The Microlise Proof of Delivery product is a paperless solution that improves delivery or collection accuracy, enhances customer service and reduces administration and management overhead. The driver s life is made easier with an app that provides information about delivery and collection schedules, includes route guidance, allows tasks to be simply managed, and provides integrated telephone support with phonebook. Deliveries are accurately managed including barcode scanning, signature and image capture. Customer service is enhanced by providing on-line access to electronic delivery notes and allowing customer service personnel to instantly access both live and historic delivery information. The invoicing process is also sped up, with real-time data on the status of deliveries.

5 5 PROOF OF DELIVERY BENEFITS REDUCE ERRORS & IMPROVE ACCURACY Drivers are taken through a systematic set of steps for every delivery or collection. As the driver is asked to step through defined tasks and capture specific and validated pieces of information, variation is removed. These tasks can relate to both planned deliveries and collections, as well as other tasks, whether they be mandatory or adhoc. For every issue, the driver will typically choose pre-defined reason codes (these can be varied per customer or contract) and asked to capture signatures and images. The removal of paperwork and guaranteed delivery of captured data, means information cannot be lost. Variability in schedules and routes is also reduced as the app will provide the driver with all the information they need with regard to the planned schedule and route. Built in navigation will even guide the driver down a specific route if required. Debrief on the go on the terminal will prompt the driver to explain why they have deviated from either the route or schedule thereby improving accuracy of deliveries as well as the journey itself.

6 6 PROOF OF DELIVERY BENEFITS REMOVE PAPERWORK & REKEYING OR SCANNING All of the information the driver needs can be held on the mobile device. Whether using tablet or smartphone, information on schedules, planned routes, customer information and manifest, including information all the way to item level, is held on the device. Likewise, everything the driver would normally capture on a paper delivery note can be captured electronically (and much more as well). Easily confirm delivery or collection, either manually or via scanning consignments or items. Make adjustments on the device and explain, using standard reason codes, why the change had been made. The application allows the customer (and the driver if required) to sign for the delivery, collection or completion of a mandatory task. Additionally, the application allows photos to be captured, for example for damaged goods or proof of attendance (in the case of unattended deliveries for example)+ All of the captured data is transmitted immediately to the Microlise host system where it is accessible via the Transport Management Centre web app, forwarded into customer s own systems, with electronic delivery notes automatically created which can be accessed online by customer services and customers alike.

7 7 PROOF OF DELIVERY BENEFITS ENHANCE CUSTOMER SERVICE EXPERIENCE Proof of Delivery improves accuracy by taking drivers through systematic delivery processes, removing the need for any writing. All captured data is sent to customer systems immediately after the delivery is completed. If the driver is out of coverage, the data is securely stored until the device is next back in cellular coverage. This means the customer service team has all of the accurate and clear deliver information in the Microlise host system in near real-time. There is no requirement for re-keying or scanning. Data is typically automatically past into other accounting systems as required to immediately trigger invoicing or order reconciliation. Electronic delivery notes are immediately created within the Microlise system (typically in the form of non-editable PDF s) which can be configured to match a current delivery note design. These are stored on-line and can be accessed by customer services, accounts and even the customer via either a Microlise web portal or the clients own systems.

8 8 PROOF OF DELIVERY BENEFITS ENABLE THE DRIVER TO BECOME MORE EFFICIENT Any number of tasks can be configured on the host end and updated automatically. These tasks can be executed by the driver at any point during the journey and may be mandatory, for example pre-journey vehicle inspections or door seal checks. Tasks may also be adhoc en-route or on-site tasks, for example, recording that they have been stopped by the DVSA, received a parking ticket or checked their load is secured. Any task can be configured to require the driver to provide a sign on glass signature or even take supporting photographs. The driver can easily do all these tasks on the device, with no need for paperwork. The operation benefits in that, again, they are consistently and systematically capturing information which is instantly and readily accessible after the event.

9 9 PROOF OF DELIVERY BENEFITS STREAMLINE COMPLIANCE Pre-departure vehicle checks are a configurable set of tasks used widely by Microlise Proof of Delivery customers. The process is invariably set as a mandatory task and can be configured to include any check you wish the driver to conduct on the vehicle. Importantly, the tasks can be set to pass by default, where the driver is looking for exceptions, which speeds up the process. That said, the check, with all tasks, is date & time stamped and usually mandates the driver signs for their inspection. Any defects can be captured and pictures taken as required. The results of the checks are transmitted back to the Microlise host system where they are stored for future reference. They can also be exported into third party fleet systems as required. Crucially, the check results are also stored in a non-editable form on the device to be presented upon request if stopped by the police or for a DVSA check.

10 10 PROOF OF DELIVERY BENEFITS COST-EFFECTIVE SUB-CONTRACTOR INTEGRATION Own fleet and sub-contract users to have access to the same functionality albeit sometimes on different hand held devices. Microlise s SmartPOD application can be downloaded to a Smartphone from Android app store and used by subcontractors, with little or no training, just like one or your own drivers. This means delivery & collection data ends up in your systems in the same way, without additional scanning or rekeying or any of the other attendant problems with paperwork. There is no licence fee, but a small charge is incurred per completed delivery or collection. The application also supports tracking via the Smartphone so routes can be tracked as though the sub-contractor had a Microlise telematics device fitted to their vehicle.

11 11 PROOF OF DELIVERY BENEFITS LOW COST MESSAGING & VOICE COMMUNICATIONS Proof of Delivery provides comprehensive messaging support between management in the depots and drivers on the road. Pre-formatted or free text messages can be sent to individual or groups of drivers or vehicles. The system records and reports when messages are sent, received and read. In the vehicle, the driver will receive an audible prompt that a new message has been received. They will not be able to interact with the application until the vehicle is stationary, to ensure safety. This same logic applies to route, schedule and manifest changes and any new tasks they may receive. Microlise s DriveTab also supports making voice calls. Typically, customers will lock down the DriveTab, providing the driver with either a fixed telephone directory or one that is updated with contact numbers for any deliveries being carried out. In this way, customers have seen significant reductions in phone bills as the DriveTab can only be used for work related calls. Again, the application can be configured such that calls can only be taken or made when the vehicle is stationary.

12 12 MULTI-PLATFORM SUPPORT Operating Systems Proof of Delivery can be run on devices running either Android or Windows Mobile. For Android devices, the SmartPOD app can be downloaded from the Google Play store, while the Microlise Mobile Workforce Solution caters for Windows Mobile users. Devices In addition to use through multiple operating systems, Proof of Delivery can also be run through multiple devices. Proof of Delivery caters for both users of smartphones and tablets, to ensure easy integration with any fleet. MICROLISE DRIVETAB Ruggedised & fit for purpose The Microlise DriveTab device is a 7 inch ruggedised tablet, designed specifically for fleet users. DriveTab runs on the Android operating system, and offers fleet operators comprehensive control over how the device is used, to ensure only appropriate use. Real-time driving style feedback For fleets running with a Microlise telematics tracking device, the DriveTab device can run the Driver Feedback Module, providing drivers with real-time feedback on their driving style. Drivers are alerted before an infringement (such as speeding) is recorded, to allow action to be taken, and when an infringmetnt is recorded. Drivers can also access debrief reports to help them undertsand their driving performance.
