1 NCMPR District Medallion Awards Call for Entries Deadline for submission: Monday, Aug. 22, 2016 WHO Can Enter The creative effort/concept must have originated from a community or technical college or district or state governing organization for two-year colleges. Do not submit entries through an ad agency; make submissions through a college, district or state governing association only. WHAT to Enter Entries must have been published, broadcast, displayed and used between Oct. 1, 2015, and July 31, Entries must be new designs or publications in the entry year; those that represent previously submitted work with minor modiiications will be disqualiiied. Entries must be original, creative work, without the use of templates that can be customized for individual college use. A contestant may submit as many entries in each category as desired. The same entry may not be submitted in two separate categories except as noted. HOW to Enter Medallion entries will be submitted using the BetterBNC Media Awards Platform. Here are detailed directions for preparing and submitting entries. If you have questions, please contact Kimberlee LaPray, or klapray@csi.edu. IMPORTANT: BetterBNC is optimized for the Google Chrome browser; and Firefox for PC and Macintosh/Apple. Please have a recent version downloaded and installed for the best contest experience. 1
2 Login 1. Go to the NCMPR website, 2. Click "Submit Entries." You will be directed to the BetterBNC custom home page for District Click "Enter Here" and select the appropriate contestant type: Contestant Manager if you are the primary point of contact for Medallion entries from your organization. NOTE: Once you have submitted two entries, you will receive an validating your Contestant Manager account, enabling you to create Authorized Entrant accounts for others at your college who may submit entries. Follow the instructions to validate your account. Authorized Entrant you will receive an authorizing you to submit entries for your organization. If you are not a member of NCMPR, contact the national ofiice. 4. Select your college from the drop-down list under select media organization 5. Enter your password. Authorized Entrants will also need to enter their address. IMPORTANT: The Iirst time you log in, enter your temporary Password: bnc (lower case), and click Login. When you Iirst log in, the system will prompt you to create a secure password and enter your contact information. Submit Entires YOU MAY SUBMIT ALL ENTRIES AT ONE TIME OR COME BACK TO ADD MORE ENTRIES, DELETE ENTRIES OR MAKE CORRECTIONS. 1. On the Manage Entries page, click Submit Entry. 2. Select the appropriate Division. 3. Select the appropriate Category. 4. Read any corresponding notes describing the category s requirements. 5. Complete the Headline/Title of Entry Iield. 6. For Electronic Entries: Add content (varies by category). (Continued next page) 2
3 a) Digital Files: To upload digital Iile attachments (other than audio/video), click Browse, navigate to the desired Iile, and select Open. Allowed Iile types are PDF, DOC/DOCX, TXT, JPG, GIF, and PNG. If more than one attachment is desired for this entry, click Attach More and repeat these steps. If you reach a point where you cannot add any more attachments, you may have reached the limit set by your contest administrator. Please keep Iile sizes under 5mb to aid judges in accessing entry content. For larger Iiles (5mb-250mb), you can click the Real-View icon on the Submit Entry page, create your free account, upload the desired Iile(s), and copy/paste the hosted item s Web address into the Website URL Iield. You may also use a 3rd-party website that provides a similar free streaming/hosting service (Scribd.com, Dropbox.com, Issuu.com, etc.). b) Web/Audio/Video: To add web/audio/video content, copy and paste the Web address into the provided Website URL Iield. To host your content online, either upload it to a free streaming content website (e.g. youtube.com or vimeo.com for video and kiwi6.com or tindeck.com for audio) or talk to your IT person about adding it to your college website. Make sure the content will be accessible online throughout the duration of the contest. IMPORTANT: Please ensure that items are not behind a paywall or a password-protected area. If they are, you must provide username/ password info in the Comments section of your entry. Judges may disqualify your entry if work samples are inaccessible. 7. For Mail-In Only Entries: DO NOT UPLOAD A FILE OR ADD WEBSITE URL CONTENT. Simply complete all other content Iields. a) Complete all other content Iields. b) Click Submit. c) An entry label will appear. 