5 Using Date Range Reports Filtering Date Range Reports are filtered either by From Dates and To Dates or by an As Of Date. Enter the relevant date(s) in the corresponding fields. You can filter many reports by Legal Company, Pay Group and Employee Status by selecting a filter from the drop-down menus. Enter an employee s name in the Employee field to search for individual records. If the employee s name has no corresponding data, the field will return, No results found. Sorting Use the sort fields to sort the report data. Reports can be sorted by Employee Name, Employee Number and Employee Status, as well as by Organization Fields and Labor Fields unique to your company. Options Many reports have the option to create either a PDF or Excel format. Select the Format from the drop-down menu. Options vary with each report. See the individual report description in this catalog for information on options that are unique to that report. Click Run Report after you have entered the necessary options, filters and sort fields. 5 Reports Catalog

6 Using Reports On-Demand Reports On-Demand contains reports that are run for a specific payroll. Run reports for past payrolls by selecting the Pay Date from the drop-down menu. Here you have the option to archive the report by selecting the Add Report to Archive checkbox. Click Run Report. 6 Reports Catalog

7 Bank Reports Bank Account Reconciliation Date Range Reports Use this report to reconcile your payroll accounts with your bank statements and to determine any outstanding checks or payments. The report is sorted by bank account and shows every check, direct deposit, transfer, agency payment, and bank transaction. The report shows the check or voucher number, the check type, check date, the payee s name, deposit amount, and the net check amount. Format: PDF or Excel 7 Reports Catalog

9 Consolidated Funding Report Date Range Reports This report serves as a virtual ACH preview for a specified date range. It shows all electronic payments, such as taxes, billings and direct deposits, made in the given date range. Format: PDF 9 Reports Catalog

10 Garnishment Reports Garnishment Payment Audit Report Reports On-Demand This report shows all employee garnishments. It lists the garnishments by employee and shows the type of garnishment, whether the payment is check or ACH, the frequency of the garnishment, the expiration date, the amounts deducted and the remaining balance. 10 Reports Catalog

11 Garnishments by Type Reports On-Demand This report lists the garnishments and child supports for employees by type. 11 Reports Catalog

12 Garnishments Checks by Payee Reports On-Demand This report shows garnishments paid to specific vendors. Each page shows payments made to an individual vendor. 12 Reports Catalog

13 Payroll Reports Certified Payroll Report Reports On-Demand This report is required for most clients doing work for city, state and federal government contracts. Configuration is required at the company level to set up certified payrolls and time must be entered by the day. 13 Reports Catalog

14 Check Register Date Range Reports The Check Register shows a summary of all checks from a particular payroll, including third party checks. It lists department, employee number, payee, date, check number and amount. The Cleared column on the far right does not generate automatically but is useful when reconciling the company s payroll account. This report also helps identify checks that are still outstanding, although the Bank Reconciliation Report is better suited for this purpose. Format: PDF or Excel 14 Reports Catalog

15 Checks Reports On-Demand This report shows a check for each employee paid by paper check on the current payroll. Depending on your printing options, this report may also include vouchers for employees paid by direct deposit. This includes current and year-to-date totals for earnings, deductions, taxes and leave accruals. The end of the report also shows checks paid to third party vendors. Note: * A single asterisk denotes memo calculations. These are not included in the totals. ** A double asterisk denotes reimbursements. These are included in the totals. # A pound sign denotes unpaid earnings. These are not included in the totals. 15 Reports Catalog

16 Vouchers Reports On-Demand This report shows a voucher for each employee paid by direct deposit on the current payroll. This includes current and year-to-date totals for earnings, deductions and taxes. You can also use this report to print a copy of the employee s paystub if the employee does not have computer access to view their voucher. Note: * A single asterisk denotes memo calculations. These are not included in the totals. ** A double asterisk denotes reimbursements. These are included in the totals. # A pound sign denotes unpaid earnings. 17 Direct Deposit Register Reports On-Demand This report shows every direct deposit for the current pay period. Third party ACHs, such as a Health Savings Account, are also shown (next page). Note: Employees may have multiple deposits if they are placing percentages or certain amounts into different accounts. 17 Reports Catalog

