5 Getting Started ITS are piloting the use of Office Mix during Office Mix is a free Microsoft plugin for PowerPoint that allows users to convert PowerPoint presentations into desktop recordings by adding audio narration, video narration, screenshots, video capture, media and formative quizzes. Office Mix can produce both a voice over PowerPoint or a video file (MP4). Warning: Please be aware that when publishing to Office Mix the data is stored on a Microsoft website. ITS Teaching and Learning Support (TLS) are only able to provide basic support on the use and implementation of Office Mix. Warning: Due to Office Mix using Microsoft Servers to store the data, UQ has no administrative policy for the retrieval of Mixes published by a staff member that has left UQ. Backup copies of all Office Mix Presentations should be stored on a UQ shared drive appropriate to the School or Division you belong to. Warning: UQ policies and procedures apply to the use of External Learning Tools. TLS have provided a list of example implications on the elearning website: Note: Office Mix is currently unavailable to Mac, however Mac users running Windows can access Office Mix via Office 365. Office Mix requires versions of Office 2013 Service Pack 1 (or above). Page 5 of 48

6 Installing the software Office Mix can be installed on your PC directly through Software Center: Go to the (Start Menu). Type in Software Center. Click Software Centre from the drop down. Click on the (Available Software) tab. Locate Office Mix and press the (Install selected) button. Page 6 of 48

7 Note: If your computer does not have Software Center. Please log a job with your local desktop support to have the software installed on your machine. Office Mix is available from Page 7 of 48

8 Office Mix Ribbon The Office Mix ribbon will be available when you open the PowerPoint. Open the required PowerPoint presentation or start a new one. Record audio narration Tip: Plug in your headset or desktop microphone before opening Office Mix. You can also record audio using the built in microphone in your computer (this may result in lower quality sound). Tip: Add your script to the notes section of each relevant slide or have a print out of your slides to assist with your narration. Note: Slideshows must be saved in the.pptx format in order for Office Mix to work. For instructions on how to convert an older.ppt format please visit the FAQ guide. Select the microphone Select (Slide Recording) from the Office Mix ribbon. Page 8 of 48

9 Navigate to the Right Hand Side of screen and click on the Microphone drop down list. Select the required Microphone from the drop down list (microphone will be selected by clicking on the desired microphone in list). Page 9 of 48

10 Record slide with no animation Ensure you click on (Slide Notes) if you have added your script to the notes section of your PowerPoint Slides. To start click on the (Record) button. Note: The recording will start immediately there is no countdown. Record slide with animation Click on the (Record) button. Use the (Next Animation) button to move forward to the next animation. Note: The animation. (Previous Animation) button can be used to move back to the previous Page 10 of 48

11 Tip: You can use the left and right arrow keys on your keyboard to scroll forward and back through your animations. Pause recording Click on the (Pause) button. The recording will automatically pause. Click on the (Record) button to start recording again. Stop recording Click on the (Stop) button. The recording will stop and save automatically. Click on the (Preview Slide Recording) button to check your recording. Click on the (X) button to close the Office Mix Recording window. Re-record a slide To re-record a slide, you can simply start recording again and you will be prompted at the end to replace the existing recording. Note: You can also click on the (Edit Slide Recording) drop down box and select the (Delete Slide Recording) button. Click (Record) button. Page 11 of 48

12 When you have finished recording press the (Stop) button. Click the (Yes) button when the warning message is displayed. Record another slide Use the (Previous Slide) button or the (Next Slide) button to navigate to the required slide. Note: You can use the left and right arrow keys on your keyboard to navigate between slides. Tip: Make sure to stop the recording between slides. This will make editing or making changes easier. Record video narration Tip: Plug in your webcam before opening Office Mix. Also plug in a headset if you intend to use a headset. Tip: Add your script to the notes section of each relevant slide or have a print out of your slides to assist with your narration. Note: Slideshows must be saved in the.pptx format in order for Office Mix to work. For instructions on how to convert an older.ppt format please visit the FAQ guide Select the webcam Select (Slide Recording) from the Office Mix ribbon. Page 12 of 48

13 Navigate to the Right Hand Side of screen and click on the Camera drop down list. Select the required Camera from the drop down list (camera will be selected by clicking on the desired camera in list). Page 13 of 48

