Sharng wth those who have dfferent lfestyles and habts, customs and cultures can be an opportunty for personal development and growth. Sharng wth others Flat/housemate agreements the key to success s honest and open communcaton Most students enjoy a postve experence n our accommodaton but sometmes you may need some help. Each property has an Accommodaton Manager who s avalable to assst you wth varous aspects of lvng n your accommodaton. We also have a team of resdent student wardens who are avalable to offer practcal help and advce and to provde assstance f you experence any dffcultes wth your accommodaton. When you frst move nto your accommodaton, t s hghly lkely you won t know any of the people sharng wth you. But t s equally true they won t know you ether. Durng the frst two weeks n your new accommodaton, take tme to get to know each other. St down together as a group to dscuss some of the followng: l Beng honest about your own lfestyle l Communal cleanng and jont responsblty for everyone to do ther far share. Draw up a cleanng rota l Washng up arrangements l Food and personal possessons what can or can t be shared and expectatons around askng l What nose levels are and aren t acceptable, returnng home late at nght, beng consderate of others, beng able to study and sleep wthout unreasonable dstractons or nose l Informng other flat/housemates f you are havng a frend to stay. Ensurng guests are aware of any flat/house rules and are consderate towards everyone n the flat/house l Allowng other people ther prvacy and feelng comfortable n your own home; creatng an envronment free from harassment and dscrmnaton l Identfyng and dscussng conflct when people communcate there s no lmt to what they can do!

4 Three steps to peace What to do when thngs aren t qute rght: Step one talk t over It s always ways best to try and calmly speak to the person(s) causng you the problem frst. Ths may seem a lttle uncomfortable but often people are not aware of how much stress they are causng and how much they are upsettng others. When they do become aware of t, most people wll change ther behavour. To acheve ths, calmly pont out what has caused you dstress. Be honest about your thoughts and feelngs, for example, when you do X n stuaton Y, I feel Z. It s mportant to reman polte but frm and ensure you do not aggravate the stuaton by shoutng or gettng upset. Step two contact a resdent student warden If step one does not have the desred effect, contact a resdent student warden for support and advce. The nformaton you provde wll not be dscussed wth your flat/housemates wthout your permsson. However t wll allow the warden to look at all the ssues nvolved. He/she can help to agree a way forward wth you. He/she may also suggest facltatng a medaton meetng. Medaton takes a common-sense approach to helpng people solve problems by: Gvng everyone a chance to be heard and to thnk about how they can help to put thngs rght Allowng them to come up wth ther own practcal solutons that wll help everyone nvolved Allowng them to buld ther relatonshps as they work together to fnd an agreement. Medaton s a way of sortng out dsagreements, where a medator helps people n dspute fnd ther own soluton to ther problem. Step three - Accommodaton Manager If necessary the warden may refer your dspute to your Accommodaton Manager. Ths wll need to be put n wrtng, detalng the stuaton and provdng nformaton on how you have tred to resolve the dspute so far. It s mportant that you nclude specfc dates and tmes as well as up to date contact detals. The Accommodaton Manager wll then contact you to arrange a meetng. Durng the meetng, you may dscuss the concerns you have, how the stuaton s makng you feel and the optons that are avalable to you. The Accommodaton Manager s not able to take sdes or apporton blame but can help to look at a workable agreement for the future. They may also be able to offer other optons such as a move to alternatve accommodaton for you, f the stuaton does not mprove. 2

