3 What is Citrix XenDesktop is a product from Citrix which provides a virtual desktop for all the WLMH applications available to you. You can use this virtual desktop from any location or computer device anywhere, anytime. Citrix provides IT easy maintenance of programs and updates; allows helpdesk to link with our computer to fix issues; and also allows our network to stream and flow with multiple users on the system. The BASICS How to Sign Into Citrix These next steps will show you how to log into Citrix and work on your virtual desktop, from any Computer or laptop. (See page 9 for your mobile devise, and page 8 for logging in at home). The screen shot below is what your computer will automatically open on June 4 th. Enter your current PARTNERS Username & Password into the boxes seen on the main Welcome screen. Once logged in, the screen will look like this Click on the black monitor icon that says Win7 Desktop. It will start running, then the monitor will turn blue colour, like this The blue monitor will start spinning (as shown) and run through a few different screens while it is working on retrieving your profile. Please Be PATIENT! Do NOT do anything This process will take approx. 1 minute to run through. Page 3 of 10

4 When you get to a screen that looks like it wants you to log in, like this Do NOT do anything the program is still running, it will retrieve your profile by itself. When it is finished connecting you will see a desktop similar to the screen shot shown here This is referred to as your virtual desktop. This new virtual desktop will have all the icons you had on your previous partners desktop. It should not look or act differently. NOTE: The virtual desktop will time out after sitting idle for 20 minutes (default timer). This is a security feature. This acts as if it has Disconnected you. From here you can begin using any program that you would normally see or use on your computer. Programs are either accessible from the Start Menu or from the icons created directly on your virtual desktop. NOTE #1: You can change your screen preferences through the Control Panel (under Start) to change your Display, Background picture, etc. NOTE #2: If you are unable to find/access some files/folders, it may be due to it not being saved in the correct location, i.e. your Personal Users folder [(your Username) on ipnas01\wlmhhome (U:)]. It may have been saved to your actual computer [Local Disk (C:)]. Any information that was saved/located on the main computer [Local Disk (C:)] will not be accessible after June 18 th, Please refer to PRIOR to the Citrix Change information to move your files. 5 Welcome Screen To stop this screen from appearing every time you log in Click to check the box at the bottom left Don t show the welcome screen again (circled in red on the screen shot below), then Click the CLOSE button (bottom right) on the same window. Disconnecting vs. Logging Off? why these steps are Important The difference between logging off and disconnecting is that when you Log Off you are freeing up the remote desktop for somebody else to use (of course, they would be accessing their own information). If you have Disconnected your programs will still be running in the background waiting for you to return. Disconnect if you intend on returning to the desktop soon. Log Off when you are done for the day. Logging off also allows IT staff to complete maintenance on the computers. Periodically you may receive a notice asking you to log off to allow for this maintenance to occur. Upon logging off, you are freeing up that computer to be updated, but you do not have to wait. You can log back on immediately, as there would be another virtual computer waiting for you to connect to right away that has already received the updates. Page 5 of 10

6 How to Disconnect during the day When you need to leave the computer but want to leave your virtual desktop open to come back at a later time (e.g. after lunch), you need to Disconnect. This process allows others to sign in to use the computer (with their own profile), but allows your desktop profile to still run in virtual space for you to retrieve later when you sign on and Reconnect. A. There are a few different ways to Disconnect, depending on where you are logged in from. 1. Click on Start, click the arrow beside Shut Down; then choose Disconnect. 2. Click on the Black arrow, box located at the top of page; then click the Disconnect box. 3. Click on red X, located at the top right of page. B. Move your cursor over to Log Off, another window will open. Press Disconnect to sign out of the Citrix application/program. Page 6 of 10