14 Tip: Record in Full Screen by clicking size on the slide without losing quality.. This will allow you to adjust the video Record slide with no animation Ensure you click on Slide Notes if you have added your script to the notes section of your PowerPoint Slides. 17 Inserting YouTube videos Warning: Due to copyright policies you should not record YouTube videos directly into your Office Mix presentation via Screen Recording. To avoid issues with copyright on YouTube videos follow the following procedure. Copy the YouTube link Visit YouTube and locate desired video. Copy URL from address bar. Inserting video link Select the required slide. Click on Insert. Click on Video. Select Online Video. Page 17 of 48

18 Past in URL to YouTube section. Press Enter. Select the correct YouTube clip. Click (Insert) button. YouTube box will appear on slide. Page 18 of 48

20 Tip: Also place the URL on the slide in case viewer has issues with playing the video. Alternative process for inserting YouTube video or videos from other websites. Copy embed code Visit YouTube or desired website. Locate desired video. Click (Share) button. Click (Embed) button. Page 20 of 48

21 Copy Embed Code. Embed video Select the required slide. Click on Insert. Click on Video. Select Online Video. Paste embed code into the From a Video Embed Code section. Page 21 of 48

22 Click the (Insert) button. Video box will appear on slide. Adjust size of YouTube video by clicking and dragging on corners. Page 22 of 48

23 Place instruction on slide for user to click video to play. Tip: Also place the URL on the slide in case viewer has issues with playing the video. Page 23 of 48

24 Adding pause to Office Mix to allow YouTube clip to play Tip: Providing there is no recording completed on the YouTube slide the Office Mix presentation will pause on this slide Select slide with YouTube video. Click on Mix. Click on Slide Recording. Click on edit slide recording. Click on Delete Slide recording. Page 24 of 48

25 Click (X) button to close slide recording. Screen Recording Note: Screen recordings should not be used for recording video footage or sound clips as the sound will not come through on the recording. Only sounds that are produced through the attached Microphone will be heard. Screen Recording Insert a blank slide into your presentation. Select (Screen Recording) from the Office Mix Ribbon. The Screen Recording box will pop up at the top of the screen. Choose whether you would like to record mouse movements by clicking (Record Pointer) button. Choose if you wish to record audio with your microphone by clicking the (Audio) button. Page 25 of 48

26 Click on (Select Area) button to designate the area of your screen you want to record (will produce a red box on screen to designate the recording area). When you are ready click the (Record) button. Note: There is a 3 second countdown on screen once you click Record. Once recording has started you can click the Pause button (pauses the recording) or the Stop button (finishes the recording). Page 26 of 48

27 Tip: You can use the following keyboard shortcut to stop the recording: Windows Start Key + Shift + Q Your recording will appear on the slide in PowerPoint. Inserting quiz questions Warning: ITS recommends that quizzes used in Office Mix presentations are given either a formative mark or very low stakes. Note: Quizzes do not work if saved as a Video (MP4) format. Installing Quiz Add-ins Go to the Office Mix tab and click on Quizzes Video Apps. Click on the (STORE) button. Under Quizzes and Polls you will see the available quiz types. Make your choice. Click on the (Add) button. Page 27 of 48

28 A pop up box will display details of the Add-ins. Click on the (Trust It) button. Repeat the above steps to install each Add-in. Once you have added each quiz they will appear under MY ADD-INS Page 28 of 48

29 Adding Multiple Choice Quiz to a slide Go to the Office Mix tab and click on Quizzes Video Apps link. Click on the Multiple Choice Quiz under MY ADD-INS. Click the (Insert) button. The quiz frame will appear on the slide. Page 29 of 48

30 Type your Question into the Insert question here field. You can enter a Hint for the question by clicking on the (Light Bulb) button. Tip: The hint can be deleted by pressing the Trash Can button. Enter your answers into the Insert option here field. If you wish to add another answer press the + Add another answer button. To select the correct answer, click on the (Tick) button. Tip: The correct answer will be the line that is highlighted Green. To delete an answer, click the (Trash Can) button. Page 30 of 48

31 You can add feedback to each answer by clicking the (speech bubble) button. Tip: The feedback can be deleted by pressing the Set the options for this quiz question: o o o o o (Trash Can) button. To allow only one choice, select Allow Single Choice Only. To allow many choices, select Allow Multiple Choices. To show the choices in random order, select Shuffle Answers. To allow an unlimited number of attempts, select Allow Retry. To allow a specific number of attempts, select Limit Attempts and then type a number in the box that appears to the right of the field. Select the font size of your quiz. Click the (Preview) button to see what your quiz will look like. Page 31 of 48

