6 Policies and Information Deposit & Payment A non-refundable initial deposit of $ is required to book a date for your reception. The deposit is due with the signed contract two weeks after the contract is sent out. A second deposit of 25% of food and beverage is due four months prior to event. Balance due is required no later than 72 hours prior to your event. Final Payments will be accepted via cash or certified bank check only. Reception Times Afternoon receptions are scheduled 12:00pm 5:00pm; evening receptions are 7:00pm 12:00 Midnight. Tax and Service Charge All prices are subject to taxable service charge and 8% NYS sales tax. Guarantee Guaranteed attendance for your event must be received by the sales team ten days prior to your event date. You will be billed either for that number or the number of guests served, whichever is greater. Ceremony Fee For ceremonies taking place on the Rensselaer premises, a $ per person fee will apply. Rehearsal times and sites are based on availability and cannot be guaranteed. We welcome the opportunity to host special events associated with your wedding, including the engagement party, bridal shower, rehearsal dinner and post-wedding brunch. Please consult your event planner regarding blocks of rooms for your guests, available at a discounted rate. Overtime Fee Overtime Fee All wedding receptions are based on a five-hour time period, unless otherwise noted. The overtime rate is $ per person for one hour. This price includes use of the room, bar and service staff, but does not include any applicable vendor professional fees. The overtime fee is due upon departure. Please note there is no option for overtime on a Saturday afternoon if there is an event in the evening that same day and no reception will go later than 1:00am. Fees for Children Children ages 0 5: No charge; children ages 6 10: $ per person Vendor Meals (Photographer, DJ, etc) If you would like to provide meals and non-alcoholic beverages for your vendors, a $ per professional will be added to your bill. Alcohol Policy No shots or pitchers of alcohol will be served under any circumstances for any event. Guests who appear to be under the age of 30 will be asked to provide proper identification. No alcohol will be served to any guest without proper identification or who appears to be intoxicated. Menu Tasting Group Menu tastings for the bride and groom are included with each reception package. Group tastings will be scheduled January through April. The bride and groom may invite up to a total of six people in their party for $30.00 per person. Consult your event planner for special requests.
