1 1 Accessing Your Site & User Access Last Updated February 27th, 2006 Now that database is on our server, you ll want to begin setting up the system as soon as possible. However, before you access site, you need to download certain files off the Internet, the most important being a digital certificate from ADP Canada. The following explains what a digital certificate is and how to get one installed. Digital Certificates are the electronic equivalent of a passport. Also, site requires certain Active X files to be downloaded when you login for the first time. To ensure that all these files are downloaded properly you must be an Administrative User on your personal computer. Furthermore, you must have correct Security Settings on your Internet Explorer. As complex as this process may seem it is really quite simple as long as you follow the steps laid out in this document. 2 Am I an Administrative User? What is an Administrative User (AU)? An AU is a user who has certain rights on their computer; the most important in this situation is the ability to download files from the Internet. If you cannot download to your personal computer then you will not be able to connect to site successfully. To check if you are an AU right-click on the Start button on the bottom left-hand corner of your Desktop screen (see below.) If you do not see the Open All Users and the Explore All Users options then you are not an AU. This doesn t always mean that you are a true Administrator. Please contact your IT Department to reconfirm. Figure 1 To become an AU you will have to talk to your IT Department. If they do not feel that it is prudent please explain to them that you need to have temporary Administrative Rights to download the required files or you will be unable to run site. These administrative rights can be given to a user for a short period to allow the user to logon to the system, at which point the files will download. Once the required files are downloaded on the users computer, the administrative rights can then be removed for the applicable user. Accessing Site Page 2

3 Setting up Internet Explorer for site For site to function correctly you must have a minimum of Microsoft Internet Explorer Version 6.0. If you do not know what version of Internet Explorer you are running open Internet Explorer on your computer. Click on Help on the Top Menu. Then select About Internet Explorer. Your Internet Explorer information will then be displayed (see below). If you do not meet the minimum requirements please contact your IT Department for assistance to get you updated to a supported version of Internet Explorer. Accessing site Page 3

4 Internet Explorer Security Settings Requirements for ADP Site Your Site also requires that certain Internet Security Settings be set correctly. These settings can be found while in Internet Explorer by selecting Tools on the main menu of Internet Explorer. Next select Internet Options and then the Security tab. Make sure that the icon for Trusted sites is highlighted. Then select the Custom Level button. A menu displaying all of your Security Settings will then pop up. Make sure your settings are as follows: Your Settings should be as follows: NOTE: If you should feel uncomfortable using the enable option, you can also use the prompt option. By using the prompt option, you will then be prompted with various windows where you will need to select ok, every time you access your people@work site. If you select enabled you will not be prompted with these windows. Accessing Site Page 4

5 If you have these 2 options available in your Security Settings ensure they are set as follows. If you do not have these options just continue with following settings. Accessing site Page 5

6 After you have matched your Security Settings to the ones above please click Yes to the warning that prompts you if you want to save your changes. Then shut down Internet Explorer for the changes to be saved. Accessing Site Page 6

7 Privacy Settings (Cookies & Pop-Up Blocker s) Cookies and Pop-up control (XP SP2 only) while using site requires specific settings: For Personal Computers without Windows XP SP2, follow these steps: From the Menu Bar go to Tools -> Internet Options -> Privacy tab Click the Edit button. Enter *.adp.ca into the field labeled Address of Web site: then click Allow For Personal Computers with Windows XP and SP2 follow these steps: From the Menu Bar go to Tools -> Internet Options -> Privacy tab Click the Settings slider bar and move down to position Low Click the Sites button. Enter *.adp.ca into the field called Address of Web site then click Allow. Click OK In the lower section called Pop-up Blocker, click the Settings button. In the field labeled Address of Web site to allow, enter *.adp.ca then click Allow. Under the Filter Level: set the option to Low: Allow pop-ups from secure sites. Click Close. Accessing site Page 7

