5 1 Using Asset Management for Software License Compliance This section describes the Dell KACE K1000 System Management Appliance Asset Management component and explains how to use it to manage software license compliance. Track software and other assets from procurement to deployment, usage, and end of life. Or, track peripherals such as printers, network devices, and phones. Manage software license compliance. Track the software licenses you own, as well as the number of copies of software applications installed on computers. Track data. Track purchase orders (POs) by entering each PO as an asset and linking it to the items purchased, received, and distributed. Track physical assets. Track physical assets, such as computer hardware and software, as well as other physical assets, such as office furniture. You can track the use of these items as well as the status of their warranties. Track logical assets. Track logical assets, such as geographic locations, cost centers, departments, vendors, and so on. Logical assets are normally used as the basis for reporting. For example, logical assets answer questions such as how many computers does this department have? and when do the licenses we bought from a software vendor expire? Create and track relationships between assets. Create peer-to-peer and parentchild relationships between assets. 6 1 Using Asset Management for Software License Compliance How asset information differs from inventory information These are the main differences between asset information and inventory information: Item Asset Component Inventory Component The type of information managed How the information is managed How licenses are tracked Asset information includes details about computers, software, licenses, physical assets, logical assets, and the relationships between them. Asset information is static and changes only when you import data or change it manually (computer assets are exceptions to this rule). For license assets, however, the number of installations or seats is updated when managed machines check in to the appliance. Asset history is stored on the appliance and displayed in the Administrator Interface; it remains with the asset until the asset is deleted. The Asset Management component enables you to manage software license compliance as well as physical and logical assets. Inventory information includes details about computers and the software, processes, startup programs, and services on computers. Inventory information is automatically generated and overwritten each time managed machines check in to the appliance. It is a snapshot of computer hardware and software on the network. The Inventory information includes the number of software assets but it does not show the number of licenses. Managing assets using Smart Labels Smart Labels are applied dynamically based on search criteria. You can use Smart Labels to group software assets or to restrict the deployment of software assets to machines associated with a Smart Label. Smart Labels can also identify the machines that use a particular software asset. If the software asset is removed from a machine, the Smart Label is automatically removed from the machine as well. If the Organization component is enabled on your appliance, you can create Smart Labels for the assets in each organization separately. For more information, see the K1000 Administrator Guide. Creating Smart Labels to group software assets To create Smart Labels to group software assets 1. 7 Using Asset Management for Software License Compliance 1 2. Click Inventory > Software. The Software page appears. 3. Click the Create Smart Label tab on the right side of the page. The Create Smart Label form appears. 4. Select search criteria that identify the software you want to group. For example, to search for Microsoft Office Professional, and exclude Microsoft Office Proof, select the following criteria: Display Name Title contains Microsoft Office Professional AND, Display Name Title does not contain Microsoft Office Proof The Smart Label form provides fields for up to four search criteria. If you need more criteria, create and save the Smart Label, then add criteria to the Smart Label s SQL query on the Smart Label: Edit Detail page. 5. Click Test Smart Label. Items that match the search criteria are displayed. 6. Adjust the criteria as needed until the results are what you expect. 7. In the Choose Label drop-down list, type a name for the Smart Label, or select an existing label to associate with the Smart Label. 8. Click Create Smart Label. The Smart Label is enabled when it is created. Current software assets, as well as software assets added in the future, automatically receive the Smart Label when they match the criteria. Smart Labels are automatically removed when the assets no longer match the criteria. For more information about using Smart Labels, see the K1000 Administrator Guide. Creating software assets You can create software assets to track the software titles you are licensed to use. If the Organization component is enabled on your appliance, you can create software assets for each organization separately. For more information, see the K1000 Administrator Guide. To create software assets 1. If applicable, select an organization in the drop-down list in the top-right corner of the page. 2. Click Asset. The Assets page appears. 3. In the Choose Action drop-down list, click Add New > Software. The Asset Detail: Software page appears. Dell KACE K1000 System Management Appliance Version 5.4, Asset Management Guide 7