19 Federal Tax Deposit Date Range Reports This report shows the federal tax deposit made for the specified date range. It shows the check date and the tax amounts listed by tax type, as well as the taxable wage that was used to calculate the tax amount. The bottom of the report shows the total federal tax deposit amount made by quarter for the selected date range. Format: PDF or Excel 19 Reports Catalog

20 General Ledger Report Date Range Reports Use this report to update your company s payroll accounts for the current period. HKP will set up the general ledger in HKWorks using your current or preferred general ledger configuration. Format: PDF or Excel 20 Reports Catalog

21 GL Detail Report Date Range Reports This report shows the general ledger debits and credits in detail. Here the figures shown in the regular General Ledger Report (previous page) are broken down by individual entry under each account. Format: PDF or Excel 21 Reports Catalog

22 General Ledger by Item Report Reports On-Demand or Date Range Reports This report shows debits and credits by type with totals. While the GL Detail breaks down debits and credits by individual entry, this report shows totals by category within each account. Format: PDF or Excel 22 Reports Catalog

23 General Ledger Accrual Date Range Reports This report shows debits and credits like the General Ledger Report, but also gives the accountant or payroll processor an option to accrue days to calculate the figures for the accounting period. Format: PDF or Excel 23 Reports Catalog

24 Payroll Register This report shows gross through net amounts for the current pay period. Review this report before processing. * A single asterisk indicates memo calculations. These are not included in the totals. ** A double asterisk indicates reimbursements. These are included in the totals. # A pound sign indicates non-paid earnings. 26 MTD Register Reports On-Demand This report is a month-to-date payroll register (see Payroll Register). It shows every employee s earnings, taxes, deductions, and gross and net pay for the month-to-date period. 26 Reports Catalog

27 QTD Register Reports On-Demand This report shows the same information as the Payroll Register but for the quarter-to-date period. It shows employees earnings, taxes and deductions, as well as their gross and net pay. 27 Reports Catalog

28 YTD Register Reports On-Demand This report shows the payroll register for the year-to-date period (see Payroll Register). It lists employees by department with personal information and shows their earnings, taxes and deductions. The end of each department section provides the department totals and the last page of the report shows the company totals. 28 Reports Catalog

29 Payroll Summary The payroll summary is one of your most important reports and is divided into several sections: Payroll Funding lists the total payroll by individual types. Payroll Totals lists miscellaneous information in sections. Payroll Taxes shows all taxes by employee and employer. Employer Tax Expense shows employer taxes and provides the tax agency IDs. Earnings and Deductions shows current totals as well as month-, quarter- and year-to-date totals. 29 Reports Catalog

30 Payroll Timesheet Reports On-Demand If you send your payroll to HKP for processing, this is the report you ll send us to show payroll information for each employee. The first page is simply an informative page about the period with notes or special instructions you have for your HKP customer service representative. The second section of the report is the actual timesheet for you to fill in with the current payroll information. 30 Reports Catalog

32 Pay Transactions Audit Reports On-Demand This report shows all pay transactions for the specific pay period. This report shows each employee s current pay by type, hours or rates, and the total amount. This is useful in auditing employees pay period earnings. 32 Reports Catalog

33 Pay Transactions Labor Audit Reports On-Demand Similar to the Pay Transactions Audit report (previous page) this report shows all pay transactions for the current pay period, but also includes department overrides. If an employee spent time working in a different department, this will show their pay allocated to different individual accounts. 33 Reports Catalog

34 Employee Zero Hours Report Reports On-Demand This report shows any employees who do not have hours for the current payroll. This is helpful when auditing time sheets or time clocks before submitting your payroll. 34 Reports Catalog

35 Employer Liability Report Reports On-Demand or Date Range Reports This report shows total employer liabilities as well as total payroll liabilities. All employer and employee taxes and payroll fees are broken down separately. At the bottom, there is a summary of all total employer liabilities (workers compensation) and employer payroll fees. This report is helpful when managing cash flow and bank deposits. It could also be used for accounting and general ledger purposes. Format: PDF 35 Reports Catalog

36 Exceptions Always check this report before processing your payroll. This shows any warning messages before processing and lists all company, employee, tax and deduction exceptions. The report shows tax variances between the calculated tax and actual tax due. These are usually pennies and can be considered normal. However, a larger variance is a red flag that needs to be addressed. 36 Reports Catalog

