POSITION SUMMARY: Humanity United is seeking an experienced, dynamic, Executive Associate to the President & CEO and the Vice President, General Counsel and Board Secretary. The Executive Associate serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President. The Executive Associate also serves as a liaison to the Board of Trustees and also responsible for building and sustaining an effective support structure for the Executive Management Team; organizes and coordinates executive outreach and external relations efforts and program and project support services in a highly professional manner using discretion across a variety of activities. The Executive Associate must be creative and enjoy working within a small entrepreneurial environment that is mission-driven, results-driven and community oriented. ESSENTIAL JOB FUNCTIONS Executive Support: Provide administrative support relating to the activities of two senior executives of the organization the President and CEO and General Counsel, including calendaring, filing, timesheets, expense reports, etc. Manages the CEO and General Counsel s travel, meeting and conference agenda and logistics; including any preliminary research, preparing briefing packages/talking points, speech outlines and provides the necessary meeting materials and travel arrangements. Schedules, prepares and briefs CEO and General Counsel for all meetings; prepares and briefs CEO for Executive Team meetings; and prepares and briefs both executives for one-offs with their team members. Ensures quality control for all of CEO communications (staff, board, and external). Anticipates the needs of the CEO and the General Counsel and successfully
2 manages daily operations of the executive office. Manages multiple complex departmental/company-wide projects and schedules necessary meetings. Work with the CEO to support critical grantee and partner relationships. Support the CEO s workload by managing information flow, resolving and prioritizing issues, and providing analysis and advice on key issues. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO and the General Counsel, including those of a sensitive or confidential nature. Determines appropriate course of action, referral or response. Provides a bridge for smooth communication between the Executive office and internal departments; demonstrating leadership to maintain credibility, trust and support with Executive team. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the supported executives ability to effectively lead. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Board Support and Liaison: Serves as the CEO s administrative liaison to the Board of Trustees Assists board members with travel arrangements, lodging and meal planning as needed. Assists CEO and Executive Team with Board communications and presentations. Handles all Board Meeting logistics and works with staff to prepare for meetings. Recommends and writes additional communication to Board as necessary. Maintains discretion and confidentiality in relationships with Board of Trustees. Prepares briefs, reports and analysis as needed, and compiles Board Book on behalf of the CEO and with supervision of the General Counsel and Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings.
3 Executive Team Liaison: Coordinates and manages Executive Team meetings; sets agenda and ensures timely follow up. Coordinates information flow from Executive Team and ensure CEO receives pertinent information, as needed. Promotes work of Executive Team internally to build understanding and increase coordination and integration. Communicates regularly with Executive Team to ensure organizational alignment and support. Assists in building and maintaining external relationships that can help advance Executive Team agenda; recommends and facilitates one-on-one meetings and coordinates appropriate affiliations, e.g. membership groups, societies, etc. working with Executive Team. Communications, Partnerships and Outreach: Strategically driving the use of the CEO s leadership voice, internally and externally, in partnership with Communications. Ensures the CEO s bio is kept updated and responds to requests for materials regarding the CEO and organization in general. Edits and completes first drafts for written communications to external stakeholders. Strategic Initiatives: Works with Executive Team in coordinating the CEO s outreach activities. Follows up on contacts made by the CEO and supports the cultivation of ongoing relationships. Edits, and creates acknowledgment letters from the CEO to external partners. Organizational Activities: Manages the planning and executing of CEO s and other organization-wide events. Support ongoing teambuilding across the organization.
4 EDUCATION, EXPERIENCE AND OTHER QUALIFICATIONS: Bachelor s degree required; Advanced degree preferred. Strong work tenure: 8-12 years experience working with C-level Executives. Experience and interest in internal and external communications, partnership development. Experience with the preparation and management of Board documents (including resolutions, minutes and committee charters) and/or as a Board secretary. Action Orientation A decisive, quick study with proven ability to accurately analyze information; identify key trends, and complete strategic operations. A bottom-line orientation and a proven track record of exceeding goals in an international setting. Substantial and successful management experience. Demonstrated ability to analyze data, to prepare concise summaries, and to provide sound recommendations related to extremely complex issues. Expert level oral and written communication, presentation, and organizational skills. Emotional maturity. Excellent with follow up and attention to detail. Excellent interpersonal, collaborative and partnership development skills to work successfully with a variety of individuals and cultures. Proven ability to handle confidential information with discretion. Experience working with high profile individuals using appropriate sensitivity. Demonstrated proactive approaches to problem solving with strong decisionmaking capability. Track record of developing strong partnerships internally and externally and using influence (rather than direct authority) to make change. High degree of flexibility and adaptability required or indicative of a start-up, entrepreneurial or changing work environment. Highly resourceful team-player, self confident, creative and independent selfstarter, while also being collaborative who acts with diplomacy at all times. Strong work ethic and impeccable professionalism are key job requirements. Ability to set boundaries and manage expectations.
5 Advanced knowledge of Apple-based hardware/software products and Social Media platforms. Fluency (not expertise) across key operational areas such as financial analysis, HR, IT, Legal, and knowledge of what foundations do and how they typically work. Ability to work evenings and weekends when necessary. Ability to travel to support Board meetings and other Executive Office work several times per year.
