2 ELIGIBILITY INSTRUCTIONS The IDIBC Awards of Excellence are an annual awards program that recognize those who have demonstrated excellence and leadership in interior design. The submission process evolves and can change from year to year. Please do not assume that any of the instructions are the same as the last time you entered. Review all materials carefully. Designated Entrants: All Registered members in good standing are invited to submit projects. Projects must be submitted by the designated entrant who is the lead interior designer on the project. The designated entrant is the one who had significant responsibility and influence on the design direction, project process, and final outcome. When project responsibilities are equally shared, more than one Registered member can be listed as the designated entrant. The designated entrant(s) must accept responsibility for the accuracy of all information submitted. By participating in the Awards, the designated entrant(s) acknowledge that the work submitted is their own, or was completed under their direct supervision. Designated entrants must be members in good standing of IDIBC at the time of submission. Project Entrants: All IDIBC members, having made a significant contribution to the project as part of the design team, must be listed. This includes those individuals who are no longer employed with the design firm holding rights to the project. Project entrants must be members in good standing of IDIBC at the time of submission. Project Collaborators: If the project is a collaborative (multi-disciplinary) project, the designated entrant must indicate and clearly define his or her contribution, in addition to the creative collaboration of other professionals (e.g., architects, engineers, contractors, artists, crafts persons etc.) Scope of Work: The submission categories encompass the complete scope of work of interior design professionals. If the project is a chain store or branch office, the designer who developed the original corporate or retail standard is the only person permitted to submit the entry. Eligible projects are interior design projects completed between January 1, 2014 and December 31, 2014; published or unpublished. Projects entered in prior IDIBC Awards of Excellence are not eligible. IDIBC 2

3 reserves the right not to award in any category if projects submitted are deemed without sufficient merit. Complete rules and requirements are outlined in this Submission Kit. SUBMISSION INSTRUCTIONS Please carefully review all the rules and regulations outlined in this kit. Submissions must adhere to all restrictions with respect to word limits, line spacing, font size, and photo requirements. It is important to provide the judges with material that is as easy to evaluate as possible. Entries that do not conform to the specifications outlined in this kit will be disqualified. 1. Select a category (For a list of categories, please see Appendix A) Select the one category for your project that best reflects the scope of work involved in your project. You can divide your project into stand-alone components (see example below) and submit these into additional categories, up to a maximum of two, in addition to the main category. Each submission requires a separate entry kit. Example: John Smith, Interior Designer, decides to submit his recently completed shopping centre project for consideration. His project includes a full-service restaurant component. a) First, John decides to enter the shopping centre in Category 6, Retail & Kiosks b) John decides to divide the shopping centre into a separate, stand-alone component and submit the restaurant into Category 10, Food & Beverage c) John also decides to enter the restaurant s millwork counter component, again separately, under Category 11, Specialty Design. 2. Complete your Identification Information Form 3. Complete your Project Description Form The judges will use the information in the Project Description form to evaluate your entry. Do not reference the project s interior designer and/or design firm on the Project Description Stay within the allotted word count limits and use a minimum of 11 point font All information must be typed on the Word document provided Bullet point answers are acceptable Please do not use staples in your submission. 4. Submit a Preconstruction Floor Plan & Final Space Plan The plans will be used by the judges to help evaluate your entry. 3

4 The plans must represent the entire area submitted for judging Clearly indicate with arrows the views on the plans that are represented in the digital images (ex. view from main entrance) by marking the number of the image in the appropriate location on the plan For projects with multiple levels, you may submit plans for each unique floor. Please submit only one plan for each typical floor. The total number of plans should be relative to the size of your project Do not reference the project s interior designer and/or design firm, but ensure the project name and category is indicated on the plans Submit hard copies of all plans in your binder; no digital copies are required 5. Submit Project Images Submit up to five (5) before images, if applicable, and up to ten (10) after images that best reflect your scope of work. Include digital copies on your CD. The judges will use the images to evaluate your entry, so ensure that they are high resolution (300 dpi) and full-colour. Each image must be labeled with your project name, followed by the category and image number (ex. Project Name_3_1.jpg). Please label before images with the project name, followed by image order and the word before (ex. Project Name_3_1_Before.jpg). For more information about images, please see Appendix B. 6. Complete Copyright Consent Form Read carefully, then complete, sign and date Section I and Section II of the Copyright Consent form. Please note: You may need to have this form completed and signed by others. Please review this section and allow time to do so. 7. Key Suppliers Please complete the Key Suppliers form and submit a digital copy on your CD. You do not need to submit a hard copy of the Key Suppliers form. Suppliers will be contacted by Design Quarterly magazine for advertising opportunities. Please note: it is the responsibility of the applicant to inform suppliers that they may be contacted by Design Quarterly magazine. 8. Complete Terms and Conditions Form Read carefully, then sign and date the Terms and Conditions form. If there are two or more entrants, all designated entrants must sign and date the Terms and Conditions form. 4

