2 Proctoring Procedures STEP 1: Prepare for the practice exam by ensuring you have the following items: Adequate number of tests Adequate number of answer grids Number 2 Pencils (not mechanical pencils) Calculators (see page 6 for calculator guidelines) STEP 2: Locate students Enrollment ID numbers & the Class Code. Enrollment ID numbers and the Class Code are essential to grading students exams. Students will need these numbers to complete the student information portion of their answer grid. Please see Figure 1 for more detail. Class Code Enrollment IDs Figure 1: Kaplan Roster STEP 3: Proctor the practice exam using the Proctoring Guide on page 4. STEP 4: Score student essays and bubble in the essay score for each student on their corresponding answer grid. A guide to scoring essays can be found on page 12. Be sure to return graded essays to students or give the graded essays to the Kaplan teacher so they can review them with students directly. Essay Score STEP 5: Complete the Practice Test Grading Cover sheet on page 3. STEP 6: Group tests by CLASS CODE (if multiple classes are being tested) and mail to Kaplan K12 Learning Services. If available, please note your tracking number. Practice exams will be graded and returned to you electronically. Kaplan will scan and score the exams within five business days of receiving the completed answer grids. Grids that are incomplete, missing information, or not organized by class code will affect the return date. Instructions for the test are printed at the beginning of each section. 3. Have students fill in and bubble their NAME, DATE, and TEST ID (aka Scan Code), CLASS CODE, and ENROLLMENT ID (see figure 1 on Pg. 1) on the Student Information section of their answer grid. 4. When you are ready to start the exam, read the instructions aloud in the Proctoring Script on Page 5. Test ID Enrollment ID Class Code.AFTER THE TEST. 1. Collect the answer grids and test booklets from students. 2. Score the essay section of the exam using the SAT Essay Grading Guide on page 12 and ensure that the score is on the students' answer grids. 3. Complete the Practice Test Cover Scanning Sheet found on page Ship the Practice Test Scanning Cover Sheet and the students' completed answer grids to Kaplan. If available, please note your tracking number. 5. Kaplan will scan and score the results within five business days of receiving the completed answer grids. 6. A Kaplan manager will send the results of the exams to you electronically, along with answers and explanations. Students will receive individual reports on their performance. In addition, an aggregate report will summarize overall school performance. 5 .DURING THE TEST. Proctoring Script All instruction that the proctor should read aloud to students is in italics and bold below. Good (morning/afternoon/evening). Welcome to Kaplan s SAT Practice Test. The SAT will test the reasoning and critical thinking skills you ll need to be successful in college. Those who prepare for these tests have the best chance to improve their scores. This practice test is designed to give you the opportunity to: get acquainted with the SAT - its sections and timing; assess your strengths and weaknesses as a test taker; gain a sense of how you might score on Test Day given your current level of preparedness First, it is very important that each student has an equal opportunity to demonstrate his or her ability on the test. Therefore, please listen to the following rules: Timing for SAT Practice Test Section 1 25 Min Section 2 25 Min Break: 5 Min Section 3 25 Min Section 4 25 Min Break: 5 Min Section 5 25 Min Section 6 25 Min Break: 5 Min Section 7 25 Min Section 8 20 Min Section 9 20 Min Section min Do not communicate with any other student during the test. Do not open your test book until instructed to do so. Do not work on a section other than the one you ve been instructed to work on. Do not mark your answer grid in any area other than the section you are at work on. Do not mark your answer grid after time has been called. Do not use any unauthorized devices, including cell phones, even during breaks. Do not take the test in another student s name. Do not eat or drink in this room. Do not disturb other test takers in any way. Do not leave the building during the test. Do you have any questions about these rules? (PAUSE FOR QUESTIONS) Please emphasize to the students that they must follow grid instructions if they want their test to be graded. The SAT test includes 10 sections that cover Math, Critical Reading, and Writing. There will be 3 5-minute breaks during the exam; a 5-minute break will follow sections 2, 4, and 6. Let s get ready for the test. I will now review requirements and restrictions for completing your exam: Use a No. 2 pencil for all sections, including the essay. Mechanical pencils are not allowed on the SAT. You should not have brought to the testing center a cell phone, pager, handheld computer, or other electronic device. If you have any of these items, turn the power off and put the devices away now. The only things on your desk should be pencils and erasers. 888-KAPLAN8 5

