1 Cisc WebEx Cnnect Release Ntes Versin: 7.04 Date: May 3, 2011 These release ntes describe the Cisc WebEx Cnnect versin 7.04 new features and knwn issues: What s New in This Release? Knwn Issues/Limitatins Related Dcumentatin What s New in This Release? New lk and feel Cntact list and hub New lk and feel: Cnnect versin 7.0 has been enhanced fr imprved user interface and usability. New fnts, clrs, and icns lend themselves t better usability and visual appeal. Better access t cmmn functins and imprved menus: The fllwing enhancements have been added: Imprved cmmunicatins: In additin t chat, it is easy t make calls when yu hver ver a cntact name. This feature is available fr users wh have the Cisc Unified Cmmunicatins Integratin (Cisc UC Integratin) fr Cisc WebEx Cnnect. Revised menus: Relevant actins have been cnslidated int fur menu items: File, Cmmunicate, Actins, and Help. Observer list: The Observer list has been mved t File > Change Preferences > Privacy and is always available. Observers can be added t the cntact list, blcked, r remved frm this list. Friendly name: The Friendly Names cmmand has been remved frm the View menu. If yu specify a friendly name fr a cntact, it always shws n the cntact list. Directry grups: Directry grups are indicated by a new icn. Calendar tab: The Calendar tab has been renamed t the Meetings tab t mre accurately reflect the list f WebEx and Micrsft Outlk meetings that are displayed there. Status changes: Yu can set and change yur custm status very easily regardless f which tab is active. An input bx in the hub allws yu t quickly change yur status. Presence icns: Accessibility indicatrs have been added t all presence icns. Cntact Card and Prfile: The Cntact card cntains the mst relevant infrmatin fr business users. Infrmatin that was nt used has been remved, including the Persnal tab, Dwnlad vcard cmmand, and Send cmmand. In additin, the detailed prfile als reflects the cntact s Jabber ID. Unified cntact search Easily search fr all f yur cntacts: This versin f Cisc WebEx Cnnect intrduces a pwerful, predictive search, which allws yu t search fr all f yur cntacts, including cntacts frm the fllwing surces: 1

Cntact list Cnnect directry Persnal cntacts frm Micrsft Outlk Cntacts wh recently cntacted yu thrugh IM, phne, r The Search results start displaying as sn as yu start typing a name, and typing mre characters filters the search results. A maximum f 10 results are displayed at any ne time, with the ability t see mre cntacts if there is n match. Cntact names are displayed by friendly name, if it exists. If it des nt, names are displayed by display name. If a cntact des nt have either a friendly name r a display name, their Jabber ID (JID) is displayed in the search results. Predictive search is available frm the hub and als when yu add a cntact, invite a user t a grup chat, and add users t send a bradcast message. When searching fr a user in the hub, yu can make the mst cmmn actins directly frm the search results, including sending an IM t the cntact, making a call t the cntact, and adding the cntact t the cntact list, if they are nt already listed. The Search feature greatly enhances prductivity by allwing yu t quickly find and cmmunicate with yur cntacts, including thse nt n yur cntact list. Integrated Cnversatins Seamlessly cllabrate using IM, Audi, Vide, and WebEx Meetings: Yu can easily expand IM cnversatins t include audi and vide cnversatins using a single click. Yu can als share a desktp with yur cntact and start a WebEx meeting with a single click. A single cnversatin windw allws yu t hld, expand, manage and cntrl all types f cnversatins. The fllwing changes have been made t the cnversatin windw: Single windw: A single windw fr IM, audi, and vide calls Start calls using a single click: Yu have the ptin t specify a call using yur cmputer (PCt-PC call) r using Cisc UC Integratin with Cisc WebEx Cnnect 7.0 (if available). Add vide t calls: When yu make cmputer calls (PC-t-PC calls), yu have t ptin t add vide t them. Yu can decide t send yur vide alng with the audi call, with a single click. Yu can preference fr including vide by selecting File > Change Preferences > Audi/Vide. Yu can chse t send vide