1 Completing the Performance Evaluation Overview: Understanding the Completing a Performance Evaluation Process After you have conducted a performance review discussion with the employee, your must reenter the performance evaluation to prepare the final version of the evaluation and mark it Avail. for EE Review and acknowledge Review Held. An automated notification will be sent to the employee instructing them to review the performance evaluation, make any necessary comments and acknowledge the performance evaluation online via Self Service. After the employee acknowledges the performance, navigate again to the employee's performance document and mark as Complete. For information on reviewing completed performance evaluation documents, see the "View Historical Documents" tutorial. An evaluation is considered complete when it has been discussed with the employee and acknowledged by the rater and employee. For information on viewing completed performance evaluation documents, see the "View Historical Documents" tutorial. Procedure Scenario: In this topic, you will learn the steps to complete an employee s performance evaluation using the eperformance evaluation tool. Page 1

3 3. Click the Performance Management link. 4. Click the Performance Documents link. 5. Click the Current Documents link. 6. Click the AP Performance Review link. Page 3

5 8. Click the Rating Description icon to view a description of applicable ratings for the FSU Behavioral Expectations Section. Page 5

6 9. Rate employee appropriately. 10. Click the Select Proficiency button. Page 6

7 11. Click the Customer/Stakeholder Focus Rating drop-down list. Page 7

8 12. Rate the employee appropriately. 13. The Responsibilities and Competencies section of performance evaluations are populated from corresponding data in the Position Profile. The description field will only display the first 254 characters of the Responsibility Description. Responsibilities on the Position Profile represent the Essential and Marginal functions on the employee's Position Description. If you find discrepancies in these sections, you may need to update your employee's Position Description. To do so, see the "Reviewing Employees' Competencies and Responsibilities (Non-Person Profile) - Supervisor" tutorial. Page 8

9 14. Click the Rating Description icon to view a description of applicable ratings for the Responsibilities Section. Page 9

11 17. Continue to select appropriate ratings for the Responsibilities Section. Click the Rating list. Page 11

12 18. Rate the employee's Responsibility appropriately. Page 12

13 19. Comments are recommended if an employee receives a rating of Unsatisfactory or Above Satisfactory within a section. 20. Remember the Responsibilities and Competencies section of the performance evaluation are populated from corresponding data in the Position Profile. The description field will only display the first 254 characters of a Competency Description. Competencies on the Position Profile represent the Knowledge Skills and Abilities section of the Position Description. If you find discrepancies in these sections, you may need to update your employee's position data. To do so, see the "Reviewing Employees' Competencies and Responsibilities (Non-Person Profile) - Supervisor" tutorial. Page 13

14 21. Click the Rating Description icon to view a description of applicable ratings for the Competencies Section. 22. Rate the employee appropriately. 23. Click the Select Proficiency button. 24. Continue to select appropriate ratings for the Competencies Section. Page 14

15 25. Enter appropriate Comments. 26. The Employee Goals Section is populated from Business Objectives and Career Goals identified for the employee in Person Profile. For more information, review the "Adding/Updating Business and Career Goals and Objectives (Person Profiles) - Supervisor" tutorial. 27. When evaluating an employee under the Employee Goals Section, the evaluator must indicate Status and Percent Complete prior to selecting a rating. Click the Edit Details button. Page 15

18 30. Enter the appropriate Percent Complete. 31. Click the Update button. Page 18

19 32. Click the Rating Description icon to view a description of applicable ratings for the Employee Goals Section. Page 19

20 33. Rate the employee's Business Objective appropriately. 34. Click the Select Proficiency button. 35. Continue to complete the ratings for all remaining Business Objectives and Career Goals, selecting an appropriate Status, Percent Complete, and entering Comments for each. Page 20

21 36. Click the Rating Description icon to view a description of applicable Overall Summary ratings. Page 21

22 37. Rate the employee's Overall Summary appropriately. 38. Click the Select Proficiency button. 39. Comments are recommended if an employee receives an Overall rating of Unsatisfactory or Above Satisfactory within a section. If an Overall Unsatisfactory rating is given, please advise the Human Resources' Employee Labor Relations Office. Enter Comments appropriately. Page 22

23 40. DO NOT click the Avail. for EE Review button until you have discussed the performance evaluation with the employee. Doing so will make the evaluation available to the employee prior to your discussion. Click the Save button. 41. You may create or print a PDF copy of the evaluation for a higher review if necessary by selecting the printer icon. 42. Click the Return to Document Detail link. Page 23

24 43. Click the Return to Select Documents link. 44. You have successfully completed the Performance Evaluation! 45. What's next? 1) Conduct a performance review discussion with the employee. 2) Following the discussion, prepare the final version of the evaluation and click the Avail. for EE Review button. Also, click the Review Held button. The employee will be notified by to review, make any necessary comments and acknowledge the performance evaluation online via Self Service. 3) After the employee acknowledges the performance evaluation, you will receive an automated indicating this process has been completed. Navigate again to the employee's performance and mark as Complete. 4) For information on confirming the performance evaluation document, see the "Confirming Performance Review" tutorial. 4) For information on reviewing completed performance evaluation documents, see the "View Historical Documents" tutorial.