8 1 Using Asset Management for Software License Compliance 4. Complete the asset fields as follows: a. In the Name field, enter a name for the license asset. For example, Office Pro SW Asset. b. Leave the Software field unassigned. c. In the Software Label section, select a label in the Select label drop-down list. The list is empty unless you have created a Smart Label as described in Creating Smart Labels to group software assets on page 6. d. (Optional) To filter the labels list, enter a few characters of the label name in the Filter field. The list shows only those labels that match the filter criteria. 5. Click Save. The new asset appears on the Assets page. Creating license assets You create license assets to track your licensed software titles. Before you create license assets, you must create software assets for your software titles, and you must know the number of installations, or seats, allowed by the license. If the Organization component is enabled on your appliance, you can create license assets for each organization separately. For more information, see the K1000 Administrator Guide. To create license assets 1. If applicable, select an organization in the drop-down list in the top-right corner of the page. 2. Click Asset. The Assets page appears. 3. In the Choose Action drop-down list, click Add New > License. 4. The Asset Detail: License page appears. Provide the following information: Option Name License Count Applies to Software Description Enter a name for the license, such as Office Professional PO #1234. This is the name that you use to find the asset. If you plan to have multiple licenses associated with each software title, consider including a purchase order number or purchase date. Enter the number of installations or seats the license allows. For example, 50. Select the software assets to which the license applies. For example, Office Pro SW Asset. 9 Using Asset Management for Software License Compliance 1 Option Approved for Computer License Mode Product Key, Unit Cost, and Expiration Date Vendor Purchase Order Purchase Date Notes License Text Custom Fields Description Select the computers that are approved to use the license. The license compliance reporting uses this information to generate reports. For example, if computers have the software installed, but are not on the list of approved computers, the computers are listed in the report titled, Unapproved Software Installation. For more information about reports, see the K1000 Administrator Guide. Select the appropriate license mode type. Enter additional information about the license as needed. You can modify and edit the default information, which can be captured for a license Asset type. Enter the vendor name. Enter the purchase order number associated with the license. Click in the field, then select a date on the calendar. (Optional) Any additional information you want to provide. Enter any information about the license such as the expiration date or license number. Enter additional information as needed. 5. Click Save. The new asset appears on the Assets page. The License Count number does not change until you update the asset. However, the number in the Installed column changes when managed machines that have the software installed check in to the appliance. This enables you to track the number of licenses that have been purchased and installed. Importing asset data using CSV or TXT files If your license information is in a spreadsheet, you can export it to CSV (comma-separated value) format, then import it into the K1000. Otherwise, you can use a text editor to create a CSV or TXT file that contains the license information, then import that file. If the CSV or TXT file contains new assets for asset types that you have defined in the appliance, the new assets are added automatically. Before you import large quantities of data: Define the basic fields for your assets. For more information, see Creating software assets on page 7. 