1 TOUR Cuba January 2017 Forms We need the following items from every person going on tour. Some need to be notarized. Some banks (TD Bank) will do notarizations for free whether you re a member or not. Please turn these in immediately! 1. Parental Consent/Release of Claims. Boys under 18 have the Parental Consent form. Adults 18 and over have a Release of Claims form. These must be notarized! If you are under 18, both parents must sign. See the back of the form for instructions, especially those with only one parent. 2. Passport Application Permission. This is only for boys under 16 years old and allows us to apply for a passport on behalf of your son in case his passport is lost. You need one separate copy for EACH parent you cannot have two parents sign on one form. These must be notarized. Also, please make a photocopy of the front and back of both parents ID the ID you used for the notary. Please make these ID copies all on ONE sheet of paper and hand that in with these forms. 3. Medical Fact Sheet. If you turned this in before, you do not need to do it again. Fill the form thoroughly and then photocopy the front and back of your medical insurance card onto the back of the form. Please make sure all of this is on one sheet of paper. If you need to write more information, please do so on the back of the form (around your insurance card). Visa Explanation When Americans travel to Cuba, they need to get a visa, which is essentially permission to enter Cuba and return to America. To get the visa, you must to go the Cuban Embassy in DC with your passport and pay the visa fee. Our Cuban liaison, Board member Jorge Fernandez, has taken care of getting all the visas. The fee has been included in the total tour cost. Health Issues Vaccines: Everyone needs to make sure their Hepatitis A and B and Tetanus immunizations are current. Tetanus should be within the past 5 years. In addition, it is highly recommended that everyone get a Typhoid Fever vaccination. It is a single shot that should be given at least two weeks prior to tour. Insect borne diseases: There are some diseases in Cuba that are transmitted by insects (mosquitoes), so we will want to be sure we are well-protected. Be sure to pack insect repellant. Pack this in your suitcase, because most repellant containers are too large for liquid allowances in carry-on bags. Be sure it s nonaerosol, and also put it in a zip-lock plastic bag. This year, there is concern about the Zika virus. Those who contract the virus might not have any symptoms while in their system, or they can be sick for a few days (fever, rash, joint pain). However, the main concern about the virus is that it can cause birth defects if contracted during pregnancy. Men who contract the virus can also transmit it to women through sexual contact. There are also some concerns of long-term neurological effects, but studies are still being done on this. However, this time of year there are much fewer mosquitos around, so our risks of bug bites are much lower. Of course, we will still do our best to prevent any illness, and will use bug spray when needed. Water: The tap water in Cuba is not drinkable, except in our hotel. We will make sure the boys always have enough water to last them throughout the day. It is easy for boys to get their bottled water bottles mixed up, so in order to prevent boys from spreading germs, everyone must bring a unique water bottle with their name clearly marked on it. Food Allergies: We will be handling the food allergies in a similar fashion as prior tours. Though food allergies are not as common outside the US as they are inside the US, foreign countries have become much more aware of it in very recent years. Many of our meals will be in our hotel, which will have no problems
2 taking care of our food allergy requests. For other meals, we will be in contact with the restaurants to make sure they understand our specific requests. In addition, each boy with food allergies will be given cards (in Spanish) to present to their server. Traveler s Diarrhea: We ask each person get a prescription from your doctor for an antibiotic, have the prescription filled, and bring it on tour. If anyone gets Traveler s Diarrhea on the trip, they will have the medication needed to take care of it. Some doctors do not feel comfortable giving you a prescription just in case ; so if your doctor does not give you a prescription, don t worry about it. However, if you can get one (and get it filled), it could be useful on tour. Toilet Paper: Bring a roll of toilet paper or a small napkin pack, and pack it in your carry-on. Many public places do not have toilet paper! Hotels and restaurants do, but if we re out sightseeing somewhere, you may find the need to use the bathroom, and toilet paper might not be provided. Medications: Parents are to discuss with the chaperone as to whether or not your son can administer himself or if the chaperone needs to administer. Even if the chaperone is not needed to help with medication, be sure he is aware of the medication and routine. Boys that normally are very responsible can easily forget to take their medication when they are on tour and not in their usual routine at home. Any boys that have an inhaler should bring TWO. One should be on his person at all times, and one should be given to his chaperone. Insurance: We need everyone s health insurance