32 Multiple choice question with images Go to the Office Mix tab and click on Quizzes Video Apps. Click on the Multiple Choice Quiz under MY ADD-INS Click on the (Insert) button. Type your question into the Question Box. Click on the first Insert option here box and you will see the editing box appear. Page 32 of 48

33 Click on the (Insert Picture) button. Locate your picture on the internet and copy the picture URL and paste this into the URL box. Adjust the size of the image making sure you click the (padlock) button is closed so that it keeps the correct image ratio. The image should appear in the Preview box. Page 33 of 48

34 Tip: If you see a (Red X) appear in the preview box the URL has not worked and you will need to try again or find a picture URL that will work. Repeat the steps for the remaining answers. Click the (Preview) button to check your Question. Quiz questions with Equations. You can insert equations into questions using the (Add Math Equation) Button. Tip: The equation editor works similar to the Equation editor in Microsoft Word so you can copy equations from Word and paste them into the box below Latex. Page 34 of 48

35 When you have completed the equation press the (OK) button. Repeat for any additional equations. Publish an Office Mix presentation Overview Publishing your presentation to your Learn.UQ course is a three step process. 1. Upload the presentation to Office Mix. 2. Visit Office Mix website to copy the link to your Office Mix. 3. Link the presentation to a content area so it can be accessed by students. Warning: Please be aware that when publishing to Office Mix the data is stored on a Microsoft website. Upload a new presentation Click on the (Upload to Office Mix) button on the Office Mix ribbon. A new Ribbon will open on the far Right Hand Side. Click the (Next) Button. Sign in to the Microsoft website with your UQ username (uqusername@uq.edu.au) and password. Page 36 of 48

37 Once signed in you can select to upload a new mix and choose if you want to enable playback on mobile devices. Click the (Next) button. Note: Quizzes are not available on video uploads. Wait for the file to publish. Page 37 of 48

38 You can click on (Show me my mix) to go directly to the Office Mix website to view your Mix or select Mix later. (Close) if you intend to view your Visit Office Mix Website After uploading your Mix, you will need to complete the settings on the Office Mix website. o o o o Add a Title. Select a Category appropriate to your content area. Set the Permission and Sharing Level to Unlisted. Copy the URL (weblink) from the box below the presentation (this will save time when loading to Blackboard). Once completed click the (Save) button. Tip: Use your Course Code and Year as part of the Title to make it easier to locate Mixes from your list. Page 38 of 48

39 Linking your Presentation to Learn.UQ Note: Only those staff with Instructor level access to a course can add Office Mix links via Mashups. Open your Learn.UQ course. Select the area you wish to add your Office Mix presentation. Select Office Mix from the Mashups List under Build Content. Add a Name for the Office Mix link. Page 39 of 48

40 If you have quizzes in your Office Mix, Enable Evaluation set to Yes and set the Points Possible and a Due Date (if you want a time frame on the quiz). Tip: We suggest that Office Mix quizzes be formative assessment or very low stake. Warning: Students need to click on the transferred back to Grade Centre. (Turn In) button for marks to be Page 40 of 48

41 In order for students to view the mix Select the Yes radio button next to Permit Users to View this Content. Tip: You can set Date and Time restrictions if you are posting your Office Mix ahead of time. Click the (Submit) button. Click on the Office Mix link you just created. Page 41 of 48

42 Enter the URL that was produced when you uploaded your Mix. Click on the (Find) button. Confirm that the Mix selected is correct and select the (Yes) button. Your Mix will load up into Blackboard. Warning: You will need to attach the Office Mix URL each year when your Learn.UQ course is copied as the URL does not transfer in the copy. Updating existing Mix To upload an updated Mix click on the (Upload to Office Mix) button on the Office Mix ribbon. A new Ribbon will open on the far right hand side. Click the (Next) button. 43 Sign in to the Office Mix website with your UQ and password. Select the I m updating an existing mix radio button and pick the presentation you wish to update from the list. If you wish to Enable playback on mobile devices tick the check box. Click on the Next button. Page 43 of 48

44 Wait for the file to publish. You can click on (Show me my mix) button to go directly to the Office Mix website to view your Mix or select the view your Mix later. (Close) if you intend to Page 44 of 48

45 Note: When updating a Mix your settings on the Mix will remain the same as the original. This includes the URL. Your Mix has now been updated. Deleting a Mix from Office Mix website Visit and Sign In to your Office Mix Account using your username@uq.edu.au and password. Click on My Mixes. Select Uploaded Mixes and locate the Mix you want to delete and press (Delete) button. Page 45 of 48