10 1 Using Asset Management for Software License Compliance Decide what to use for primary keys. Primary keys are the fields, or combinations of fields, that make a reliable unique identifier. The Dell KACE K1000 System Management Appliance uses primary keys to determine whether to update an existing record or create a record. Preparing source data Before importing source data: 1. Make sure that source data is ready to use: Are the equipment names useful? Do they help to identify the item? Do spreadsheets have column headers? In the Asset Management component, columns without headers are referred to by their column number, so using header rows can make it easier to identify data. Do all columns have equivalent Field Types in Asset > Asset Import? For example, you can import specific vendors that do not already exist in the Asset Management component, but you must already have a Vendors Field Type. Is the data clean? For example, do any columns contain commas within the data? 2. Save the spreadsheet as a CSV or TXT file. Importing license assets using CSV files This example shows how to import software licensing data using a CSV file. To import license assets using CSV files 1. If your software license information is contained in a spreadsheet, save it in CSV format and verify that it follows the header and body format in this section. Otherwise, create a CSV file in Notepad or a similar text editor and edit it as follows: a. In the header line, type the following: Name,Seats,Software,Vendor,PO #,Purchase Date b. Type the following body line below the header line: PO#1114,2,Office Pro SW Asset,CDW,1114,3/1/2009 c. Type a second body line below the first body line: PO#1175,3,Office Pro SW Asset,CDW,1175,3/25/2009 d. Save the file with a.csv suffix. 2. If applicable, select an organization in the drop-down list in the top-right corner of the page. 3. Click Asset > Asset Import. The Asset Import Wizard - Upload File page appears. 4. Click Browse or Choose File, then select the CSV file. 5. 11 Using Asset Management for Software License Compliance 1 6. On the Asset Import Wizard - Asset Type Selection page, in the Asset Type list, select License, then click Next. 7. On the Asset Import Wizard - Mapping page, map the fields to the values in your spreadsheet. The exact fields depend on the contents of your spreadsheet. These are the values to use for the example in this section. a. For Asset Name (Text), select Name. b. For License Count, select Seats. c. For Applies to Software, select Software. d. For Vendor, select Vendor. e. For Purchase Order #, select PO #, and select the PK (primary key) check box. The PK check box identifies the field or combination of fields to use as a reliable unique identifier. The appliance uses this to determine whether to update an existing record or create a record. You can select a new primary key (or keys) each time you import. f. For Purchase Date, select Purchase Date. 8. Click Preview to verify the data. 9. Click Import Data to complete the import process. 10. Click Done to return to the Assets page. Customizing the license asset type You can add, change, and delete the fields of an asset type as described in this section. If the Organization component is enabled on your appliance, you can do this for each organization separately. For more information, see the K1000 Administrator Guide. To customize the license asset type 1. If applicable, select an organization in the drop-down list in the top-right corner of the page. 2. Click Asset > Asset Types. The Asset Types page appears. 3. Click License. The Asset Type Detail page appears. 4. In the License Mode field, select License Mode. 5. In the Select License Modes to Ignore field, select Freeware. This prevents freeware from being tracked for license compliance. 6. Click the plus sign on the right side of the page. A new line appears. 7. In the Name field, enter Department. 8. (Optional) Click the edit icon at the end of the License Mode row, then change the names of values as needed. These names appear in the License Modes drop-down list in step Click Save at the end of the row, then click Save at the bottom of the page. 13 2 Managing Physical and Logical Assets This section explains how to work with physical and logical assets. Topics in this section: Managing physical assets on page 13 Managing logical assets on page 15 Deciding which assets to track on page 16 Managing physical assets You can manage physical assets, such as computer hardware and software, as well as other physical assets, such as office furniture. The Inventory component automatically provides the Asset Management component with information about computers that check in to K1000 Management Appliance. This information appears on the Inventory > Computers > Computers: Detail page. Fields that you add to the Computer asset type are also displayed. 15 Managing Physical and Logical Assets 2 The Asset Detail page shows the types of fields used to track physical devices: Managing logical assets You can manage logical assets and conceptual entities, such as locations, cost centers, vendors, and departments. This enables you to: Identify and protect logical assets. Establish relationships between logical assets and use them in reports. For example, geographical relationships or the relationships of business entities. You can also add custom logical assets, such as support contracts, to track additional metadata about those objects. 16 2 Managing Physical and Logical Assets The following example shows the Asset Detail page for a cost center. This cost center has computers, departments, and printers that are linked and tracked as related assets. Deciding which assets to track Consider starting with the equipment and purchasing information that you currently maintain in spreadsheets: If this data is important enough to track now, consider making it an asset. You can import spreadsheet data directly into the Asset Management component. 