5 Dealng wth nose Many problems n shared flats or houses concern nose. Whlst lvng n shared accommodaton, you have a responsblty to be consderate towards those you lve wth and to other students who lve around you. Students who you share wth, or who lve close by, may also have very dfferent expectatons of how they wsh to lve. They are lkely to have dfferent lfestyles and demands from ther course, and may be workng as well as studyng. Most nose problems can be resolved by communcatng effectvely about how the nose s makng you feel. Try referrng to Three steps to peace on page two. Top Tp: If you or the person makng the nose have been drnkng, or the nose s a one off, t may be better to speak to the person the next day, calmly and poltely explanng the problem you have experenced. Try not to accuse your flat/housemate of delberately upsettng you; most people wll be glad to do what they can to avod dsturbng others. Try to sort out those ponts you are able to agree on, even f that means agreeng to dsagree. You may fnd t useful to keep a note of the date(s) and tme(s) that the dsturbance occurred as ths may help f you are dsturbed agan n future. 3 Easy ways to be a consderate flat/housemate We can all do our bt n helpng to reduce nose nusance to others. If you can communcate and are wllng to lsten, the stuaton can usually be mproved for everyone. Try to reduce the effects of nose from your TV and stereo by movng them away from your flat/housemate/neghbour s walls If you lve wth people beneath you, rase your TV, stereo and speakers off the floor. If you can hear your bass musc from outsde the room, so can everyone else Use headphones and make sure you are not playng your musc too late. Remember your Lcense Agreement contans nose restrctons and talks about not beng a nusance to your neghbours Try to keep the volume of your TV and musc as low as possble. Set your stereo bass control at a low level the bass beat can be partcularly rrtatng If you play a muscal nstrument, ensure you practce t at a reasonable tme and at low level. DJ equpment s partcularly dsturbng and s not sutable for shared student accommodaton Warn your flat/housemates f you are gong to make unavodable nose or take over the communal areas for example havng frends around for a work study group/meal/dvd. It s consderate to nform them face to face, gvng them plenty of notce Be consderate f someone approaches you about the nose dsturbance that you are causng. Lsten carefully and try to understand others ponts of vew even f they dffer from your own. 3

6 4 Advce about partes and guests Large gatherngs are not permtted n your accommodaton and can have serous consequences. See the terms and condtons of your Lcense Agreement at You are responsble for who you allow nto your accommodaton and how they behave whlst they are your guest. It can be dstressng for other flat/housemates and those surroundng the accommodaton f guests are causng a nusance Be aware of others when returnng home late at nght or durng the early hours of the mornng. Close doors quetly, refran from playng musc and from shoutng to each other Remember, you need to try much harder to be consderate of others when returnng home after a few drnks Introduce yourself to your neghbours as ths wll help you to approach each other amcably f problems do arse. Top Tp: Many people lke to be nformed f ther behavour s causng a dsturbance or nusance to others. Dscuss the stuaton poltely and reman calm, avod makng judgments about how another person lves and behaves. Explan how the stuaton s makng you feel and prepare to negotate a way to make the stuaton work better n the future. 3

7 Nose complants procedure and student support If the nose nusance s severe at any tme please nform your recepton, student warden or securty staff. If requred, they wll attend and nvestgate the complant n confdence. Contact detals are avalable at the end of ths booklet. Your Accommodaton Manager may also want to arrange a meetng to dscuss the problem and go through the optons avalable to you. These may nclude: Support and advce on how you can mprove the stuaton Medaton or jont flat/house meetngs to amcably resolve any ssues Interventon wth Accommodaton Servces actng on your behalf The possblty of movng to another UWE property, subject to avalablty Makng a formal wrtten complant. 8 Dealng wth ant-socal behavour Ant-socal behavour s a general term that refers to behavour that adversely affects the health, safety or wellbeng of other people. In student accommodaton ths can nclude vandalsm, settng off fre alarms, abusve behavour, excessve nose, dumpng rubbsh or tamperng wth health and safety equpment. Ant-socal behavour may be commtted by a frend of a resdent, so resdents are also responsble for the behavour of any guest brought nto a property. The optons avalable and method for dealng wth the problem wll vary dependng on the nature and extent of the behavour. Often someone who s responsble for one of these actvtes may be demonstratng other aspects of ant-socal behavour too. UWE takes damage or tamperng wth health, safety and fre equpment extremely serously, ncludng the removal of wndow safety restrants. Ths behavour can result n students beng ssued a Notce to Qut the accommodaton. The removal of campus furnture, traffc cones, sgns, shoppng trolleys and smlar tems from ther desgnated place s regarded as theft and wll be dealt wth as such by the Unversty and polce. It s mportant when dealng wth ant-socal behavour that all resdents work together to deal wth the problem. Behavour whch may appear amusng at frst can soon be seen as ant-socal when t occurs n the mddle of coursework deadlnes or exams. In order for Accommodaton Servces to take acton, t s necessary for us to gather nformaton about ths behavour or ncdent. Ths can be obtaned through CCTV footage or wtness statements. Our bggest source of nformaton s from other resdents. It s mportant to provde frst hand nformaton of: What you saw occur Who was nvolved When t happened Any wtnesses that were around. We may nvolve the polce and may also nvolve the fre authortes over damage to fre systems and equpment. A crmnal record s not somethng that anyone wants on ther CV. We qute often get anonymous or unsubstantated nformaton about who may be responsble for certan ant-socal behavour. Although t s useful, ths wll not allow us to take frm acton. 6