autmatically, view a preview befre sending vide (default), r always start with an audi call. Fr the last ptin, yu still have the ability t manually add vide t yur call later if yu chse t d s. Manage Phne Calls: PC-t-PC calls: Start and end calls. Unified Cmmunicatins calls: Start and end calls, place calls n hld, transfer, cnference, and send the call t yur mbile phne (if cnfigured). Users in Sft Phne mde can mute the call and adjust receiving vlume. Manage vide calls (PC-t-PC calls): Expand PC-t-PC calls t include vide and preview yur vide befre sending it. Use full-screen mde fr a much mre persnal experience. Share yur desktp: A separate Share Yur Desktp buttn allws yu t start desktp sharing with a single click. WebEx meetings: A separate WebEx Meetings buttn allws yu t start a WebEx meeting with a single click, with invite sent t the cntact autmatically Histry tab: The Archive tab has been renamed t the Histry tab. Tab display: During an audi r vide call, the Archive and tabs are nt displayed. 2

3 What s New in This Release? Menus: T view menus, yu can press the Alt key n yur keybard. Menus include File, Cmmunicate, Edit, and Help. Add a cntact: If smene wh is nt ne f yur cntacts sends yu an IM message, yu have the ptin t add them t yur cntact list frm the cnversatin windw itself, using a single click. Chat: The Chat input bx size is nw flexible; yu can nw increase r decrease the bx size manually. The input bx als expands autmatically as yu type. Ability t cpy URL frm IM windw: A Cpy URL cmmand is available frm the right-click menu in the IM windw. Expand t grup chat: Yu can easily expand a ne-t-ne cnversatin t a grup cnversatin. Grup chats start in the same windw, but the new invited cntacts cannt view the riginal ne-t-ne cnversatin. Audi cnference: The Start Audi Cnference ptin under Call nw appears nly fr grup chats. Enhanced meetings Start and jin meetings seamlessly: Deeper integratin with WebEx meetings allws a better and imprved start and jin experience, including the fllwing enhancements: Meetings tab: The Calendar tab is renamed t the Meetings tab t mre accurately reflect the list f meetings that are displayed there, including WebEx meetings and Micrsft Outlk meetings. WebEx meetings appear fr the WebEx service site yu have specified in File > Change Preferences > WebEx Meetings. Fcus n tday s meetings: The meeting list displays tday s meetings with the fcus n the next upcming meeting. Yu can navigate frm ne day t anther r yu can click n the calendar icn t select a day t view the meetings. Meeting infrmatin: Meeting infrmatin in the Meeting tab includes the mst relevant infrmatin abut the meeting, including meeting name, time, and duratin, hst name and a Start r Jin buttn that appears ne hur befre the meeting start time. The list f attendees n lnger appears in this view, but yu can click the Mre Details link t see the invitee list in Micrsft Outlk r yur WebEx site. Start and Jin buttn: The Start and Jin buttns, fr hsts and attendees, respectively, appear ne hur befre the start time f the meeting. Fr past meetings, the nly the hst has a Start link and can start a past meeting. Users can jin r start meetings with a single click. Start a WebEx meeting fr Micrsft Outlk meetings: Fr a meeting in yur Meeting list that des nt have a WebEx meeting assciated with it, yu can start an nline meeting instantly by selecting the Start Online buttn. When yu start a meeting this way, WebEx meeting invitatins, including a link t jin the meeting, are autmatically sent by IM t all nline meeting invitees and by t invitees wh are ffline. This feature allws yu t quickly start an nline meeting at a shrt ntice even if yu had nt scheduled ne befre. Schedule, Edit, Delete meetings; Since the fcus is n real-time cmmunicatin, ptins t schedule, edit, and delete meetings are n lnger available thrugh Cisc WebEx Cnnect. Yu can still schedule, edit, and delete meetings frm Micrsft Outlk r frm yur WebEx site. WebEx meeting reminders: WebEx meeting reminders have the fllwing imprvements: Display: Meeting reminders appear as a pp-up message at bttm right f the user s screen. These reminders appear 15 minutes befre the meeting start time and, if dismissed, shw up again a minute befre the meeting time. The reminders persist fr 10 minutes after the meeting time unless yu dismiss them r select Start r Jin in the reminder. Yu can disable reminders by ging t File > Change Preferences > Ntificatin > Meeting Reminders. 3

