3 Overview Purchasing a new hymnal for your congregation can be an overwhelming task! The good news is that it can also be a very rewarding one one that infuses new life into the music and worship ministries of your church. This guide is designed to help you with the logistics of raising the funds necessary to purchase new hymnals and the accompaniment resources that come along with them. The ideas and programs included may or may not be a perfect match for your ministry, so feel free to adapt, expand or limit them according to your needs. Understand What s Available The LifeWay Worship Project is a group of interconnected print, audio, and video resources for congregational worship. It begins with a set of products that are available for purchase and shipment, and then continues on at LifeWayWorship.com with downloadable products to continue infusing new worship songs and hymn arrangements into your worship ministry. We ve created several tools, including a comprehensive brochure, to help you understand the wide array of products that are available. For more information and guidance on how your ministry can use them, contact us at one of our toll-free numbers, in person at your local LifeWay Christian Store, or via the web. Determine the Need There are many reasons why your church might need the resources available in the LifeWay Worship Project. We want a fresh, new set of music to use in worship. We want resources that can change as the needs of our church change. We want to be equipped to expand our ministry to instrumentalists, vocalists, non-musicians, etc. The resources we currently have don t work together. We have some music for instrumentalists, some for vocalists, and some projection resources, but it takes too much effort to make them all match. We want to add musical diversity to the congregational music of our church. We want more choices in congregational accompaniment options, both visually and audibly. We need to outfit ministries outside of our main worship service (student worship, homebound ministry, church plants, etc.) We want to change the way that we present music to our congregation. We re building a new facility and need to outfit it. The hymnals we have are ancient/crayon-marked/falling apart! Again, your church has unique needs, and all of these reasons won t necessarily fit, but it s good to think along these lines at the outset. It s easier to address multiple needs at one time than multiple needs at multiple times. 2
4 Decide the Methodology There are two basic ways to think about making a large purchase like this in your church: making it part of your church budget and making it a one-time designated program. Because of the ongoing nature of this project, a hybrid approach should work well having a one-time campaign to raise money for the physical compilation products and adding to the worship ministry budget to cover digital downloads of new songs and hymn arrangements. Your fundraising plan for this project should reflect the methods that have worked in your ministry in the past. This document assumes that you will have a simple campaign, focused on soliciting donations from members and following up on those donations. Since the project is largely for the benefit of the members of your congregation, the focus of your fundraising will probably be within the membership, as opposed to a more external mission project that would have outwardly-focused fundraising opportunities. Since this is a big project with a big purpose, dream big! You might put on a hymnal bake sale, a car wash, bowling for hymnals, a buy a thousand hymnals and Pastor Joe spends the night on the roof of the education building promotion, or something else entirely. Whatever you choose, make sure that it reflects the character and mission of your congregation. Plan Your Resources At LifeWayWorship.com, a downloadable Excel spreadsheet is available that will help you plan for both the compilation and download products. Items to consider when planning resources: If you are ordering Pew Editions: Which color? Baptist Hymnal or The Worship Hymnal on the cover? Do you want to imprint your church name on the cover? How many reserve copies do you want to include in your initial order to take care of ones that are damaged or accidentally walk off? How many Pulpit Editions? (pastor, minister of music, other staff members, commemorative gifts to instrumentalists, committee members) How many Large Print Editions? How many Singer s Editions? (formerly known as hymn sheets ) How many Resource & Planning Editions? (usually one or two) If you are not ordering Pew Editions: What resources do you need for lyrics? If you are ordering parts for instrumentalists: Do you need the Piano and Organ CD-ROMs which include the additional 301 songs and hymn arrangements that are available but not included in the printed Piano and Organ Editions? Would it be better for your ministry to purchase the complete orchestration, or individual parts? More considerations: Would having the library of accompaniment tracks be beneficial, either for your current worship service, or for any other opportunities? What are the audiovisual needs of your congregation? Once you plug in the needs of your ministry, you can set a financial goal for your campaign. In your goal, be sure to allot for office supplies, postage, and any other expenses you might incur above and beyond the normal expenses of your church for a Celebration Sunday service. 3
