1 1 Labels: Using CounterPoint Printing Labels Overview CounterPoint allows you to print labels for any type of custom format you define. You can print labels from information stored in tags, or you can specify the label information when you print the labels. This document explains how to print labels. Printing labels Select Labels / Print / Labels from tags to print labels from tags. Select Labels / Print / Labels to print labels from current information on file, rather than from information in tags. 1. Custom format to print Enter the ID of the custom format to print. If you have previously saved label printing parameters for this custom format, these parameters appear automatically. 2. Print which tags Field 2 appears as Print which tags if you are printing labels from tags. Otherwise, field 2 appears as Qty per selected record. Unprinted Printed All To print only Unprinted tags (those that have not previously been printed). To print only Printed tags (those that have previously been printed). To print All tags. 2. Qty per selected record Field 2 appears as Qty per selected record if you are printing labels without tags. Otherwise, field 2 appears as Print which tags. Enter the number of labels to print for each record located in the range you specify. Press Enter for 1. For a custom format with an Item labels format type and Inventory items or Sale items format sub type, press: F1 F2 To use the quantity on-hand in the Item file for each item. To use the quantity on-hand in the Inventory file for the specified location.

2 Labels: Using CounterPoint - Printing Labels 2 For a custom format with an Order labels format type and an O/E orders format sub type, press: F1 F2 To use the number of shipping labels from each order. To use the number of COD labels from each order. 3. Separate runs or merged? (Not applicable) displays (1) when you are printing labels from tags, (2) if you answer 1 to Qty per selected record, (3) if you press F1 or F2 at Qty per selected record, or (4) if you are printing a Free-form labels custom format. Separate Merged To print additional copies of all labels after the first copy of all labels have been printed. To print additional copies of a single label immediately after the first copy of the same label, and before the first copy of the next label. Save as/replace default label printing parameters? This question appears after you press Enter at Field number to change? if you changed the existing label printing parameters or entered new parameters. Specify whether to save these label printing parameters as the default parameters to use for subsequent sessions by selecting Yes or No. Printing inventory item labels The fields in this section appear if you enter a custom format type with an Item labels format type and an Inventory items format sub type.

3 Labels: Using CounterPoint - Printing Labels 3 Which location? Enter the location of the tags to print. If a location-specific price exists for this item and location for the price level defined on the custom format, that location-specific price will print on the label(s). 9. Label code To print labels only for items that are assigned a particular label code, enter the label code. Press F1 for All label codes. 10. Unit (Not applicable) displays if you are printing labels from tags. Stocking unit To use the item s Stocking unit for printing the quantity field, and for calculating the Qty per selected record. Alt unit 1 To use the item s Alternate unit 1. Alt unit 2 To use the item s Alternate unit 2. Alt unit 3 To use the item s Alternate unit 3. Preferred unit To use the item s Preferred unit. If you specify 1, 2, or 3, the quantity field is converted to the alternate unit and rounded to three decimal places for printing. If the quantity to print is based on quantity on-hand, the quantity to print is converted to the alternate unit and truncated to a whole number. If you enter a unit that is not valid for an item (i.e., you specify 2, but alternate unit 2 is not defined for an item), no label prints for that item. If the custom format specifies to print item prices, the prices that correspond to the unit entered here are the prices that print on the label. If the item s pricing unit is different than its stocking unit, the pricing unit prints as the Unit, regardless of your entry here. Printing transferred item labels The fields in this section appear if you enter a custom format type with an Item labels format type and an Items transferred format sub type. Print for each piece xfer d? This field appears with field 2 only when you are printing labels without tags. Specify whether to print a label for each piece (unit) of every item transferred by selecting Yes or No. If you answer No, a label prints for each transfer line. If you answer Yes, the number of each item that is transferred is multiplied by your entry for Qty per selected record to determine the number of labels printed.

4 Labels: Using CounterPoint - Printing Labels 4 4. Transfer number range Enter the range of transfer numbers. Leave <blank> at the second field, if you entered a specific transfer number for the first field, to default to the same number. Press F1 for the First (or Last) existing transfer number. NOTE: The F9 LookUp displays on-file transfers from the Transfer Transaction file. Quick transfers are NOT included in the F9 LookUp. However, if you specified to generate tags using Inventory / Transfers / Quick transfers / Post, you can print those tags as long as the quick transfer number is included in the range specified here. 6. From location Enter the from-location of the transfers to include. Press F1 for All from-locations. 7. To location Enter the to-location of the transfers to include. Press F1 for All to-locations. 11. Label code 12. Unit Enter these fields just as you would if printing an inventory item label. (See the Printing inventory item labels section on page 2 for more information.) Printing sale item labels The fields in this section appear if you enter a custom format type with an Item labels format type and a Sale items format sub type. 8. Label code 10. Unit Enter these fields just as you would if printing an inventory item label. (See the Printing inventory item labels section on page 2 for more information.) Sale prices that correspond to the unit specified here are printed. A label prints for an item only if the specified unit is defined for an item and a sale price for that unit is on file. 9. Sale date range Enter the range of sale dates for which to print labels. Press F1 for the Earliest (or Latest) existing sale date. Labels print only for items with sale prices that are effective for at least one day of the range entered here.

