Total cost of ownership: a definition. For businesses in the market for technology solutions while simultaneously under pressure to cut costs, total cost of ownership (TCO) can be an important consideration. Pioneered by Gartner in the 1980s, TCO gives businesses a tool for going beyond merely comparing price tags to estimating the actual costs that will be incurred across a given product s lifecycle. TCO looks to measure all the costs associated with the product, directly and indirectly, to get to its fully burdened cost. A good TCO analysis includes estimates of implementation and integration costs; training costs; support and maintenance costs; security and risk-management costs; costs associated with administering the system; and costs associated with refreshing, retiring, or replacing the product at the end of its lifecycle. The other side of the coin: Total benefits of ownership. The flipside of TCO, is the total benefits of ownership (TBO) analysis an estimate of all the value that will accrue to a business, directly and indirectly, as a result of the purchase of a given product. This can include operational cost savings, productivity improvements, enhancements to a business s ability to compete, greater employee retention, increased brand equity and expanding sales reach, for example, a small company can now have global reach without the costs of travel. Only looking at initial costs of a web conferencing service leads to a solution that can be more expensive and that fails to meet business needs For web conferencing solutions, as an example, the biggest benefits can include reduced direct travel costs as well as productivity gains resulting from the ability to conduct virtual meetings, sales presentations, and training sessions and manage distributed workforces remotely. How to make smart purchasing decisions. To make smart technology purchasing decisions, it s important to understand your business requirements exactly to know what benefits you really need, and how much they re worth to you. If you re at Company X, for example, you might place a particularly high value on a product s customizability on the way it allows you to create a branded version of the product for use with prospects, partners, customers, or clients. If you re at Company Y, on the other hand, you might not care at all about customizability; instead, you might place more value on the product s data-storage capabilities, or its security features, or its ease of use.
If you don t understand your business requirements if you can t conduct a meaningful comparison of TCO and TBO you ll probably end up wasting money on features you don t really need or missing out on (or having to pay extra for) features you really do need. Find hidden costs to get to true web conferencing TCO. Increasingly, businesses are turning to software-as-a-service (SaaS) solutions, such as Adobe Connect, Fuze Meeting, GoToMeeting, and WebEx, to meet their web conferencing needs. With SaaS solutions, businesses can avoid the major hardware, implementation and integration, ongoing IT maintenance and repair, and eventual replacement or upgrade costs typically associated with on-premises solutions. On the benefits side of the ledger, in the web conferencing space, SaaS equates to 24/7 accessibility, no matter where meeting participants may be, as long as they have internet access. Not all SaaS solutions are the same and can create compatibility issues and additional operational costs But even among SaaS web conferencing solutions, there are important distinctions in TCO. Beyond differences in upfront cost (typically, the monthly per-user cost to access a solution), different solutions can come with different implementation and integration, user training, data storage, user and data administration, and operational costs. For instance, one solution may not be usable with the web browser your company currently uses meaning it comes with costs associated with downloading and installing new browsers for everyone in the company. Another solution may not come with standalone audio conferencing, meaning higher costs if you decide you need both web conferencing and audio conferencing functionality, a common requirement for many companies. And another may not include features designed to ensure that everyone invited to a meeting actually shows up, or may be more difficult to use; either way, the result is higher costs associated with lower user productivity. In every case, it s important to look beyond the initial price when evaluating web conferencing solutions, to find opportunity costs as well as other costs hidden across the product lifecycle. Why Fuze Meeting? Lower TCO, higher ROI. The first thing you notice about Fuze Meeting may well be its low price starting at $29 per user per month, the standard base price for Fuze Meeting is considerably