9 If you are sufferng from ant-socal behavour or have been a wtness to ant-socal behavour, please dscuss ths wth a member of staff mmedately. You wll be asked to put your detals n wrtng n order to gather nformaton from everyone affected by the ncdent. Your detals wll not be shared wthout your permsson. Your Accommodaton Manager may then contact you to arrange a meetng to dscuss your complant further. Please help us to make your accommodaton a pleasant place to lve and study. Student lason polce offcer The Unversty has a full-tme polce offcer. He can assst students wth any questons or ssues regardng crme preventon, burglary, personal safety or just general advce. You can drop nto Operatons and Securty, Frenchay Campus, room 1E20, durng offce hours to dscuss any crme-related concerns. Contact detals for the polce offcer can be found at 7

10 8 Emergences If an emergency occurs n your accommodaton you should contact the Courtyard Recepton staff or student warden n the frst nstance they are traned to deal wth emergency stuatons. Securty Servces provde 24 hour emergency cover 365 days a year. If for any reason you cannot contact a member of staff, telephone the Unversty s emergency number mmedately. For the polce, fre or ambulance servce, contact the Frenchay Gatehouse by dalng: Telephone: +44 (0) Telephone: 9999 from an nternal telephone. Ths wll be answered as a prorty by Frenchay Campus East Recepton staff who are traned to respond approprately. For all campuses, the UWE emergency telephone number s: +44 (0) The consequences and cost of ant-socal behavour We want you to have a fantastc year and lots of fun. However, please remember, you are not the only resdent lvng n your flat/house so make sure you do your share n keepng t clean and safe. When you accepted your Lcense Agreement you (and you on behalf of your guests) agreed to act n an approprate manner towards the buldng and other resdents. It s mportant to take your responsblty to others serously. Each year some resdents behavour lands them wth expensve repar or damage bll, and sometmes even dscplnary acton or polce nvestgaton. Here are some examples of where resdents have been foolsh, drunk or showng off, and the consequences of ther actons. We ve also gven you some tps so you can ensure you don t get caught out wth expensve blls or worse. Damage may not always be an obvous consequence of seemngly harmless fun, such as a talcum powder or water fght. However ths can affect the smoke detectors and put lves at rsk f a fre were to occur Inapproprate behavour caused serous damage to a lft. The resdents responsble were charged 3,500 for the cost of repar and the lft was out of acton for weeks! You mght thnk t fun to come back after a few drnks and actvate the fre alarm system. Interference wth fre and safety equpment consttutes a serous offence whch has prevously resulted n the resdents responsble beng ssued a Notce to Qut the accommodaton buldng; they could be ntent on commttng a crme Keep your flat/house doors closed at all tmes. One n three burglares occurs as a result of an unlocked door or wndow. Do not let non-resdents follow you nto a

11 Illegal drugs Smokng n Unversty buldngs s not allowed. It s aganst the law and we take breaches of the smoke-free polcy and Lcense Agreement very serously Leavng rubbsh n the corrdors wll produce strong and unpleasant smells even fles! Removal of rubbsh by cleaners could cost you around 10 per bag, so please use the bns provded Don t be creatve on walls grafft s expensve to put rght and usually nvolves pantng the whole wall If you notce any dsrepar or any problems that prevent you from beng a good resdent, please report t to your recepton or student wardens as soon as possble so we can put t rght If you do cause damage, please own up. You may stll have to pay, but t s farer on others that weren t nvolved. You may even be able to clam on your nsurance f the damage was accdental. The possesson, use or supply of controlled drugs s not permtted n any premses under Unversty control. We am to provde a safe, healthy and supportve envronment for our students and staff. We also am to reduce msuse of drugs and ncrease awareness and understandng of drug-related ssues The Unversty adheres strctly to the law The use, storage or sellng of any llegal drugs (ncludng cannabs) s not permtted n any Unversty managed accommodaton or grounds The possesson, use or storage of ntrous oxde, or any other legal hgh s not permtted n Unversty managed accommodaton or grounds Students found to be possessng or supplyng these substances may be expected to vacate the accommodaton, and Unversty dscplnary procedures may apply We have a duty to pass detals of any llegal actvty occurrng wthn our accommodaton to the polce. 12 Keepng your accommodaton clean Some of your flat/housemates may have dfferent vews about the level of cleanlness the property should be kept n and who should do what. Some resdents are cleaner and tder than others and some may have very dfferent lfestyles and standards to you. We have mnmum standards to ensure the health and safety of the occupants, staff and contractors workng n the property. We carry out regular nspectons of your property and wll advse you f t s not up to standard. Between nspectons, t s up to you and your flat/housemates to agree what level of general cleanlness your property wll be kept n after all t s your home. Top Tp: A cleanng rota s often a useful tool to ensure each resdent s clear about how they should contrbute to the overall runnng of the flat or house. A rota can encourage and mprove workng order n a flat or house and avod unpleasant atmospheres or people dsagreeng over chores. 3 In a shared flat or house each resdent should do an equal share of the cleanng and other household chores. Try to clean up after yourself as you go along. For example, a lght clean of the hob/grll after use prevents t gettng to the state where everyone refuses to touch t. Equally washng up shortly after you have cooked and eaten prevents a mountan of dshes that no one wants to do. Washng up (or lack of) s the bggest cause of cleanng dsputes so t s best to start as you mean to go on and dscuss ths wth your flat/ housemates early on. 10