17 3 Asset Management Customization This section explains how to manage assets and maintain real-time information on assets by scanning your network at regularly scheduled intervals. Topics in this section: About asset types on page 17 Managing custom asset types on page 21 Software metering on page 23 Threshold settings for license compliance on page 27 Administering asset management on page 28 About asset types Standard asset type include: Text (such as a phone numbers or notes) Label (such as asset tag numbers) Single select Multiple select Attachment (such as technical manuals or location-specific instructions) Date User About customizing asset types Some asset types might have all the fields you need, and other asset types might need to be customized. When you rename a field, values for that field are retained. However, if you change the Field Type to a type that does not support the data already entered, that data is lost. For example, a text field can convert to a note field, but you might lose data if you convert a text field to a number field. 18 3 Asset Management Customization Customizing the computer asset type All standard and custom asset types can be customized with additional fields to track the data you need. Almost all computer asset data, whether displayed in the Asset or Inventory tabs, originates from the Asset tab. You can import computer asset data or change it manually on the Asset tab. The only computer inventory or asset information that comes from the Inventory component is the data for the Mapped Inventory Field and the Matching Asset Field. The values for those fields are collected each time the computer checks in to the K1000 Management Appliance. At each check-in, the appliance determines whether the computer already has a mapped asset. If no asset is found, the appliance creates one. The default data type for Mapped Inventory Field is System Name, and the default data type for Matching Asset Field is Name. However, if you re-image your systems, the information under the old system name is lost to the Asset Management component. Consider using BIOS serial numbers, IP addresses, MAC addresses, or something similar for tracking. If you change the default asset type, you lose the asset history prior to the change because the appliance automatically creates assets with the new information. Therefore, it is important to decide whether you want to change the default values as early as possible in the setup process. Adding fields to the computer asset type This section describes how to add fields, such as the BIOS Serial Number and Serial Number fields. You need to do this before you can use the asset types with the Mapped Inventory Field and Matching Asset Field. Only the first five fields of an asset are shown in the Asset Detail page for the asset, so the order in which fields are added is important. To add fields to the computer asset type 1. If applicable, select an organization in the drop-down list in the top-right corner of the page. 2. Click Asset > Asset Types. The Asset Types page appears. 3. Click the Computer asset type. The Asset Type Detail page appears. 4. Click the plus sign on the right side of the page. A new line appears. 5. Provide the following information: a. 19 Asset Management Customization 3 b. In the Field Type drop-down list, select Text. 6. Click Save at the end of the row, then click the plus sign and provide the following information for the new line: a. In the Name field, enter Serial Number. b. In the Field Type drop-down list, select Text. Reserve the Number Field Type for fields on which you perform calculations. Using the Number Field Type might strip leading zeros in a serial number. 7. Click Save at the end of the row, then click the plus sign and provide the following information for the new line: a. In the Name field, enter Purchase Date. b. In the Field Type drop-down list, select Text. 8. Click Save at the end of the row, then click the plus sign and provide the following information for the new line: a. In the Name field, enter Location. b. In the Field Type drop-down list, select Asset Location. 9. Click Save at the end of the row. 10. In the Mapped Inventory Field drop-down list, change the value to BIOS Serial Number. 11. In the Matching Asset Field, select Serial Number. 12. Click Save at the bottom of the page. Establishing relationships between asset fields You can edit asset types to establish relationships that associate and track different assets together. These relationships can be: Peer-to-peer, such as printer and computer. Parent-child, such as a cost center and the computers associated with it. The following example shows how to make a parent-child relationship with locations by adding a field to the location asset type. Adding fields to the Location asset type To add fields to the Location asset type 1. If applicable, select an organization in the drop-down list in the top-right corner of the page. 2. 20 3 Asset Management Customization The Asset Type Detail page appears. 