2 Fire and Emergency 1. Guidelines at induction 2. Know your Fire Extinguishers As part of your induction you will receive full details of our fire and emergency details For retail employees, please follow the Health and Safety information provided In the Resource Centre This image provides guidance as to which type of fire extinguisher should be used for each type of fire It is vital that your Manager is made aware of any incident that may have an adverse impact on an employee or the company, in particular if there is any risk to the health and safety of staff, customers, contractors and the general public

3 Performing Fire Alarm Tests 1. Inform all relevant people of the test 2. Activate/ deactivate the alarm system Frequency - weekly Inform any responders (eg fire brigade/shopping centre/ alarm monitoring station) if appropriate before starting a test Print a blank copy of the Visit one Alarm Point/ Break Glass Unit (visits should be rotated on a weekly basis to ensure that all units are visited within a reasonable period of time) Obtain the small black plastic test key Push the key into the right hand side of the call point (the cover will lower) Sound the alarm Let the alarm ring for 5 seconds Remove the key (the cover will return to it's original position)

Record your findings and take action NB: A second team member should attend/ reset the panel by pressing silence alarm and reset buttons Ensure that bells were audible Ensure that the correct zone was indicated on the alarm panel (as appropriate) Record your findings on the Record any actions that are required to address any issues that have been identified Record who is responsible for ensuring that the actions are completed Record the date by which the actions should be completed Enter the above information into the Monthly Health & Safety on the Resource Centre Contact the maintenance contractor to request that maintenance issues are addressed

5 Performing Emergency Light Checks 1. Check the emergency lighting 2. Record your findings and take action Frequency - Monthly Inform all team members that you are about to check the emergency lights Print a blank copy of the Monthly Health & Safety Visit one Emergency Light at a time Obtain the Emergency Light (fish tail) key Insert the Emergency Light key into the test box adjacent to the light Switch to activate the Emergency Light Ensure that the Emergency Light illuminates correctly Return the test box switch to its original position Record your findings on the Monthly Health & Safety Record any actions that are required to address any issues that have been identified Record who is responsible for ensuring that the actions are completed Record the date by which the actions should be completed Enter the above information into the Monthly Health & Safety on the Resource Centre Contact SSS Maintenance to request that maintenance issues are addressed

6 Performing a Fire Extinguisher Check 1. Check the condition and position of extinguishers 2. Check the condition and position of extinguishers Frequency - Weekly Print a blank copy of the Visit each Fire Extinguisher Ensure that the Fire Extinguisher is in its designated location Ensure that free standing Fire Extinguishers are in the bases provided Ensure that Inspection Labels are attached to the Fire Extinguishers and that they are up to date/ valid Ensure that the pressure readings are within the limits indicated on the gauges Ensure that pictorial labels detailing the types of Fire Extinguishers and their uses are located next to them Ensure that all wall mounted Fire Extinguishers are secure

Record your findings and take action Ensure that the correct types of extinguishers are located in the correct designated areas (EG C02 in the switch room/ Electrical areas) Ensure that Fire Extinguishers are not used to keep doors open Record your findings on the Record any actions that are required to address any issues that have been identified Record who is responsible for ensuring that the actions are completed Record the date by which the actions should be completed Enter the above information into the on the Resource Centre Contact the maintenance contractor to request that maintenance issues are addressed

8 Performing a Sprinkler System Inspection 1. Inspect the sprinkler system 2. Record your findings and take action Frequency - Weekly Print a blank copy of the Visit each area of the Sprinkler system Record your findings on the Record any actions that are required to address any issues that have been identified Ensure that sprinkler heads are free from obstruction Ensure that stock is at least half a metre below the sprinkler heads Ensure that the securing locks and straps are affixed to valves Ensure that safety warning/ instruction labels are affixed Ensure that the main control valve is in the correct operating position Ensure that there are no signs of corrosion or leaks Record who is responsible for ensuring that the actions are completed Record the date by which the actions should be completed Enter the above information into the on the Resource Centre Contact the maintenance contractor to request that maintenance issues are addressed

9 Performing a Fire Drill 1. Inform any responders that a test will take place 2. Action the physical drill Frequency - Six Monthly Establish the date that the Fire Drill is to be performed NB: Fire Drills should be performed outside normal trading hours to ensure that trade is not disrupted Inform any responders (eg fire brigade/shopping centre/ alarm monitoring station) if appropriate before starting a test Print a blank copy of the Six Monthly Health & Safety Visit one Alarm Point/ Break Glass Unit (visits should be rotated on a weekly basis to ensure that all units are visited within a reasonable period of time) Obtain the small black plastic test key Push the key into the right hand side of the call point Sound the alarm Obtain the Signing In/ Out Log Obtain the Visitors Log Observe the evacuation of the store Secure the store upon exit Visit the designated emergency evacuation point Use the Signing In/ Out Log and Visitors Log to verify that all employees/ visitors have successfully exited the store in an acceptable time frame

Record your findings and take action Return to the store Remove the key (the cover will return to it's original position) NB: A second team member should attend/ reset the panel by pressing silence alarm and reset buttons Ensure that bells were audible Ensure that the correct zone was indicated on the alarm panel (as appropriate) Record your findings on the Six Monthly Health & Safety Record any actions that are required to address any issues that have been identified Record who is responsible for ensuring that the actions are completed Record the date by which the actions should be completed Enter the above information into the Six Monthly Health & Safety on the Resource Centre Contact the maintenance contractor to request that maintenance issues are addressed

11 Performing a Fire Risk Assessment Review 1. Review fire safety provision in store 2. Review fire safety provision in store Frequency - Annually Print a blank copy of the Annual Health & Safety Ensure that the following checks have been completed each week: Fire Alarm Checks Fire Extinguisher Checks Emergency Lighting Checks Fire Drills Confirm whether you have taken control of any more floors in your building since the last Fire Risk Assessment was completed Confirm whether you have any of the following appliances in your store: Microwave Toaster Kettle Water Boiler Portable Heaters Confirm whether you have any combustible (paper etc) stored near to heaters Confirm whether team members have been trained on evacuation procedures Confirm whether your fire exit routes are clear Confirm whether all fire exits open without the use of a key/ if a key is necessary that exits are unlocked at the start of each day

12 Performing a Fire Risk Assessment Review 3. Review fire safety provision in store 4. Record your findings and take action Confirm whether all team members have been trained in the use of fire extinguishers Confirm whether all of the action points on the previous Fire Risk Assessments have been completed Confirm whether the following signage is in place: Evacuation procedures with assembly points recorded Fire Extinguisher signage per Extinguisher Directional Signage leading the way to exits Break glass call point signs Confirm whether you have a copy of the 5 year electrical inspection certificate Confirm whether you have a copy of the asbestos report Record any actions that are required to address any issues that have been identified Record who is responsible for ensuring that the actions are completed Record the date by which the actions should be completed Enter the above information into the Annual Health & Safety on the Resource Centre Contact the maintenance contractor to request that maintenance issues are addressed

13 Emergency Policy 1. Emergency Policy Details It is Joules policy that during an emergency the primary concern is the safety of both the Joules team and members of the public Refer to the the specific procedures for managing: Bomb Threats Major Incident Contingency Plan

14 Gas Leak Emergency Procedure 1. Evacuate and Notify 2. Notify the Health & Safety Manager Turn off the gas at the supply valve - IF SAFE TO DO SO Evacuate the premises, opening internal doors and windows to aid ventilation Report the issue to the Health & Safety Manager at Head Office Report the issue to the Facilities department at Head Office Telephone the National Grid Emergency Telephone line and advise them of the issue