8 Display Settings, General Settings & Advanced Settings Things to Check Display Settings - Text Size Medium size is considered the preferred setting. To select the Medium settings: From the Menu Bar go to View -> Text size -> set to Medium Display Settings- Encoding Auto-Select is the preferred setting. To select the Auto-Select setting: From the Menu Bar, go to View -> Encoding -> select the Auto-Select or Western European (Windows) option. General Settings - Newest Version of Stored Pages Ensure you are using the most current Internet content: From the Menu Bar go to Tools -> Internet Options-> General tab. Click the Settings button. Set Check for newer versions of stored pages to Automatically. Set the amount of disk space to use: to 256 Mb. Advanced Settings: From the Menu Bar go to Tools -> Internet Options -> Advanced tab. Click Restore Defaults. In list of Settings options, scroll down to the Security section and locate the option called Do not save encrypted pages to disk -> Ensure NO checkmark. NOTE: You may have performance issues if you are not saving encrypted pages to disk. Screen Display: The preferred setting is 1024 x 768 pixels. Select you Start Button > Then Settings > Then Control Panel > Double click on the Display icon > Select the Settings Tab in the Display Properties window > Adjust the Screen Area Settings. 9 Downloading MDAC Your site requires MDAC version 2.8 in order to function properly. To download and install MDAC, users should contact their IT department (Local Administrator rights are required and a full system backup is recommended as MDAC cannot be uninstalled). Microsoft Data Access Components is a required download to ensure proper data transfer back and forth from your personal computer to the site server. To download MDAC, please go to the site & type MDAC in the search box or you use the following URL, you will then have to run a search on MDAC 2.8: Please Note: MDAC cannot be uninstalled. It is a recommendation from Microsoft to do a complete system backup before installing MDAC. Once you search & select the MDAC 2.8 option you will see a screen similar to the one below: Select Continue from the menu on the right. You will be presented with the following screen Accessing site Page 9

10 Select Yes, or No as you wish. Then select Continue. By Selecting No, you then see the following screen, where you will now select download. Accessing Site Page 10

11 When you select download, you will then see: Select Open & follow the remaining steps. When you see this screen (below) Click on the checkbox to accept all the terms of the License Agreement and then click Next. When the Installation asks you if you want to restart your computer, make sure to select I will restart on my own. Be sure to then to restart your personal computer after the Installation of MDAC is complete, as your personal computer will not recognize this download, until you have rebooted. 12 Adding Site as a Trusted Site This area contains important information for clients who are accessing ADP Site with Windows XP SP2: Windows XP SP2 contains several security enhancements to Internet Explorer. To continue to use your ADP applications, you must add the ADP web sites to Internet Explorer s list of trusted sites. While in Internet Explorer, click on the Tools menu, and select Internet Options. The following dialog box will appear: Next, click on the Security tab, and click on the Trusted Sites icon. 13 To display and edit your current list of Trusted Sites, click on the Sites button. The following dialog box will appear: Add all the ADP web sites you access into this list individually, or You can simply add*.adp.ca this will capture all ADP sites & include them as trusted. 1. Type *.adp.ca under Add the Web site to the zone: 2. Clear the checkbox for Require Server verification ( for all sites in this zone. Accessing site Page 13

14 3. Click Add. 4. Click OK. The Trusted Sites window will close, and you will be returned to security tab on the Internet Options window. Click the Default Level button, and then click OK to apply these changes and close the window. Accessing Site Page 14

15 Windows Script & Java for Windows Requirements You may also need to install or update the following components in order to achieve optimal performance with Essential or Premier Performance Pack. Windows Script Instructions: To install the Script for Windows 5.6 go to the following web page: Search for - Windows Script 5.6. 16 Installing Adobe Acrobat Reader If you do not already have Adobe Acrobat Reader installed on your personal computer please complete the following steps: Note: Version 6.0 or 7.0 will function correctly. 1. Start the operating system of the computer on which you want to install Adobe Acrobat. 2. Turn off all virus scan programs, screen savers, and network messaging that might appear during the installation. For example, close Microsoft Schedule +, Microsoft Outlook, or any other program that may display messages. 3. Open Internet Explorer a go to Adobe s web site at Scroll down and look for button. 4. Click on link and follow website instructions on how to download the free Acrobat Reader. 5. Enter your personal computer variables as seen below: Once you have identified your personal computer variables more options will appear. Accessing Site Page 16

17 You may wish to uncheck the Also download free Photoshop option. 6. Scroll to the bottom of this widow & click on Continue. 7. You will then see the following window, where you will click on download. Accessing site Page 17

18 8. Select Save on this next window. You will then be prompt with where to save this file. You may wish to save to your desktop folder. Then you will see the file being downloaded & a download completed window. Click on Open 9. Then the program will run the download manager. You will see it run through a number of different screens, and then the following screen below will appear. Accessing Site Page 18