information. See Forms for more information. In addition, we have purchased travel health insurance. It is likely that your primary insurance will not be accepted in Cuba; however, we still need the information. The travel insurance we have purchased will definitely be accepted in Cuba. Nurse: We will have a nurse traveling with us for the entire tour. The nurse this year is chorale member Scott Crothamel. He will be available if any of the boys have any kind of medical concerns; if a boy needs to see a doctor or go to the hospital, he will accompany the boy there as well. Itinerary Highlights Performances at the main concert hall in Havana, St. Francis and American Embassy Sightseeing of Old Havana, cigar factory and more Baseball game with Cuban children Visit and performance at children s hospital Staying in Melia Habana five-star hotel Flights Caribbean Sun Airlines charter. We will all meet at PHL (Philadelphia International Airport) Terminal A at 7:30am on Sunday, January 8. See the wardrobe list for attire requirements that day. We return to PHL on Saturday, January 14 at 4:15pm. Gifts for our hosts One of the most special things we did the last time we were in Cuba was to play a baseball game with some of the Cuban children we met. At the end of the game, we gave our baseball gloves to the kids, and they were ecstatic! This year, we would like to ask any boy that is interested in playing baseball to buy a new glove and bring it with him. He can use it for the game and then give it away afterwards. Also, we would like to present something to the children we visit in the children s hospital. We are asking everyone to buy a small toy (stuffed animal?) to give away to the children. Electronics As always, no video games or cell phones will be permitted for the boys on tour. Due to the short length of the trip, audio devices are also not permitted (i-pods, mp3 players, etc). The only electronic devices
3 permitted are cameras. Devices nowadays have a lot of crossover, and we want to be sure that the boys do not have access to play video games when they are supposed to be in their rooms sleeping. All cameras must be stand-alone cameras, not i-pods or other devices. If a boy is found with any device not permitted, he will be punished and the device will be confiscated. Also, for this tour, boys are permitted to bring a laptop or i-pad/tablet only if required for school work. These devices will be kept in the chaperones rooms at all times except during the designated school work hours. Communication with the boys As always, we have a strict policy that boys and parents are not to contact each other at all during tour. There is one basic reason for this: homesickness. Occasionally boys get homesick on tour, and we have various ways of dealing with it the best way is usually to just get their mind off of it as soon as they can start focusing on things besides their parents, they re over it and having a great time. If they are permitted to call or home, it will only increase their homesickness, and sometimes that homesickness can spread to the other boys when they see how sad their friend is! Therefore, the following are prohibited: phone calls, ing, facebook, texting, faxing or any other direct communication. Boys are encouraged to write postcards or letters if they wish. Possession of cell phones is also prohibited on tour. In the past we have dismissed boys from the program due to a violation of these rules. Also, do NOT write little notes to your son and put them in his luggage or carry-on. Though it is certainly a well-intentioned and thoughtful gesture, it has been known to spark homesickness for some of the boys. Communication with PBCC Because of time constraints, it might be difficult to get updates out, so please be patient if several days go by without posting, or if the postings are brief. We will try to post something when we first land in Havana and then any other opportunities we get. These will be sent via to all those who receive High Notes. We will also try to post pictures at this site: You can access this site from the tour page: Also, if there is an emergency involving one of the boys, we will call that boys parent(s). Otherwise, we will not be communicating directly with the individual parents. Please do not send s to staff while we are away. Parents Traveling We do not allow any parents to visit us during tour. In the past, parents who wished to vacation in the same country we are traveling had arranged with Jeff to see one of our concerts or visited us during one of our sightseeing days. However, this created very serious homesickness issues for some of the boys. The parents were very respectful of the situation and stayed within the strict boundaries we set of when to meet us, but as soon as some of the boys saw their parents, the boys broke down and cried, and had homesickness for the whole tour. For this reason, we no longer permit any parents to visit us during tour. If any parent shows up at a concert or somewhere else on tour, we will send their son home with them and he will be dismissed from choir. We want to do everything we can to ensure a great experience for the boys; preventing homesickness is critical, and this rule will help prevent it. If you have a relative or friend who lives in the country we visit, we can arrange a time for that relative or friend to meet us contact Jeff to work it out; the homesickness has only been a problem with a parent or sibling visiting the choir. Weather The weather is expected to be an average high of 79. Wardrobe All boys in the choir must remember their blazer number! It would also be wise to put your name on a card and put it in the pocket. For this tour, the chorale will not be wearing tuxedos, only the blazer uniform. We will be using the choir polo shirts on tour this year (red for choir, blue for chorale). They are the same shirts we used in past years. Everyone is required to have two of these shirts. Read your wardrobe list carefully, as well as the instructions on the back. Shortly before tour, make sure to check all clothes