4. Click the plus sign on the right side of the page. A new line appears. 5. In the Name field, enter Parent Location. 6. In the Field Type drop-down list, select Parent. 7. Click Save at the end of the row, then click Save at the bottom of the page. When you open a location asset, the Parent Relationship field is shown on the Asset Detail page. Adding a parent relationship to location assets When adding a parent relationship, start with the highest level (parent level) in the relationship. Before you begin, add a Parent Location custom field as described in Adding fields to the Location asset type on page 19. To add a parent relationship to location assets 1. If applicable, select an organization in the drop-down list in the top-right corner of the page. 2. Click Asset. The Assets page appears. 3. (Optional) In the View by drop-down list, select Asset Type > Location. The view is restricted to location assets. 4. If the highest level (parent level) location asset does not exist, create it: a. In the Choose Action menu, select Add New > Location. The Asset Detail: Location page appears. b. Enter the name for the new field. For example, Western Division. c. Leave the Parent Location Unassigned, then click Save. The Assets page appears. The Parent Location field is a user-created custom field. For instructions on creating this field, see Adding fields to the Location asset type on page If the second-level asset exists, select it. If the second-level asset does not exist, create it: a. Click New Asset. The Asset Detail page appears. b. Enter the name for the new asset. For example, San Jose. c. For this example, select Western Division for the Parent Location. If you have many location assets, enter the first characters in the Filter field to limit the choices available in the Parent Location field. 20 Dell KACE K1000 System Management Appliance Version 5.4, Asset Management Guide
21 Asset Management Customization 3 6. Click Save. 7. Create additional location assets as needed. For example, you could create location assets for each building on a campus or each rack in a data center. Managing custom asset types The Asset Management component is fully customizable; you can have as many or as few custom asset types as you need. If the Organization component is enabled on your appliance, you can create custom asset types for each organization separately. For more information, see the K1000 Administrator Guide. Creating physical asset types To create physical asset types 1. If applicable, select an organization in the drop-down list in the top-right corner of the page. 2. Click Asset > Asset Types. The Asset Types page appears. 3. In the Choose Action drop-down list, click Add New Item. The Asset Type Detail page appears. 4. In the Name field, enter Printer. 5. Click the plus sign on the right side of the page. A new line appears. 6. Provide the following information: Dell KACE K1000 System Management Appliance Version 5.4, Asset Management Guide 21
22 3 Asset Management Customization a. In the Name field, enter Brand. b. In the Required column, select the check box to make the field required. c. In the Field Type drop-down list, select Single Select. The Select Values field is enabled. d. Go back to the Select Value field and enter the brands you use. These will appear in the select list. Separate each brand with a comma. For example: Epson, HP, Kyocera, Xerox. This ensures that brand names, such as HP, are referred to consistently instead of using many variations, such as HP, Hewlett Packard, and Hewlett-Packard. 7. Click Save at the end of the row, then click the plus sign and provide the following information for the new line: a. In the Name field, enter Serial Number. b. In the Field Type drop-down list, select Text. 8. Click Save at the end of the row, then click the plus sign and provide the following information for the new line: a. In the Name field, enter Location. b. In the Field Type drop-down list, select Asset Location. 9. Click Save at the end of the row, then click the plus sign and do one of the following: In the Name field, enter Department, and in the Field Type drop-down list select Asset Department. In the Name field, enter Cost Center, and in the Field Type drop-down list select Asset Cost Center. 10. Click Save at the end of the row, then click the plus sign and provide the following information for the new line: a. In the Name field, enter Warranty Expiration. b. In the Field Type drop-down list, select Date. The format is yyyy-mm-dd. The supported range is to Click Save at the end of the row, then click Save at the bottom of the page. Deleting asset types To delete asset types 1. If applicable, select an organization in the drop-down list in the top-right corner of the page. 2. Click Asset > Asset Types. The Asset Types page appears. 3. Click the check box next to an asset type. 4. 