2 Section 1: Getting Started 1- Starting PowerPoint: Start PowerPoint by: a. Click the shortcut on the desktop b. Start Menu All Programs Microsoft Office PowerPoint c. Start Menu PowerPoint if it has been used recently Close PowerPoint by: a. Office Button Exit PowerPoint b. The X button on the top right corner of the screen 2- The PowerPoint Screen The Ribbon id made up of tabs. Groups are spread horizontally across the Ribbon Commands are the icons within the Groups The default view is the normal view The Status bar includes the Slide s Number and Template Design 3- Presentations To Open the New presentation dialog box: Office Button New The Options in the New presentations dialog box are: a. Blank & Recent b. Installed Templates c. Installed Themes d. My Templates e. New From Existing f. Microsoft Office Online 2
3 4- The Ribbon The Ribbon can be minimized by: Right Click anywhere on it select Minimize the Ribbon. Ghosted commands are not available to be used at present. The Ribbon will not always appear in its full view unless the resolution of the screen is 1204 by 768. If you leave the cursor over any button a Tooltip appears. Some groups have a dialog box launcher e.g. the Font Group. 5- The Quick Access Toolbar The Quick access toolbar is above the Ribbon. By default the Quick Access Toolbar has 3 buttons: Save, Undo & Repeat. Click the Customize the Quick Access Toolbar Button to Customize the Quick Access Toolbar. 3
4 To add commands not shown, click More Commands. 6- Help Help Topics are available either from Microsoft office online via the Internet, or from the content installed on your computer i.e. Offline. Click the Help button to display PowerPoint Help window Use the Double quotation marks to force the whole phrase to be used & may help to narrow down the search. The Home button returns directly to the original Help screen. On the Home screen the list of topics are shown in the table of content. 4
5 If the table of content is not displayed on the left, Click this: 7- Preferences Preferences are Basic Options. To change the default file location: Office Button PowerPoint Options Save 5
6 To Change the User name: Office Button PowerPoint Options Popular 8- Closing PowerPoint Close PowerPoint by: a. Office Button Exit PowerPoint b. The X button on the top right corner of the screen c. Press <Alt F4> Practice: Text Book Pages 19 & 20. Visit to download all the working files. 6
7 Section 2: Slides & Presentations 11- Views PowerPoint View can be seen in the View tab, they are: Normal View Slide Sorter Slide Show Notes Page Quick access buttons for the first three views are found at the lower right of most PowerPoint screens. The Normal view shows a list of slides and Outlines. 7
8 The Outline tab is used to show the content of the slides, each slide is represented by a small icon and the slide number. Right Click the outlines of a slide to Collapse or expand the outlines. The zoom slider is used to change the magnification of the slide in the normal view. 8
9 12- Slide View Move the mouse over the borders of the outlines panel to resize it. You can add text in the Notes Pane; it will be shown on the slide. The slide view is shown within the normal view. You can use the scrollbar to move from one slide to another. 13- Slides & Outline view Slides & Outline views are optional within the Normal view. They are use to rearrange slides. Slides view shows the thumbnail of the slides. Outline shows the text used in the slide. 14- Slide Sorter View Slides can be rearranged in the slide sorter view The zoom slider is use to change the magnification of the slides in the slide sorter view. If the screen resolution is below 1024 by 768 fewer slides will be shown. 15- Note Page View This view allows presenter s notes to be added to slides. It is not always necessary to add notes in the notes Page View, you can use the notes pane in the normal view. 16- Slide Show It is used to view slides one at a time. To move to a nonadjacent slide, Right click the mouse Go to Slide select the slide that you want to go to. 9
10 The shortcut menu can be used also to move to other slides. You can use the ballpoint pen or the highlighter by clicking on: To end you presentation with black slide: Office Button PowerPoint Options Advanced End with black slide. 17- Saving a presentation A presentation can be saved as different types using the Save As dialog box and the changing the Type. 10
11 You can save you presentation as: Type Extension PowerPoint 2007 Outline/RTF (Rich Text Format) PowerPoint Template Earlier versions of PowerPoint Windows MetaFile PowerPoint Show WebPage *.pptx *.rtf *.potx *.ppt *wmf *.ppsx *.html 18- Closing a presentation When a presentation is closed, the prompt box appears, clicking yes would start the save process, & Clicking No would close the presentation. 19- Opening Presentations You can use the shortcut < Ctrl O> to open a presentation. 20- New Presentations A New Blank presentation can be created using the New Presentation dialog box. To choose one layout; click the Layout Button on the Home tab. 11
12 Usually all presentations start with a title slide. 21- Creating a Presentation Installed themes can be used to choose a background style for your presentation. To choose one of the installed themes: Office Button New Installed themes On the Title slide you can add a Title and a subtitle. 22-Adding & Deleting Slides A new slide can be added directly after the selected slide. The Slides view & the Slide sorter can be used to rearrange the order of the slides. Make sure that each slide has a different title. Use the Home tab to Add or Delete Slides. 12
13 23- Changing the slide Layout The layout of the slide can be changed after it has been added to a presentation. To change the layout: Select the slide from the Layout dropdown menu select the new layout. ( Please Notice the names of the layouts) 24- Background Color The back ground color of a specific slide or all slides can be changed by: Select Design tab From the Background Group Dialog box select the color of the background. 13