37 Quarterly Tax Exceptions Reports On-Demand This report shows any quarter-to-date tax variances in calculated FICA tax versus actual tax. This is broken down by each tax. You can determine whether an error has been made in the quarter by looking at this report. Small variances are common due to system rounding, but large exceptions should be reviewed. See Exceptions (previous page) for variances on individual payrolls. 37 Reports Catalog

38 Payroll Timesheet Blank Reports On-Demand This report is a timesheet with no employee information populated. It does, however, still show your pay types and paid time off at the top. Use this report if a new employee is not yet listed on the regular payroll timesheet. 38 Reports Catalog

39 Employee Check Summary Date Range Reports This report shows a brief overview of employees wages, deductions and taxes for each check within the specified date range. It also shows the quarter- and year-todate totals. (For more detail on check information, see Payroll Register, Checks and Vouchers.) Format: PDF or Excel 39 Reports Catalog

40 Employee Statement of Earnings Date Range Reports This report shows earnings for each paycheck in a given date range. Each page shows earnings for an individual employee. The top of the page shows the employee s personal information. The Employee Check Detail section shows earnings, taxes, and a total of all deductions for each pay date. Then the Employee Check Summary section totals the check detail figures. Format: PDF or Excel 40 Reports Catalog

41 Gross by Distribution Date Range Reports This report shows each employee s gross wages. This also shows the general ledger account number for the gross wages. Format: PDF or Excel 41 Reports Catalog

42 Hours & Earnings by Worked Distribution Date Range Reports Similar to the Gross by Distribution report (previous page), this report shows employee gross wages but provides more detail, including hours (regular, overtime and total) and earnings (regular and overtime). 43 Hours & Earnings Worked Distribution Summary Date Range Reports This report only shows the totals compiled on the last page of the Hours & Earnings Worked Distribution Summary (previous page). Format: PDF or Excel 43 Reports Catalog

44 Employee Earnings Summary Date Range Reports This report summarizes each employee s earnings for the specified date range. It shows each employee s gross wages, paid earnings, 1099 expense reimbursement, tips, taxes by type, deductions and net pay for each employee. The last two columns on the far right show the total check or direct deposit amount. Format: PDF or Excel 44 Reports Catalog

45 Employee Pay Items by Employee Reports On-Demand This report shows the amount, percent, rate, balance, limit, arrears, start date and stop date relating to an employee s deductions, earnings, garnishments and memo calculations. The report does not show the employee s regular pay or salary. 45 Reports Catalog

46 Employee Pay Items by Type Reports On-Demand This report shows each employee s deductions, earnings, garnishments and memo calculations by type, as well as the scheduled amount, percent, rate, balance, limit, arrears, start date and stop date. 47 Totals by Pay Type Date Range Reports This report shows employee total hours and dollars by pay type for the selected date range. Format: PDF or Excel 47 Reports Catalog

48 Tax Liability Summary Date Range Reports This report shows all federal, state and local taxes by type for the current quarter. The tax agency is listed along with the tax, the check date for the tax payment, the wages subject to the tax, the taxable wages, and the tax amount paid. Format: PDF or Excel 48 Reports Catalog

49 Tax Liability Summary by Quarter Date Range Reports This report shows all federal, state and local taxes paid by type for each quarter. The tax agency is listed along with the specific tax, the check date for the tax payment, the wages subject to the tax, the taxable wages, and the tax amount paid. 50 Tax Register Date Range Reports This report is organized by tax type and shows the gross wage, taxable wage and tax for employee and employer portions. Amounts are given for the current, quarter- and year-to-date periods. This is useful for identifying discrepancies in employee and employer taxes. Format: PDF or Excel 50 Reports Catalog

51 Employee Payroll Breakdown Date Range Reports This report provides a breakdown of each employee s payroll figures for the specified date range. The report shows all earnings by type with the corresponding hours, gross wages and actual wages paid, taxes, deductions, net pay, and employer expenses. Format: PDF or Excel 51 Reports Catalog

52 Periodic Payroll Register Date Range Reports This report shows the payroll register for a specified date range. You have the option to group by an organization field and can be run by company or individual employee. Format: PDF or Excel 52 Reports Catalog