5 Labels: Using CounterPoint - Printing Labels 5 Printing items on P.O. labels The fields in this section appear if you enter a custom format type with an Item labels format type and an Items on P.O. s format sub type. Print for each piece ord d? This field appears with field 2 only when you are printing labels without tags. Specify whether to print a label for each piece (unit) of every item ordered or received by selecting Yes or No. If you answer No, a label prints for each purchase order line. If you answer Yes, the number of each item that is ordered or received is multiplied by your entry for Qty per selected record to determine the number of labels printed. 4. P.O. number range Enter the range of P.O. numbers. Press F1 for the First (or Last) existing P.O. number. When using the F9 LookUp at this field, you can press F2 to switch between looking up open P.O. s and looking up received P.O. s. 10. Label code 11. Unit Enter these fields just as you would if printing an inventory items label. (See the Printing inventory item labels section on page 2 for more information.) Printing customer labels The fields in this section appear if you enter a customer format with a Customer labels format type and a Customers format sub type.

6 Labels: Using CounterPoint - Printing Labels 6 6. Profiles This field appears only if you are printing labels for a customer format with a format sub type of Customers or Ticket history. Press: F1 For All, to print labels for all customer tags regardless of the customer s profile information. F2 If you want to print labels only for customers with specific profile information, to specify that information. These windows appear if you press F2 at Profiles to enter specific profile information. The profile prompts defined in Setup / Customers / Control display in the box on the right side of the screen. Profile field This field appears in the profile pop-up window if you press F2 at Profiles to enter specific profile information. Press: Up Arrow Home Enter Down Arrow End To move the highlight among the displayed profile fields. To select the highlighted profile field. After you have entered the first profile field, you may select [Finished] to indicate that you are through entering profile fields. Labels print only for customers whose profile information matches all of the parameters entered here. Select when customer This field appears in the profile pop-up window if you press F2 at Profiles to enter specific profile information. EQ To print labels for a customer tag when the customer s profile information equals the specified value (entered in the next field). NE When the customer s profile information is not equal to the specified value. GT When the customer s profile information is greater than the specified value. LT When the customer s profile information is less than the specified value. GE When the customer s profile information is greater than or equal to the specified value. LE When the customer s profile information is less than or equal to the specified value.

7 Labels: Using CounterPoint - Printing Labels 7 [Value] This field appears in the profile pop-up window if you press F2 at Profiles to enter specific profile information. If you entered anything other than Always in the preceding field, you must specify the value to use in determining whether each customer s profile information prints. Enter the value against which to compare each customer s profile information. 8. Print in order by Customer number To print the labels in order by Customer number. Zip code To print the labels in order by Zip code. Printing customer ship-to labels When you select to print a custom format with a Customer labels format type and a Customer ship-to format sub type, ship-to labels print for each ship-to location on file for each customer. If a customer doesn t have any ship-to locations defined, no labels print for the customer.

8 Labels: Using CounterPoint - Printing Labels 8 Printing customer ticket history labels The fields in this section appear if you enter a custom format with a Customer labels format type and a Ticket history format sub type. Customer history labels can only be printed for existing tag records. To create tags for customer history, use either Labels / Tags / Enter or Labels / Tags / Generate. 6. Profiles 8. Print in order by Enter these fields just as you would if printing customer labels. (See the Printing customer labels section on page 5 for more information.)

9 Labels: Using CounterPoint - Printing Labels 9 Printing order labels When printing a custom format with an Order labels format type, you must also enter the order number range and ship date range. Printing ticket labels The field in this section appears if you enter a custom format with a Ticket labels format type. 5. Register Enter the register of the tickets to use for printing labels. Press F1 for All registers. Printing vendor labels Vendor labels print for the vendors that fall in the specified range of vendor numbers and vendor categories. Printing user labels The fields in this section appear if you enter a custom format with a User labels format type. 4. User ID range Enter the range of user ID s for which to print labels. Press F1 for the First (or Last) existing user ID.

10 Labels: Using CounterPoint - Printing Labels Department Enter the department of the users for which to print labels. Press F1 for All departments. Printing free-form labels The fields in this section appear if you enter a custom format with a Free-form labels format type. 4. Text field 1 5. Text field 2 6. Text field 3 7. Text field 4 8. Text field 5 9. Text field 6 These fields display the free text defined in the custom format. If no free text is defined for any of these fields, Unused displays for that field, and the field may not be changed. After printing labels from tags Printing completed Please enter option This field appears after you print labels from tags. Purge To Purge the tags just printed. Esc To exit without reprinting or purging. Are you sure? This question appears if you specify to purge the tags just printed. Specify whether to continue with this purge by selecting Yes or No. Printing barcode labels When printing barcode labels, if a barcode can t be generated, an error message prints on the label in place of the barcode and printing stops. Error messages print only when you aren t using third-party barcode hardware and/or software. NOTE: Blank barcodes are not valid for UPC and certain other symbologies. To avoid printing termination due to invalid barcodes, blanks are printed as zero barcodes.