19 Click on Next, Next, and Next again where you will be at the following screen: Select Install. Again, it will run through a few installation screens. Once completed the following will appear. Select Finish. Open the Adobe Version 6.0 listed in your start menu. It will perform a quick update & once you have an opportunity to hit the I agree button, this application is available for use! 20 Applying for and Downloading Digital Certificates From your Internet browser, type in the URL & Click on Cancel on the client authentication window as seen below in Figure 2. Figure 2 The following screen will appear as shown in Figure 3. Select the hyperlink that says, Click here to request new certificate. Figure 3 Accessing Site Page 20

21 1) All information to be filled in this form will be provided to you by your internal Site Administrator. Most likely this will be your main Site contact in your HR department. Fill in the information as provided and click Continue when finished. Please note: The Password field is case sensitive. If you are the Site Administrator for your company and you are unaware the required information then please contact your ADP Implementation Consultant. Click Continue when the form is completed. 22 2) If all the information you have entered is correct and you have selected the continue button, you will be presented with what is seen in Figure 5. If the information entered is not correct, you will be presented with Figure 6 found on the next page. Figure 5 3) When you reach Figure 5, please read the ADP terms and conditions and click I Agree if you agree. 4) Depending upon your settings; you may be prompted with a windows asking, Would you like to save to the Root Store? or, you may see a message similar to the one below, be sure to select Yes. 23 5) If you are presented with Figure 6, click on the Back button on your Internet Explorer browser menu bar and ensure that you have entered the information in correctly, keeping in mind that the Password field is case sensitive. Then select Continue again. If you receive this error message click Back and confirm that you are entering the information correctly. Figure 6 6) You will be presented with the window as seen in Figure 7, indicating that you have successfully imported your digital certificate. Select OK. 24 You are now ready to Login to your Site. Please exit out of the enrollment success screen. You will need to close your Internet Explorer and open it again for your personal computer to recognize that you now have a valid digital certificate. To log into Site the URL is as follows: Using the same information used to obtain your digital certificate; you can now logon to your Site. Accessing Site Page 24

25 Accessing site after Downloading The Digital Certificate Your Site Address: or The first time your site or open various menu items in site from a client workstation, you may be prompted to install ActiveX controls. To from the client workstation, these controls must be installed. These files only need to be installed once per workstation. In most situations you will not be prompted to install these controls. The will load automatically. If you are prompted please refer to the Understanding ActiveX Controls located on Page 27 Important: You must have a minimum of Internet Explorer version 5.5 with Service Pack 2 (128 Encryption) installed on the client workstation to access the Site. If you are a lower another version of Internet Explorer, you receive a message notifying you that your Site requires this version of Internet Explorer. Logging On to site To log on to site: 1. Open Internet Explorer. Your home page appears. Note: If you have set your home page to URL, skip step 2. See Internet Explorer help for procedures for changing your home page. 2. 26 3. The following Client Authentication box may appear with the user s name for the applicable computer. This pop-up box ensures that the client is using the proper Digital Certificate by matching the certificate to your login name. If this pop-up does display as show below, click on your name and select OK. If this box does not display, you may be running Windows XP or only have one Digital Certificate on the applicable computer. 4. login page will appear. You will then have to enter 3 pieces of information. 5. Enter your User ID, Password & Client ID. If you are not sure what this information is, please contact your HR Department and speak with the person who is responsible for adding new users to your site. Once you have this information, please continue. If you are administrator; you will need to get this information from ADP Implementation Specialist. 6. Enter your user name in the User Name field. 7. Enter your password in the Password field. This field is case-sensitive. 8. Click the Log On button. site then verifies that your user ID, password and Client # are correct. Assuming they are, database will open as display as shown below. If you see the screen above you are now in site! Accessing Site Page 26