Start and Jin buttns: Yu can click Start r Jin frm a meeting reminder with ne click if the meeting is n the same WebEx site that yu have specified under File > Change Preferences > WebEx Meeting. Cuntdwn: The meeting reminders shw, in real-time, the time left fr the meeting t start r the amunt f time the meeting is verdue. Meeting infrmatin: The meeting reminders display the mst relevant meeting infrmatin. Clicking n the meeting name in the reminder displays the Meetings tab in Cisc WebEx Cnnect, which prvides mre details abut the meeting. Chat messages Grup chat New Sharing in a WebEx Meeting status: A new status indicates that yu are sharing yur desktp, an applicatin, r a dcument in a WebEx meeting. When yu have the Sharing in a WebEx Meeting status, yu are als in a D Nt Disturb mde, preventing interruptins and distractins in a WebEx meeting. These meeting enhancements are available nly fr users wh have a hst accunt n WebEx sites that are versin WBS 27 SP22 r later. Fr versins WBS 27 SP21 and earlier, the start and jin experience is the same as in earlier versins f Cisc WebEx Cnnect, and ne-click Start and Jin is nt supprted. Specify a default lk fr IM messages: Yu can specify a default fnt, size, type, and clr fr yur incming and utging chat messages. Yu can specify these preferences in File > Change Preferences > General. Imprved grup chat: Grup chat includes the fllwing enhancements: Invite: Searching fr cntacts t invite fr grup chat is dne using the new predictive search Grup chat windw: When yu expand a ne-t-ne cnversatin t a grup chat, the grup chat starts in the same windw, but the ne-t-ne cnversatin is nt displayed t the ther, invited cntacts. Pending grup: If an invited cntact des nt accept a grup chat invitatin, they nw appear in a separate grup called Pending. This grup prvides an easy way fr yu t knw wh has nt yet accepted yur invitatin s yu can either resend the invitatin t them r cntact them separately t fllw up. Resend invitatins: Using a right-click cmmand, yu can resend invitatins t a cntact in the Pending grup. Drag and drp cntacts: Cntacts can als be dragged frm the cntact list int a grup chat. This will result in the cntact getting an invite fr the grup chat. Audi icn: Fr audi grup calls, an icn against the cntact name displays that they have jined the audi cnversatin. Sessins panel Imprved usability: The fllwing new usability enhancements allw yu t easily identify cntacts yu are chatting with: Clear visual t indicate the cntact yu are chatting with. Single-line display f cntact name with user presence t accmmdate mre sessins. When a cntact sends a message, an alert shws up n the sessin panel with an indicatr fr the number f missed messages. A scrll bar allws yu t scrll up r dwn if yu have a large number f dcked cnversatin windws. Yu can n lnger undck and dck cnversatin windws int the sessin panel. Instead, yu can chse t nt use the sessin panel at all and chse a free flating mdel fr yur cnversatin windws. Yu can turn n this ptin under File > Change Preferences > General-> Chat sessins. 4

5 What s New in This Release? Bradcast messages Ability t send annuncement messages t a grup f cntacts at nce: Yu can bradcast a message t a grup f cntacts at nce. Yu can send a bradcast by selecting cntacts r a grup n yur cntact list and right clicking t enter and send bradcast message, r yu can send it frm the Cmmunicate menu. Yu can als add additinal cntacts t a bradcast message windw by dragging and drpping frm the cntacts list. Bradcast messages include the fllwing features: Messages can be bradcasted t a maximum f 1000 cntacts at a time. Messages are nt sent t ffline cntacts. A message cannt be sent t a mix f cntacts and grups in the same message. Bradcast messages d nt supprt end-t-end encryptin. Messages are lgged n the server-side, if IM lgging is turned n. Recipients cannt reply t the bradcast message. Bradcast messages can be received by ther Cisc WebEx Cnnect users wh are using versin 6.5 