1 FIRST PREBYTERIAN CHURCH EARLY PRESCHOOL & CHILDREN S MINISTRIES EMERGENCY PROCEDURES Sunday Morning Plan 4815 Franklin Road Nashville, TN February 2009 edition Revised April 2013
2 FIRE Fire is a life-threatening emergency. It is imperative that everyone in the building evacuate as quickly as possible when a fire alarm is sounded. When the fire alarm sounds, the children will stop what they are doing and immediately line up at the classroom door. One teacher will take the attendance sheet and attendance folder then stand at the door and count their children before exiting the building. The second teacher in the classroom will take the back pack and cell phone and check the bathroom (if one in the classroom) before leaving the classroom. The last person out the door will turn off lights and close the door. Children and teachers will quickly and quietly evacuate the building using their primary route on their emergency evacuation map. If the primary route is blocked or hazardous, they will take the secondary route. Classes in Oak Hill School rooms will evacuate from their exterior door (if it is safe) and walk to the back of the parking lot across from the barn area. Class in CC 140 will exit nearest hallway doors, or classroom exterior doors and walk through the interior parking lot and meet on the grass at the Christmas Tree lot. Classes in Children s Wing will exit the nearest door (as in their map) and meet on the grass at the Christmas Tree Lot Children s Wing Staff (director and Assistant director) will carry walkie talkies on channel 3 and will check classrooms per staff checklist to be sure all are evacuated and doors are closed. Staff will bring the Master Registration book from Administrative Assistant s office. The Welcome Center Greeters in Children s Wing will carry walkie talkies on channel 3 and will check classrooms per the staff checklist to be sure all are evacuated and doors are closed. They will bring the Red emergency contact book from the Welcome Desk. Assistant Director in C-Wing will carry walkie talkie on channel 3 and will check hall and bathrooms as per staff checklist to be sure all are evacuated and doors are closed Oak Hill Welcome Cart greeters will carry walkie talkies on channel 3 and will check rooms as per staff checklist to be sure all are evacuated and doors are closed. They will bring the Red emergency contact book from the Welcome Desk.
3 The Nursery Coordinator will be sure all classrooms have been evacuated in the nursery wing and doors are closed. (fire cont.) Nursery workers will follow the same evacuation procedures listed above for teachers and students The Director of Children s Ministries will be sure that all of his/her staff is accounted for at their designated meeting place. Staff should alert Director when the building in their area is clear. If the evacuation is a practice drill, teachers, children and staff will wait for the all clear from the Director of Children s Ministries or Building Administrator before returning to the building. If the evacuation is a real emergency, teachers will wait with children until parents have come to pick up children. If a child has not been picked up within 15 minutes, parents will be called by teachers. (cell phone numbers will be in the attendance folder) In the event of an injury to a child, parents will be called immediately by a staff member. In the event that the weather is inclement, and an evacuation is necessary, children will be housed temporarily in the Tyne House (children in Children s Wing) or Cheek House (children from Oak Hill Classrooms) until parents come to get them.
4 TORNADO If we receive a tornado warning, or a tornado is spotted in our area, the following procedure will be used: The Director of Children s Ministries or her/his representative will sound several blasts from the bullhorn. A directive over the intercom (*60) will immediately follow. If it is a tornado warning, the directive will be Attention all staff, children and visitors. We have been advised of severe weather. Please move immediately to Grundy Hall. Please remain calm. The Director of Children s Ministries will also alert assistant director in the Oak Hill School classes to use the PA System to make a similar announcement. Children and teachers will immediately stop what they are doing and prepare to go to our safe place. Children will line up at the classroom door with one teacher who will take the backpack and a cell phone along. The second teacher will take the roster and attendance folder and check the bathroom before leaving (if a bathroom is in the classroom). The last person to leave will turn off the lights and close the door. Children s Wing directions Go to our safe place, which is Grundy Hall in the children s Wing. Teachers must take their attendance roster and folder and remain with the children in their care at all times. Children and teachers will move quickly to their designated safe place and sit in a crouched position facing the wall with head and neck covered by hands and arms. Director will carry walkie talkie on channel 3 and will check rooms per staff checklist and make sure doors are closed if there is time. He/She will also bring along the Sunday School Registration binder from Administrative Assistant s office along with a cell phone and walkie talkie. Oak Hill Classroom Directions In Oak Hill Classrooms, teachers will escort children to the lower level-e wing (under the gym) and go to their designated places. Teachers must take their attendance roster and folder and remain with the children in their care at all times. *Grade 1 Alpha to Men s restroom outside the Dining Hall. *Grade 1 Omega-Women s Restroom outside Dining Hall. *Grade 2 in girls Locker room E110 *Grade 3 in Girls Locker Room E 110 *Grade 4 in Faculty Meeting room, E 102 *Grade 6 to Hallway outside Dining Hall doors away from doors and windows. *3 rd Grade Omega to inside wall of Computer lab Sit in a crouched position facing the wall with head and neck covered by hands and arms.
5 Assistant Director will carry walkie talkie on channel 3 and will check C-wing and make sure doors are closed if there is time. Assistant Director will go directly to Grundy Hall to assist teachers in settling children. The Welcome Center greeters will carry walkie talkie on channel 3 and will check rooms per staff checklist, if there is time. They will bring the red binder of emergency contacts with them to Grundy Hall. The Welcome Cart Greeters in Oak Hill School Hallway will carry walkie talkie on channel 3 and the red notebook of emergency contacts and proceed immediately to the stairs near the gym to aid two lines moving down the steps quickly and safely. First aid kit, blankets and water can be found in the Confirmation Closet of the Dining hall. The Nursery Coordinator will check rooms per staff checklist then proceed to the Nursing Mother s room with the Wee Angels and Baby Doves and their staff. Assistant Nursery Coordinators will be in Grundy Hall assisting nursery staff with children The Director of Children s Ministries will use Walkie Talkie to confirm with assistant directors that all teachers and children are safe and notify staff of the all clear. First aid kit, blankets and water can be found in the storage closet in Grundy Hall. If there is a tornado in sight, and poses an immediate threat to the building, all staff will go immediately to Grundy Hall or Lower Level of Oak Hill School from where they are if there is time, or move away from windows and outside walls, and assume a crouched position with hands and arms over head and neck instead of clearing rooms.
6 INTRUDER/LOCKDOWN When notified of the danger, via intercom (*60), the teachers will close and lock classroom doors and cover any windows. The directive over the intercom will be There is a meeting of the rock club in (location of the intruder). If on the playground or in another location, move children into the nearest classroom or other room nearby, lock door and cover any windows. If a teacher or another adult in this situation has a cell phone, contact the Director or Assistant Director and apprise them of your whereabouts. Teachers will immediately take roll to be sure everyone is accounted for. Write down on the yellow sheet in your emergency packet any additional students, parents, volunteers, substitutes, as well as any absentees. Include your classroom # on the paper. Slip the paper under the door so it is visible. If this step is not completed, it will be assumed there is a problem in your classroom, and steps will taken to send help. If there is a problem in your classroom, slip the blank red paper under you door, if possible. This will alert authorities, and help will be supplied. Do not open your door for any reason. The door will be opened for you once the building is secure. If and when you are directed to move your class to a location outside of the building, do so in a quiet orderly manner to an area designated by authorities. At the relocation site, retake attendance. Report any discrepancies in attendance to the Director. Do not return to the building until notified by authorities that it is safe to do so. Children will remain in the supervision of teachers at all times. Do not make any statements or allow media access to children. Refer anyone from the media to the Director of the school.
