1 Position Reports to LIMS Administrator Laboratory Systems Specialist Company Synlait Milk Ltd Date: October 2014 Location 1028 Heslerton Road, Dunsandel, Canterbury Purpose The new laboratory requires the establishment of a Laboratory Information Management System (LIMS), and this role is to support the Laboratory Systems Specialist to work with software suppliers of LIMS to manage the successful implementation of the system and support it over its lifetime. LIMS functions include sample registration, testing and record keeping, reporting, third-party software interfaces, chemical and consumable tracking, and an equipment maintenance and calibration system. Laboratory and production staff will require training with the LIMS and on-going refresher training. Setting up product specifications for in process and final product testing and on-going system maintenance and issue management will be a key responsibility of the role. The Laboratory will be an ISO certified laboratory; the role will work with key stakeholders to ensure successful implementation and maintenance is achieved. 2 Laboratory Services Use and implement LIMS effectively Ensure that all LIMS amendments and progress are communicated efficiently and effectively Ensure LIMS is maintained to meet requirements as per ISO Support peers to establish and maintain documentation in compliance with ISO Ensure all customer (internal and external) issues relating to the LIMS are managed effectively and efficiently in a timely manner. Provide support and training on the LIMS for the laboratory staff and other staff as required. Maintain regular support to the Quality and Manufacturing teams to enhance quality and safety. Participate in method verification or validation, equipment qualification, calibration, cleaning and maintenance associated with LIMS. Support the Laboratory Systems Specialist to write and revise documents, procedures and SOPs related to LIMS and SH&E. Monitor Quality trends and abnormalities and report through to the Laboratory Systems Specialist with relevant corrective action. Keep informed on all LIMS update from the system supplier and apply changes as required. Document Administration Act as departmental document coordinator to assist department document authors to create, manage and archive documentation Perform administrative tasks in document control process Leadership Deputise for the Laboratory Systems Specialist during their absence LIMS Administrator PD October 2014 Page 2 of 8

3 Health and Safety Understand and implement the Health and Safety policy. Establish safe working practise at all times. Motivate team members to comply with and participate in best practice principles. Participate in Health and Safety training for the lab such as spill response, first aid and fire warden and there is always a member each of these three groups present when the work is done in the lab. Ensure all injuries, accidents and near miss are reported through the designated H &S process. Quality Assurance / Risk management Gain and maintain ISO accreditation for the Laboratory. Conduct internal audits for the LIMS and SH&E as per ISO standards. Act to immediately close any relevant NCs raised in any customer or regulatory audits. Comply with all relevant company policies and delegations Comply with all Quality Assurance / ISO systems Team Work Work with others to contribute to team and group outcomes; accept responsibility for tasks and activities Demonstrate active support of Synlait Milk values and exhibit behaviours that are consistent with them Keep up-to-date with business developments in the company and gain an understanding of the company s vision, mission and strategy. Remain abreast of current industry related trends, practices and disciplines and undertake regular updates in either competency training or changes in law as required. 7 Qualifications, Skills and Experience Qualifications: Tertiary qualification in Science. Experience: At least 2 years experience in an ISO17025 food testing laboratory, using a LIMS based system. Dairy experience being preferable Experience with training staff in quality systems Experience in leading, coaching and motivating staff Competent technical and IT skills Knowledge of cglp and cgmp Hands on experience on dealing with SH&E issues and writing SOPs. Able to conduct laboratory internal audits and has a Sound knowledge of ISO Experience in collaborating with various functional roles within the organization to solve problems, develop solutions, develop strategies and execute action plans to resolve critical issues. Experience in laboratory procurement system is preferable. Skills: Strong capability in problem solving and decision making Excellent written and oral communication skills. Proven ability to work under pressure and regularly meets deadlines in a multi-tasking environment. Excellent customer relationship management skills Strong skills in organising, planning and prioritising Effective organiser with self-motivation and the ability to motivate others. Computer literacy in MS Word. Excel, Powerpoint Ability to work competently and effectively on your own and as a team member. Health & Safety 1.