r later (earlier versins are nt supprted) Presence The feature can be turned ff in the Cisc WebEx Cnnect Administratin Tl. Anther setting in the Cisc WebEx Cnnect Administratin Tl prevents users frm sending bradcast messages t directry grups that they d nt belng t, if directry grups are turned n fr their rganizatin by the administratr. Richer presence status t prvide mre relevant real-time infrmatin: The fllwing presence status enhancements have been added: Presence in the system tray: A persistent Cisc WebEx Cnnect icn in the Windws taskbar allws yu t view yur presence and change it directly frm the taskbar. New D Nt Disturb ptin: Yu can nw set yur D Nt Disturb status t nt allw thers t send messages r ntificatins t yu. Phne calls and meeting reminders are still displayed. Yu can specify this ptin by selecting File > Change Preferences > Ntificatin. Custm D Nt Disturb status: Yu can nw specify a custm D Nt Disturb status in the hub. New Sharing in a WebEx Meeting status: A new Sharing in a WebEx Meeting status indicates that yu are sharing yur desktp, an applicatin, r a dcument in a WebEx. When yu have the Sharing in a WebEx Meeting status, yu are als in a D Nt Disturb mde, which prevents interruptins and distractins fr a presenter in a WebEx meeting. Screen capture The fllwing screen capture enhancements have been added: Administratrs can turn ff screen captures in the Cisc WebEx Administratin Tl fr the entire rganizatin. When yu create a screen capture, it gets pasted in the text area fr yur review first, befre yu send it. Cisc Unified Cmmunicatins Integratin (Phne Tab) When Cisc Unified Cmmunicatins Integratin is turned n, yu can manage phne calls, easily expand IM cnversatins t phne calls, and yu can preview yur vic . The fllwing enhancements have been added: Call Management: Yu can nw view and manage multiple call sessins at nce. Yu can start new calls r merge r cnference existing calls. Yu can als place calls n hld r send the calls t yur mbile phne (if cnfigured). 5

6 What s New in This Release? Recent Calls: The Recent Calls tab (inside the Phne tab) displays user cntact and presence infrmatin and prvides a quick and easy way t return calls. Vic If vic is turned n, yu can view all f yur vic messages in ne lcatin. Yu can chse which message t play, and can respnd by calling back r sending an instant message the user. User cntact and presence infrmatin als displayed. If vic is nt turned n, yu can call yur Vic system by selecting Call Vic . Keypad: Yu can use the keypad t start new calls r enter dial tne digits while n a call with an autmated system. Frward Call Pwer Switch: Easily turn n and ff call frwarding capabilities. Yu can use the Frward Call Pwer Switch at the bttm f the Phne tab t pen the Call Frwarding Wizard. Chse t call frward t yur vic , numbers in yur prfile, r any ther number yu chse. Krean language supprt Other Krean language supprt is added in Cisc WebEx Cnnect versin 7, in additin t the English, German, Japanese, Simplified Chinese, French, Italian, and Latin American Spanish supprt that has been available in previus releases. Usability enhancements: Sme ther usability enhancements include: Updated text in the installer. Cmbined Remember User name and Passwrd ptin in the sign-in windw. This ptin is nt turned n by default. Remved ntificatin t cntact if a user remves them frm the cntact list. Simplified date frmat fr message histry. Admin audit lg The admin audit lg feature recrds all the changes made by the administratrs using the Cisc WebEx Cnnect Administratin Tl. Fr every change made thrugh the Cisc WebEx Cnnect Administratin Tl, the audit lg prvides the fllwing infrmatin: The time the change was made Administratr wh made the change Item that was changed Autmatic upgrade management Relevant details abut the change Administratrs can generate admin audit lg reprts by ging t the Reprt sectin f the Cisc WebEx Cnnect Administratin Tl and selecting Admin Trail fr the reprt type. Administratrs can generate the reprts dating back up t 90 days. The autmatic upgrade management feature makes it easy fr administratrs t rll ut upgrades f Cisc WebEx Cnnect with the ptimized use f netwrk bandwidth. Administratrs wh rely n Cisc WebEx t