53 Check History Detail Date Range Reports Similar to the Payroll Register, this report shows check information for each employee. However, this report shows every check for the given date range, not just the current. The column on the left, under the employee s name, shows figures for the current paycheck. Here you can see the pay date, period end dates, gross pay, net pay, check amount or direct deposit amount, and the check or voucher number. The report then shows earnings, taxes and deductions by type for the current check. It also shows the employee total for the date range selected. Format: PDF 53 Reports Catalog

54 Check History Summary Date Range Reports Use this report for a summary of the earnings, taxes and deductions shown for each employee on the Check History Detail report (previous page) within the date range selected. Format: PDF 54 Reports Catalog

55 Consolidated Payroll Summary Date Range Reports This report is a modified version of the Payroll Summary that displays totals from all pay groups for the company. Unlike the Payroll Summary, this report does not include a funding section. This report shows all payrolls for the year-to-date including the current payroll. Format: PDF 55 Reports Catalog

60 New Employee and Change Audit Reports On-Demand This report is divided into two sections, New Employees and Employee Updates. New Employees shows new employees department, ID number, name, pay type, salary or rate, hire date, and direct deposit information (routing number, account number, the account status, and type of account). Employee Updates shows any additions or changes made to an employee s information, which is organized by the category of change (personal, taxes, pay, etc.) and includes a description of the change, the previous value and the new value. This report is a quick way to check new or changed information instead of searching through the system. 60 Reports Catalog

61 Employee Change Log Report Date Range Reports This report shows all employee changes in the specified date range. Use this report as an audit trail for employee event information. Format: PDF 61 Reports Catalog

62 Overtime Report Reports On-Demand This report shows overtime hours and earnings by employee for the current, month-, quarter- and year-to-date periods. The bottom of the report shows total overtime costs incurred for each period. 62 Reports Catalog

63 Overtime Report by Type Reports On-Demand This report is similar to the Overtime Report (previous page) but is broken down by types of overtime rather than by individual employees. Each page shows a different overtime type. 63 Reports Catalog

64 Payroll Invoice Reports On-Demand This report is a client s standard invoice showing itemized billing with totals at the bottom for the current payroll period. 64 Reports Catalog

65 Payroll Invoice by Labor Reports On-Demand This report averages billing by the number of employees in each department. Use this invoice if you need to view only the amount each particular department s payroll processing has cost for the period. It shows the number of employees, the percentage of total cost and the amount. To view details for the amounts given, see the Payroll Invoice on the previous page. 65 Reports Catalog

66 Quarterly Tax Liability Reports On-Demand This report shows all federal, state and local taxes paid for the quarter. Taxes are shown by the type, the rate at which the company or employee were taxed, the tax ID, the number of employees liable for each tax, as well the quarter- and year-todate taxable wages and amounts. 66 Reports Catalog

67 Quarterly Wage Report Date Range Reports This report breaks down each employee s wages and taxes for the quarter and year individually. Each employee s wage and tax totals are given along with federal and state unemployment taxes (FUTA and SUTA). Format: PDF or Excel 67 Reports Catalog

68 Quarterly Wage Summary Date Range Reports This report is broken down into federal and state wages, which are in turn sorted by employee. The federal section of the report shows the quarter- and year-to-date gross wages, federal income tax withholdings, Social Security and Medicare for quarter- and year-to-date totals. The right half of the report shows federal unemployment tax information for the quarter. The state wages section shows the quarter- and year-to-date gross wages, taxable wages for state unemployment insurance for the year-to-date and taxable wages, excess wages, and the tax rate for state unemployment insurance for the quarterto-date period. 72 Tip Reports Tip Allocation Worksheet Reports On-Demand This report shows the total amount of tips received by each department. The information in the report helps when completing Form For example, the Food & Beverage 8% column helps in completing line 6 of the IRS form. 72 Reports Catalog

73 FICA Tip Credit Report Reports On-Demand This report is useful for restaurants and other businesses that receive tips. It lists each employee that received a tip and shows the cash amount of the tip, the actual declared tips reported, credit card tips, total tips, and any other or extra tips for the pay period selected. This also shows any minimum wage tips deemed to be wages. This is helpful with auditing and reporting tip amounts. 73 Reports Catalog

76 Tip Analysis Report Reports On-Demand This report shows the employees regular pay and hours, along with any declared tips and actual tips made. 79 Tax ID & Rate Verification Report Reports On-Demand This report shows information on the different taxing authorities applicable to your company.