6 You do not need a calculator to complete the math section of the test. If you choose to use a calculator, you may use it only on the math sections. When you are working on other sections, put your calculator under your desk. Take a moment now to ensure that you have an approved calculator. Calculators permitted during testing are: o graphing calculators; o scientific calculators; or o four-function calculators. Unacceptable calculators include: o cell phone calculators; o calculators with typewriter-like keypads; o calculators that require an electrical outlet; o calculators that make noise; o calculators that use paper tape; o any device that has a writing pad or pen; and o PDAs or handheld or laptop computers. If you have any of these devices, please put them under your desk. Now put away your calculator. You will not need it for Section 1. [Pause] Put any other belongings under your desk, and leave them there until the test is over. Are there any questions? [Pause] Is there anyone here who needs a pencil? [Provide pencils if necessary.] If you have a beeper watch, please turn off the alarm. I will be the official timer for the testing today we will follow my watch. Periodically, I will indicate on the blackboard how much time remains in a section. Also, I will announce when 5 minutes remain. Are there any questions? No scratch paper is provided for this examination. All scratch work is to be done in the test booklet. There is ample room for scratch work there. No credit will be given for answers in the test booklet. All of your answers in a section must be transferred to the Answer Grid Booklet during that section. You will not be given time after each section, or after the test, to transfer your answers to the Answer Grid Booklet. Are there any questions? If you need to leave the room for any reason, you may do so, placing your answer sheet into your test booklet and leaving as quietly as possible. However, you will not be able to make up any time lost while you have left the room. Note that on test day, you must be acknowledged by the proctor before leaving the room. Once we begin the test I cannot answer any questions, so be sure to have any of your questions answered now. You will work on each section in succession, beginning and ending each test according to my instructions; you are to work on only the sections that I announce. If you finish a section before time is called you may go back and check your work on that section, but you may not work on any other section. Are there any questions? 888-KAPLAN8 6

7 (Test Administration) SECTION 1: Essay TIME: 25 Minutes We are about to begin the examination. You will have 25 minutes to work on Section 1, which is the essay. Begin your essay on page 3 of the answer grid, and use page 4 if needed. You must fit your essay into those two pages and within the margins marked; no extra pages are allowed. Write your essay with a No. 2 pencil. If you do not use a No. 2 pencil, you will receive a score of zero. If you finish the section before I call time, do not turn to another section. Are there any questions? [Pause] Turn your answer grid to Section 1 on page 3. If you haven t already, please print your last name, first name, and middle initial if you have one, the Test ID, and your Enrollment ID (if applicable) at the top of the page. Now open your test booklets to Section 1, read the directions, and begin work. Good luck. [Indicate the Section, Starting Time, and Finishing Time on the board.] During the sections, follow the instructions you ve just described. When 5 minutes remain, announce this verbally and indicate the remaining time on the blackboard. Walk around the room and down the aisles periodically. Discourage talking, whispering, and the asking of questions. Stop the Essay test by saying: Stop work on the Essay. Please put down your pencil and do not turn the page. It's critical that today, and on Test Day, you put down your pencil immediately upon the proctor's demand. Get in the habit of stopping immediately when told to do so. [Make sure that pencils are down.] Please tear out the essay page, pages 3 and 4, from your answer grid booklet. I will come around and collect them. [Collect the essays. After you ve collected the essays, continue with the test. Grade the essays during the remainder of the exam, being careful to be vigilant in your proctoring and to announce the timing of the test as follows.] SECTION 2 TIME: 25 Minutes You will have 25 minutes to work on Section 2. Do not begin work until I tell you to do so. When you turn the page to begin work on this section, follow the instructions for marking your answers in Section 2 of the answer grid. If a math section contains questions that are not multiple choice, follow the instructions for marking answers on your answer grid. Start with number 1 in Section 2 on your answer grid. There are more spaces on the answer sheet than there are multiple-choice questions. Take care to grid your answer in the correct space. 