1 Job Application Pack Marketing & Events Manager Role: Marketing & Events Manager Department: Marketing & Events Job Level: Head of Department Reports to: Deputy Director Contract: Payroll, Permanent Hours: Full time, permanent Salary: 25,000-29,000 dependant on experience Location: Sheffield Pension: Sheffield Doc/Fest automatically enrols employees into the Workplace Pension Scheme Start: Early January 2017 Overview of the role Sheffield Doc/Fest is offering the opportunity for a marketing and events professional to join the team in a newly created role of Marketing & Events Manager. As a Head of Department, the Marketing & Events Manager will be a highly skilled communications professional and commercially minded individual who will work with the CEO and Deputy Director to devise and deliver Doc/Fest s marketing and audience development strategy and development and production of Doc/Fest events. The Marketing & Events Manager will oversee marketing and events, both for and during the Festival and for All Year activity, managing a small marketing and events team. The successful candidate will be an outgoing and confident person, based in the Sheffield office and will have some opportunity for representing Doc/Fest externally in order to promote Doc/Fest business. Key duties and responsibilities: Marketing: Lead on the Company s marketing and audience development strategy, including its design and its delivery; Devise and oversee Doc/Fest s marketing campaigns for the festival; 1

2 Lead on strategy for Doc/Fest s public outreach campaigns; Devise and oversee marketing campaigns for the Doc/Fest s All Year programme, which may include Film and Alternate Realities screenings and exhibitions, talks/masterclasses and year round training and networking opportunities; Manage relationship with and work closely with the Festival s graphic designers to develop and promote the Doc/Fest brand; Lead on the creation and production of merchandise ranges and their sales, and where sponsored items, working in conjunction with the Director of Partnerships & Development; Lead on strategy for Doc/Fest s social media, both public and industry facing; Lead on strategy for Doc/Fest s social networking, both public and delegate facing; Lead on Doc/Fest s strategy for destination tourism, in conjunction with local and regional tourism bodies and the city council; Create a clear timeline of all deadlines for the year for publications and marketing; Oversee the design, layout and production of all publications; Create project-based marketing and audience development plans for individual projects and for funding bids; Input into ticket pricing and sales strategies; Maintain existing and established marketing, media and cross-promotional partnerships, and nurture new key relationships; Identify, develop and manage relevant external marketing and promotional partnerships able to support the Marketing department s objectives; Service funding and sponsorship agreements with regard to branding and marketing as advised by the Director of Partnerships and Development; Liaise with designers, agencies and suppliers towards cost-efficient production and delivery of campaign materials; Oversee the writing and editing of copy for sales, advertising and promotional materials; Oversee the production and distribution of printed materials for the festival and other events; Support the Director of Film Programming on the editing of film programme clips for Programme Launch; With the Operations & HR Manager, hire and brief the photographers and videographers documenting the festival; Oversee the edit of video content; Oversee production of the festival trailer in time for Programme Launch (May); Work closely with the Head of Press to ensure press and marketing opportunities are maximised, collating information for the creation of press releases; Ensure all relevant what s on listings online and in print publications are taken advantage of; 2

3 Line manage the Marketing Team which includes a Marketing Assistant, Marketing Runner, Publications Coordinator, Publications Assistant (Festival temporary roles); Oversee and delegate the uploading of festival content (stills, clips, copy) to the website and regular e-news; Set the marketing budget lines, in collaboration with the Deputy Director, and manage those lines within budget, highlighting any possible overages before they occur; Arrange contra deals with other organisations websites for banner advertising and logo placement; Lead on strategic planning for organisational discounts and promotions; Ensuring the organisation is represented by its correct branding and logo on all platforms; Lead on public audience feedback and data collection, ensuring learning is maximised and acted on. Events: Oversee the design and delivery of all festival events, including opening and closing night, sponsored receptions, sponsored dinners, nightly parties and awards ceremony; Work with the Director of Film Programming on special film events, such as the Opening Film, and Live and Special events, and with other Heads of department on relevant, special/live events; Be a strong, outward presence during the festival for public and delegates; Line manage the Events Producer and Events Assistant (Festival temporary roles), ensuring they are well briefed and report regularly; Oversee the production of all events, including bookings, catering, riders, running orders, security and front of house; Manage the organisation of transport for events out of the city centre where required; Work with the Director of Partnerships & Development to service sponsors, ensuring smooth delivery of sponsored events; Work with the Head of Production to be the central contact for venues and tech providers for those events, ensuring a smooth running; Research of names and contact details of guests to be invited to all parties and receptions, including the Opening Night, sending invitations, processing RSVPs, managing arrival system at each event; Oversee the copywriting and editing of relevant events marketing materials for promotional purposes; Contract all special event entertainment and ensure delivery of their rider; Work with drinks and food brands to coordinate the delivery of sponsored stock; Ensure all talent are met and looked after, liaising with the Hospitality department; Ensure creation of VIP gifts; Ensure venues are dressed, branding needs are met, and that events are 3

4 presented appropriately; Arrange contact system on nights where more than one event takes place; Be first point of contact for any issues arising with events during festival; Lead on any reporting for events. General: Line manage staff in the Marketing and Events department; Represent Sheffield Doc/Fest at events, giving presentations where relevant; Ensure any relevant sections of Doc/Fest website and Wikipedia are updated; Set and manage timelines and milestones for Marketing and Events department, and ensure they remain up to date; Write appropriate sections of Final Festival Report and internal debrief document, and attend post-festival debrief and Planning days; Any other reasonable tasks as required. Person Specification You will need to demonstrate: Experience of strategising and designing marketing campaigns; Experience of implementing and delivering marketing campaigns; Good knowledge of effective online marketing strategies; Experience of producing significant publications for a major event; An interest in documentary film and television, and digital and interactive media and virtual reality; High level experience working with high profile talent; Good knowledge of trends in the documentary and digital industry; Existing networks and contacts in the documentary industry and/or in the Yorkshire destination tourism industry is desirable; Experience of managing media partnerships and servicing brand sponsorships; Ability to represent and be the face of the festival at promotional events; Confidence to meet and greet guests and speaking in public; Good sales technique; Experience in producing major events; Experience of line managing a small team; Experience of working in a fast-paced and pressured environment, delivering to strict deadlines; Good copywriting skills with accurate grammar; Experience of managing budgets effectively, including making small budgets stretch further; An understanding of financial reporting; Proficiency in IT skills including Photoshop, Indesign, Excel and Powerpoint as well as mailing software and online systems. 4
