Staples, Office Max or other UPS authorized facility. The shipping is FREE you just need to get it to UPS and they ll take care of the rest. If you have any questions about shipping, do NOT contact UPS directly. Contact Art to Remember at (800) What happens if students are late with their art? If you have students who did not complete their artwork in time for your shipment, hold on to their art and let your Art to Remember Program Coordinator know right away. We will you a blank order form and a product brochure for these students. Print both and send home with the child s artwork so we can process the order with the rest of the school. PLEASE STAY ON SCHEDULE! If we do not receive your school s artwork or orders on the dates in your Program Confirmation Form, delivery of your products may be delayed and will not be guaranteed for a specific date.

6 STEP THREE: SEND HOME PERSONALIZED ORDER FORMS You will receive personalized student order forms organized by classroom. Please remind your classroom teachers to ensure each student receives his/her own order form. Announce to students, teachers, and parents when orders are due back to school and send each student home with his/her personalized order form. Spanish instructions will be ed to you when order forms are shipped to school. A blank order form and product brochure for additional participates (new students, late artwork, etc.) will be ed to you when your order forms are shipped. Make sure parents know to make checks payable to your school or parent group. ONLINE ORDERING FOR PARENTS! Parents can order online using the online order code located on the personalized order form. We handle payment and will include a credit for online payments on your final invoice. Products ordered online will be shipped to your school with the rest of your order.

7 STEP FOUR: SHIP ORDERS TO US When you receive the completed order forms, remove all payments and deposit them. DO NOT send payment to Art to Remember. If you receive a check mistakenly made payable to us, send it with your orders and we ll credit that amount on your invoice. Class Record Sheets are included with your order forms. Use them to record your orders and help us ensure accuracy. Send the completed class record sheets with your orders and keep a copy for your records. Use the UPS label included in your starter kit marked ORDERS. Give your shipment to any UPS driver OR take it to a UPS Store, Staples, Office Max or other UPS authorized facility. The shipping is FREE you just need to get it to UPS and they ll take care of the rest. Late orders? Gather late orders together and send them to us in one group. We will ship one group of late orders at no charge. Additional late orders will incur normal shipping charges. No specific delivery date can be promised for late orders. STEP FIVE: DISTRIBUTE PRODUCTS We package keepsake products by student and homeroom making them easy to hand out! No payment is due until AFTER your program is complete. We ll send an invoice via when your products are shipped.
