1 DOMINICA STATE COLLEGE JOB VACANCIES The Dominica State College seeks suitably qualified persons for the following positions; 1. ASSISTANT REGISTRAR The Associate Registrar assists in the management and registration functions at the Dominica State College; Interprets, implements and resolves conflicts related to admissions and records policies and implements DSC policies and procedures for admissions. The Associate Registrar is responsible for assisting the Registrar with all student academic and attendance record keeping. This includes compiling, maintaining, and tracking student academic information and records for internal and external analysis and/or use. S/he acts as the central records facilitator for permanent academic information on current and prior students. The Associate Registrar shares the responsibility for the successful enrolment and retention of students. Incumbent must assure that the DSC philosophy: quality services to clients are maintained at all times. Essential Skills Experience and Abilities: 1. Knowledge of effective customer service techniques with the ability to present one s self and the college in a positive and professional manner. 2. Knowledge of registration process at college 3. Ability to identify required tasks, task priorities and needed resources 4. Ability to organize, schedule, assign, delegate, coordinate and monitor the work of staff 5. Knowledge of problem-solving techniques -- techniques for identifying problems and determining the most appropriate course of action for their resolution. 6. Knowledge of systems analysis 7. Knowledge of departmental policies, procedures and practices.

2 8. Ability to work effectively under pressure. 9. Ability to understand the school revenue process, and compile and disseminate data as it relates to enrollment. 10. Ability to comply with regulatory requirements with respect to student academic records and other documentation 11. Strong interpersonal skills with both peer and student populations. 12. At least two (02) years experience in a College Registrar s Office. The successful candidate should possess: MINIMUM QUALIFICATIONS: Education and Experience: Education: Experience: Associate's Degree (Bachelor's desired) from a regionally accredited institution. Three (3) years directly related experience to include one year of supervisory experience. Excellent organizational and interpersonal skills are required. Demonstrate proficiency in both oral and written communication (including the skills to input information via keyboard) to effectively interact with students, college staff and the general public in a courteous and professional manner. 2. FACULTY SECRETARY Under the direct supervision of the Dean of the Faculty, the Secretary to the Faculty provides secretarial support and office management for all the departments within the Faculty. DUTIES & RESPONSIBILITIES include: 1. Serving as faculty receptionist and office co-ordinator. 2. Processing internal and external faculty correspondence and data entry; 3. Maintaining filing system; 4. Typing faculty documents;

3 5. Other duties incidental to the job as assigned by the supervisor QUALIFICATIONS Associate Degree in Administrative Office Assistant. OR Other Professional Secretarial qualification. At least two years experience in an office setting. SKILLS & ABILITIES Proficient in the use of Microsoft Office Applications, Internet and . Excellent customer service skills. Ability to operate office equipment. Excellent time management, organizational skills, initiative and resourcefulness. Exhibit punctuality, excellent attendance, and flexibility. Ability to perform successfully when challenged by changing workflow priorities. Excellent communication skills- listening, oral and written. Ability to maintain confidentiality. Ability to research records and prepare reports. Ability to work independently. Ability to type a variety of correspondence and statistical material and reports with speed and accuracy. Ability to establish and maintain effective working relationships with other employees and the public. 3. LECTURER HISTORY Under the general supervision of the Faculty Dean or Departmental Head, the lecturer equips students with competencies in the specific subject area, preparing them for lifelong work and successful completion of their current programme. The ideal candidate should possess: a degree in the field of study ( Masters would be a distinct advantage) WITH AN EMPHASIS IN European History;

4 Recent teaching experience 4. SCIENCE LAB TECHNICIAN The Science Lab Technician is responsible for performing physical and chemical testing in support of the College s science programmes. The lab Technician coordinates activities for the conduct of practical sessions in the science laboratories, conducts and evaluates lab sessions, maintains the College s science laboratories (i.e. Biology, Chemistry and Physics) and performs other related duties. Duties include: Maintaining the College s science labs in readiness for practical sessions; The preparation and co-ordination of activities in the specific labs; The collection and analysis of data; Maintaining accurate and concise lab inventory, notebooks and records; Troubleshooting basic instrument problems; Supervision of students; QUALIFICATIONS: Relevant technical degree or certification OR CXC/GCE subject passes inclusive of 3 science subjects plus one A level subject OR Associate degree Laboratory skills training in chemistry ( or related science) OR six (6) months experience in an analytical lab and demonstrated competence. KEY COMPETENCIES: Managing Materials & Services Managing Resources Customer Service and Logistics Continuous Improvement Environmental Occupational Health & Safety (EOHS) and Quality

5 5 INFORMATION TECHNOLOGY (IT) TECHNICIAN Under the supervision of the MIS Manager/Systems Administrator, the IT Technician performs a variety of duties all geared to the proper functioning of the Computer system within the College. Duties include: installing and configuring computer systems; troubleshooting system and network problems and diagnosing solving hardware/software faults; finding solutions to problems; replacing parts as required; following diagrams and written instructions to repair faults or set up systems; setting up new users; running network applications to support systems and users; responding within agreed time limits to call-outs; QUALIFICATIONS AND SKILLS Associate degree in Computer Science or Information Technology Proven competence in IT maintenance; One (01) year s experience working as an IT Technician Good communication skills; 6. ACCOUNTING ASSISTANT The accounting assistant performs clerical accounting duties that support the entire College accounting operation. DUTIES & RESPONSIBILITIES 1. Performs a variety of clerical accounting duties in support of accounts payable and posting to the general ledger. 2. Performs accounts payable functions; analyze documents for payment; prepare, audit and code invoices for data entry. 3. Performs the cashing and related functions.

6 4. Maintain and update a variety of financial and statistical records, worksheets and documents; record information on spreadsheets and calculate totals. 5. Process requisitions, reimbursements, blanket purchase agreements and purchase orders, calculate tax and enter information into computer. 6. Verify, audit and post purchase orders, expenditures, encumbrances and/or budget or expenditure transfers; ensure accurate processing and timely payment of purchase orders, contracts, maintenance agreements and blanket purchase agreements. 7. Verify, audit and post merchandise return figures, maintain, balance and reconcile open credit balance accounts; 8. Prepare and post general ledger journal entries; reconcile accounts payable and asset and liability accounts to the general ledger. QUALIFICATIONS 1. Associate degree in Accounting or Administrative Office Assistant. 2. Knowledge of: i. Routine principles of clerical accounting including accounts receivable and payable ii. Methods and techniques of general ledger posting and reconciliation. iii. Modern office procedures, methods and computer equipment. iv. Principles and procedures of financial records keeping. v. Basic mathematical principles. SKILLS & ABILITIES 1. Computer literacy 2. Good interpersonal skills 3. Accuracy in checking 4. Thoroughness 5. Good Team player