27 Understanding ActiveX Controls ActiveX controls are reusable software components that incorporate ActiveX technology. ActiveX technology is a set of technologies that enables software components to interact with one another in a networked environment, regardless of the language in which the components were created. These components can be used to add specialized functionality. For example, by downloading the ActiveX controls, users at client workstations can use this functionality to view your Site data in grid view. To use your Site from your workstation, you must install the following controls when prompted during your first login: (NOTE: if you are using any other ADP products you may have some additional Active X files.) Note: If you are using a third party reporting application and/or accessing web sites that have web-based reporting that requires Crystal Enterprise or Seagate related Active X files (**often used for web-based Benefit Carrier web sites) there may be additional steps required in order for users to run reports in your Site. Please contact ADP CTS for more information. The control is automatically installed and the Security Warning window for the Sheridan Data Widgets B - ActiveX Control appears, as shown in as shown in Figure 1-2. 29 7. Click 'Yes' to install the Sheridan Data Widgets B - ActiveX Control. The control is automatically installed, then the Security Warning window for the Internet Explorer Popup Menu Control appears, as shown in as shown in Figure 1-3. The control is automatically installed, and the Crystal Smart Viewer for ActiveX window appears, as shown in as shown in Figure 1-4. Figure 1-4: The Security Warning window for the Crystal Smart Viewer for ActiveX 5. Click 'Yes' to install Crystal Smart Viewer for ActiveX on the client workstation. The control is automatically installed, opens. 6. You may see other windows similar to the above listed ones to receive all ActiveX files that are required for your site to function. 30 Deleting Digital Certificates From a Personal Computer Digital Certificates are valid for one year from the date it was issued to the personal computer. After it s expiration it is recommended that you delete the expired certificate from your personal computer before you apply for a new one. To delete or check the expiry date on a digital certificate please follow these steps: From the Tools menu in Internet Explorer, select Internet Options... In the window that appears, select the Content tab, and click the Certificates... button In the Certificate Manager dialog box, select the Personal tab, and locate the ADP certificate The ADP certificate can be identified by the user's name in the "Issued To" column and ADP Canada in the "Issued By" column The Expiry date is listed in the Expiration Column If you wish to delete the Digital Certificate, please proceed with the next steps. Highlight the certificate by clicking on it, and then click the Remove button below Internet Explorer will ask you to confirm the removal Once a certificate is removed the workstation will not be able to access your Site until a new certificate has been installed through the normal request/approval/download process. 31 Exporting & Importing of Digital Certificates The purpose of this area of the document is to identify how to copy a digital certificate to another personal computer or how to make a back up of your digital certificate in the event your personal computer crashes, or you obtain a new personal computer, or require a copy of this digital certificate on another personal computer. Exporting Certificate Procedures: Launch Internet Explorer and select Tools, then Internet Options from the menu bar. Select the Content tab and then the Certificates button. Accessing site Page 31

32 Highlight the certificate you wish to export and select the Export button. Select Next. Accessing Site Page 32

33 Select Yes, export the private key, then select Next. Select the default setting below. Then select Next. Accessing site Page 33

34 You can choose to password protect the exported Digital Certificate or you can choose to leave the password fields blank. Then select Next. Enter the appropriate path and file name where you would like to save your exported copy of the digital certificate. Then select Next. Accessing Site Page 34

35 Confirm the accuracy of the information in this window. Then select the Finish button. The export process has been completed successfully window confirms that this digital certificate was successfully exported. Accessing site Page 35

36 Importing Certificate Procedures: Launch Internet Explorer and select Tools, then Internet Options from the menu bar. Select the Content tab and then the Certificates button. Accessing Site Page 36

37 Perform the following tasks for each certificate you wish to import. Select the Import button. Select Next. Enter the path and file name of the certificate or you can browse to find the file. Then select Next. Accessing site Page 37

39 Confirm the accuracy of the information below. Then click Finish. The import process has been completed successfully. In order to logon to your Site, you will now have to close your browser & launch your browser for your personal computer to recognize that there is now a valid digital certificate contained on this personal computer. 40 Deleting Temporary Internet Files It is recommended that you delete your temp files regularly. This will assist with speeding up the login process & free up some of your personal computer s memory. NOTE: Be sure to never delete the temp files while you re logged into your Site, as you will be deleting files, which are required by the system to function while you are logged in. To delete your Temp files, open your Internet Browser. Select Tools from the Menu bar. Select Internet Options. On the General Tab select the Delete Files button (select the option to delete the offline content). You can also repeat the process to delete the Cookies, if you wish. XP Users can also clear the SSL State, in the Content tab. Moving Forward You should now have access to your Site. If you are still having trouble logging in to this site, please do not hesitate to contact your ADP Implementation Specialist for additional assistance or instructions. If you are a new user who has passed the Implementation stage you can contact our Hosted Solutions Team by dialing and select 1 for English, or 2 for French, Then Select 3 for Digital Certificate & Client Technical Support for assistance. PLEASE NOTE: for security reasons, please have your User ID, Client ID and your Shared Secret ready for reference to be sure that an ADP member can assist you. Accessing Site Page 40