13 A few tps for a clean and happy home: Resdents of the accommodaton are jontly responsble for cleanng n the communal areas. Agree on a date and tme when everyone can be present for a flat or house meetng. Perhaps wrte an nvtaton to those flat/housemates you cannot speak to Thnk about whether you ntend to make the flat/house meetng attractve and fun. Provdng snacks, for example, can help open up dscusson and attract those less eager to attend Be creatve - thnk about fun deas to draw up a cleanng rota. A sample rota s provded on page 13 Dscuss sharng the chores. Be realstc s a Sunday mornng a good day for a flat/housemate to clean the ktchen floor for example? Be open to lstenng, expressng feelngs and compromsng. Do not assume the frst soluton you come up wth wll be the best. Be reasonable f your flat/ housemates offer to make a compromse, see f other people can be encouraged to do the same Maybe dscuss what to do f someone fals to do ther far share or forgets to do ther chore. Agreeng on oven cleanng duty for example can be a fun and amcable way of addressng ths Try referrng to Three steps to peace on page 2. Thnk about another day and tme that a follow-up flat or house meetng can be arranged. Someone else could be the host. Meetng frequently as a group wll certanly help you dscuss any lastng ssues If you experence any dffcultes you can speak to a student warden who wll be able to offer practcal help and advce on how to amcably resolve any ssues. Top Tp: When dscussng cleanng, focus on the future and how a rota can mprove the stuaton rather than gong over who s to blame, or who hasn t done ther far share n the past. Remember also that ndvduals have dfferent standards and there s never a perfect soluton. 3 11

14 Cleanng... need a helpng hand? Rotas should be drawn up when everyone can partcpate so people can dscuss and have ownershp over the decsons. They work less well when a mssng flat/housemate has been allocated the worst cleanng chore n hs or her absence. If you thnk you need an extra helpng hand, you can buy n cleanng servces through the onlne store: Smply search for cleanng. When dscussng a cleanng problem wth a student warden or Accommodaton Manager, the followng optons may be avalable to you: Medaton. The wardens can arrange a flat/house meetng to dscuss the stuaton wth your co-resdents n order to fnd an amcable soluton The wardens can help you draw up a formal rota of tasks and dscuss who wll do what n a flat/house A cleanng rota agreement can be drawn up and sgned by all resdents You may be perodcally vsted to montor progress. In some crcumstances we may decde to nspect your accommodaton more frequently. We may also be forced to arrange contract cleanng for the affected areas. Ths s usually when the standards fall well below what we would consder an acceptable level of cleanlness. The costs for ths wll be passed to resdents lvng n the accommodaton. However, all resdents wll be gven ample opportunty and notce to clean the affected areas pror to takng ths last resort acton. Top Tp: It s mportant to do your far share and commt to contrbutng to the cleanng of your accommodaton because contract cleaners are expensve. 16 Frendshps, dsagreements and personalty clashes It s not uncommon for a flat or household to start out n a very frendly way and then to fnd that these frendshps start to deterorate nto uncomfortable atmospheres and conflct as the year progresses. Some resdents can fnd learnng how to compromse, negotate and get along wth others very dffcult. Ths can be partcularly problematc durng exam or revson tme when under hgh levels of stress. It s also the case that some people wll never be the best of frends and that s okay. There s a lot of emphass on students havng many close frends and gettng on wth everyone. Ths cannot be the case for everyone as we all have ndvdual personaltes and dfferent outlooks. It s, therefore, common to fnd yourself sharng accommodaton wth someone who has a very dfferent lfestyle, culture, atttude and personalty to you. Please remember to consder other people s feelngs and opnons and to treat them wth respect. Top Tp: Agreeng to dffer on opnons s often the frst step n achevng a more pleasant envronment. Sometmes, learnng or understandng that t s ok to not lke someone can then be the next stage n agreeng how you can get on wth each other for the remander of your stay. 3 Dsagreements can happen for many reasons but the most common dsputes tend to start out very small. Someone eatng your food, or usng your favourte mug wthout askng, can really start to rrtate. When communcaton breaks down t can then be hard to dscuss what t s that has really nfurated you. Whatever the reason, dsagreements wth frends, flat/ housemates or neghbours can be ncredbly upsettng. Fortunately nearly all ssues have the potental to be resolved. It s mportant to focus on reparng a relatonshp n order to mprove the stuaton for everyone f you can. Try usng Three steps to peace on page 2 when resolvng any ssues wth fellow flat/housemates. 14