7 How to Log back in after Disconnecting Log into the main screen [Citrix Access Gateway black screen], by entering your Username & Password. The Citrix (XenDesktop) webpage will open. If the program does not continue automatically searching for your profile. Then, move your cursor to the Log Off icon (shown below); and press Reconnect or click on the Win7 Desktop monitor icon. It should only take less than 20 seconds to re load your desktop profile again as it is still open in virtual space. All applications/programs should still be open as you left them. How to Log Off at the end of the day At the end of the day when your shift is over, you need to Log Off completely from your virtual desktop profile and the Citrix (XenDesktop) application/program. Follow the instructions below to complete this process properly to be sure you have been logged out completely. Note: If your virtual desktop profile was not logged out correctly it will automatically log you off after 12 hours of being idle. A. Click on Start, click the arrow beside Shut Down; then choose Disconnect. NOTE: You can also LOCK your computer. However, no one else will be able to use the computer while it is Locked. Only use this if you will be gone for a few minutes. B. Press Log Off to completely sign out of the Citrix application/program (shown below). Page 7 of 10

8 How to Log into Citrix from HOME or Mobile Device 1) You will need the Citrix receiver software installed on your computer for this to work. To downloaded, Open the following link from any personal computer, laptop or mobile device: Note: A minimum requirement for Citrix Receiver is.net Framework version 2.0 Service Pack 1. It is recommended to have.net framework 3.5 installed. 2) It is highly recommended to add this website to your list of Trusted Sites in Internet Explorer. Open Internet Explorer go to Tools Internet Options Security tab click the Sites button type this site in the box click Add then Close, Click Ok at the next window. 3) Open your internet, in the address bar type in over the main window screen Right click and choose Create Shortcut. This icon will be added to your desktop Use this in future as a quick/easy connection to the Citrix Application. How to Add to your taskbar If you do not find your shortcut on you virtual desktop follow these instructions: Go to Start; Click on All Programs; Open the folder Microsoft Office a list of Microsoft Office Programs will appear (shown below); Right click over the program Microsoft Office Outlook 2007, then choose Pin to Taskbar. The icon will now appear on the main taskbar, beside Start (as shown in the screen shot below). You can also add Word, Excel and other programs this way as well. Page 8 of 10

9 Citrix Settings At the top of the screen is a black box with an arrow in it, as shown here Click the arrow to open settings/options in Citrix, as shown below Home: Brings your desktop screen forward. Note: This will only work if on your home computer or one that still allows Partners login. Ctrl+Alt+Del: Opens a window that will provide the options (as shown in this screen shot) Lock this computer locks the computer. Just log back in to activate again. NOTE: No other staff member can use the computer while it is locked. It is preferred to Disconnect when you are not using the computer. Log off another area where you can choose to log off the computer. Change a password Allows you to change your password when needed. Start Task Manager Opens a window that will allow you to end a program if/when it is not responding. Power button (located in the bottom right corner of the screen) this will turn the computer Off. Please do not use this unless indicated by the helpdesk. Preferences: Allows you to set a few of your own preferences, i.e. Display resolution, etc. Please use caution when changing any of these settings, as it may cause some programs to not open correctly. It is best to leave these options as they are defaulted. Full screen: Expands the Citrix window to fit the monitor screen. or Window: Collapses or makes the window smaller to expose Disconnect: Quick way to disconnect from the Citrix application. 10 How to Add a Printer on Citrix At the time you start up XenDesktop it will automatically detect the printers installed on your computer. They will show up as model name (from your_computer_name) the example below shows the computer names blurred out. If you do not see your printer listed it is likely because there are no printers installed on that workstation. Follow the steps below to add your printer Devices and Printers (located under the Start menu) Therefore, you will have to add your printers by following these steps 1. Click the Start button; 2. In the Open window (where it says Search programs and files ), type \\ippartnerdc03 ; 3. Click the Search symbol at the end; 4. Select a printer from the list (shown in the screen shot below); by double clicking on the printer of your choice. Note: All printer names are located on the printer. 5. The printer will automatically install the printer you choose to your new profile. 6. Add as many as printers you require. 7. The default printer is indicated with a check mark in a green circle. To change this Right click over the printer you want as your default and choose Set as Default Printer. END. Page 10 of 10
