2 Accessing the DcuMatrix Site Requirements fr using DcuMatrix via Citrix: 1. Cnnectin t the Internet. 2. Cmputer must have the latest Citrix ICA Client installed. Click n the Dwnlad Latest Client link frm ur Citrix page. Enter the credentials prvided fr Citrix when accessing the fllwing link: Lgin t Citrix Open a web brwser, and type the URL: Enter yur Citrix username and passwrd 2

3 Citrix Passwrd Plicy Yu will be prmpted t change the passwrd after yur first lgn. Yur chsen passwrd must cnfrm t the fllwing rules: 1. It must be at least 8 characters. 2. It must have at least ne UPPER case letter and at least ne LOWER case character. 3. It must have at least ne f the fllwing: a. A number b. A nn-alpha character such as # r $ 4. It cannt cntain any part f yur user name. 5. Yur first (Citrix) passwrd can be the same as yur secnd (DMX) passwrd. Once lgged in, the fllwing page will display the applicatin(s) which yu will be accessing. If yu have prblems using an applicatin, please cntact Electrnic Discvery Supprt fr assistance. Lgging ff T lg ff the system, please ensure that yu exit DcuMatrix befre exiting the main MetaFrame windw; therwise the system will assume that yur Internet cnnectin has failed and will try t suspend yur sessin. This is designed t enable yu t yu lg back in where yu left ff, withut lsing any wrk. If yu ever lg n and are faced with a blank screen rather than the DcuMatrix lgin prmpt, then the previus sessin has hung and is in the prcess f resetting itself, and yu will either need t wait fr it t time ut (currently set at 15 minutes), r yu can cntact us at Electrnic Discvery Supprt and we will end r reset the sessin. Frm time t time we may need t ask users t lg ff in rder t perfrm system maintenance. If this needs t be dne at shrt ntice, we will send a message t each cnnected user, which will appear n their Citrix windw. Fr this reasn, please d nt leave sessins pen unattended, e.g. during lunch breaks r vernight, as wrk may be lst. Lgin t DcuMatrix Select a DcuMatrix Database Click Lgin 3

4 Usernames and passwrds are established in advance by Electrnic Discvery Supprt. It is strngly recmmended that all users change their default passwrd during their first DcuMatrix sessin. Yu can change yur passwrd by selecting the Change Passwrd ptin frm the Tls menu. A windw will pp up displaying the case name and database yu are wrking in, as well as yur user ID. Yu will have t enter yur ld passwrd, yur new passwrd and a cnfirmatin f yur new passwrd. Please nte: If yu have frgtten yur existing passwrd, cntact yur system administratr. S/he can tell yu yur ld passwrd, r can verwrite it with a new passwrd. Once yu have cmpleted all necessary infrmatin, click OK t accept the change. Citrix Limitatins Thugh many dcuments will pen in their native applicatin, Outlk files are nt supprted under the Citrix client. As previusly nted, bulk printing thrugh Citrix is nt recmmended. There is a limit f 5 dcuments t be printed at ne time, and it is imprtant t nte that dcuments with extremely large page cunts will have difficulty printin g. 4

5 Dcument Review Here is the default view fr a reviewer in DMX. Open a Flder/Access Review Wrk Batch DcuMatrix flders rganize dcuments in the database and stre wrk batches fr dcument review. T view the cntents f a wrk batch, expand the flder named My Private Flders, and then the flder n amed My Wrkflw Batches, as fllws: 5

6 The required Cding Frm will lad autmatically fr each wrkflw. T mve frm dcument t dcument Click n the navigatin buttns that appear n the Viewer and the Cding Frm. Yu can als use the htkeys ALT+PGDN. Open and adjust the Viewer Click t tggle the viewer between tall and shrt mde Click t pen r clse the Cding Frm Click t View Dcuments If reviewing native files, click n the File View tab; if reviewing images, click n the Dcument Image tab. 6 T change the fields displayed n yur Dcument List Lcate the Change Clumns icn n the Tlbar. By clicking the black arrw yu will find a list f preset clumns t display in the Dcument List. Review Dcuments in the Native File V iewer Generally, the File View will adequately render the riginal file, but there are sme exceptins: If the file is t large t lad (a message is displayed); If the dcument has a value in the Dcument Attribute field, indicating that hidden infrmatin is available in the native file (i.e. PwerPint Speaker Ntes, Cmments, Hidden rws/clumns, etc); r If yu wish t see frmulas rather than results in an MS Excel file. In these instances, it is recmmended t pen the file in its riginal applicatin, as fllws: Click n the Open Native File link n the right side f the View windw

7 OR Duble click n the Native File icn in the dcument list (secnd icn clumn frm left) This will launch a cpy f the file in its riginal applicatin. Dcument Viewer Windw Frm the Dcument Viewer windw (accessed via the VIEW buttn n the left-hand side f the DMX windw). The Dcument Details windw displays the values cded in selected fields fr the current dcument. The field infrmatin displayed in the Dcument Details windw can be custmized, and the Details frmat can be saved fr future use in varius DcuMatrix field-selectin dialgs. Details frmats can be pre-designed t display nly certain fields. DcuMatrix can be cnfigured s that a frmat f chice can be pre-laded and displayed autmatically. The Dcument Details windw is in HTML frmat; therefre frm the right-click menu, such as: standard brwser ptins are available Print the cntents f the Details windw Select, cpy and paste the cntents f the Details windw int any Windws applicatin Exprt t Excel Yu can als save the cntents f the Dcument Details Windw int an HTML file in rder t maintain frmatting, highlighting, etc. Frm the Actins menu, chse Dcument Detail Save As. 7

8 The Dcument Details Windw highlights full-text search strings in red typeface with a yellw highlight. Keywrds can als be defined by an Administratr and will be highlighted in the clr specified by the Administratr. KEYWORD HIGHLIGHTS In additin t highlighting search hits, the Dcument Details windw will highlight imprtant keywrds, withut having t d a text search fr thse wrds. An administratr can create sets f keywrds and assign them t all users, r specific users. Each set can be given a different clr. Each keywrd set is shwn in its assigned clr scheme. Yu can chse t enable r disable a keywrd set by clicking n its name. The checkbx next t each keywrd set indicates whether it is enabled (checked) r disabled (unchecked). NAVIGATING HIGHLIGHTS Yu can easily navigate amng highlighted search hits r keywrds by clicking n the highlighted text string - this will jump yu t the next highlight. A link at the tp f the Dcument Details windw jumps yu t the first highlight.