17 Top Tp: Compromse; fnd areas of agreement and use them as a bass to fndng a workable soluton for you both. If you fnd t too dffcult to speak to the person(s) drectly, you can speak to a warden for support and advce. Improvng communcaton n your flat/house or wth your neghbour Dsputes often start over a small ssue. It s best to try and resolve dsputes at an early stage to prevent problems from escalatng. Please read the helpful tps below: 3 Have a chat wth your flat/housemate before you get angry or upset. If ether of you have been drnkng t may be better to wat untl the next day before calmly dscussng the problem you experenced Reman calm and frendly. Do not threaten to retalate. Do not be ashamed to say how much t has upset you or be afrad to make your own vews clear Dsagreements often nvolve other people. Remember to focus on how the stuaton feels to you. You should not speak on behalf of someone else as most people don t lke to thnk that others have been talkng about them behnd ther backs Avod gettng nto groups or makng other people feel solated as ths can make a stuaton far worse. Thnk about how t must feel for the other people nvolved too Vcous and angry note wrtng or text messagng should be avoded. It s not helpful to any dspute to wrte personal, offensve or negatve remarks to other people you may also deeply regret what was sad later on Stay future focused. What has happened n the past and how people feel s mportant but t s also mportant to move forward too. It s essental that everyone concentrates on how the stuaton can be mproved, rather than focusng too heavly on who has done what. 15

Top Tp: If you are makng an allegaton about another person we wll ask you to put ths n wrtng. If you do not feel able to do ths we may not be able to take any further acton. 19 Makng a complant If you feel that someone s behavour s due n whole or part to your gender, race, sexualty and/or dsablty, or f you feel you are a vctm of bullyng or harassment, t s mportant that you seek mmedate support. If you are unable to resolve the problem by mutual agreement and wsh to make a formal complant ths must be done n wrtng. If the matter nvolves crmnal actvty, you must report t to the polce; we can provde advce on ths. Please remember, we cannot take acton as a result of anonymous or unsubstantated nformaton. Wth any complant t s mportant that you make an appontment to speak wth your Accommodaton Manager or put your concerns n wrtng as soon as possble. It may be possble that your complant can be resolved quckly and easly. To commence formal proceedngs you wll usually need to have evdence. Ths may nclude statements from wtnesses so t s mportant that you keep detaled logs and notes. A full nvestgaton wll be undertaken once your complant has been receved, whch may nclude formal ntervews wth any other person(s) affected/nvolved n order to reach a decson. A representatve from the Student Unon may be nvted to attend students meetngs. Support You may also need addtonal support f you are experencng dffculty wth homesckness, transton, culture shock, fnancal problems, exam stress, your course, a dsablty, welfare or mental health ssues. The wardens, or your Accommodaton Manager, wll be able to gude you n the rght drecton for support n areas not related to your accommodaton. We wll do our best to ensure we have addtonal support n place to help you resolve any dffcultes whch may arse. The sooner you tell us about a problem you are experencng the sooner we can work wth you to help you solve t.
