3 Insert a hyperlink to another file on your computer: 1. You can link any file, including a Word Document, PowerPoint Presentation, Notebook Lesson, etc. 2. Create an object on the page that you d like to be attached to the file Text in a text box Clip art A drawing shape 3. Select the object by clicking on it. 4. Go to Insert > Hyperlink 5. Locate the file you wish to attach and click to highlight; click OK REMEMBER! Hyperlinks work only in presentation mode! If you travel with your PowerPoint, be sure to copy any attached files and take those with you also. Check links before presentation. Using PowerPoint with a SMART Board 3

Select the object by clicking on it. 3. Go to Insert > Hyperlink 4. Click on Place in This Document on left side of dialogue box 5. Select slide that you want to link; you will see a preview 6. Click OK when you have selected the correct slide REMEMBER! Hyperlinks work only in presentation mode! TIP! Create all of the slides that you want to link first, then link them together. Think about a way to advance from the home page after all links have been explored. Using PowerPoint with a SMART Board 4

5 Add a movie or animated GIF to a slide "Movies" are desktop video files with formats such as AVI, QuickTime, and MPEG, and file extensions such as.avi,.mov,.qt,.mpg, and.mpeg. An animated GIF file always has a.gif file extension. 1. Display the slide to which you want to add a movie or animated GIF. 2. Do one of the following: 1. On the Insert menu, point to Movies and Sounds, click Movie from File, locate the folder that contains the file you want, and then double-click the file. Note A movie or.gif file that you've added to Clip Organizer is found in the Clip Organizer folder within the My Pictures folder on your hard disk. Or, go to the original location for these files. 2. When a message is displayed, do one of the following: To play the movie or GIF automatically when you go to the slide, click Automatically. To play the movie or GIF only when you click it, click When Clicked. Note If you try to insert a movie and you get a message saying that Microsoft PowerPoint can't insert the file, try inserting the movie to play in Windows Media Player. Tip! Always put the movie in the same folder as your PowerPoint presentation. If you later move the PowerPoint presentation to another computer, copy the movie too. Keeping your movie in the same folder as your presentation ensures the link will still work. However, you should always test the movie on a new machine just to be certain. Re-insert the movie, if necessary.) Using PowerPoint with a SMART Board 5

6 Add music, songs, or sound effects 1. Display the slide to which you want to add music or sound effects. 2. On the Insert menu, point to Movies and Sounds, and then do one of the following: Insert a sound file Insert a sound clip from Clip Organizer 3. Double-click the sound file that you want to insert. 4. When a message is displayed, do one of the following: o To play the music or sound automatically when you go to the slide, click Automatically. o To play the music or sound only when you click the sound icon, click When Clicked. 5. To adjust the settings for when the sound file stops, click the sound icon, right-click, and then click Custom Animation. 6. In the Custom Animation task pane, click the arrow on the selected item in the Custom Animation list, and then click Effect Options. 7. On the Effect tab, under Stop playing, do one of the following: o To stop the sound file on mouse-click of this slide, select On click (the default). o o To stop the sound file after this slide, select After current slide. To keep the sound file playing for several slides, select After, and then set the total number of slides the file should play on. Using PowerPoint with a SMART Board 6

7 About recording a voice narration for a presentation You might want to add narration to a presentation in the following cases: For a Web-based presentation For archiving a meeting so that presenters can review it later and hear comments made during the presentation For self-running slide show presentations Your computer must be equipped with a sound card, microphone, and speakers for you to record and hear a narration. You can record the narration before you run a presentation, or record it during the presentation and include audience comments in the recording. If you don't want narration throughout the presentation, you can record comments on selected slides. When you're finished recording a narration, a sound icon appears on each slide where you've recorded. You can either click the icon to play the sound, or set up the sound to play automatically. Because voice narration takes precedence over other sounds, if you've inserted another sound to play automatically in the presentation, it gets overridden by the narration. Automatic slide timings As you record, Microsoft PowerPoint records the amount of time you take on each slide. You can choose to save these slide timings with the narration, or you can set slide timings separately. Slide timings are especially useful if you want the presentation to run through automatically. You can turn them off when you don't want the presentation to use them. Embed or link the narration You have a choice to either link or embed the narration. If you embed the narration, the narration sound file becomes part of the presentation and it travels with the presentation. However, embedding the narration results in a large file size. If you want the file size to be smaller, you can link the narration. The file is then stored where you specify on your hard drive and plays with the presentation. If you present the show on a different computer, you must carry the linked sound file with you and install it on that computer. A linked file will also play faster. Accompany the narration with notes Because audience needs and computer equipment varies, consider accompanying your narration with notes. This benefits anyone who is deaf or hard of hearing or whose computer lacks a sound card. If you save the presentation as a Web page (.htm file), the notes will appear beneath each slide as it displays. If you save it as a presentation (.ppt) file, you can print out the notes and make them available to your audience. Using PowerPoint with a SMART Board 7