12 SAT Essay Scoring Guide A Framework for Scoring SAT Essays ( The SAT Scoring Guide expresses the criteria readers use to evaluate and score the student essays. The guide is structured on a six-point scale. Since the SAT essay is scored holistically, readers are trained to use the SAT Scoring Guide in conjunction with anchor papers, which have been scored by consensus as representative examples. The language of the Scoring Guide provides a consistent and coherent framework for differentiating between score points, without defining specific traits or types of essays that define each score point. Score of 6 An essay in this category demonstrates clear and consistent mastery, although it may have a few minor errors. A typical essay: Effectively and insightfully develops a point of view on the issue and demonstrates outstanding critical thinking, using clearly appropriate examples, reasons, and other evidence to support its position Is well organized and clearly focused, demonstrating clear coherence and smooth progression of ideas Exhibits skillful use of language, using a varied, accurate, and apt vocabulary Demonstrates meaningful variety in sentence structure Is free of most errors in grammar, usage, and mechanics Score of 5 An essay in this category demonstrates reasonably consistent mastery, although it will have occasional errors or lapses in quality. A typical essay: Effectively develops a point of view on the issue and demonstrates strong critical thinking, generally using appropriate examples, reasons, and other evidence to support its position Is well organized and focused, demonstrating coherence and progression of ideas Exhibits facility in the use of language, using appropriate vocabulary Demonstrates variety in sentence structure Is generally free of most errors in grammar, usage, and mechanics Score of 4 An essay in this category demonstrates adequate mastery, although it will have lapses in quality. 14 Frequently Asked Questions What should I do if I do not have Enrollment IDs? If you do not have Enrollment IDs contact your school administrator managing the Kaplan course or your Kaplan manager directly. Can we administer the exam over multiple days? Although we strongly suggest students take the exam in its entirety in one sitting in order to experience an authentic test taking experience, it is possible to administer the exam over multiple days. How can a student make-up a test they missed? If the student missed the exam and grids have not yet been sent to Kaplan you can administer a make-up session and then send all exams together, but keep in mind this will delay scanning and scoring. If grids have already been mailed to Kaplan, students can take their practice test online through their online portal, or take the exam on paper and pencil and submit for grading via web-grid which can also be found on their online portal. What should I do if I do not have enough exams? If you run out of test booklets, you can provide students with a digital copy of the exam which can be accessed through their online portal. If this is not an option, consider breaking up the test booklets and staggering sections so that students work on one section and then swap with each other. If you choose to use this option, be sure that students are always bubbling in the correct section of the answer grid even if they are taking it out of order. For example, if they take section 4 first, be sure they still use the section 4 answer grid sections to fill in their answers. What should I do if do not have enough answer grids? You can print out additional grids for students via their online portals. If this is not an option, you may provide students with a sheet of paper with their name, enrollment ID and answers, which can be sent right alongside the grids. We will hand-enter the results for those students, but please be aware that grids sent in this manner will delay scoring beyond the 5 business day turnaround. Can I score the essays while students are completing the exam? Yes! Scoring the essays while the students are taking the other sections of the exam is an excellent use of time and a strategy to ensure you can send out the completed exams as quickly as possible. Remember to fill in each student s grid with the essay score once they have completed the test. Be sure to continue to monitor the clock and complete work quietly as not to distract students from the exam. What should I do if students do not have calculators? If students do not have calculators you may allow them to use their phones if set on silent and airplane mode (if applicable). Remind students that phones are NOT permitted as calculators on the actual exam this is strictly prohibited. 888-KAPLAN8 14

15 What should I do if we do not have enough #2 pencils? If students do not have #2 pencils, they can use a piece of paper to write down their answers with a pen. When the test is completed, they should then transfer their answers to the answer grid using a #2 pencil. What should I do if students arrive late? It is a good idea to carve out a row near the door for stragglers. That way, students who show up late can quickly join the group without disturbing the rest of the students. If a student does arrive late, provide the late student with the exam materials and have them begin where their peers are currently at in the exam. They should be aware that their score will be affected by their arrival as they will not have the same amount of time to complete the exam or sections as their fellow students. What should I do if a student receives testing accommodations for the exam? Students should take their exam in as authentic of a setting as possible. If the student is scheduled to receive accommodations on the exams, they should take the test with these specific accommodations. This may require the student to take the exam separate from their classmates in order to accommodate extended timing or other accommodations.