lower than the $50 or $100 or $150 per-user monthly price of competing web conferencing solutions. But Fuze Meeting also comes with feature set designed to allow users to maximize productivity and minimize costs. Consider the following: Fuze Meeting is easier to use than other web conferencing solutions Fuze Meeting is platform- and browser-agnostic, so anyone can access it without having to download a single file or install a single application Fuze Meeting comes with more space to store data than other solutions With Fuze Meeting, customize your meeting pages to support your brand Fuze Meeting s Fetch feature and integration with Twitter result in better meeting attendance than other solutions make possible Fuze includes free, UNLIMITED toll audio and skype-in. At $.08 per minute, Fuze Meeting is also significantly lower for toll-free calls than its competitors. Lastly Fuze Meeting is much more cost effective for those requiring international call rates. The bottom line? Lower TCO. Greater return on investment. Fuze Meeting vs. the competition: A hypothetical case study. Want proof that Fuze Meeting can help you meet your virtual meeting needs with a minimal TCO? Consider the following hypothetical scenario, with cost data taken directly from actual bills from Fuze Meeting and other web conferencing providers: Fuze Meeting provides the best of web and audio conferencing, while offering a low TCO Imaginary, Inc., is looking for a web conferencing solution for use by 35 of its employees. It plans to use the solution for several purposes: to conduct sales presentations to prospective customers, to train its workforce, and to conduct virtual meetings among distributed teams. To optimize its brand, it wants the ability to create a branded web conferencing experience. Experience shows that a stronger brand can increase sales. Experience also shows that the higher the quality of the content files Imaginary, Inc., can share in sales presentations, the more sales it will make; each sale is worth $5,000. Many in Imaginary s workforce are on the move frequently, so mobile access to web conferences will result in measurable productivity gains. Imaginary, Inc., will need 10 gigabytes of storage for all its big content files. Imaginary will use 10,000 telephony minutes per month. It also needs a standalone audio conferencing solution.
What will be the six-month TCO for Fuze Meeting versus other conferencing solutions? Consider the following costs: o Base price (monthly per-user price * number of users * 6) o Telephony toll fees (minutes * price/minute * 6) o Storage o Stand-alone audio conferencing o Productivity opportunity cost (hours wasted * $120) o Sales opportunity cost (missed sales * $5,000) Example of a Total Cost of Ownership Analysis Fuze Meeting Vendor A Vendor B (Audio Conferencing Only) Base price $6,090 1 $10,290 7 $0 Telephony toll fees $0 2 $6,000 8 $0 Storage $1,890 3 $0 9 $0 Audio conferencing solution $0 4 $0 10 $15, Productivity opportunity cost $0 5 $36, $0 Sales opportunity cost $0 6 $30, $0 TCO $7,980 $82,290 $15,750 7 As you can clearly see, whether comparing Fuze Meeting to a similar web conferencing provider or a stand-alone audio conferencing service, the TCO is significantly lower. Fuze Meeting goes beyond just having an attractive price point to offering a clear advantage in terms of direct and indirect costs incurred 1 Fuze Meeting base price for Personal package is $29/month/user 2 Fuze Meeting offers free, unlimited toll audio and $.08/min for toll-free. 3 Fuze Meeting Personal package offers 2GB of free storage. $9/month for each additional 5 GB of storage. 4 Fuze Meeting comes with audio conferencing can be used for web conferencing with integrated telephony or as a stand-alone audio conferencing service. 5 Thanks to its mobile integration and Fetch feature, Fuze Meeting optimizes productivity in this scenario by eliminating rescheduling of meetings or meetings that start late. In addition, Fuze Meeting allows attendees a one-click, pain-free way to attend meetings. Resulting in more efficient meetings and greater productivity. 6 Because Fuze Meeting supports the highest-quality content among vendors in this scenario, using the product optimizes sales efforts, and no sales are lost. Check out Fuze Meeting s white paper Better Content. Better Meetings. More Sales 7 Vendor A s base price is $49 per month per user. 8 Vendor A charges $0.10 per minute. 9 Vendor A offers 10G of free storage. 10 Like Fuze Meeting, Vendor A offers a free audio conferencing solution. 11 Because Vendor A does not support mobile devices, in this scenario Company XImaginary, Inc productivity will decrease by 50 man-hours per month if it chooses Vendor A. 12 Because Vendor A only supports average-quality content sharing, in this scenario, in this scenario it will lose out on one sale per month. 13 Vendor B s audio conferencing at $.15/min for 1000 minutes/employee.
throughout the product lifecycle. In other words, when it comes to web conferencing, Fuze Meeting makes it simple minimize TCO, optimize productivity, and maximize ROI. About Fuze Meeting. Fuze Meeting is an affordable, easy-to-use web conferencing solution featuring an intuitive interface and a secure environment enabling meeting and presentation hosts and attendees to view and collaborate on content via desktop and richmedia-file sharing.