4 8. For All Entries: a) Provide objective of entry and intended audience. b) Under Who should be credited for this entry put the name of the person to contact if there are questions about the entry. Pay for Entries 1. After all entries are submitted (make sure it s before the deadline!), log in to your account s Manage Entries page. 2. Click Calculate Entry Fee to review your list of entries for accuracy and view your entry fee subtotal. 3. For your records, click the Print icon (upper right) to print your list of entries and fees. 4. Click the payment link to pay for your contest entries, following the instructions on the payment page. a) If paying by credit card, you may use a PayPal account or credit card. After paying by credit card, you can print a receipt by clicking view/print your transaction in the Transactions/ Receipts section at the bottom of the page. b) If paying by check, provide the check number. If you haven t processed a check yet, put Check being processed. You can print an invoice by clicking on Create Invoice in the Transactions/Receipts section at the bottom of the page. Submit it to your business ofiice for processing. 5. Mail check or proof of payment by credit card with your entries. Members: Nonmembers Cost per Entry PAY ATTENTION to these major changes! $30 per entry $65 per entry Submission process is only a year old. New entry deadlines. 2 categories (Novelty Advertising and Wild Card) that are EITHER mail-in or electronic-only. All Campaign categories must now be submitted electronically. No mail-in submissions; no 3-ring binders. Movie theater ads should now be submitted in TV ad category. Calendars go in novelty advertising. 4
5 JUDGING Awards: Gold, silver and bronze awards will be given in each category. Announcement of winners: Winners will be announced at the District Conference, October 12 14, in Walla Walla, WA. Entry returns/rights statement: Entries will not be returned. All entries become the property of NCMPR, which assumes the right to use them for exhibition, publication and publicity. Entrants agree to hold NCMPR harmless of any claims that may be made against it by reason of such reproductions. Soliciting releases is the sole responsibility of the entrant. NCMPR takes no responsibility for any work that might be damaged or lost. All Paragon entries will be on display during the national conference. QUESTIONS? Size limited to 8 1/2 x 11 or smaller. 13. Sports Brochure or Sports Program: May include media guides, individual or season game programs, brochures or recruitment pieces. 14a. Postcard (single or series): Entries must be able to be mailed without an envelope and must meet U.S. Postal Service requirements. No folded pieces allowed. For a series, limit to 3 in the series. 18. Notes/Cards/Invitations (single or series): Includes thank-you cards, holiday greeting cards, invitations to special events, etc. For a series, limit to 3 in the series. ELECTRONIC NOTE: For all electronic entries, provide a PDF or URL for each entry. Electronic entries may no longer be submitted on a CD or DVD. 19. Electronic Academic Catalog 20. 8 VIDEO NOTE: Video Liles should be housed on the college website, YouTube channel or other video-sharing site. Provide a URL for the entry. Video entries may no longer be submitted on a CD or DVD. 27. College Promotional Video: Recruitment and image pieces qualify. Promotion can be for the entire college or for speciiic activities, events or academic programs. 28. Video Shorts (single or series): Entries may be no longer than 3 minutes in length and are typically used on social media, YouTube or the college website. For a series, limit to 3 in the series. 29. Magazine-Style Video Program: Includes regular programs, talk shows, interviews and special features delivered via webcasts or podcasts or telecast on TV or cable systems. PHOTOGRAPHY / ILLUSTRATION NOTE: Pay attention to which of these categories are mail-in only and which ones are electronic submissions only. 30. Original Photography-Unmanipulated: Mail-in only. Color or black-and-white. OK to adjust color or blemishes. Submit in print form, 8 x 10, mounted on heavy poster board. On the back, explain how photo was used. 31. Original Photography-Manipulated: Mail-in only. Color or black-and-white. Submit original photo and manipulated photo in print form, 8 x 10 each, mounted side-by-side on heavy poster board. On the back, explain how photo was used and how it was manipulated. 32. Logo Design: Electronic only. Provide a PDF of logo design. Must be accompanied with digital photos showing items with logo in use (limit to 3 samples). 33. Computer-Generated Illustration: Electronic only. Provide a PDF of the illustration. Must be accompanied with digital photo showing illustration in use. Examples of illustrations for this category include those created in Photoshop, Illustrator and FreeHand. Items entered in this category may also be entered in other categories. 8
