4 Overview Overview 1 Use this Quick Start Guide to review and learn the key actions and functionality of BlackBerry Workspaces app for ios. BlackBerry Workspaces enables you to access the files in your workspaces, Received Files and Sent Files, and track file activity on your ios device. Using Workspaces you can also view, annotate, edit, and share your files with others while they remain fully protected at all times. Files can be accessed and worked on either online or offline. Access to external repositories, such as CMIS, SharePoint, among others, is based on your organizational policies. Note: The available features, options, and menu items depend on your organization s configuration and your user permissions per workspace. For questions related to your license and access, consult your organization administrator. 4

5 Browse workspaces, folders, and files Browse workspaces, folders, and files 2 Tap the workspace name to access your folders and files in the workspace. Tap to access all actions you can perform on a workspace, folder, or file, such as copy the link location, save for offline viewing, add to favorites, manage roles and permissions, edit, share annotations, and manage file permissions. Tap to open the left pane, from where you can access Settings, and navigate to recent locations, files saved for offline, favorites, received and sent files, and your workspaces and external repositories. Tip: Pull down to resync, search, and sort the current location. 5

6 Create new workspaces, folders, and files Create new workspaces, folders, and files 3 Add new workspaces and folders to manage your files directly from your device. Create documents, spreadsheets, and presentations and save and share them via Workspaces. From the action bar, tap to access the available options. 6

7 Upload photos and videos Upload photos and videos 4 From the action bar, tap to: Upload files, photos, or videos to Workspaces from your device. Send files, photos or videos to protect and track them with Workspaces. 7

8 Annotate your files Annotate your files 5 After you open a file, tap your files. to access the annotation tools and highlight important text, add comments, draw, and write on Tap to find annotation bookmarks, share annotations, or open in the Workspaces Editor or a third party application. After sharing, your annotations can be accessed by anyone with the link to the annotated file; if they do not have the permissions to access the file location, they can request permissions after accessing the link. 8

9 Edit Edit 6 Next to the Office file you want to edit, tap >. The edits you make are synced to Workspaces. 9

10 Send a copy Send a copy 7 If you have full access permissions for a file, you can send a copy of it from your received files or from one of your workspaces. Tap > Send a Copy to send a file to anyone and set permissions, restrict access by date and audience, and enable recipients to collaborate on the file. You can also include any annotations you have made on the file. 10

11 Lock files Lock files 8 If you have permissions to upload new versions, you also have the ability to lock files for editing and avoid the possibility of conflicted file versions being saved by other users. Files are locked for 24 hours. Next to the file you want to lock, tap, and toggle Lock to the on position. When working on an Office file in Workspaces Editor, tap Lock. To release the file lock before the 24 hour default, toggle or tap the file Lock back to the off position. 11

12 Manage access Manage access 9 As workspace administrator, tap > Manage Access to view individuals, groups, and domains that have access to the selected file, folder, or workspace. Workspace roles, which include specific permissions and access levels, define management capabilities for the workspace or folder: Administrator: Full control of folders and files (upload, download, move, delete, etc) and manage access. Contributor: Add, delete, share, move, rename, and upload new versions of workspace folders and files. Visitor: Access according to the defined permissions. Organizations can also create custom roles which appear in the roles list, where available. 12

13 Manage permissions Manage permissions 10 Tap on the Manage Access pane to add permissions for a workspace, folder or file. Once access is created, tap > Manage Permissions to change roles and permissions, add and remove group members, set an expiration date for the permissions and include a watermark on the file. Permissions manage capabilities for viewing, editing, and downloading files. 13

14 Settings Settings 11 Swipe right anywhere in the app and tap to access Settings. From the Settings menu you can: Add and switch between different accounts Sign out Set and change a passcode Pause automatic offline saving Clear files saved for offline Access the privacy policy and terms of service Contact Support View the app and server version 14