rll ut the latest updates can cntinue t d s with n r minimal settings. With the aut upgrade feature, administratrs can specify a baseline versin t ensure all users use the baseline r later versin select a specific versin f Cisc WebEx Cnnect fr the rllut specify the ff-peak business hur r day t rll ut the sftware rll ut sftware in phases, targeting users in specific regins in every phase ptimize bandwidth utilizatin by hsting upgrade binaries n premise (advanced ptin) Versin 7.0 f Cisc WebEx Cnnect ptimizes bandwidth utilizatin by dwnlading nly the required cmpnents instead f dwnlading the whle client binary. The Cisc WebEx Cnnect sftware eliminates spikes in bandwidth utilizatin by randmizing dwnlad time and ding dwnlads in the backgrund. This feature als autmates upgrades n cntrlled desktp envirnments withut requiring manual interventin by administratrs (cntrlled desktp envirnments prevent users frm installing sftware n their wn). During the upgrades t future versins, administratrs will realize the benefits f these enhancements intrduced in versin 7.0. Custmers wh have nt made any changes t Autmatic upgrade plicy settings need nt take any actins. These custmers will cntinue t receive upgrades whenever Cisc releases new versin. Custmers wh have disabled autmatic upgrades thrugh plicy actins will see their upgrade mde set t Custm, and new upgrades will nt be rlled ut autmatically. Custmers can chse t rll ut the upgrade at the date and time f their chice. Custmers will als have advanced features t select apprpriate versin and d phased upgrades t a targeted set f users. 7

8 What s New in This Release? Passwrd expiratin thrugh ntificatins Miscellaneus features: Org Admin Applicatin within Cnnect Client Cisc Unified Cmmunicatins Integratin Third-party XMPP clients, such as Pidgin and BeeJive d nt display apprpriate errr messages when a user attempts t sign in with an expired passwrd. A new administratin feature sends an ntificatin whenever a user attempts t sign in with an expired passwrd, allwing users t take actin t reset the passwrd. Administratrs have new cntrls t disable bradcast messaging and screen captures. The user interface fr adding and editing users has been streamlined t imprve readability. Starting with versin 7.0, the Cisc WebEx Cnnect Administratin Tl will be available nly thrugh the web brwser. The Cisc WebEx Cnnect Administratin Tl applicatin will n lnger appear within the My WebEx sectin f Cisc WebEx Cnnect. Instead, administratrs will see the link t the Cisc WebEx Cnnect Administratin Tl applicatin within My WebEx. Administratrs can als access the Cisc WebEx Cnnect Administratin Tl by pinting t The Cisc WebEx Cnnect Administratin Tl requires Firefx versin 3 r later. The fllwing features have added t the Cisc Unified Cmmunicatins Integratin Visual vic With the intrductin f the Visual Vic feature in versin 7.0, vic server settings have been added t Cisc WebEx Cnnect Administratin Tl. In the Vic tab f the Unified Cmmunicatins settings, the administratr can cnfigure the default vic server fr Visual Vic -enabled clusters. In the Edit Clusters windw (under the Clusters tab) the administratr can turn n Visual Vic and als enter specific Vic server infrmatin, if applicable. One dwnlad fr Cisc UC Integratin fr Cisc WebEx Cnnect: In versin 7.0, the need t manage separate dwnlads fr Cisc UC Integratin fr Cisc WebEx Cnnect has been remved. This integratin is nw built int the standard Cnnect installatin. The Cisc UC Integratin features fr Cisc WebEx Cnnect versin 7.0 nw replace the Cisc WebEx Cnnect Click-t-Call. Managing meetings The Cisc WebEx Administratin Tl has a new Enable Meeting Integratin ptin that cntrls the Meetings integratin within Cisc WebEx Cnnect versin