4 carefully that pants are the proper length, all buttons are sewn well and everything looks good and fits well. Also, be sure to get your hair cut short enough, so you can do the tour without needing another cut. The wardrobe lists outlines how many of each item should be needed. For departure on January 8, everyone will be wearing khaki shorts or pants, a dress or polo shirt (any color), casual shoes, casual belt, casual socks, and their PBCC blazer. This it outlined on the wardrobe list as well. Luggage Your suitcase must be less than 50 pounds, and the three dimensions (LxWxH) must add up to less than 62 inches. Though up to fifty pounds is allowed, be sure that you can carry it! The carry-on must be less than 15 pounds, and the three dimensions must be less than 22 x 14 x 9 (including handle, wheels, pockets). No sharp objects (nail clippers) in carry-on. No candy or gum. If you are bringing liquids that need to be put in your carry-on, they must be stored in containers that are less than 3.4 ounces (100ml), and all those containers must be placed in a clear, sealed plastic bag which is less than 8 x 8. Medications that are required for your flight may be in your carry-on, regardless of size. Electricity Cuba generally uses the same plugs for their appliances, but often run on a higher voltage. If you are using electric items or chargers, you will need a voltage adaptor, which allows you to plug our standard 120 Volt appliances into their 220 Volt outlets. Many appliances sold here can be used in EITHER voltage, so a voltage adaptor is not needed. Look at the plug on the appliance, and see what voltage is indicated. If it says something like 120V 240V, then you only need a plug adaptor. In addition, sometimes their outlets do not accept the polarized plugs (one pin is wider). If you have an appliance with a polarized plug, bring an adaptor. Time Difference There is no time difference between Philadelphia and Cuba. Money Everyone must bring cash on this tour, as US credit and debit cards are not accepted in Cuba. All currency will be exchanged once we re in Cuba it is not possible to get the Cuban currency in the US yet. For this tour, we suggest bringing approximately $250 USD to bring with you for souvenirs and snacks. However, this is completely optional and you can bring any amount. There is a 13% fee for the initial exchange (3% exchange fee, 10% penalty for US currency). Do NOT give your son a shopping list for tour. Sometimes it is difficult to find time to shop, and it becomes VERY difficult if he has a list of things he needs to buy or a list of people for which he needs to buy gifts. It s best to let him enjoy his time and buy what he thinks will be nice memorabilia for him. Tips There is no tipping for service in Cuba, except in resort areas (our hotel). Alcohol The age limit for alcohol consumption in Cuba is 18. However, PBCC uses USA s drinking age (21) when enforcing rules on tour. No person under 21 years old will be permitted to drink alcohol. If a parent feels strongly that his or her son (between 18 and 21) should be permitted to drink alcohol in special situations (a drink indigenous to Cuba), this must be expressed in writing via to Jeff Smith (jsmith@phillyboyschoir.org). Cultural Differences As with all countries we visit, there are some cultural differences of which we should be aware and respectful. We will discuss these with the boys before and during tour. One example is that people in the
5 cities of Cuba will come up to you and ask if you want a photo; they might be in some kind of special costume or demonstrating some kind of talent. If you decide to take a photo with them, they will then expect some kind of compensation (usually $1 will suffice). Pins When we travel, we like to give out friendship pins to people we meet. These pins are basically a USA flag paired with a flag of the country we are visiting. This year, each person will receive four USA-CUBA flag pins. We suggest keeping one as a memento, and giving the others to people you meet on tour. Bus List and Chaperone Groups Everyone has been given the list of their chaperone groups. This list has been carefully made based on the boys and men s specific requests and our knowledge of the different personalities. Do not request any changes we will not be taking any more requests beyond the initial paper we gave out to the boys and men. Though the list was double-checked, if someone finds a mistake, and we placed someone with a boy or man they specifically requested NOT to be with, please let us know. Please connect with your chaperone ASAP. It s important you meet to discuss money, medications, and behavior.