Complete Payment Form, review your entry and submit by the deadline SUBMISSION CHECKLIST Have you removed ALL references to the project s interior designer and design firm, except on the Identification Form? Leaving the interior designer s or the firm name in the Project Description, or plans submitted may result in the immediate disqualification of your entry. Do the images you ve submitted reflect the scope of work? Are your binder and CD labeled with the project name and category? The information in the award-winning kit, including photographs, will be used for promotional purposes in association with IDIBC. Please ensure that your client(s) and any third-party copyright owners are made aware of this in advance. 5

Bullet points are an acceptable format. Residential: This category includes new or renovated areas within a private residence, such as a house, condominium, loft, apartment and vacation home. 2. Residential Partial: This category includes small scale new or renovated areas within a private residence, such as a house, condominium, loft, apartment and vacation home. The area must be a new addition of 500 sf or less, or a partial renovation to existing residence. 3. Multi Residential and Sales (Marketing) Centre: This category includes suites, lobbies and private function spaces created within condominiums. Facilities, whether temporary or permanent, that serve as a promotional tool in the selling or leasing of residential or commercial space including showrooms, exhibition spaces, model rooms, and model homes. 4. Workplace Total: This category requires the inclusion of staff workplaces, reception areas, meeting rooms, utility areas or other areas to the extent that the total workplace is represented. 5. Workplace Partial: This category includes workplaces where only a portion of the space is new or renovated. It also includes unique projects of any size not covered in the category above, such as training rooms, networking areas, lounges, etc. 6. Retail & Kiosks: This category includes retail establishments open to the general public, whether freestanding, within a building, or as part of a shopping centre. Also included in this category are the interiors of freestanding shopping centres or shopping centre concourses, whether new construction or a renovation. 7. Healthcare & Personal Service Facilities: This category includes all healthcare facilities; including, hospitals, clinics, research centres, therapeutic and geriatric facilities, medical offices and dental facilities. Personal Service includes facilities such as hair salons, etc. 8. Public & Institutional Spaces: This category includes places of assembly occupancy, such as schools, universities, daycare centres, museums, theatres, public art galleries, public auditoriums, airports, courthouses, correctional facilities and places of worship. 9. Hospitality: This category includes hotel rooms, suites, lobbies and private function spaces created 17

18 within hotels, motels or inns. Also included in this category are spas, fitness facilities, and clubhouses, whether freestanding or within a building. 10. Food and Beverage: This category includes food kiosks, food court spaces, restaurants, coffee shops, private or public clubs, cocktail lounges, bars and nightclubs. 11. Specialty Design: This category includes custom-designed millwork, furniture, lighting, way finding, branding and products, designed as part of an interior design project. 18

19 APPENDIX B: PROJECT IMAGES Submit up to five (5) before images, if applicable, and up to ten (10) after images that reflect your scope of work. Include digital copies on your CD. Before images are optional. Please submit before images if applicable to the scope of your project. Amateur photos are acceptable for before images. Digital images must be high-resolution JPEGs (300 dpi) and must be no larger than 8 x10. Images should include both portrait and landscape shots The images should reflect the total scope of work of the project, as described in your Project Description The images must reflect your involvement in the project Save each digital image by the project name, category and image number. Please use the following example: Project Name_3_1.jpg (This is being entered in category 3 and is the first image). Please use the following example to label before images: Project Name_3_1_Before.jpg. Make sure your photos tell the design story Credit the photographer in the space provided on your entry form Make sure that every copyright owner of photographs submitted as part of the entry form has completed a consent form. 19

20 APPENDIX C: THE JUDGING PROCESS Each entry is judged on its own merit by a panel of representatives from the interior design industry. Judging is based primarily on three main categories: Strategies Employed, Overall Creativity, and Project Results. The weights assigned to each category are as follows: 30 per cent Strategies Employed 30 per cent Overall Creativity 30 per cent Project Results 10 per cent Juror s Interpretation 100 per cent Total Possible Points The awards are given in each category as follows: Awards of Excellence (90 to 100 per cent) Award of Merit (75 to 89 per cent) The judging process is confidential and facilitated by staff. Judges will not know the identity of entrants. Individuals who submit projects for consideration, or whose firm submits projects for consideration, are not permitted to sit on the SHINE Awards jury. Robert Ledingham Award The Robert Ledingham Award may be given to an Award of Excellence winner at the discretion of the judges. The successful project must demonstrate comprehensive, in-depth and innovative use of interior design disciplines and recognize the health, safety and well-being of the public. Awards Presentations: All IDIBC members on the project team will be recognized on every certificate. Three awards certificates will be printed at no additional charge: one for the Registered interior designer, one for the firm, and one for your client. Additional copies of the certificate may be purchased, although only one iteration of the certificate will be issued. Winners will be notified prior to the presentation ceremony, which will take 20

21 place in September. Winners are encouraged to invite clients and team members to the presentation ceremony. APPENDIX D: ADDITIONAL AWARDS CERTIFICATES FORM If additional certificates are required, please provide a credit card number below, or include a cheque, payable to IDIBC, with your submission. Each award includes three certificates at no charge: one for the Registered Interior Designer, one for the firm, and one for your client. Awards certificates will include the names of all RIDs to be recognized. Although additional certificates can be purchased, only one iteration of the certificate will be issued per award.