23 Asset Management Customization 3 5. In the confirmation dialog, click OK. The asset is deleted. Assets that point to the deleted asset type are reset to point to no asset, and a change is logged in the other asset stating that the related asset has been deleted. Software metering Software metering enables you to monitor the usage of software applications. Configuring software metering To configuring software metering 1. If applicable, select an organization in the drop-down list in the top-right corner of the page. 2. Click Asset > Metering. The Software Metering page appears. 3. In the Choose Action drop-down list, select Configure Settings. 4. Specify metering settings: Setting Enabled Allow Run While Disconnected Allow Run While Logged Off Description Run on the target machines. Only enabled configurations can run. Run metering even if the target machine is not connected to the appliance. In such a case, results are stored on the machine and uploaded to the appliance during the next connection. Run metering even if a user is not logged in. To run metering only when the user is logged in to the machine, clear this check box. 5. Specify schedule settings: To avoid impacting performance, schedule metering less frequently than the machine inventory. Setting Run Every n minutes/ hours Run Every day at HH:MM AM/PM Description Run at a specified interval. Run daily at a specified time, or run on a designated day of the week at a specified time. Run according to a custom schedule. Use standard 5-field cron format (extended cron format is not supported): * * * * * day of the week (0-6)(Sunday=0) month (1-12) day of the month (1-31) hour (0-23) minute (0-59) About standard cron format: Use a space to separate fields. For example, Use a comma to separate values within a field. For example, 1,3,7. Use a hyphen to indicate a range of values in a field. For example, 0-5. Use an asterisk (*) to include the entire range of values in a field. For example, * in the minute column specifies minutes Use a slash (/) to repeat an action at specified intervals. For example, if you specify the following value in the hour field, 0-23/2, the action is performed every two hours. Specify deployment settings: Setting Deploy to All Machines Limit Deployment To Labels Limit Deployment To Listed Machines Supported Operating Systems Description Deploy to all machines. Clear the check box to limit the deployment to specific labels or machines. Limit the deployment to items that are assigned to the selected labels. To select multiple labels, use Ctrl-click or Command-click. Limit deployment to specific machines. In the dropdown list, select the machine or machines you want to deploy to. If your list of machines is long, you can use the Filter field to filter the list by entering a few characters of the machine name. Select the operating systems you want to deploy to. To select multiple items, use Ctrl-click or Commandclick. Note: Leave all operating systems unselected to deploy to all supported operating systems. 7. Click Save. See Customizing the license asset type on page 11. Configuring license usage warning thresholds To configure license usage warning thresholds 1. If applicable, select an organization in the drop-down list in the top-right corner of the page. 2. Click Settings. The K1000 Settings: Control Panel page appears. 3. Click General Settings. The K1000 Settings: General page appears. 4. Scroll down to the License Usage Warning Configurations section. 5. Click Edit Mode. 6. In the Warning Threshold and Critical Threshold fields, enter new values. The default Warning Threshold is 90. The default Critical Threshold is To save, click Override Configuration. 8. To see a chart view of license compliance, click Home > Summary. The License Compliance chart displays the percentage of software usage and whether it is compliant. Administering asset management After you add assets, you need to keep asset information updated. There are two ways to do this: Keep your spreadsheets up to date and re-import them periodically. Maintain information manually in the Asset Management component. Whichever method you choose, use it consistently to ensure that no data is lost. Scheduling regular imports To maintain asset information efficiently, continue updating source spreadsheets. Each time you import, the Asset Management component determines whether to import or update records based on what was designated as the primary key (PK) when the asset was created: If the primary key matches an existing record, the Asset Management component compares the data and updates the existing record. That way you can return to the original data if there is anything wrong with the structure of the new data. Using asset data in reports You can export data from the Asset Management component in standard reports such as: Unapproved Software Installation: Software found on machines where no license has been approved. Software Compliance Simple: License counts, such as those found on the Assets list. Software License Compliance Complete: A list of software and machines that are impacted by each license. In addition, you can create your own reports. For more information, see the K1000 Administrator Guide. Creating an asset administrator role You can create an asset administrator role to permit other users to update assets in the appliance.