9 ADVERTISING NOTE: All advertising categories are electronic only (except #40 Novelty Advertising). No CDs or DVDs. 34. Print Advertisement, Single: Electronic only. Provide a PDF. 35. Print Advertisement, Series: Electronic only. Provide a single PDF with ads in the series. Limit to 3 ads in the series. 36. Radio Advertisement/PSA, Single: 60-second maximum length. Provide a URL for the entry. 37. Radio Advertisement/PSA, Series: 60-second maximum length per spot in series. Limit to 3 spots in a series. Combine the series in a single Iile and provide a single URL. 38. Television Advertisement/PSA, Single: 60-second maximum length. Movie theater ads should be submitted in this category. Provide a URL for the entry. 39. Television Advertisement/PSA, Series: 60-second maximum length per spot. Limit to 3 spots in a series. Movie theater ads should be submitted in this category. Combine series in a single Iile and provide a single URL. 40. Novelty Advertising: EITHER mail in or electronic. Examples include T-shirts, cups, key chains, calendars and other promotional items. For items submitted electronically, provide a digital photo of the item. Items submitted via mail should be those that are printed pieces or those that would be better for judges to see in person. 41. Online Advertising: Includes Facebook ads, Google ads, Web banner ads, etc. Provide PDF, digital image or URL. 42. Outdoor Media (single or series): Entries may be billboards, banners, bus panels or other large-display advertising posted outdoors. Submit artwork in digital format (PDF) along with a photo of the advertising in use. For a series, limit to 3 in the series. 43. Interior Signage/Displays: Entries may be exhibit booths, displays, wall murals, window clings, interior signage or other displays designed for indoor use. Submit artwork in digital format (PDF) along with a photo of the entry in use. For a series, limit to 3 in the series. 9
10 CAMPAIGNS NOTE: All campaigns must now be submitted electronically. No mail-in submissions; no 3-ring binders. For all campaign entries, provide: 1. A Word or PDF document addressing three items: a) the project s objectives; b) strategies and tactics developed to meet those objectives; c) the results and outcomes. 2. Digital photos, PDFs and URLs of communication pieces used in the implementation of the campaign (press releases, fact sheets, brochures, posters, media coverage, radio and TV spots, videos, etc.). Individual items included as elements of these campaigns may also be entered in other categories. The same event may not be entered in two different campaign categories. Entries not conforming to these guidelines will be disqualiiied. 44. Communications Success Story: Entries may focus on media coverage of a feature or news-based story, college event or program, or a college crisis. 45. Government Relations or Community Relations Projects: Entries should be one of the following: an information or lobbying campaign on behalf of the college directed to legislators or elected ofiicials; an information campaign to educate the community about your college; a communications program regarding a unique class or program designed to help solve a community problem; or an information campaign to promote a college bond or property tax referendum. 46. Special Event Promotion: Types of programs include college anniversaries, dedications or other college events. 47. Successful Recruitment or Marketing Program: Programs should be larger in scope than simple promotion campaigns but more targeted than a college s entire marketing plan for the year. 48. Fundraising Campaign: Designed for two-year college foundations and advancement ofiices that develop giving campaigns. 49. Social Media or Online Marketing Campaign: Entries may include Facebook or Twitter campaigns, blogs, viral video, search 10
11 engine marketing campaigns, mobile marketing campaigns and marketing campaigns. MISCELLANEOUS 50. Feature Writing: Electronic only. Entries may include opinion pieces, articles in newsletters or magazines, and other pieces published in print or online. The focus is on the quality of writing. Provide a Word document, PDF or URL. 51. Wild Card: EITHER mail in or electronic. Includes marketing pieces that just don't Iit anywhere else. If submitted electronically, provide a PDF or photo of the item. Items submitted via mail should be those that are printed pieces or those that would be better for judges to see in person. 11
