12 IMPORTANT Each Add entry, whether in section Education, Academic Experience, Work Experience and/or References, must be completed once you click on Add if you have added a section and left the fields blank, the program will think your application is incomplete and will not let you submit it successfully therefore blank Add fields must be removed CLICK Remove Entry? and then Save changes to eliminate unused Add sections. 19 Section II Application Word Definitions

20 Application Word Definitions Click the act of moving a computer mouse s cursor to a word/s and compressing the mouse s left button to access the available link or field. Certification final step in submitting application. Once an application is complete and free from errors, by checking the I certify box and typing in an applicants initials into the Digital Signature field and clicking Submit the system will generate a confirmation response to verify receipt of application---you have now applied to the position. Demographic Information - optional information required by the State of California that is confidential and not available to selection committees to view. Field open box for input of information. NOTE: Asterisk (*) fields are required, however, in the event you do not have information to input into a field with a RED asterisk input N/A or Unknown and the computer program will accept this field as complete. Hot Links Highlighted word/s underlined when clicked on takes the applicant item and/or site Login Once an applicant creates an account they login requiring the username and password they typed when creating an account. Navigator a dropdown box on each page of the application that an applicant may choose which section to work on by choosing the title of a section and clicking GO NOTE: Available application sections based upon the position type may or may not include: Personal Information, Demographic Information, Academic Experience, Education, Work Experience, Professional or Personal References, Documents Need to Apply, Supplemental Questions, Check for Errors and Submit Position same as Job. PDF - portable document format is an open standard for document exchange. Documents attached to the application whether in this format or not will convert to.pdf during the attachment process. Scroll the act of placing the computer mouse s cursor on the right side of the screen page to utilize the arrows to move the screen page up and down OR placing of the computer mouse s cursor on a section of the screen page not within a field and clicking then rolling the bar on the computer mouse to move the screen up and down. 22 TROUBLESHOOTING APPLICATION RETURNED WITH ERRORS Check for: Asterisk required fields are they complete? You will need to input N/A or Unknown in a required field when information requested is not available. Reference section of application requires three (3) professional and/or personal entries did you input three (3)? Empty sections added to: Academic Experience, Education, Work Experience and/or References did you remove unwanted sections? See page #9 for instructions. Documents attached were they all attached successfully? Stumped? for other application submittal problems. (17)

24 FREQUENTLY ASKED QUESTIONS??? When does the position close? 11:59 PM on the day stated as the close date on the position. What if my application continues to not be accepted by the online application system? Return to the Troubleshooting section of this User Guide for assistance. How do I know if my application has been accepted? When the application is complete there will be no RED checks in sections of the application when viewing it for errors. You will be able to complete the Certification section AND will receive a confirmation number. The application is then accepted for the position you chose to make application. What if I want to apply for another open position? Once you have completed an online application, the data in your previous application will automatically fill those fields that pertain to the new position you want to make application. Not all fields may be the same or required documents for attachment from one position to another. You will need to attach documents for each position you make application. What if I forget my username or password? Click on Login and Choose/Click on: Forget your username or password? You will receive an with instructions. (18)

Choose/Click on: Search Jobs NOTE: As long as the position is still accepting applications you can then Choose/Click on: Apply to this Job Information you have previously input into the withdrawn application will appear. You will need to check for errors and attachments and complete the application before submitting it and signing the Certification section. What if I don t have access to a computer?