9 Knwn Issues/Limitatins Knwn Issues/Limitatins Micrsft Outlk and Micrsft Outlk integratin Calendar integratin with Cisc WebEx Cnnect is nt available with Outlk bit When bth Cisc WebEx Cnnect and Micrsft Outlk are running, if yu restart Cisc WebEx Cnnect, Micrsft Outlk will lse its cnnectin t Cisc WebEx Cnnect. Once yu restart Cisc WebEx Cnnect, yu must either sign in t Cisc WebEx Cnnect manually frm Micrsft Outlk r clse Micrsft Outlk and pen it again. If yu start Micrsft Outlk and then start Cisc WebEx Cnnect, Micrsft Outlk will nt shw the presence status fr yur cntacts frm Cisc WebEx Cnnect until yu initiate sme actin in Micrsft Outlk. Status (previusly called presence ), IM, and call integratin are nt supprted in Micrsft PwerPint. In Micrsft Outlk 2007, it is nt pssible t right-click t call cntacts that are nt listed in the user s Cntact list. It is nt pssible t right-click t IM a cntact in Micrsft Wrd and Micrsft Excel. Cntact status Occasinally, status des nt shw prperly in Micrsft SharePint because f its dependency n certain Micrsft Office cmpnents. A wrkarund is dcumented by Micrsft at If a cntact is added directly in Micrsft Outlk 2010, it may take a few secnds fr the status t shw. If a cntact changes their prfile infrmatin in Cisc WebEx Cnnect, the user has t hver n the cntact s name in Outlk befre the changed infrmatin is displayed. After installing Cisc WebEx Cnnect, Outlk needs t be restarted in rder fr the cntact status t shw. Starting WebEx meetings with earlier versins f WebEx Fr WebEx versins earlier than WBS27, yu cannt start a WebEx Meeting Center meeting frm Cisc WebEx Cnnect unless yu have selected a Meeting Center meeting type in the One-Click settings n the WebEx site. IM windw addresses need t fllw mailt: frmat in rder t appear as a hyperlink in the cnversatin windw [418977]. When using Internet Explrer 6.0, if a user makes a phne call and then switches t an IM windw, and additinal space fr a scrll bar appears even thugh there is n need fr a scrll bar. [418381] Screen capture The screen capture feature is nt supprted in grup chat sessins. Fr users wh have lder versins f Cisc WebEx Cnnect, screen capture images are sent as a file transfer. The screen capture feature is nt supprted with ther third-party IM sftware. The screen capture feature is nt supprted with Cisc WebEx Cnnect Web IM. The screen capture feature may be blcked by a pending file transfer. [410724] Windws default device supprt If a Windws XP SP2 r SP3 user has the Use My cmputer's Default Audi Device ptin turned n in Cisc WebEx Cnnect, and the user starts a PC-t-PC call with ne audi device, ends the call, switches t anther device while Cisc WebEx Cnnect is still pen, and then starts anther PC-t-PC call, audi may still be heard frm the initial device. T reslve this prblem, the user shuld restart Cisc WebEx Cnnect s it will use the new audi device. [420770] 9

10 Knwn Issues/Limitatins IM Federatin with Micrsft OCS and IBM Ltus Sametime If a Micrsft Office Cmmunicatins Server (OCS) r IBM Ltus Sametime user lgs int the OCS r Sametime sftware respectively, a Cntact List Request may appear fr the Cisc WebEx Cnnect user if that user had previusly accepted a Cntact List Request fr the same OCS r Sametime user but had nt added the cntact t his r her cntact list (in ther wrds, the OCS r Sametime user was an Observer). There are tw wrkarunds fr this prblem: Add the user t yur cntact list by turning n the Add this persn t my cntact list ptin, and accepting the cntact list request. Blck the OCS r Sametime cntact by selecting Blck in the Cntact List Request dialg bx. Under certain scenaris, Cisc WebEx Cnnect users always see a Cntact List Request frm an OCS r Sametime user, even if they had previusly denied the request by selecting Deny in the Cntact List Request dialg bx. The wrkarund fr this prblem is t blck the OCS r Sametime cntact by selecting Blck in the Cntact List Request dialg bx. OCS and Sametime clients may shw Cisc WebEx Cnnect cntacts in the OCS r Sametime sftware even after the Cisc WebEx Cnnect user has remved them cmpletely frm his cntact list. This can lead t cnfusin between the Cisc WebEx Cnnect user and the OCS r Sametime user because the OCS and Sametime sftware will nt shw a status fr the Cisc WebEx Cnnect user. Cisc WebEx Cnnect custm statuses, such as On the phne r In a WebEx Meeting, may nt be visible r be reflected crrectly in the OCS r Sametime sftware. A Sametime user may nt be able t send an IM t a Cisc WebEx Cnnect user if the user status is Away, because Sametime interprets the status as D nt disturb r Busy. An OCS user may see a Cisc WebEx Cnnect user s status as Available when the user s status is actually Idle.
