1 UNIVERSITY OF SUSSEX Ref: 385 Development & Alumni Relations Office Donor Relations and Communications Co-Ordinator Permanent, full time Salary Range: starting at 20,198 and rising to 23,386 per annum The Development and Alumni Relations Office at the University of Susse is seeking a highly motivated and strong team player to join its fundraising team. With a 50 million fundraising campaign nearing conclusion in July 2016, the University is looking for an enthusiastic individual to work with the fundraising team to effectively build and maintain ecellent relationships with the growing number of donors to the University, with the aim of ensuring they continue to support Susse in the future. As a key member of the fundraising team you will be responsible for implementing the stewardship strategy. This encompasses thanking, recognising and reporting to donors, liaising with recipients to ensure they thank their donors, arranging opportunities for students and researchers to meet their supporters, and monitoring gift income and ependiture. You will also be responsible for producing a range of fundraising stories, for a variety of online and printed media, that communicate the impact of philanthropic support to our alumni, supporters and friends and internally within the University, An ecellent communicator, you will be personable, self-driven and have an eagerness to take on responsibility, while having ecellent administration skills and a keen eye for detail. Senior leadership and management The Vice-Chancellor (Professor Michael Farthing) is the senior academic officer and, as Chief Eecutive, is responsible to the University Council for management of the University. He is supported by an eecutive group which includes the three Pro-Vice-Chancellors, the Registrar and Secretary, the Director of Finance and the Director of Human Resources. The Heads of the Schools of Studies at Susse report to the Pro-Vice-Chancellors. The Registrar and Secretary heads the Professional Services of the University. In addition, under the University Statutes, the Registrar and Secretary is Secretary to the University Council. The Director of Finance reports to the Vice-Chancellor. The Director of ITS reports to the Registrar and Secretary, and the Librarian reports to one of the Pro-Vice-Chancellors. 3. The Department The Development and Alumni Relations Office (DARO) is responsible for the University s philanthropic fundraising and for maintaining ecellent relationships with the alumni community and friends of the University. Our fundraising campaign, Making the Future, was launched in 2011 to coincide with the University s 50 th anniversary. This campaign will have raised 50m by summer The momentum provided by the five year campaign has hugely developed alumni engagement in the university and increased our numbers of donors. We have recently increased the size of our fundraising team which will result in more donors in the coming years. Maintaining good close relation with these donors is vital to ensure their continued interest and support of Susse s work. This role therefore has a vital supporting function to the work of the fundraisers so that they are able to devote their time to the solicitation, cultivation and stewardship of new and eisting donors. As well as engaging with our active network of 90,000 alumni worldwide, DARO is responsible for organising all the University s corporate events and graduation ceremonies. 4. Job Description Key Responsibilities: Stewardship Develop and maintain the stewardship and recognition policies under the line management of the Development Manager, and the guidance of the Head of Campaigns & Operations Revise, manage and eecute systems that ensure donors are thanked, stewarded and recognised in a timely and appropriate fashion, and kept informed about the use of their gift. In consultation with the fundraisers, manage the preparation of gift agreements from draft to sign off and ensure gift agreement conditions are adhered to. Monitor gift pledges and instalment schedules, ensuring they are received on time and that the donors are thanked in a timely and meaningful way. Act as DARO s key contact for the management and promotion of philanthropically funded scholarships, liaising with the Student Funding Team and relevant academic colleagues to ensure they are advertised both internally and with partner universities, and awarded in a timely fashion.

3 Liaise with scholarship recipients to maintain their Scholars Agreements i.e. obtain appropriate thank you letters and reports for donors, provide quotes and testimonials for promotional materials etc. Liaise with internal colleagues to ensure prizes are awarded according to schedule and to report back to donors. Liaise with academics to produce accurate content for impact reports and updates for donors, ensuring reporting deadlines are met. Collaborate with fundraisers to devise tailored stewardship plans for major donors. Assist the Regular Giving & Legacies Manager in the stewarding of legacy pledgers through tailored communications and relevant messages in key publications. Plan and co-ordinate stewardship events and donors visits to campus in collaboration with the Events team. Provide administrative support to the USA Board of the Friends of the University of Susse by drafting tailored messages and thank you notes, assist with the preparation of materials for the AGM including grant requests. Build and maintain ecellent relationships with donors to facilitate future giving and encourage others to donate. Work closely with DARO colleagues to ensure stewardship systems are implemented and maintained. Assist with devising systems for improved data and gift administration, collaborating with colleagues in DARO and Finance. Monitor and reconcile donation income on University finance systems and the DARO database. Monitor donation and endowment code ependiture and prepare financial reports as necessary. Approve payments to students from philanthropically funded scholarships. Source distinctive university cards and gifts for donors and prospects Communications: Act as the fundraising communications co-ordinator in order to ensure that donors, alumni and the internal Susse community are kept informed of progress of the campaign and future fundraising activities through relevant online and printed communications, including social media. Write, edit and proofread copy for all donor communications including the website and the donor newsletter with the aim of informing donors of the impact of their philanthropic support as well as raising awareness of the campaign and its priorities amongst the wider community of staff, students, alumni and friends of the University. Work closely with DARO colleagues to produce consistent, high quality communications to showcase the work of the department. Assist in the devising and delivery of the departmental communications plan. Liaise, and develop good working relations, with relevant academics and professional service colleagues in receipt of philanthropic support in order to ensure that donors can be best informed of the impact of their gift on campus. General responsibilities: Ensure that full and timely records of all activity are kept on the Raisers Edge database in adherence to set policies and procedures. Work with the Senior Administrative Manager to ensure that gift pledges are fulfilled on schedule. Promote best practice in the stewardship of donors across the Susse community. Attend staff meetings and training as required.