5 Plan Your Timeline Once the financial goal is set, it s time to set up a timeline. A minimum of four weeks and a maximum of twelve weeks should provide the best result, allowing your congregation to hear the information from multiple sources and have multiple opportunities to participate. Here is a Sample Timeline that can be adapted to meet your church s ministry: Six weeks from Celebration Sunday - Contact LifeWay with your order information for a final quote that you can set as your goal - Meet with your pastor and leadership team to go over the plan - Finalize plans for the sermons and music for the weeks of worship that are leading up to Celebration Sunday Five weeks from Celebration Sunday - Print posters - Write bulletin announcements - Write articles for your web site - Prepare an to send to your member list - Prepare messages and pages for social networks - Write an article for your printed newsletter - Draft a letter from the pastor - Print pledge cards for donations - Enlist members to give testimonials in print and in person Four weeks from Celebration Sunday -Place posters around your church in high traffic areas -Place pledge cards in the old hymnals in your pew racks - Set up a visual aid in your sanctuary or gathering area pre-worship announcement slides, physical stacks of hymnals, a large poster, theme banner, etc. Three weeks from Celebration Sunday - Arrange for a layperson testimony about worship in your morning worship service - Arrange for testimonials at other gatherings (choir, praise team, senior adults, students, etc.) Seventeen days from Celebration Sunday - Arrange for a layperson testimony about worship in your morning worship service - Arrange for testimonials at other gatherings (choir, praise team, senior adults, students, etc.) Two weeks from Celebration Sunday: Pledge Card Sunday - Play a video about the LifeWay Worship Project (available at LifeWayWorship.com) One week from Celebration Sunday - Call people who have turned in pledge cards to thank them for their contribution and remind them how they can follow up on their pledge - Call families who have not returned pledge cards and ask them to pledge - Arrange for volunteers to organize products, print charts, remove old hymnals and place new ones in pew racks Celebration Sunday - Worship! 4
6 Next week, following weeks - Assess contributions and follow up pledges with phone calls 60 days after Celebration Sunday - Approximate date that any balance for your order is due (90 days from shipment) Create the Vision In this PDF, we ve included printable resources that can help you communicate the vision for your church with several different messages. Different ones will be more applicable in different situations based on the needs and personality of your congregation. Rather than use all of the messages and potentially confuse some of your church members, we suggest that you select one. Suggested Campaign Titles Sing a New Song to the Lord (Baptist Hymnal or The Worship Hymnal Focus) Charting a New Course for Our Worship (Instrumental Charts Focus) Let s Get Worship on Track (Accompaniment Track Focus) Seven Words of Worship (General Worship Focus) In addition, part of your campaign can emphasize the missional purpose for your old resources. Nursing homes, prison ministries, and state and national organizations including the International Mission Board and the North American Mission Board can help your church locate a good home for your old hymnals. Make the Contacts The most essential part of this campaign is making contacts with your membership so that they fully understand its purpose and goal. Think of the various touch points that your ministry has with its membership and how your message can connect. A primary goal should be to make one-on-one contact with each family in your congregation via phone or in person. Be sure to recruit enough volunteers who are comfortable contacting your membership and to allot enough time to have those volunteers make the contacts and any follow-up calls that are necessary. If your church management software allows it, try to keep a centralized record of who has been reached, who needs a follow-up contact, and who has made a decision, even if that decision is not to participate in the campaign. and other digital options can be used for preparation or follow-up, but a person-to-person connection allows for instant questions and answers, candid conversations about the opportunity to participate, information about tax deductibility (if applicable in your state,) and reminders about the benefits to your church s ministry. Here are some mediums of establishing contact with members and specific groups: - every worship service - newsletters / s / instant messages - web sites / social networks - one-on-one phone calls - music groups - small groups / Sunday School - discipleship groups - age-specific groups - recreational groups Members may also elect to donate items in honor of or in memory of or placed by, as well as make contributions to a memorial fund. 5
7 Celebrate! On the day that you first use the new resource, dream big! Pray and ask what God would have your congregation do to use these tools to glorify Him. You might have a normal service that is similar to every other week, and allow the new content of the Worship Project to be the sole differing factor. Or, you may want to have a special, creative service that focuses on the act of worship, either through study, practice, or both. You might want to schedule an extra service that day which focuses on the content from the project, either an old-fashioned favorite hymns service, or a completely scripted scripture-and-music worship experience. Only God knows what is appropriate for your congregation and how the members express their response to His revelation. Follow-up with Pledges After the Celebration Sunday, there will still be a need for follow-up with members who, for many good reasons, will not have either pledged or fulfilled their pledge. These contacts also should be made either in person or via phone so that the member understands from the words and the tone of voice that the church isn t making a collections call.
