ORGANISATIONAL CONTEXT Austin Health is one of Victoria s largest health care providers. Comprised of Austin Hospital, Heidelberg Repatriation Hospital and Royal Talbot Rehabilitation Centre, Austin Health is a major teaching and research centre with numerous university and research institute affiliations. Catering to diverse multicultural and veteran communities, Austin Health delivers vital State-wide services to Victorians and a vast array of specialty services to the people of Melbourne s North Eastern corridor in a safety-focussed, team-orientated and stimulating work environment. The new 400 bed Austin Hospital Tower opened mid 2005 and further redevelopment is underway. 2 2. LOCAL WORK ENVIRONMENT The Emergency Department services approximately patients per year with approximately 20% paediatric patient presentations. The admission rate is of the order of 30%. This includes patients admitted to our Short Stay Observation Area/ Emergency Medical Unit. The Emergency Department aims to assess, manage and admit patients from a broad range of specialities, within the targets set by the Department of Health (DoH). This service will be delivered in a timely, compassionate and appropriate manner, enhanced through teaching, research and the development of new technologies and processes. 3. POSITION OBJECTIVE Perform the duties of this position efficiently to the standards of the department, including participating in the AUSTIN HEALTH performance appraisal program. To provide administrative/clerical assistance, within the Emergency Department. Prompt and courteous reception of patients, relatives, visitors and Medical centre personnel presenting to the Department. The collection of accurate data for all Admissions and Registration thus maximising casemix funding to Austin Health. 4. POSITION REQUIREMENTS ` The main duties to be undertaken include: a. Undertake a range of keyboard, clerical and administrative tasks on a priority basis. b. Maintain accurate patient records. c. Assist in the production of statistical reports. d. Provide support to clinical personnel in the Emergency Department. e. Provide backup to inpatient services ie: Ambulance booking, internal service bookings, veteran car bookings, Austin Health inpatient admissions, patient enquiries. f. Ensure safe work practices & environment in accordance with Austin Health policies.

3 g. Telephone Communication: The person in this position will be the central point of contact for all internal/external people wishing to communicate with the Emergency Department. Operationally is responsible to the staff base NIC where allocated Function as central communication base for all intradepartmental communication. For example calling/paging ED staff medical, nursing, ECCT, Pharmacy, Social work, Physio, EPS, patient enquiries etc. Transcribe diagnostic results and give to treating clinician. Liaise with relevant staff re patient admissions and transfers as directed by the NIC. Handle ward enquiries Provide a collection point for Pharmacy scripts ensuring timely completion and distribution. Identify potential interpreter requirements and book interpreters when necessary h. Clerical Duties, particularly those involved in admitting/discharging/transferring of the patient from the ED Medtrak system Ensure completion of ED paperwork and IT Medtrak entries. Ensure information re follow-up appointments have been given to the patient/carers. Ensure all documentation and belongings required to accompany the patient are collated, photocopied and packaged for transfer. Liaise with the staff of the Short Stay Observation Unit to assist with filing, admission and discharge as per the above dot points. i. To evaluate the effectiveness of own performance and to undertake performance review according to Austin Health standards. j. To actively support and participate in quality improvement and research initiatives. k. Maintain safe work practices and environment by actively reducing hazards, reporting accidents/incidents, following and promoting the AUSTIN HEALTH principles of the No Lift & No Needle stick programs and actively promoting accident prevention.

Undertake not to reveal to any person or entity any confidential information relating to patients and employees, policies, processes and dealings and not to make public statements relating to the affairs of Austin Health without prior authority of the Chief Executive Officer. Participate in the emergency incident response activities, as defined within the Emergency Response Manual, as and when required, at the direction of management. Ensure a high level of work quality, develop, implement and monitor quality improvement activities within the department/ward, in accordance with Austin Health Policies as varied from time to time. 5. Basic computer skills eg web based systems, basic data input. This includes an understanding of hospital computer systems eg Medtrak Flexibility and availability to work at short notice Flexible and adaptable attitude. Commitment to further self-development and education Demonstrate competency in/willingness to learn, performing user maintenance and troubleshooting of equipment such as computers, photocopiers, printers, faxes etc Ability to problem solve. Able to use initiative/self motivated. Make bookings for patient s transport, meals, beds etc. Answer phones; take messages, lab results, page etc.

5 Desirable but not essential for Performance of the Position Medical terminology. Knowledge of legal and ethical requirements. Previous experience in a health setting. Bilingual or multilingual skills. 6.
